The best thing about Smartsheet to me is it's interface. It's intuitive and easy to navigate, and you don't need much onboarding to find your way around. Linking sheets together is simple, which is a big plus when you're working across multiple projects and need information to feed through automatically rather than updating things manually.

It handles both simple and complex setups well, you can use it for a basic task list or build out something much more layered with cross-sheet references, dashboards, and roll-up tracking. It doesn't force you into one way of working.

The formatting within the sheet itself is probably the biggest dislike of Smartsheet. You can't really pick and choose how text looks at a granular level, eg. you can't highlight specific selected text in a different colour, and bolding or styling individual words within a cell isn't really an option. If you want something to stand out, your options are pretty limited. For something that is polished in other areas, it feels like a gap.

What I like most about Smartsheet is how flexible it is for managing projects, tasks, and team collaboration in one place. Overall, Smartsheet is a powerful project management and collaboration platform, but there are a few areas that could be improved. The pricing is one of the biggest limitations, as many useful features such as advanced automation, reporting, and premium integrations are only available in higher-tier plans, making it difficult for smaller teams to justify the cost. While the user interface is clean and easy to navigate, the global search could be more intuitive. Finding specific sheets or rows often requires exact keywords, and search results are not always as accurate as expected. What I ended up liking the most about Smartsheet was how flexible it was without feeling overly complicated for everyday work. We mainly used it to keep track of IT tickets, feature requests and sprint work, so instead of updates being scattered across emails or chats, everything stayed in one place. Filtering by priority, status or sprint made it much easier to see what actually needed attention.

Another thing that helped was built-in automation and forms. Simple reminders, status updates and approval flows cut down on a lot on manual follow-ups that people usually forget. It still feels familiar enough that someone who is comfortable with spreadsheet can pick it up fairly quickly, but it adds just enough project management features to make day to day tracking much easier. Reporting across multiple sheets could be a bit more straightforward. There were a few times where building dashboard or summary reports took more setup that I expected. Once everything was configured it worked well, but getting there involved a bit of trial and error. the mobile experience is fine for checking updates, although I still prefer using the desktop version when I need to make bigger changes. I like that you can start with one of the templates from the template library. From there you can tailor the templates to your needs. I also like that you can leave comments and have conversations on specific tasks or line item in a sheet. I sometimes find it hard to navigate in the different sections or (folder) hierarchy of Smartsheet. With Portfolios, workspaces and templates, it can get a little confusing, especially when you haven't used Smartsheet for a while. I like the timeline view of a sheet, but haven't figured out yet how to filter my project plan tasks so only the top / high level tasks are shown instead of all. Smartsheet is highly, customizable, helping me manage projects and collaborate with internal stakeholders efficiently. It's a platform built on a familiar spread-sheet style grid (and now updated Table view), so it's really easy to pickup while adding on what traditional spreadsheets lack.

Smartsheet's been a reliable backbone for coordinating work across teams. Our adoption and uptake rate increased after demonstrating a sevenfold return with our current annual investments in licenses. It connects with with Teams for alerts, but I have to admit performance has been a bit glitchy, however that may be due to how large our sheet is and maybe resolved with an archive system to remove rows that are no longer needed in our 'working' sheet. The customer management side has been lacking lately this year. In particular, the time to respond to a support email, and to reach a resolution, can take weeks or even months. Also, the transition to the User Subscription Model (USM) license structure was an increase of cost to some of our units. It is getting difficult to justify paying more for less perceived value. I absolutely love the Smartsheet platform; it's been a game-changer for my career. I appreciate its user-friendliness and ease of getting started. The platform provides tremendous time savings, returning up to 5000 hours every school year. I find Smartsheet's ease in managing budgets incredibly helpful, especially with our district's current funding challenges. The platform's user interface, which is intuitive like an Excel spreadsheet, makes it easy to set up and use. I wish Smartsheet would provide more control to the System Administrator role for each organization's account. For example, our district has a strict policy prohibiting student information in Smartsheet. However, we have seen instances where a student has been shared to an item and created an account, which is forbidden by our governance policies. It would be great if we could turn off the auto-provisioning member feature, allowing us to decide who becomes a member. This is a concern, especially with the implementation of their USM pricing model. Additionally, our district IT department has restricted the use of certain Smartsheet connectors, taking away some of our options, though I hope this changes as technology improves. Smartsheet has a familiar UI for anyone who has used office products and is very easy to use for someone with basic computer skills. It is approachable, yet it has a lot of functionality and integrations that make it a powerful tool for project management, database management, and other functions that take a lot of work to get Sheets or Excel to match. The online training is excellent, and the ability to collaborate, attach, and communicate works very well. Our team has found that the browser-based version works very quickly and smoothly. I also loved creating trackers that enabled seamless collaboration with intake forms, automations, auto-populated columns for data, cross-sheet formulas to auto-populate data, responsible parties notified only when they needed to be, and essentially creating an ERP System for each Smartsheet Workspace I created that also had beautiful Dashboards that captured all the relevant metrics/KPIs, included relevant links, included custom images to direct the eyes the way the data should be followed to understand, having a Report, and just making each Workspace a wonderful home. Too difficult to ensure data integration of both the source sheet and the archive sheet to capture true and accurate metrics and KPIs.
