**What do you like best about TaskRay?**

Taskray has become a core part of how we manage projects and delivery. It gives us strong structure and visibility while still being flexible enough to support different implementation types. Having standardized project plans, clear milestones, and dependency tracking has made our delivery process more consistent and predictable.
The Salesforce-native experience is a big plus for us, and it’s easy for teams to adopt and use day to day.

**What do you dislike about TaskRay?**

There is some initial setup and planning required to fully align Taskray with your delivery model, but once it’s configured, the payoff is well worth it.

**What problems is TaskRay solving and how is that benefiting you?**

Taskray helps us manage complex implementations with better visibility, accountability, and coordination across teams. It has improved our ability to identify risks earlier, standardize execution, and keep everyone aligned around the same plan. As a result, our delivery process is more efficient, and we’ve seen improved consistency and overall outcomes.

**What do you like best about TaskRay?**

I love that TaskRay is native to Salesforce. It’s a huge advantage to be able to create reports not only from TaskRay, but as well as combining them with other objects and fields that we already use in Salesforce even prior to using TaskRay.

**What do you dislike about TaskRay?**

Minor inconveniences but it can be slightly laggy when trying to move tasks or task groups around.

**What problems is TaskRay solving and how is that benefiting you?**

No project manager manages their projects the same. The same can be said for note/record keeping. TaskRay has allowed my team to have a one stop shop for all of our notes, tasks, dates, deadlines, statuses, etc. No more searching for info in different places for different PMs.

**What do you like best about TaskRay?**

What I like best about TaskRay is how seamlessly it enables collaboration with our customers during Sage Intacct implementations. Because it’s built on Salesforce Experience Cloud, we can bring customers directly into the project workspace to collaborate in real time—task lists, deliverables, due dates, communications, and file sharing are all in one organized, transparent space. Our customers consistently tell us how much they value the clarity and accountability TaskRay provides.

Equally important, TaskRay lives entirely within our Salesforce environment. That means all project data benefits from the same enterprise-grade security, backup, and compliance measures we already have in place, giving us and our clients complete peace of mind.

From a customization perspective, the flexibility is unmatched. We’ve tailored TaskRay screens and workflows for both our staff and customers using standard Salesforce tools like Apex and Flows, and we’ve even automated our entire project setup process. This level of control ensures our implementation methodology is consistent, efficient, and perfectly aligned to each client engagement.

In short, TaskRay combines security, flexibility, and an outstanding customer experience in a way no other project management tool we’ve seen in our nearly 20 years of business has come close to matching.

**What do you dislike about TaskRay?**

The only area where we’d like to see improvement is in the flexibility of the out-of-the-box email notifications that go to users for project and task assignments. While they work well, having more direct control over the look and feel of these emails would help us deliver a more branded, tailored communication experience. That said, TaskRay’s support team has been excellent in helping us find workarounds, and we’ve successfully leveraged Salesforce Flows to implement our own custom email templates. It’s a small limitation compared to the overall value the system provides.

**What problems is TaskRay solving and how is that benefiting you?**

TaskRay has solved one of our biggest challenges: providing a structured, collaborative, and transparent way to manage complex software implementation projects with our customers. Before TaskRay, project communication and deliverables were scattered across emails, spreadsheets, and shared drives, making it difficult for both our team and our customers to stay aligned.

Now, every project lives in one centralized space—customers can see their task lists, due dates, deliverables, and files all in real time through Salesforce Experience Cloud. This not only increases accountability and visibility but also makes the onboarding process for Sage Intacct smoother, more predictable, and less stressful for everyone involved.

Internally, TaskRay has allowed us to automate project setup, enforce consistency in our methodology, and ensure nothing falls through the cracks. The result has been faster project kickoffs, reduced administrative overhead, and a significantly improved customer experience—customers regularly tell us how much they appreciate having a single source of truth throughout their implementation journey.

**What do you like best about TaskRay?**

Taskray allows us the ability to bring clarity and structure to our projects without sacrificing flexibility.  The platforms ease of navigation makes it easy for the entire team to stay on task and speeds up delivery.

Integrating Taskray with Salesforce is what sets it apart from all other project management software. It allows us to centralize our data, communications, progress and client relations. No other platform allows us to make sure all stakeholders from client, leadership and our seperate teams stay connected.

Taskray reports has made it easy for us to run daily, weekly and monthly reports that integrate with larger picture of our deliverables and performance. Our sales team can quickly communicate and relate sales activity with our marketing teams and project managers to make sure our client relationships are active from signature to delivery which allows for affective up sales and problem solving.

Not to mention the Taskray Customer Support is even better than the platform. They respond quickly and can usually solve any issue within one session. They have even gone above and beyond in helping us develop integration into our larger systems.

**What do you dislike about TaskRay?**

Our only area of dislike is that Taskray seems to have a larger learning curve that other project management platforms. Internal users that are often not familiar with Salesforce seems to have a harder time adopting the platform.

In addition, the reporting functions seem buggy at times and are often difficult to home in on the exact report you want.

**What problems is TaskRay solving and how is that benefiting you?**

Taskray has helped solve the problem of late deliverables, poor communication, resource management and support. It has benefited us by allowing our team to work on more projects at one time and deliver assets on time and on budget.

I like the resources TaskRay has for learning the software and discovering applications of the tool.

**What do you dislike about TaskRay?**

Some functions are not that intuitive. I have gotten a lot of feedback from people on my team describing something that to me was obvious but for them, they would have never guessed.

**Recommendations to others considering TaskRay:**

Having high-level support and engagement is key. As a lower-ranking employee, trying to get our organization to change how they work and adopt this tool has been challenging due to a lack of executive action to make TaskRay the go to.l

**What problems is TaskRay solving and how is that benefiting you?**

I am not aware of any solutions that are specifically benefiting me or my org. Although the collaboration updates from march are going to be very useful eventually.

**What do you like best about TaskRay?**

Before Taskray, new client orders would occasionally get dropped, and other types of projects would go weeks without meaningful progress updates. The visibility and real-time status updates we gained have enabled my team to keep up with our volume, and no orders have been dropped since we got onto the tool. Further, we don't a have a dedicated Salesforce Admin nor outside IT company to manage this for us, and we've been able to self-manage Taskray with Salesforce seamlessly. Jaclyn and Caitlin from Customer Success have been attentive and helpful in helping us get our inquiries solved quickly, as well as being a listening ear for feature requests.

**What do you dislike about TaskRay?**

Not much to say here, we've really enjoyed the tool. I can't recall the pricing, but looking back it's a no brainer, even for a <20 FTE organization like us.

**What problems is TaskRay solving and how is that benefiting you?**

Project management is the main usage, specifically for new client orders as well as cancellations. We also have started using for multi-phased internal strategic initiatives.

TaskRay has been easy to implement and get our team started using. Since it is build on the Salesforce platform natively it was super easy to get it setup and integrated into day to day operations. We have had to contact TaskRay support a couple of differnt times and they have been fast and very knowglegeable. In most cases we were able to resolve our issues the same day.

**What do you dislike about TaskRay?**

Technical documentation can be a little lacking in some areas.

**What problems is TaskRay solving and how is that benefiting you?**

We purchased TaskRay to provide project management capability to assist us with a project management offering we offer to new customer. Task Ray allows us to complete and shar all project management tasks from Salesforce without us having to use a third pary system. The unification of this saves us time and money in our opperations.

**What do you like best about TaskRay?**

I find TaskRay easy and intuitive to use and love that it's native to Salesforce so that it's easy for Admins to tie it in to business processes that are already running on Salesforce. The support has been outstanding, every time I've had a question, I've gotten a prompt answer.

**What do you dislike about TaskRay?**

The only downside for me about TaskRay is that Templates are, by design, data so migrating them up from a Sandbox can be a pain. If you have Premium version, however, they've got a migration tool that does it for you.

**What problems is TaskRay solving and how is that benefiting you?**

TaskRay is great for managing large projects, breaking the work down into Tasks and Checklists. We look forward to trying out the new resource management tools that are coming out this month.

**What do you like best about TaskRay?**

TaskRay is an incredibly straightforward and well-executed tool that allows us to manage repeatable workflows right inside Salesforce — where we already concentrate our customer and prospect data. It has allowed us to move away from cumbersome spreadsheets for tracking the customer onboarding process: We automate TaskRay Project creation at Closed Won, so we no longer ever drop a customer accidentally, and we are now much more able to collect data on the onboarding process, which allows us to keep improving.

If you're already a Salesforce Admin, implementation is extremely easy once you've defined your business processes. I was able to implement without a third-party consultant or a formal Admin certification. 

And finally, Customer Support is kind, prompt and thoughtful — best in class.

**What do you dislike about TaskRay?**

There is almost no downside to TaskRay if you are Salesforce-native company.

**What problems is TaskRay solving and how is that benefiting you?**

1. Customer onboarding: Now more automated, repeatable and trackable than the spreadsheet we used previously — plus, is housed in CRM for a true customer "source of truth" 

2. Onboarding of additional SKUs

3. Adoption assurance: We use TaskRay to hold our Account Management team accountable for ensuring adoption milestones are being met in the 90 days after a customer completes onboarding

It is easy to set up initally, easy to navigate, and has simple functions and features. The customer support team is great and always responsive and helpful. We use taskray daily in our org, but only use about  20% of the features. Very easy to intergrate into your Salesforce CR<

It is not as easy to customize as I would like at times. There is not an easy way to keep notes on a project and look at them all at once.

It's a learning curve, however, dedicating time and effort into mastering it transforms it into an invaluable resource.

TaskRay has really helped us get better at managing our projects. It's easy to use and lets us keep track of everything in one place, which saves us a lot of time and hassle. We can now handle our tasks more efficiently and make sure we're always on the same page as our team. Plus, it works well with the other tools we use, making our customer service smoother and more reliable. **What do you like best about TaskRay?**

The customization capabilities are amazing to tailor the system to fit your business and how the users will work within the system.  The best feature though is the integration with SalesForce and our existing ERP system to avoid duplicate data entry and mismatched details.  My favorite aspect is the ease of reporting.  You do not need to be and IT programmer to create and edit custom reports that are most useful for yourself and your teams!

**What do you dislike about TaskRay?**

So far the only downside I am experiencing is that the functionality between looking as TaskRay Projects and the project in the TaskRay module offer different things and some are easier or more useful in one view or the other which can be frustrating to go back and forth.  Hopefully this is a setup item that can be rectified.

**What problems is TaskRay solving and how is that benefiting you?**

TaskRay has given us the opportunity to better manage project timelines along with the history/status of tasks and linking to all required documents.  It is project information in one place to be shared with everyone on the team that needs easy access!  This is saving a lot of time circling around to get answers to questions and finding documents and status of tasks.

TaskRay has been invaluable to our organization. While the learning curve can be steep, the flexibility/customizability of the program is truly excellent. Great support team, consistent, material product enhancements ... you won't be disappointed :)

Honestly, not much. Visuals could be better, a mobile app would be a nice touch, but generally speaking it's excellent.

The Customer Support team is top notch. They are speedy with great explanations. Will to go above and beyond to help you solve a unique case.

**What do you dislike about TaskRay?**

can't see into the Apex actions so I don't really understand what is happening when we are using one of them. 
The licensing is can be a bit tricky.

The product potentially can be expensive depending on which edition you purchase so carefully evaluate which edition you need and see if that works within your budget.

Customer Success and Support teams are there to guide you through any challenges that arise.  In terms of usability it has some robust features and functionality.

**What do you dislike about TaskRay?**

While the tool is embedded into Salesforce there are limitations in what this allows you to customize for the user-experience.  Lastly for smaller organizations the wealth in functionality and features may be cumbersome to administer and scale.

TaskRay is solving for both simple and complex processes where companies can easily collaborate with their clients to ensure success.  How TaskRay is helping us falls on 3 key areas in managing: to manage client onboarding(proactive), short-term(reactive request management) and long-term reoccurring(proactive process optimization) projects.

**What do you like best about TaskRay?**

Moving to TaskRay has been a really positive experience for our company’s client-facing project team.  From the start, TaskRay’s implementation process was quite thorough -- our onboarding specialist worked with us to map our business processes to the new tool.  She was able to hold our hand where we needed it, and she walked our team through a knowledge handoff to get us cut over with minimal disruption.  We liked (and needed) the fact that TaskRay is highly customizable.  We chose the tool in large part because it’s built in Salesforce, and our Salesforce admins who were already well-versed in customizing objects on the Salesforce platform were able to add custom functionality in TaskRay relatively easily.  Similarly, our Salesforce power users were easily able to adapt to the tool’s look and feel.  Other features we like are the full sandbox environment and the Gantt chart which we found very easy to adapt to the business.

**What do you dislike about TaskRay?**

We did need to add certain functionalities for time tracking and invoicing that were not included out of the box.  We knew this going in, and as mentioned above, our admins were able to do this work efficiently with their existing development knowledge on the Salesforce platform.

**What do you like best about TaskRay?**

TaskRay is an extremely useful tool for project management and personal goals. Creating tasks on the fly is done by simply typing in a name.  Most recently, they added template versioning, allowing you to build a recurring project with tasks once and reuse them for each cycle by creating a new project from the template. Those templates allow updates as needed on new versions while keeping the history. Works in both Lightning and Classic  - reporting on the projects is enhanced by each task's rich information.

**What do you dislike about TaskRay?**

The most recent addition of Enhanced Filters has several limitations and is forced on May 10, 2023. Creating board filters and flex filters is simple enough. However, the Project selection leaves something to be desired. If you have projects with sub-projects and the project is collapsed, the Select All option does not choose the sub-projects. This lack of function has been frustrating to my team. In addition, the project list does not have an 'expand all' option for ease of correcting the above problem.

**What problems is TaskRay solving and how is that benefiting you?**

We are in the business of Student Success. TaskRay allows us to collaborate and keep track of enhancements and issues. We can quickly respond to system issues and support the development of improvements moving forward due to the TaskRay tool.  The calendar function in TaskRay gives us a forward view of upcoming releases, repeating tasks, time-sensitive work and allows us to plan accordingly. The ease at which tasks are assigned keeps our team on track, making us a successful group and valuable to the campus.

The support team is top-tier. We have had several feature requests go live since purchasing the tool last year. Shoutout to Patherson for always replying quickly when we are in a pinch. 

Feature-wise, we love the ability to view projects in Kanban, GANTT, and checklist views. It helps keep our PM and services teams super organized in views customized to each team. The Flux Planner dashboard also helps our PMs assign resources to projects in a timely manner.

**What do you dislike about TaskRay?**

There might be too many ways to achieve one thing, which can be confusing to users. As long as you set expectations and train them up on the best views for their team, you will be OK.

One other downside is if teams don't keep up with data hygiene on their projects, it slows down the flux planner significantly.

**What problems is TaskRay solving and how is that benefiting you?**

Before TaskRay, our services team didn't have insight into project burndown or billable vs non-billable resource utilization. The insights and dashboards that come out of the box are powerful for our services leaders. The flux planner also gives them an easy way to view resource utilization across the board and assign projects to users with the highest availability. Before TaskRay they were just doing this out of a spreadsheet, so the UI is a huge improvement.

Salesforce has "File" storage which is where our company stores all related project files. TaskRay also has "File" storage associated with each project and related project tasks, but this file storage does not link to Salesforce. Our users must use two environments to work through the projects and to store associated files. This also applies to communication tools(chatter).

TaskRay brings efficiencies and time savings for my team by being able to utilize the tasks template function and offer all key stakeholders visibility into the project status within the tool instead of having to chase via email. The agility and collaborative aspect of TaskRay for my team members will help in driving some of the tedious administrative work within the process. The supporting materials that TaskRay provides in addition helps team members understand some of the intricate nuances within the tool in an understandable manner.

The downsides to using TaskRay is on the reporting side. As we begin to leverage the tool, customizable/enhacing the reporting functionality will require some additional work to get right. After installing the package and following simple setup instructions any administrator can start using the product for their team. The support team at TaskRay is fantastic to work with and I run my consulting business on TaskRay for this reason.

Like any successful product that has been on Salesforce for a long-time there is legacy technical debt and architecture that worked best based on how Salesforce was oriented years ago when they launched. They have added many great updates but the limited ability to use custom lightning components and other features in the core interface can be limiting in some rare use cases.

Built on the Salesforce platform, it's definitely my go-to solution for clients that want to track projects and implementation in Salesforce tied to their customers. The ability to relate specific projects and tasks to specific Salesforce records is truly where the benefit of using this tool lies.
Additionally, I have seen substantial improvement in their tools and user interfaces over the years.

**What do you dislike about TaskRay?**

The limitations of this product substantially lie with the performance of the underlying platform, i.e. Salesforce. It isn't as snappy and responsive as other project management tools given the latency of apps built on Salesforce. Having developed Salesforce apps, I'm only too aware of challenges one may have to face with software not natively built on programming languages.
Additionally, the capabilities, terminology and tools within the product are built around traditional product management practices, and one needs to understand those fundamentals to use this product effectively.

TaskRay finds a way to fuse simple checklist / GTD, Agile, and Waterfall project management in one tool. I have been involved in Project Management for over a decade and it is hard to find a tool that does any one of these three methodologies well, and TaskRay executes all three interchangeably with excellence. We use TaskRay to manage our Agile and SOW deployments (we use TR Tasks as User Stories) for all our Salesforce project management!

It is really hard to find anything to dislike. We have been using TaskRay in our Salesforce org for over 7 years, and could not run our business without it. TaskRay recently acquired  Resource Management Application Flux Capacity which is going to be a huge addition for their overall product and gives users a very visual and flexible way to align and track their processes and resources holistically.

You get all the benefits of an amazing project management tool, like task and time tracking, but you also get all of the incredible Salesforce functionality like automation, reporting, and dashboards. Our entire organziation has benefitted from the way we've set Taskray up to capture our Implementation projects, including the automation we've set up around Opportunities, Email Alerts, and Report subscriptions.
TaskRay Support is also incredible - I always get a quick and helpful reply, even to my stupid questions. Their Knowledge Base documentation is also top-tier - very well organized and up to date.

**What do you dislike about TaskRay?**

Due to Salesforce functionality surrounding report types, I've hit some roadblocks in the past when trying to include data points from multipe Salesforce objects in one report. I've been able to create some custom report types that include TaskRay data and have established workarounds with TR Support's help! 
Because TaskRay is a Salesforce native app, the administration of the tool must take place in Salesforce's Setup, which can be a bear if you aren't familiar. It would benefit organziations new to TaskRay to have a good Salesforce administrator in place. I am not a certified administrator and have been able to hack my way through with a few hours of outside consultant time. 

Neither of these items would discourage me from buying - it's worth it.

Ensure you have someone at your org who is, or can get, comfortable navigating Salesforce Setup.

**What problems is TaskRay solving and how is that benefiting you?**

Our implementation team manages a large caseload of customers at any given time and keeping track of their caseloads, various due dates, where they were in the implementation process for each customer, etc. was becoming a problem. We also did not have an accurate picture of how many staff hours it takes to implement each of our various types of customers. 
TaskRay has made it much easier for each of my Implementation Specialists to keep track of their customers. Their items next due are surfaced at the top of their homepage when logging in to Salesforce, so they can see very quickly what needs to be done that day, tomorrow, and the following week. 
As a supervisor, TR has given me better insight into each implementation project and I can see at a glance the status of each. This has changed the way I supervise my staff since I'm now able to spend more time supporting them as employees that I was spending getting a verbal status update from them every other week. 
We're also in the process of time tracking for our implementation projects, which will give me a clear picture of how much staff time is required for implementation so I can ensure we're covering our costs as a company. Prior to TaskRay, we've had loose estimates or "best guesses". It's been wonderful to be more data-informed.

TaskRay takes project management and places it inside Salesforce, creating a platform that is (somewhat) customizable and able to utilize the best of the Salesforce relational database while adding another transparent layer to a single source of truth.  Internal time tracking is very convenient.  Drag-and-drop functionality feels very tactile.  Creativity with objects and custom fields can add a lot of additional functionality to TaskRay out-of-the-box.

**What do you dislike about TaskRay?**

The learning curve on TaskRay is still a relatively steep one, especially if your users are unfamiliar with project management.  Understanding when to use tasks, task groups, sub-projects, and projects takes some experimentation, dedicated time, and Salesforce platform confidence.  If your org is not in Sales, someone knowledgeable will need to create internal support documentation.

Assigning deadlines to checklist items is not intuitive.  Also wish I could customize project and task tabs by record type.

It's difficult to understand a team's capacity for collaboration when projects are managed in siloed Google Docs.  TaskRay is beginning to illuminate for us what others do in the organization and how all our work intersects in supporting the org's mission.

**What do you like best about TaskRay?**

The flexibility of core tools, combined with the level of granularity that can be achieved for reporting.

**What do you dislike about TaskRay?**

Inability to set and view tasks by hour, utilising a calendar to schedule meetings and notify the user of calender/task conflicts based on hours set. Inability to move tasks, via the planner, to specific days whilst reassigning to new users.

**What problems is TaskRay solving and how is that benefiting you?**

Cases and List Views aren't sufficient for agents to schedule and prioritise work. Complex work, rarely performed, or when agents deal with a large volume of work that requires multiple actions are much easier to handle with TaskRay.

**What do you like best about TaskRay?**

I love that we can eliminate the use of excel and sheets with TaskRay while being to stay within the Salesforce application.

**What do you dislike about TaskRay?**

We do not have the ability to track time to cases/non-project specific work.

**What problems is TaskRay solving and how is that benefiting you?**

Elimination of meetings - we can send out reports that show leaders and clients what work is being done and the timelines of projects.
