Most event businesses run on two disconnected halves. Sales lives in an inbox and a spreadsheet. - Leads inbox. Embed an enquiry form on your website and every submission lands in 1pm, threaded, with replies sent and logged in the same place. Log calls, notes, SMS and meetings against the lead so the history is one story, not four.
- Contacts CRM. Every client, supplier, and crew member in one searchable, taggable list.
- Proposals. Build a proposal from drag-and-drop blocks (sales copy, event details, venue, menu, F&B, AV, quote) and send it as a live web page instead of a PDF attachment.
- Quotes and confirmations. The client opens a private link, accepts the quote, agrees to your terms, and pays the deposit in three steps. Terms are versioned, so what they agreed to is preserved exactly.
- Appointments. Let a client book a site visit or a tasting from your real availability, with cancel and reschedule links, and no calendar OAuth to configure.
- Automations. Set the follow-ups once and let them run: enquiry acknowledgements, quote chasers, deposit reminders, crew onboarding sequences, and post-event thank-yous.
OPERATIONS: FROM CONFIRMED TO DELIVERED
- Live run of show (ROS). A chronological timeline with real time math, drag-to-reorder, and per-item responsibilities. Change it once and everyone already knows, because updates push in real time.
- Crew share links. Crew and suppliers open a link on their phone. No app, no login, no account. Each person sees a filtered view of only the items they are on, with call times, countdowns, and Start and Done buttons. It caches locally, so patchy venue Wi-Fi does not strand anyone.
- BEO and function sheets. Service style, setup style, pax guaranteed, dietary summary, menu, bar package, AV notes, access from and vacate by, all on the event and printable as a proper one-page brief for each department.
- Spaces. Save each room, marquee, park, or address once with its capacity, access instructions, parking, gate codes, and site contact. Double bookings are blocked unless you allow concurrent use.
- Calendar. Every enquiry, appointment, and event in one month, week, or day view, with status filters and a subscribable feed.
- Tasks and workflows. Reusable checklists for the run-up and the day, with steps, owners, and due dates.
- Requests and onboarding portals. Collect certificates of insurance, signed supplier agreements, licences, and answers from crew and suppliers, with expiry tracking and approvals, through the same login-free link.
- RSVP and dietaries. Track who is actually coming and what they can eat, with dietary data shared to the kitchen or kept planner-only, your call.
KITCHEN AND F&B
Client-facing menus with courses, dishes, descriptions, and dietary codes, attachable to any event. On the Hospitality plan, an ingredient and recipe library with food costing tells you what a plate costs before you price it, plus the kitchen reports that go with it.
MONEY
Quotes, deposits, and invoices where the event lives, not in a separate app. Take card payments online through Stripe, record bank transfers, and track partial payments against a running balance. Service charge, gratuity, and tax are handled properly. One-way Xero sync pushes each invoice across itemised and tax-mapped, so your bookkeeper gets what they expect.
REPORTING
Sales and marketing reports for leads, quotes, sales pace, the conversion funnel, lead sources, event type performance, top clients, and revenue by salesperson, plus operations reports for events, space utilisation, crew, and contacts. Every report exports to CSV and prints cleanly.
PLANS
