What do you like best about Cheqroom?

The versatility of the site lets us customize it to best fit the needs of our students and department. It has an intuitive design and was easy to implement after using a paper system for tracking equipment. Additionally, Cheqroom's support staff is quick with fixing glitches and listening to any concerns we may have about the site. Furthermore, being able to add pictures to items helps students chose the right equipment for them when they are unsure what the actual name of something is. What do you dislike about Cheqroom?

One of the downsides of Cheqroom is that when you're is editing an item/kit description, it doesn't always save and you have to redo what you were just working on. The search function is spelling/spacing sensitive and won't show items that we have if a person doesn't know exactly how it's written in the system (ex. C-stand vs cstand vs c stand). A potential solution for that would be to set up a system to link associated words with an item/kit/category so c stands will show up even if you write it as c-stand. The reservation and checkout forms are difficult to edit and don't offer enough options. It would be incredibly helpful if the physical forms would list item descriptions under only ONE item in the kit, otherwise the physical sheets end up as long as CVS receipts. "Great Visuals and Features, But Search Function Can Be Overly Complicated"
What do you like best about Cheqroom?

Nice visual interface, quality data and reports, dashboard with good information, good functionality with reservations and check outs, integration with Slack and Email, updates that have come over the past few years have been helpful with good new features like user groups, quick and easy to use, can be used on computer and phone, can handle the volume of checkouts that we have every day Review collected by and hosted on G2.com.

Overly complicated sometimes - for instance the search bar on the main page will search for "checkouts" as well as items which can get confusing, sometimes too many layers of organization that get in the way of each other - use roles vs user groups vs locations all conflict sometimes Review collected by and hosted on G2.com.

"User-Friendly and Powerful, But Price Hike and Missing Features Disappoint"
What do you like best about Cheqroom?

It is very easy to use, it is easy for students to use. The customer support is always very good. The integrations with PDFs and creating sticker labels works well. The payment structure based on items instead of users I prefer over other systems that make you pay for more users. The website is well designed and makes it easy to see what needs to be checked in or out and is easy to update equipment. Review collected by and hosted on G2.com.

What do you dislike about Cheqroom?

The massive price increase from what it used to be. I believe it used to be 1500-2000 USD for our basic plan that included all the features we could need. Our previous professor unsubscribed because he wanted to try a different software that didn't work and scammed us. Then when he left, I had to go through the process to get Cheqroom back since we desperately needed it. When we resubscribed it was up to I believe 3500 with fewer features than we used to have. We currently have features missing like the PDF generation that we used to use on a daily basis that are now part of the higher end tier. This is really the only thing I don't like. The original price was completely fair and I did not have a problem with it, but this new price with fewer features seems a bit steep. There is no software that can replace Cheqroom though so we will continue to pay it.

Another thing that I don't love but is not a huge issue is the bulk user add. Previously there was a page where everyone in a class could type in their email in a list and it would send everyone invites to setup their account. But that feature has been removed and added with the Excel version, which is fine but less convenient.

Sometimes students have confusion with the differences between the Cheqroom app compared to the Cheqroom website as well. There are quite a few features from the management side that you cannot do on the app. Review collected by and hosted on G2.com.

What do you like best about Cheqroom?

The most helpful tool that Cheqroom has to offer for us, would be the use of kits and the bulk items feature. Before hand, we used to operate solely out of Google Calendar for our Gear management and it was terrible. Cheqroom is wonderful for us because we deal with teenagers using and handling our gear. It is super easy to implement to each new kid coming around our building, and we use it every single day now. The staff here love it because of how easy it is for them to reserve their own gear, and see what is and what isn't available. Review collected by and hosted on G2.com.

What do you dislike about Cheqroom?

I would say the only downside I have for Cheqroom is sometimes it will show an item as unavailable and hide it, even though it isn't actually reserved or checked out to anybody which requires me to search deeper for the item instead of it popping up as it should. What do you like best about Cheqroom?

Cheqroom is very user-friendly — if I ever miss showing a student how to use the system or create an order, they’re usually able to figure it out on their own. The interface is simple, intuitive, and overall easy to navigate.

Customer service is by far one of the most helpful I’ve worked with — responses are quick, friendly, and genuinely useful. Adding students, adding workers, and setting restrictions (even though they’re general) are all very straightforward.

The recent updates, especially the addition of user groups, have been extremely helpful. It’s one of the best improvements so far, and it gives me hope that more great changes are on the way.

While some updates (like the new checkout process redesign) started off a bit buggy, it was reassuring to see those issues addressed quickly. The fact that bugs get resolved in a timely manner really builds confidence and keeps me a happy customer who looks forward to continuing with Cheqroom. Review collected by and hosted on G2.com.

What do you dislike about Cheqroom?

Location-based restrictions: It would be extremely useful to have the option to set booking restrictions for each location individually. At the moment, any adjustment made affects all locations at once, which reduces flexibility and complicates management.

Time-based closure controls: Currently, there is no way to close off reservations for specific times of day—only for entire days. It would be much more convenient to have the ability to block out certain time periods, such as just the mornings or evenings, without having to disable the whole day or repeat the closure for every week.

Per-day restriction customization: The option to tailor booking limits and restrictions for particular days, and to do so per location, would provide much better control over cage flow.

Permission-based restriction overrides: While it’s helpful that staff can open restrictions when needed, adding an optional manager passcode for overrides or approvals would help prevent unauthorized changes.

System reliability and bugs: I have encountered some bugs where the system either ignores or inconsistently enforces booking restrictions. This sometimes results in overloaded orders or unexpectedly strict limits, especially with afternoon reservations.

Update timing and downtime: Occasionally, when software updates are released, the system goes offline during our busiest hours. Since we’re in a different time zone from many users, these updates often occur right in the middle of our workday, which can disrupt our operations. I realize it’s challenging to coordinate updates around everyone’s schedules—especially with varying workweeks—but this has been a recurring problem for us. Review collected by and hosted on G2.com.

"Cheqroom Modernized Our Booking System with Responsive Support"
What do you like best about Cheqroom?

Cheqroom transformed our previously chaotic, old-fashioned "librarian style" booking system into something much more manageable and organized. The Cheqroom team is skilled at what they do, and on several occasions, they have listened to our feedback and implemented solutions that directly addressed our concerns. What do you like best about Cheqroom?

I appreciate how accessible and generally intuitive Cheqroom is, especially for new users. Since we use Cheqroom to check out items to college students, we experience frequent turnover in who is borrowing from us. Setting up new users is straightforward, which is a big help. I also really like the feature that automatically finds an image for new items based on the details you enter. The images are usually very accurate, making it much easier to add new equipment. What do you dislike about Cheqroom?

What I like least about Cheqroom is that it only allows you to archive certain checkouts instead of deleting them. I believe it would be much better if both archiving and deleting were possible. Another issue I have is with how the system handles users who haven't confirmed their accounts. When an account is created for an email address and the user doesn't confirm, I think that email should be either archived or deleted. However, sometimes when I try to create an account for someone whose email was entered a long time ago, the system tells me the email already exists, but I can't find it when I search. We hear you on keeping a clean history! While you can delete draft reservations or checkouts, once a booking is created we preserve it to maintain an accurate history of where equipment has been. If a checkout was created by mistake, you can add a quick note to the history or use a custom label to filter those out in reporting. What do you like best about Cheqroom?

My organization utilizes Cheqroom across three individual Brands. We each have our own individualized workspace and I find it quite easy to modify and build categories, kits and item lists as well as add and manage users and their permissions. Cheqroom has helped us keep track of over 400 brand assets and has given us a bit more relief and reassurance that items are where we specify when, and with the status that we assign. What do you dislike about Cheqroom?

I don't think there are any downsides about Cheqroom other than that there are times I wish the ability to customize and refine items and kits was more granular. For example, when we go to check out an item that typically exists as part of a kit, when we see the overall Reservation or Check-Out, the full kit shows until you expose the drop-down to reveal the exact piece that's going out. We also wish there was a deeper layer of "components" as some items have removeable components that may get checked out outside of their chassis or home "item." What do you like best about Cheqroom?

I have found CHEQROOM incredibly efficient for keeping track of our film production equipment, which includes items such as cameras and cords. The application provides clarity on what equipment the company owns versus what is in use, streamlining our inventory management. I particularly appreciate the functionality of creating kits from multiple items and the ability to flag them under different subcategories, which suits our diverse equipment needs. The interface for setting up what has been pre-established was very straightforward, which facilitated my workflow significantly.
