
TaskRay has allowed our team of seven to execute on project management, with a visual approach to task creation, delegation and tracking. The new "My work" tab introduced last year has been very good, especially in the row view, grouped by project. This allows managers and staff to quickly look at prioritized tasks and quickly reschedule and move things along. It kinds of replaces the Gant view, which is often too complex for our needs, but it is great to have it, once managers develop an appreciation for the "critical path" concept. We have modified what the cards display to show the things that we need (custom fields), and that flexibility is great. Of course Kanban view is great, but again the switching Kanban-Row-Calendar is very powerful to adapt to diverse visual styles people have, and their own workflow style. Tasks groups are great. People have a hard time with the filters, and it is not always easy to configure filters and get the results that you want. Often people just do not find an easy screen to see the tasks delegated to them, because they are only on a checklist, so that makes it difficult to filter.
In general the friction happens at that level for us: we heavily use checklists to "delegate", and normally the Executive Director will create a task and assign it as an owner to the Program Director, which in turn will create or not checklists for staff. To get the right visibility for all users, using filters is quite difficult. Always some filter is in the way and a task is hidden from the user, and only "select all" is the solution, but then that is overwhelming. I imagine a "sub-task" concept rather than a checklist could be useful.
