**What do you like best about vcita?**

Vcita has been one of the best decisions our service has made since we launched two years ago. We originally used a CRM through another provider but found this to be clunky, prone to glitches and updates eroding our settings without notice, and over-priced.

Vcita on the other hand has been fully customisable for our needs, is fast to load with a refined and easy to use GUI. Training staff on its use has been easy and we're able to fully manage the IT / administration of it in-house. Our clients feedback has been positive and it has revolutionised our operating model, saving our team time and reducing admin costs massively.

**What do you dislike about vcita?**

It occasionally has technical glitches, however customer support are fast to respond and provide a personalised service.

**What problems is vcita solving and how is that benefiting you?**

It saves a huge amount of time and massively reducing our staffing costs through effective automation.

vCita is the reason I was able to start my small business, and the reason it has grown to be the successful business it is today. vCita makes it so easy for my clients to book, and so easy to keep my busy schedule efficient and effective.

I honestly have no complaints. Great customer service makes vCita a great business solution.

The system makes it easy for our students to book us. Scheduling, invoicing, collections, and marketing are all seamless.

**What do you like best about vcita?**

I really like the reservation module, it is comprehensive and intuitive. Additionally, we are investigating the possibility of offering it as a more complete CRM for customer management in small businesses.

**What do you dislike about vcita?**

It requires quite a bit of setup time, and it is an expensive tool.

**What problems is vcita solving and how is that benefiting you?**

For us, managing client appointments was the key element, now we are analyzing the complete CRM option as a viable solution for small businesses.

It used to work well as an online booking calendar....now it's too buggy and down a lot.

**What do you dislike about vcita?**

TONS of bugs and a lot of downtime.  Their support is VERY UNHELPFUL...too.

**What problems is vcita solving and how is that benefiting you?**

Downtime is one thing....bugs that take a week to access your account are another.  I think I currently have 6 tickets open at vCita with bugs they cannot figure out.

**What do you like best about vcita?**

I like that vcita lets me use it both for one-on-one clients and for groups. It helps me stay organized and easily lets me send information to both clients and groups. The initial setup was easy, I'd rate it a four out of five.

**What do you dislike about vcita?**

I wish that I could do a partial refund. They only let me do full refunds, but sometimes a partial refund is needed.

I use vcita to stay organized and schedule both one-on-one and group sessions effectively, while easily sending information to clients and groups.

I am not using all of the options yet, There is a lot of ptions tht don't apply for my business but I will need to time to figure all that out.

**What do you like best about vcita?**

As someone who wears a lot of hats running my business, it’s incredibly helpful to have scheduling, client management, billing, and marketing tools all in one place. The new AI features have honestly surprised me with how intuitive they are, I love how they suggest replies and help me quickly write engaging marketing content.

**What do you dislike about vcita?**

Sometimes the reporting features load slower than I'd prefer, especially when I'm trying to quickly check something between meetings. It's nothing major, but quicker load times would definitely improve my day-to-day experience.

**What problems is vcita solving and how is that benefiting you?**

I used to have multiple different apps open for scheduling clients, sending invoices, tracking leads, and running marketing campaigns. It was stressful and chaotic, and sometimes things slipped through the cracks. Now, everything’s centralized in vcita, making life easier and freeing up time to focus on actually running my business.

I have used this solution for a number of customers and found it simple for the clients to use as a CRM for estimating and communications.

**What do you dislike about vcita?**

When doing a deeper dive to set up marketing templates, realised you have to pay even more to simply adjust your templates !! A big mis sell to me also using Zapier to drag information into the platform did not work, so issues in pushing the correct data you want for your clients in the solution and was unable to resolve, with both parties blaming each other.

They did not resolve, just understood my complaint but not sure if they will react.

Very easy to configure and a very friendly team to clarify any queries I had.
The level of customisation for my business in what regards services, it's soooo flexible.
The fact that I can connect it with Office365
Multiple online payment options for my clients
Widget to set on my own website
Customer Portal and Chat feature
Option to select other languages than english
Customisation of every notification
Automates most of my business daily tasks
Support team is great!

**What do you dislike about vcita?**

Nothing, but I'd love the option to allow multiple languages to be set in parallel
Would also like to have the possibility to generate invoices for already paid services, for tax purposes.

**What problems is vcita solving and how is that benefiting you?**

I tested dozen of similar platforms and none would fully fit my needs. With vcita I was able to gather almost 100% of my needs and it makes my life so much easier with the level of customisation that it has. I can configure my services, packs, synch my calendars, offer multiple payment options, have the widget on my website and make use of the links to set up specific offers straight into my website. I also love the Customer Portal and how easy it is to chat and share documents with my clients.

**What do you like best about vcita?**

It has ability to add on apps or link apps but its a CRM, you can send estimates for approval require deposit that customers pay online when they approve your contract and make the up front payment, and then you create an invoice from that approved estimate, and send it with attachments, customers can book services online on your website, and it creates a cuatomer portal where they see your correspondance and download any documents pay their bill, and all thos can be found when you add it to your website it creates a little pop up on screen asking what they would likw to do, call you, message book service download document, all set up pretty easy and the booked servi es can sent directly to your google calendar so you dont miss appointment s and if payment is required foe the appointment it allows the customer to pay up front. It can sync w quickbooks and other apps you may use in your business.

**What do you dislike about vcita?**

Theres a limit to the amount of documents you can upload, because i liked to send pics with every estimate or invoice id add after pics and warranty info. But once you reach a limit is very hard to delete old uploaded documents and they want you to upgrade your service to by $50 a month when you can simply email these documents, but then theyre not tracked in your messages or available theu your customer portal.

Electronic invocies and digital approval of estimate and deposit payments included, saves me 2nd trip to customers house or requiring them to come to our office for contact siding or payment.

Vcita has been an effective partner in the growth of our company. It has helped us automate our processes by allowing the team to focus on specific tasks while the software supports the administrative processes. One of the areas in which it has helped us the most is finance. We can now better track payments and deposits from our customers.

The scehduling widget for the website integrated with the backend makes the process of singning up customers easy and. It looks very professional to the clients and its is very easy to use on my end.

**What do you dislike about vcita?**

The lack of integration with Google Business profile, I can't sell downloadable items or allow users to signup to a subscription, instead I have to create it manually.

It made my business startup super easy. The CRM is super simple to use, the implementation of the scheduling module on the my website was easy, and organining my business is a one-step-solution with vCITA.

The ease of use is a godsend, not much of a learning curve to use the platform. I use it daily. I can communicate through a full CRM that has safe secure client portal for my customers and clients, invoices and bills and takes payments with my select processor, stores and send documents, allows for digital signing, and even includes marketing and and customer reviews, its priceless!

I think some customers who are not tech savy may get confused with the login of the client portal.

the program fees basically pay for itself as it streamlined my business tasks and cut down my time immensley. I can spend more time now and do what I do best and that is service others!

The ablilty to have muiltple service for my business and once client book all of the confirmations and reminders are sent automaticly. I used it all the time in my business. Very straight forward with integrating with other websits. It was not hard for me to understand and start using in my business and if I had a question customer support got back to right away.

Locating your services can be more clear and easy to get too

It's easy to use, has useful automated Features and I really like the ability to write client notes and share documents.

It's not cost effective beyond the basic level. Cannot connect to bank for BACS. It means my clients have a surcharge which I don't want.

It has the widget that is a pop up on my web site for initial contact and then leads my clients to an intake system where we can chat and correspond and they can upload all their documents through the Vcita app.

No real downside, my office is just not geared up to use all of their tools like scheduling.

I love how it integrates with my website and my personal google calendar to seamlessly book appointments with my customers, and update my personal AND business calendar in the process. .

This is at no fault of VCITA, but I feel like I only use such a tiny portion of the available services that VCITA provides. I could probably use a lot more of them, but haven't had the time to just sit and navigate/learn about it all

**What problems is vcita solving and how is that benefiting you?**

VCITA collects information from both my existing and potential customers, allowing it to serve as CRM. Prior to VCITA, I tried tracking this information in an excel spreadsheet, but VCITA as automated that. VCITA has also streamlined my new-client pipeline by seamlessly allowing customers and prospects to book appointments right through my website. The additional links to Zoom have also ensured a professional and seamless software experience by my clients and prospects

**What do you like best about vcita?**

Website Integration, Client Portal Functionality, and customer service are exceptional.  The team at Vcita is accommodating and always willing to offer ideas to help with your needs and to help you stay within budget.

**What do you dislike about vcita?**

To get the platform's full capabilities, business owners must upgrade their service plans.  Although I understand this requirement, pricing could be adjusted for the type of business and how many actual users. Also I think if you are paying for the platform regardless of the plan, you should be able to remove the powered by Vcita.

**What problems is vcita solving and how is that benefiting you?**

As an experienced leader in sales and marketing, I knew when I decided to start my own business; I would need a CRM platform to help with client communication.  I was pleasantly surprised to learn that Vcita created easy ways to integrate with my website.  Vcita solves many business challenges, such as client management, invoicing, payment processing, integration with my calendar, online scheduling, an excellent client portal and a business page.

**What do you like best about vcita?**

I love the integrated calendar options for clients to select from multiple appointment types and easily confirm appointments and get reminders. 

 I am always editing my offerings and love how easy it is to change my calendar and quickly update business changes.

**What do you dislike about vcita?**

I would love it the platform was more integrated with a task-management software that my other assistants could access.  

I currently have to use another app for that, and I would love it a workspace option was available, that allowed myself to still be the primary service provider, but keep all of my assignments to contractors related to the clients on Vcita straight and organized as well.

Easily confirming appointments, sending reminders to clients, and keeping all of their conversations straight.

**What do you like best about vcita?**

My needs w vCita have grown as my biz has grown. It's been good to use more & more components over the years. It's an integral part of my business now, and I rely on it immensely. I pick & choose what parts I use, and slowly have grown to utilize it's offerings.

**What do you dislike about vcita?**

They are continuing to improve it regularly. My biggest dislike is that clients cannot tip thru the system, and I either have to invoice outside the system for those paying by credit card.

**What problems is vcita solving and how is that benefiting you?**

More efficient scheduling; clients can do at their convenience; I can edit my schedule on a whim. Contactless payment since COVID started. Keeps track of payments/who owes. Organizes all my session notes under that client.

**What do you like best about vcita?**

I like that VCita can do all the essential day-to-day tasks, such as payments from our clients; all our scheduling goes through VCita, we can choose our own schedule and update as often as we need to, but most importantly, our clients have their own private portal so they can track ever everything themselves.

**What do you dislike about vcita?**

I don't have any complaints other than there should be some incentive for how long someone uses their service. Grandfather us in on a special price or something.

Our scheduling which was an issue but not only that being able to send and track invoices all in the same dashboard is huge.

**What do you like best about vcita?**

I love that clients can book easily and its portability across devices. It has a wonderful integration on my website with pop up to allow clients to interact with.  The automatic reminders that I can set to activate inactive clients or send promotions easily.  I've been a user for over 8yrs and continue to love it.

**What do you dislike about vcita?**

Wish there was a shortcut way to do short term recurring schedule changes. IE: my normal schedule is M-F 10-6.  However Every other week I am physically taking appointments in a different location. So for each week I'm out of office for one location I Have to block it and open it for the other location.

**What problems is vcita solving and how is that benefiting you?**

Time management and ability to connect with clients easily and remind them of their appointments. Not having to hire a fulltime scheduler for the past 8yrs. Helps me take that task off my plate mostly.

That you are able to register students for your classes and they are able to make payments through VCITA and VCITA logs everything down for you!

**What do you dislike about vcita?**

In the student portal i wish it would show the students how much they already paid and how much they still owe to help them keep up with their payments.

Vcita always has been very quick and helpful with every technicial problem we ever had and always resolved it very quickly.

My only dislike is the pricing.  As a small self-employed business, I can't afford to expand to include a second employee without a huge jump in pricing.  Also to open even more features requires pricing upgrade.  It's well worth the money but it will cost to have it.

Customer service has always been nice when we have reached out to ask for suggestions/changes to the system.  They updated a lot of the CRM and calendar functions as we needed them to fit our business specifically.

I use it solely for meeting bookings and am not taking payments on the platform as yet. So far, Vcita gives me what I need to function efficiently.

There have been glitches but with calendar apps, much of this comes down to getting to know its quirks. Any frustrations have been either supported through the helpdesk or implemented into the product.

The things I liked best about vicita are as follows:
- very easy to reassign appointments 
- blocking off specific day availability was intuitive

**What do you dislike about vcita?**

The downsides to vcita are:
- When you block off certain times on a specific day in vcita, the availability would not translate in the customer facing calendar integrated with vcita. It would remove the whole day
- Does not work well with Gcal anymore, which is why we switched to ChiliPiper. Whatever update vcita made, we had to do too many steps to get it to talk to our Gcal. It ended as a separate calendar type (involved having to be invited to view each person's vcita calendar on Gcal? Way too confusing). Vs synching with our Gmail users like it did before. It caused availability info to be inaccurate.

N/a at this time. We switched ChiliPiper because vicita turned from being an easy-to-use scheduling platform to a complicated tool that was confusing users and employees alike.

We decided to give vcita a chance within our infrastructure and the result was pleasant because it gave us a hand in billing processes, making them easier for our team through its reporting / analysis function, in addition to the extensive tools available. They can be used in a simple way, improving our traffic.

Something that upset us was that many times the links did not work or the payment confirmation messages as one is used to and the customer service is terrible since they only have a 2 hour opportunity every 24 hours for technical support to time for some inconvenience.

**Recommendations to others considering vcita:**

The main reason why we invite companies that are dedicated to marketing campaigns like us is the great affordability that this software has at a cost of only $ 12 per month, which is very profitable for those small companies that hardly they are starting and making their way in this field. In addition, the team in charge of vcita is very receptive to open to suggestions.
The tools are simple and they manage to improve our traffic with an incredible CRM system, I recommend it, I'm happy.

We had several meetings discussing the need to implement a software that would have a payment reminder to our customers through event-activated emails with modest payment functions, not to mention that the customer interface is intuitive, practical and simple to learn to use. Nothing. This software used to have many good attributes, but it has clearly deteriorated over time.

**What do you dislike about vcita?**

Pretty much everything now. We have been unable to process payments via Stripe or Paypal which is due to a bug in the Vcita system for an entire month. Customer service have still failed to correct the fault. Clients now receive incorrect ZOOM links and notifications are now delayed, appearing weeks and months after the event. We should have guessed this when we onboarded and it took way too long for them to book us in for a ZOOM call.

Look elsewhere, save yourself the money and the time.

This online software is truly all-in-one! I canceled my other subscriptions for classic appointment scheduling, my quote-invoicing solution, customer relationship management, and now I can turn simple diagnostic appointment requests into potential clients. I have the ability to send offers to my prospects, via SMS or email, for my new services through VCITA's email marketing and track the opening.

My emails and appointment scheduling are enhanced, and no more wasting time with multiple business solutions when VCITA does it all on a single platform. More than ever, to keep your clients, you need to be able to address them personally, and VCITA does it with its automated platform.

The icing on the cake is the ability to be paid online by my clients because they all have a private, free portal to do so. They see my services, their upcoming invoices to pay, the appointments we have together, and more. VCITA is THE smart solution for modern freelancers who want to centralize everything on a SUPER SMART dashboard.

In terms of online support, they are very responsive and reply within 24 hours, I love it!!!

I decided to switch to the platinum plan!

Vcita is an awesome CRM for the price, there are a few features missing that will take this program to the next level.  I am sure they are working tirelessly to improve and meet their customers needs and expectations.  The customer service and support is next level, it's worth doing business with them just for that, I know my Managing director has been on the phone several times in the middle of the night working through issues.  You just don't get that kind of service from companies like this.  For that reason alone my company will be loyal to Vcita and it's crew as long as they can continue to grow with us and continue to update the service.

I believe Vcita is a very well thought out CRM for my small business. Vcita does not require a learning curve, I was able to learn it in a short period of time. My previous CRM was difficult for me and confusing to my client. I really like the client portal, the automated responses, and how well it integrates with my WIX website. I also like your customer assistance from sales to technical support.

**What do you dislike about vcita?**

I really would like to be able to add links to my email without having to upgrade. My business centers around the sharing of photos and the Vcita portal for this only allows 20 MB. Therefore I need to use a Dropbox file request. Support was helpful in suggesting workarounds, but the most efficient solution would be to have the link added to an email I create and sent to a client.

I primarily work with small businesses and first-time business owners.  vCita is a perfect solution for my clients that need to wear several hats and need software that wears several hats and is easy to pick up and run with.  It definitely gives my clients not only the appearance of a company with more depth than, but also helps give them more depth through workflows, organization, and automation.

I have to be cautious when recommending it to my clients who have high to "explosive" growth potential.  vCita is fairly plug-and-play and has lots of capabilities right out of the box, which happens to be simultaneously its biggest strength and its largest liability.   At the end of the day, you may find you outgrow the software and need to move to a more customizable solution.   * I think it is fair to add here that I have spent several years working with other more flexible and much more expensive solutions and I have just recently started using vCita for my smaller clients, clients with budgets that would be crippled by the price-tag of the other solutions, and/or clients that are "software adverse".

vCita is a huge add-value to our company whose primary business is helping other companies formalize, improve, and optimize their business practices and processes.   vCita offers these solutions right out of the gate: Customer/client communication, contact request forms, custom booking page with robust scheduling rules and tools, payment integrations, marketing automations, client portals, project estimating - quoting - invoicing tool, and role-based CRM.  Adoption is really helped by the fact that they have an easy to use IOS/Android native mobile app that our client's sales teams really seem to run with.

We like the all in one solution.  It's easy and simple to use.  It integrates well online software.

It's a little expensive.  The all in one features are nice but are all very basic.  So, does not really replace stand alone solutions. The scheduling is very basic, similar to the free features in other applications. The marketing / email is very basic, not nearly robust as stand alone email services.  Feel like the sales process promised a lot, without telling us there were A LOT of upgrade requirements.

Gmail link and email notifications are my favorite. I get a notification 1 day and 1 hour before each scheduled interview appointment. I really like the ability to view and enter in notes, tag candidates and converse back and forth directly through vcita. The user friendly interface and ease of navigation is probably my favorite. I also enjoy the ease of transferring conversations and appointments. There are many times when an interview needs to be scheduled onto a different agent. I also enjoy the ease of rescheduling itself.

**What do you dislike about vcita?**

I find the mobile app to be a bit limiting. Most of what I have to handle I do on the full website. I seem to run into issued navigating back and forth between bookings, conversations and client information through the app that seems to be much more seamless on the full web version. I have not spent too much time working with vcita on the mobile platform so this could be a bias dislike that I could personally improve upon by taking the time to understand the mobile product better.

I would recommend vCita to anyone needing a CRM system for recruiting.

Recruiting. It has become so much easier to recruit using the vcita platform. I have all of my new candidates apply on vcita before they even have their introductory interview. I utilize 3rd party companies to get candidate and recruits but all of the scheduling, interviewing and follow ups are through vcita until a new candidate is hired and contracted within the company.

This software enables you to use a large array of tools from scheduling meetings via calendar to invoicing customers. This platform is great for start-ups with a small team making time management and productivity levels rise to their full potential.

The price is a bit high and the more features needed, the higher the cost. Time zones don’t adjust sometimes on their own when scheduling a meeting making it complicated to come across as professional with customers when meetings are missed.

The settings of this program are very straight forward. I have used other programs in the past that are too technical and hard to navigate. This has been a very seamless experience. I like that you can tag clients. This makes it easy to export lists to use with other programs. The notifications are also very useful. The fact that they have integrated text is great because that is hard to integrate 3rd party. 

**What do you dislike about vcita?**

I wish that this had the functionality to have group events to repeat forever. Also, it's been challenging to sync the scheduled leads to our admin calendar. We like that their is text but with this function being offered elsewhere at a way lower price I feel like their should be a better middle ground for pricing.

Test your client portal and make sure it's the experience you want

Just generally staying organized with the service function. Now we just have to look at our calendar to know what the purpose of the session is in the first place. With hundreds of clients this has made things way easier on us.
