I love that it can be fully customized to support our needs. We can make updates to the forms and reports directly, without having to wait for the company or support team to do it. Our programs are constantly changing, and this system allows our data management to keep up. We have also been able to experiment with new processes and make adjustments as needed. We did not get good support in implementation, so there are some workflows that just don't properly meet our needs. Are programs are unique, we don't quite fit into a traditional category like 'school,' 'daycare,' 'food pantry,' etc. so designing a system that fully meets our needs has been a challenge. There also used to be more information and support around new feature roll-outs, whereas now it seems you need to pay a fee for a training to learn about new product offerings. We are a small nonprofit and used Apricot for several years. It’s effective, but expensive for what you get. We had a minor billing dispute which we had a hard time resolving. We did not renew our contract and Apricot kept billing us. Next thing we had a lawyer/bill collector threatening our front line staff—and board members. Now our data is held hostage and we can’t get the issue resolved.
It’s been a very frustrating experience. Social Solutions is demanding almost twice as much as our auditors documented we owe. There are many other database options for small organizations, for example Amazon’s nonprofit AWS has a wide range of products you can create yourself—and own your own data. Be careful. My company used it to keep track of grant forms we needed to fill out for services provide, which is not what it is meant for. So, it was always a bit off for us, but that's what Apricot sold us. For example, we had a very complicated system where a caller was handed off to other staff based on their needs. Aprciot's nestled form system did not allow us to do that easily enough because it required so much form entry to get across what we needed to the other staff member.
