I appreciate the granularity of recovery in Salesforce Backup & Recover. Being able to restore at the record level rather than opting for a full org restore really changes the operational risk profile for enterprise clients. I find the version comparison feature genuinely useful; it lets me understand the impact of an incident before committing to a restore. The native nature of the tool to Salesforce is significant as it means that data doesn't leave Salesforce, simplifying data lineage documentation and reducing the attack surface. The automated scheduling is another highlight because it ensures backups run consistently without manual intervention, which is crucial in regulated environments. Lastly, the fact that sensitive fields remain within the Salesforce security boundary during backups is important for compliance with GDPR and HIPAA.

**What do you dislike about Salesforce Backup & Recover?**

A few genuine areas for improvement. First, scope coverage: Salesforce Backup & Recover primarily addresses structured CRM data, but an enterprise org's risk profile includes unstructured content too — files, attachments, Knowledge articles, CMS content for Experience Cloud sites. For clients using Experience Cloud with a headless CMS or third-party content platforms, the backup strategy for that content layer has to be handled separately, which increases architectural complexity. Second, the interface and tooling operates outside the standard Salesforce UI, which adds friction for admin teams who aren't deeply technical. Simpler, in-console workflows for common recovery scenarios would reduce time-to-recovery when every minute matters. Third — and this is a broader architectural observation rather than a product critique — Backup & Recover is one layer of a data protection strategy, not the complete answer. Salesforce back up and recover is pretty useful. It helps you archive data more efficiently, so you can free up space in your org. There are also a lot of things you can do when recovering data, which helps you stay more compliant with your organization’s standards. Having it all within the platform makes things easier, instead of dealing with external vendors, and that’s really useful.

**What do you dislike about Salesforce Backup & Recover?**

I guess it takes a little time to set up and learn, but you can use Trailhead, which is helpful. Also, Salesforce support is useful. If you create Salesforce cases, they can explain the features more intuitively, and they also have documentation that’s pretty useful. Sometimes it can be a little hard to navigate and a bit clunky, but that’s OK for the amount of ROI you get.

It helps the organization stay compliant, and it also lets you recover from data loss or manipulation through automation. I like the ease of use and how the UI is really great. It's really good because it shows what's in progress or if something has failed. It lets me see how often we're doing the recovery or the backup and offers different processes or ways to do it. The UI is definitely a game changer. I appreciate that it shows a place where we can actually see all the backups that have been scheduled with nice green colors and lots of text indicating if there is an error. If you dive deeper into it, you can also see what the actual error is. Additionally, I found the basic setup easy and good, and understanding user permissions was easier.

I like the simplicity of the setup with Salesforce Backup & Recover. It's been easy to work with as a team and to configure the policies, set the schedules, and determine where to implement. The initial setup was quite easy with help from our development team, admins, and the backup and recovery teams, who provided guidance and feedback. They were very easy to work with. Overall, the GitHub tool itself is generally quite nice, and the UI is quite nice. I would definitely recommend it, as it's very easy to work with.

I think it would be nice if there were some additional policies or schedules that could be added that have differentiating factors such as if this happens, then trigger this thing. If that happens, trigger this thing. Otherwise, the UI itself is quite nice.

It’s a very reliable, low-maintenance solution that gives real peace of mind once it’s up and running. Restoring specific data or metadata is straightforward and saves a lot of time compared to manual backups. I also loved the onboarding project I had with Ashraf — he was amazing, explained everything in great detail, and made sure we fully understood all the features of the tool. That made a huge difference in our adoption.

There’s a bit of a learning curve during the initial setup, and restores on very large data volumes can sometimes feel slow. It’s also not the cheapest option, but the reliability and time savings easily justify the cost.

Once you set it up, you don't have to worry about it again. What I appreciate most is the ability to compare backups and easily identify what might be missing. As a developer, I find this tool especially valuable when working with several organizations and collaborating with multiple team members.

The time it takes to complete the same backup seems to change each time, and I wish it were more consistent. Occasionally, the process is much too slow, which can be quite frustrating.

The best and easy to setup/use tool for back ups. The best part is its not only data but the meta data too. So it is useful for the business users and also for the development team. As a developer i feel safe and never worry about any data/Metadata.

I don't have to worry about my data or metadata being deleted. There are a lot of benefits to this. For example, I once had to delete some code, but two months later realized we needed it again. I was able to go back and restore it quickly, without having to rewrite the code or its unit tests. This saved me a significant amount of time during both development and deployment.

This is exactly how the onboarding process should be handled. Instead of receiving a generic automated email with a link, I was paired with an expert who provided immediate value by summarizing best practices and productivity tips tailored to our needs. I’ve only been an admin for an hour, but this level of support makes me incredibly confident in the tool and excited to manage our backups with this team.
About the tool: easy to use, logical, scalable, ability to store with 2nd storage place - no surprise, it's Salesforce the world most loved CRM module.

**What do you dislike about Salesforce Backup & Recover?**

There are some areas that could be improved. For example, it's currently not possible to view the total space used. While there is an option to have exception objects, there isn't a way to whitelist objects, which is disappointing for an organization with 3,500 objects. Although I've only used it for about an hour so far, I am familiar with the ecosystem and trust that these suggestions will be taken into account.

Surprisingly, Backup & Recover does a great job of keeping the org organized by enforcing backup and retention rules. I appreciate that I don’t have to worry when something needs to be restored, whether it’s just a small field in a record or the entire org after a disaster. This tool is essential, especially if the org is used extensively.

The reduction of storage in the main Salesforce org is beneficial, and having archived data accessible directly on the record page makes it easier to track previous information as well. also during the implementation, customer support or onboarding specialist was super awesome (not to forget that Will Penn helped a lot during this process)and the integration was also easy. just setup the policy , run the policy and check the logs. also the policy can be setup in such a way that we can set our own frequency of use for that.

One advantage of Salesforce backup and recovery is that compared to other tools, it is already within the Salesforce Trust boundaries.  That means, once you login, all the authentication is done by Salesforce compared to other tools where you have to separatelyn login.

**What do you dislike about Salesforce Backup & Recover?**

Compared to other tools i've tried like Gearset, I cannot do a comparison on the field value level when preparing for a restore.  The other tool allows me to do drill down on the the field level value.

Backing up data daily is very useful specially for unexpected issues like data corruption, accidental data deletion, or even cyber attacks.

It was helpful until they stopped allowing backups more than one minute at a time. UX was fine, it was free so we liked that. Little support with issue of not allowing fast backup after awhile.

They took away the option to fast backup things. The made it so you had to space things out 1 minute at a time.

It seamlessly integrates with Salesforce orgs for normal data as well as metadata backups.  I was previously doing weekly exports and this has saved a ton of time and headache.  This allowed the implementation of the tool to take an hour of my time.  It is extremely easy to recover information in case of issues.  You can search and restore information with a fine-tooth comb if you need to which is amazing.

Their SSO documentation for Entra ID (previously Azure AD) was lacking detail, but the Own support team was quick and helpful to solve this issue for us.

**What problems is Salesforce Backup & Recover solving and how is that benefiting you?**

I was previously doing weekly backups of data.  Now, I get a weekly email telling me that the backup completed successfully.  The backup also includes metadata.

I scenarios, and before using Own, I used to handle backups manually every week. Now, with Own, that process happens automatically every day. Having daily backups has also been a lifesaver when bulk data changes haven't gone as planned.
I also use the sandbox seeding capabilities of Own. Which is a vast improvement over manual uploads into fresh sandboxes.

We love all the products we use (backup, archive, replicate, most recently Secure, and seeding/anonymization). Each niche application provides their own specialized function to our business operation and continuity plan. We've most recently been heavily engaged in Secure to optimize our org (data classification, security risks, profiles & permission sets review, etc.). Without it, each project would be immensely more time consuming/research oriented.

Customer support has always been top tier (contract level) with immediate and quick responses. With our TAM utilization, we've been able to really engage and further enhance our use of the project suite. We're looking forward to further engagement to optimize our org w/ all the applications provided.

**What do you dislike about Salesforce Backup & Recover?**

We were peripheral users of the project suite for a long time (premier support with no TAM). We only reached out when there was a problem, but never engaged w/ the company to further enhance our abilities/relationship. This past year (2024) was eye-opening and has been a game-changer heading into 2025 (various projects on our company roadmap that can be accomplished w/ Own). I think the initial interactions were minimal which left gaps on our side that we had to look around for options to address. I think having yearly reviews of current contracts and suggestions for improvements (TAM involvement), would have saved a bunch of time (scouring SF wondering what everyone else was doing, instead of going to the source who had these answers/suggestions).

Own Secure has been doing wonders for our org in regards to Data Classification & permission sets/profiles security. As we look to further "secure" our org, it's important to know what fields are sensitive, etc. and who sees what. With the Salesforce initiative to sunset profiles, Secure has been a huge help in identifying existing permissions while we work w/ our TAM to further improve our permission classifications.

Archive has also been a huge help in cleaning up our org by removing potentially sensitive data from our SF instance, while still being able to report on it via the archive widget on the account.

We're in the process of using seeding to further automate our refresh processes, but still need to work with our TAM to create the perfect template for each sandbox

It is a shame that it doesn't have an easy way to view the history of all changes to a single record

This tool is useful for recovering data that has been overwritten. It also assists in analyzing what changes occurred to a record.

Provides holistic data backup in case data is corrupted or we run into any issues.
