**What do you like best about Productive?**

I really like the budgeting system. It lets me organise my projects in a simple, easy-to-navigate way.

The resourcing capabilities are another big benefit, because they make it easy to track projects and quickly see who’s working on what.

Overall, the tool feels smooth and straightforward to use. It’s also very easy to learn, pick up, and share with others.

**What do you dislike about Productive?**

One area that could be improved is project navigation, especially when moving between budgets within the same project. On the desktop experience, it forces me to back out to the main project list and then search again just to get where I need to go.

Also, it’s frustrating having to manually add users to projects even when they’re already part of the dedicated team I’m sharing with.

**What problems is Productive solving and how is that benefiting you?**

Resource management has been a strong point for us, especially when it comes to keeping projects on budget and improving overall budget efficiency. It also helps with future scoping for additional work, so we can plan ahead with more confidence. Time logging is straightforward and useful, and the platform feels cost-effective overall—saving budget here means we’re able to invest and grow in other areas. It’s also been helpful for onboarding new team members and getting them up to speed more quickly.

**What do you like best about Productive?**

The tool’s game-changing dashboards and resource planning. Keeping track of capacity is super easy, seeing who’s busy, and time tracking is automated. I also rely heavily on the budget vs actuals dashboard and love the visuals as well as the immediate flags for projects that are at risk of going over budget. 
The interface is clean and intuitive, so I can onboard new contractors quickly and monitor performance metrics in real time. I especially appreciate the automation features, like automated commission calculations and detailed reporting, which save a lot of manual work. All in all a true “All-in-one”

**What do you dislike about Productive?**

The reporting could use more flexibility, and the mobile app feels a bit stripped-down compared to the web version. Wish I could pull more detailed reports on the go, and send them over from my phone.

**What problems is Productive solving and how is that benefiting you?**

Before Productive, keeping track of our team’s workload, budgets, and resource planning was a constant struggle. We were always making last minute team scrambles, or hiring new contractors to hit deadlines. This made calculating profitability or forecasting revenue very hard (but inaccurate). Now, it’s so much easier to see who’s available, keep projects on budget, and actually plan ahead. Our workflow is smoother, and the whole team feels more in control, if a budget is slipping - I get automated alerts so we have time to react.

**What do you like best about Productive?**

I like that it’s not just basic time tracking, it actually helps us understand how time is being spent across projects. We use it more for time allocation and billing than just tracking hours, and it works really well for that.
You can break things down by client, project, and even different parts of a project (like ops vs recruitment vs marketing vs PM), which makes it super useful when you’re trying to see where time is going or bill things correctly.

**What do you dislike about Productive?**

The reporting can feel a little limited depending on how specific you want to get, so sometimes we have to do a bit of extra work outside the platform. Not a dealbreaker, but something that could be improved.

**What problems is Productive solving and how is that benefiting you?**

It solves the problem of not really knowing where time is going across different clients and projects. Before, it was harder to break things down in a clear way for billing and internal planning. Now we can actually see how much time is going into different parts of a project (like recruitment vs ops vs marketing), which makes it way easier to stay organized and bill accurately.

Productive platforms big best aspect is that it does a great job in combining project management time tracking budgeting and resource planning tools all under in a single platform eliminates hopping on multiple tools like on websites platform also provides a financial visibility specifically our own project profitability and budget which are their biggest advantage the resource planning and forecasting futures in this platform are very useful for managing cross functional teams capability and capacity it also avoid bottlenecks for approval.

The platform might sometimes feel slightly complex during the initial setup, specifically when configuring budgets and financial tracking. There is a learning curve compared to other simpler tools out there, and some users might also find the user interface a bit dense due to the amount of data present in it. Their integration ecosystem can be made with extensive in terms of integrating with 3rd party apps and tools, effective in this competitive space.

Productive platform helps me by solving the problem of segmented and fragmented tools by bringing everything together under a project delivery platform for financial tracking and team planning, all in a single system. **What do you like best about Productive?**

I really like the time tracking feature and Gantt in projects, which help us keep all the project information in the same place and track the budget efficiently. I also like that Productive has a lot of features that we aren't using at the moment, suggesting that it offers more tools and functionality as we need them.

**What do you dislike about Productive?**

We have trouble with the resourcing tool. It's a little too messy and hard to read at the moment. I would like an icon for each project like clients, so it's easy to get an overview without having to read the name of the project. It's hard to get into everything and start using all the features at once since there are many features.

**What do you like best about Productive?**

I discovered Productive a year ago, and it became the lifeblood of our agency. We use it to manage the full end-to-end experience of client prospecting pipelines, onboarding, brief intake, team workload management, time tracking, invoicing, and reporting. It ensures no dropped balls when it comes to delivery, aligning our global team on deliverables and coordinating marketing campaigns and strategy execution. I really like its ease of use and the speed of its page loading. The constant feature updates, where the product team listens to the user community, are great. The dashboards are beneficial, aligning the team on progress in real time. I find the feature updates introduce new tools that enhance our productivity, and these features are easily accessible to learn from the website and YouTube channel. Real-time dashboards make data accessible and are incredibly versatile and customizable. The initial setup of Productive was seamless.

**What do you dislike about Productive?**

We need global task templates like there are for project and deal templates. In the template center, there should be an option for making, editing a template for a task, and then you should be able to load that template into any project quickly and easily.

**What do you like best about Productive?**

I love how the Productive team is incredibly focused on shipping and frequently listening to the community and its users, providing great updates month after month, week after week. The product is very easy to use and highly customizable, which I appreciate. Being able to set up custom permission sets for everybody is a real positive experience. I use it daily, especially for its reliable and fairly speedy custom reports and customizable dashboards. The resource planning functionality is top-notch, one of the best I've used, which helps in managing and planning resources effectively. I also find the coordination between delivery and sales, with the ability to flow a deal right into a project, to be tremendously useful. The scenario builder tool and the ability to see forecasted profit margins on projects are tremendously valuable. I appreciate the very responsive and amazing customer success team who always get back to us within twenty-four hours. Additionally, the integrations with tools like Outlook for quicker time entries, HubSpot, and QuickBooks have been really beneficial.

There's nothing that I can think of that I dislike about Productive.

**What do you like best about Productive?**

The budgeting and financial tracking for projects. A lot of our projects have fixed deal prices and they easily go off track. When we started using Productive we got a much clearer view of how budget each project consumes, it also tells us if we're profitable or not, shows us our margins and capacity. It's also much easier with the reporting tool for managers to track and review performance without wasting time on spreadsheets and back and forth check ins.

**What do you dislike about Productive?**

It's a very powerful tool to handle once you get the grip, but onboarding and setting everything up required time and help from Productive’s team… Interface was a bit overwhelming for our beginner team.

**What problems is Productive solving and how is that benefiting you?**

We used to manage budgets manually in spreadsheets, which often caused outdated or incomplete information. Productive centralizes everything (time tracking, costs, revenue, and forecasts). Since everything is on the same platform, this saves time during monthly reporting, and gives us more visibility into which types of projects and clients are most profitable for us.
Our budgets used to be managed manually in spreadsheets, once you have multiple clients and multiple projects our spreadsheets got outdated/incomplete information. Pulling that data from productive to productive reports reduced errors, saved a lot of time on monthly reporting, and showed us actual profitability and margins.

**What do you like best about Productive?**

Speaking as someone who looks at the numbers every month, I like that I don’t have to chase five different people to understand how an account is performing. I literally have everything in one place. Time tracking and billing are connected, so what we deliver and what we invoice actually matches up. Managing retainers used to be a bit messy behind the scenes (matching and re-entering timesheets, seeing with everyone onboard how much time was actually spent) now it’s much clearer and calmer (click here and click there and export)

**What do you dislike about Productive?**

It's not the simplest tool on day one. You do get a bit overwhelmed by all the possibilities and modules, and It takes a bit of discipline from the team to log time properly (automatic time trackers FTW), and some parts of the interface could be more intuitive. Luckily we had amazing support and help docs.

**What problems is Productive solving and how is that benefiting you?**

The biggest issue for us was not really knowing how much effort went into managing certain clients and being 100% sure time was tracked properly and billing was done properly. We’d win the account, deliver great work, but quietly overservice. That adds up, and after months and months you feel the drain, but you don’t have any numbers behind it. So it’s a problem of visibility. Now I can see very clearly if a retainer makes sense or if we need to renegotiate. It’s made us more confident in renewal conversations and honestly more protective of our margins.

We’re using Productive for little over 2 year as of now and it has become our literal operational backbone. The resource planning and forecasting capabilities are EXCELLENT. Basically, our operations, finances, resource planning and forecasting are in the same place. We went from struggling with reactive thinking to a structured approach and projects being more data-driven.

**What do you dislike about Productive?**

Customizing certain reports takes some experimenting. Flexible, but you need time to tailor it exactly to your needs. We spent a lot of time in Productive’s help docs to figure everything out.

**What problems is Productive solving and how is that benefiting you?**

As we grew, it became harder to see who was overloaded and which projects were actually profitable. Productive gave us much better visibility into utilization and margins. Now we plan more realistically, avoid overbooking the team, and make decisions based on real numbers instead of assumptions.

I love using Productive for project management at my digital agency. It organizes tasks very well, helps track progress, and allows me to export them easily for client-facing documents. I like the statuses and boards because they're clear and intuitive to use. The initial setup was super easy as well.

**What do you dislike about Productive?**

If you include a task in resource booking, it locks the deadline on the task. To change the deadline, I need to remove the task from the booking.

**What do you like best about Productive?**

The most helpful thing for us as an agency is the visibility we have over everything that is going on in the business. From an initial quote/budget, through the life of a project and into invoicing, the tight integration of relevant data makes errors far less likely. Being able to see all of our resourcing and utilisation (did I mention you can pull a report for just about anything?) all in one dashboard is really useful.

**What do you dislike about Productive?**

I think the Xero integration could be better. In particular, things like a PO number not populating the correct field when an invoice is pushed.

**What problems is Productive solving and how is that benefiting you?**

We used to use multiple platforms specific to each area of the business. We had one for CRM, one for accounting, one for time tracking, one for project management, one for staff holidays and resource management plus multiple spreadsheets for forecasting with a lot of manual entry and opportunity to incorrectly enter data.

We ran Productive in the background for around 3 months which did involve double data entry at the time whilst we were in between systems. However, this was enough time to assess the platform and onboard employees before we completely migrated.

The way we are able to use Productive has greatly improved our efficiency, utilisation and ultimately profit. Looking back, we can now see how much time was wasted by having all of our data spread across different platforms. We now basically have a real-time view of everything from project progress to financial health and each department head/director can build their own dashboard to get the view that is most relevant to their responsibilities.

**What do you like best about Productive?**

The ability to set recurring budgets for monthly retainers was the deciding factor for us - something we rely on strongly as an agency. 
The tool is easy to use, with integrations with a large amount of other tools - including Xero.
As someone who lives in productive daily to get things done, its simplified a large amount of things for our workday that used to be long and manual.

**What do you dislike about Productive?**

Configuring particular reports can be difficult, especially when you have to think about what specific data field is going to give you the answers you need.
But - the standard report library covers a large amount of standard use cases.

**What problems is Productive solving and how is that benefiting you?**

Productive is actually giving us data on how we're performing for the first time, for example where we anticipate we will land at the end of each month in terms of billing - just as the month starts based on current availability. Monthly billing time has halved in terms of people time - what used to take a full day and then some is reduced to mere hours, freeing up time to do more valuable work. 
We have tangible data to work with, and gives us real time updates about how we are tracking to our goals.

**What do you like best about Productive?**

Our company started using Productive more than 2 years ago, and we love it! It is a perfect solution for 360 project management that allows us to truly bring all our management processes under a single roof. These days, we try to utilize every single feature that Productive offers as we use it across the whole team on a daily basis. We particularly like the flexibility of the tool, which allows us to customize any views and reports in very easy and intuitive ways. Onboarding for new team members is very easy, and it helps our managers keep on track with budgets, tasks, and resource planning. Overall, it has a great user experience and a very intuitive interface. We also appreciate fast customer support that often helps us to troubleshoot if we have any questions. Productive reps took multiple calls with us when we had more complex questions and topics to cover.

We don't see any downside, compared to other tools we tried in the past this was a great experience all around.

**What problems is Productive solving and how is that benefiting you?**

Productive allowed us to bring all our project management processed under a single roof, replacing multiple other tools we used before. It allowed us to connect the dots between resource management, time tracking, task management all the way to budget management & project timeline. It helps us to generate the regular reports for clients as well as keep with track of the overall company financial health. It really allows us to see 360 view of all our efforts, operations, projects, talent pool, sale efforts, etc.

**What do you like best about Productive?**

Productive is a comprehensive solution for agency management. I've found it to have just the right amount of features and functionality to handle project planning, delivery management, billing, and sales pipeline management for our agency. I'm impressed at the app's attention to detail, and am confident that our agency will be more efficient – and profitable – by using Productive.

**What do you dislike about Productive?**

While the overall UX is excellent, I wish some of the modules where more integrated with each other. Specifically, the task management in the Sales CRM is different from the Project Management module, which means I need to maintain two workstreams. Also, the collaborative docs are great, but the formatting of exported PDFs leaves a lot to be desired.

It's a much better alternative to our previous agency management software.

I love how intuitive and user-friendly the interface is—it made onboarding quick and effortless. In addition, the collaboration tools are fantastic, keeping my team connected and aligned, even across different time zones.

The layout can be a bit overwhelming at first, which might make it harder for new users to navigate. Also, I found the reporting tools a bit limited compared to other software, as they don't allow for as much customization as I expected.

**What do you like best about Productive?**

I have used many other tools in this space, as well as previously built our own and  also configured very bulky Salesforce instances with so much complexity. I'm really, really  impressed with Productive and would recommend others to use it. Our CSM Luka has been really helpful and overall it's a great tool. It's very easy to customise to get what we need and the integration to Xero for invoicing is really smooth.

We are a small agency 40 people so I can't say how it would scale, the formulas aren't as complex as I'd like for the reporting but the pros balance this out, it gives us what we need.

**What do you like best about Productive?**

For us, the most powerful thing by far about Productive has been the ease with which we can create custom reports to have all the key metrics and data about our business at our fingertips. That has streamlined the need for more manual processing and allows us to focus on making decisions in light of the data, rather than spending a lot of time producing the data in the first place.

**What do you dislike about Productive?**

We don't have a model where we charge for time and Productive seems particularly suited to those use cases. That said, we've been able to adapt it to work well for our setting still so it's not been any great hindrance.

**What problems is Productive solving and how is that benefiting you?**

The generation of data to support data-driven decision making, and the ability to create custom dashboards that give different stakeholders within the business the ability to see what they need to see, when they need to see it.

**What do you like best about Productive?**

The best part of Productive is the integration of timesheets, budgeting, and project management tasks and more all in one place. Having these elements all together and able to speak to each other is unparalleled.

**What do you dislike about Productive?**

The least helpful element of Productive is the documents. Though they have made great strides to improve this feature, it's not the most helpful. On a personal note, our company uses Google Chat so it would be nice if there was an integration for that software as well.

Our team mostly works remotely so having the ability to centralize all of our Project work and statuses in one place allows for the team to stay on top of projects regardless of geography or timezones.

The budget and resourcing features: both were so helpful in seeing billable utilization rate and which clients we're spending too much time on. 
There are some cool reporting templates too, for example "Most profitable client".

Some basic issues, for example when you delete a parent task, all subtasks stay "alive" and you need to delete them all one by one after.

Seeing if the team is fully utilized, seeing time off in one place, seeing how much time we have used per client and how it relates to the budget.

I like that Productive suits my personal preferences on how I want to register my hours and set up my home screen. I know my colleagues prefer to use it differently than me, so the amount of customizability is enjoyable. Also, the UI looks nice and modern! It's the daily driver at my company, and it's always the first app I open during my day. And, I feel their support is way above average, as they feel responsive and personal!

One downside is that is has too many features. Like, if I only want to use it for simple tasks like registering hours and create new clients and projects, there's so many features and options. But still, Productive keep it as simple as they can, so it doesn't get overwhelming. But that's the thing I wished was done super-duper simple. But it works fine!

We have used Productive since 2022 and it has been invaluable in providing additional insights into the billable utilisation and profitability of clients and projects. It's extremely flexible, we have almost 80% retainer work and it's dealing with those without a hitch. We use the sales deals section in conjunction with the integration to HubSpot and we make a lot of use of the Resourcing section for booking and checking our availability for projects. The team have been very helpful in incorporating our suggestions for new features and bug fixes promptly.

As happens with software, as it gets more fully featured it makes the onboarding for new employees more complicated as there is more for them to know about.

Like many agencies, we used to run resourcing on a series of spreadsheets and this is the main problem we bought Productive in to solve, but it has been helpful in more areas than we expected.

The best thing about Productive is the customer support. This is the first time I have used a SaaS product where it was this easy and helpful to contact the support team and get the help you need. They are also fantastic about implementing user feedback into the product. Over the nearly five years that we have been using it, they have implemented many of my feature requests. I use it every day, many times per day, and it is very reliable and easy to use. The calendar integration makes time tracking much easier.

The only real drawback to using Productive is that it has so many integrated capabilities that it can take a while to implement them all and get your team onboarded.

The fact that Productive is an all-in-one, scalable platform, built specifically for agencies by former agency staff, recommended to us by agency colleagues. Unlike any of the myriad of project management software offerings (JIRA, ClickUp, Monday, SmartSuite) which are great in their own right, Productive gives you the ability to run projects from prospect to payment, using all of it's in-built modules (Sales, Budgeting, Project Management, Resource Planning, Time Tracking, Reporting, Billing, Docs)

It's also incredibly intuitive and easy to pick up. You're not having spend time working out and building your ideal workspace hierachy, because everything you need is already there in a clear, easy to follow, fast loading menu structure.

Amazing 'Insights' module, giving you the ability to report on and visualise your data virtually any way you need.

The support team are absolutely awesome, based I gather in Croatia. Within literally 4 minutes of raising a query via their in-built messaging tool, they're on the case.

**What do you dislike about Productive?**

No Gant Chartt tool yet (although its coming.)

The 'Docs' tool is lacking a few features which ClickUp has, such as checklists, sub-title, table of contents and sharing 'public' links.

It's more costly than individual project management tools, but there again its more than that and its going to end up replacing multiple tools you're already paying for.

Have to be on the 'Ultimate' plan to get all the features you are likely to need.

No form entry capability or automations (yet), but I can live without those.

**What problems is Productive solving and how is that benefiting you?**

Its allowing us to track and manage all aspects of agency activities end-to-end.

The 'Deals' section allows us to manage all associated communications and 'to-dos'.

Everyone we share tasks/docs with exists as a 'contact' within the system, which means we can effectively collaborate and track activity within the application.

Clients, who don't need their own paid account, get their own ready-made dashboard clearly listing their 'projects' and 'tasks'.

Timesheets can be filled in via an intuitive calendar view, populated from an overlay of the users outlook calendar and also from scheduled bookings, which really speeds up time entry.

There isn't much to dislike, we would like the ability to print off notes (now known as Docs), this would be helpful as we use this to create notes regarding correspondence etc. Another suggestion would be to create YouTube videos that walk users through setting up every feature in programs, sometimes it's easier for people to follow a YouTube video

We have tried various product management tools, and neither sat well. We're a small agency with under 10 people and didn't want to pay separately for the PM, invoicing, time tracking, and note-taking tools. Productive offers all of the above and we're grateful to be using it for over 2 years already.

Since it's a big system, adding new features probably takes a bit longer than we hope - advanced filtering of dashboards is something we're waiting for some time already. The team is super responsive to feedback via chat, so can't complain - we're a small user after all :)

Because Productive is designed specifically for agencies, all of the features included work just the way we expect them to for our agency and the platform doesn't try to do more than what it needs to. It works perfectly for our agency structure.

Other platforms are more flexible and allow you to do set up more complex widgets and do more with your data. Some really helpful features have been on the roadmap for a really long time and we're not sure when those features will be shipped.

Productive supports any conceivable feature that project managers may dream of. I have worked with several competing systems. I am a black belt in both Jira, Visual Studio and Microsoft Project and I have never experienced such a comprehensive tool, that manages to also be extremely user friendly. In my company, more than 30 employees switched to Productive over night with nothing but smiles and delight.

I am not affiliated with Productive in any way, but I feel strongly for their product, because it has made everything from senior management business insight and invoicing to every day time entries much much easier. And best of all, if you run out of talent and struggle to find the right way of doing something, the Productive support team are ready to to assist and will often respond within only a few moments.

I just discovered this product several weeks ago and am already in love with it. I absolutely love the user interface, functionality, cleanliness, and organization of information. Also, not only is this a great project manager, but it is a very comprehensive budget & financial manager for my creative agency.

The mobile app, although it looks great & mirrors the desktop & web app, has some responsiveness issues with certain areas not being visible on the device screen.

I've been using Things (3.0) for awhile, and love it. But it was time to use a proper project management software. Before stumbling onto this product, I had researched every other project management software for WEEKS. I ALMOST decided to go with another one, but found Productive while randomly looking through the App Store (iOS). I did not want to use Asana, or the other well-known, big name software (tried those too). I tried ClickUp for a little bit, but I couldn't stand the UI/UX (and will wait until they finally overhaul that this year hopefully).

Productive literally saved my search. As soon as I tried out the software, I feel in love, and everything is exactly what I need to better manage my client projects, contacts, invoices, budgets, and more. I couldn't recommend this software enough.

I just love the UX and UI of Productive. It is also very flexible with its many features. It took some time but with Productive's proactive and helpful team, we have been able to build a truly bespoke solution that suits our needs.

It still needs deeper integrations with some external tools we use, but we found some workaround thanks to Zapier.

**What do you like best about Productive?**

The simplicity of the tool, most the features are intuitive enough that it becomes self-explanatory.

**What do you dislike about Productive?**

Features are quite limited, we don't have as much freedom as we normally feel in Jira or Clickup.
