Smartsheet is also helpful in resource allocation because I can now see my team’s bandwidth instantly and prevent accidentally over-allocating tasks to all team members – even myself. It’s nice to have all the stages of reviewing documents (proofing) and giving/receiving feedback all in one place rather than spread throughout every member of your team’s inbox. The custom dashboard feature allows me to monitor progress without asking each individual for updates, which is a huge stress reliever for me since I hate asking for those kinds of updates. **What do you dislike about Smartsheet?** The search and filtering functions within Smartsheet require you to use very specific language. If you can’t recall the name of a previous project you’ll probably need to scroll through until you stumble upon it. Onboarding new staff members that aren’t project managers by trade can be difficult due to Smartsheet’s complexity during their first few weeks. And while there are options to adjust notifications via email they are typically extremely generic and alert you simply to log in to Smartsheet. The Mobile App isn’t anywhere near as good as Desktop – especially for rapid checks when you don’t want to wait 30 seconds for the app to load. **What problems is Smartsheet solving and how is that benefiting you?** My biggest problem was generally the chaos of not understanding what’s happening. We use formulas extensively and they are very similar to how they are structured in Excel, which makes the learning curve much easier. We also use sheet automations extensively for notifications and sheet operations (copying rows to other sheets, changing cell values, etc.). Control Center is a key tool for us - we use API calls and automated tasks to create project workspaces and blueprints 5-10 times per week. We also use Data Shuttle to keep key dropdown lists updated. The key benefits are that our data are now much more consistent, which allows us to build much better management reports. Standard processes in Smartsheet also reinforce the standard workflows within the various teams. **What do you dislike about Smartsheet?** There are some functions that we just can't perform in Smartsheet. The program reports are great for looking at the same data set across all projects, but we can't easily look at different data sets within a project. They also can't include relevant data from a common data set except if we add (another) helper column to the underlying report to use as a filter. For example, I have to add a client status column to filter out inactive clients in the P&L reports. Our leaders have to sift through irrelevant data in order to get an accurate picture of what our current client base looks like. In our environment, a project represents a client and we can't easily build a QBR dashboard and have that roll up across the company. We have to create far too many helper columns to accomplish our goals. In some cases, 60% of the columns in a blueprint are helper columns. There is no native way to build an automation that hands off a task from one team to another because each functional area has its own blueprint. We have used RPA and API assets to work around those shortcomings, but they increase the overall maintenance cost and complexity for the product. We have to store the same data in every sheet rather than storing it once and referencing it elsewhere, which means it doesn't scale well. In sheets where we have large numbers of cross sheet references, performance suffers as a result. Smartsheet isn't strongly typed enough to allow us to tightly specify some data types. For example, I can't specify that a column is an integer or a number and I can't enforce values when they enter the data on the sheet rather than using a form. I also can't prevent people from using the sheet instead of the report. The client success and support teams have spotty records for our requests. We usually have to prompt our CSM multiple times to get action on a specific request. Some of our tickets have taken months(!) to resolve. There are some support people who are on the ball, but they are the exception, unfortunately. I also found the Resource Management area difficult to work with and not very intuitive. The ability to use predecessors and successors makes it very easy to manage schedules. I also find it very easy to edit anything and see the overall impact on the schedule. Everything, from the Gantt chart to the pre-final dates, is straightforward. It was also very easy to sign up and start using Smartsheet right away. Compared to using Google Sheets and Excel, Smartsheet feels like a step forward. **What do you dislike about Smartsheet?** The implementation of AI in Smartsheet could be improved. For instance, it should recognize changes in data, like when connected to my drive, and automatically update dates while asking for permission before making final changes. I like the automations and that you can tag different teammates per line item, and share attachments, comments, reminders as well as filters to see through the different stages, notes and media for each job start. SS is good to refresh every so often allowing the most up to date information. The integrations of SS to our messaging Slack and email Outlooks is also helpful to get reinforcing reminders. **What do you dislike about Smartsheet?** I think that it visually feels flat and doesn't have as much interactions and color options to change live updates. It can sometimes be hard to see all the information you need because of all the scrolling and dropdown menus can be tricky. Sometimes moving line items will shift things around incorrectly too. Our team can sometimes miss notifications to certain updates to line items. **What problems is Smartsheet solving and how is that benefiting you?** Smartsheet is solving our project management and tracking. Seeing projects by time and information is helpful for myself and the team to gather all updates and assisgnments. Having everything in one place has made a noticeable difference for us, and the real-time updates reduce a lot of the back-and-forth. On our team, we use it to manage the hiring process across departments, from the moment a lead comes in all the way through onboarding. We can track where candidates are in the process, keep notes centralized, and rely on automated alerts so the next team knows when it’s their turn. We also use forms to capture incoming leads and feed them directly into the workflow, which helps keep everything consistent. It still has that familiar spreadsheet feel, but with more built-in features like automation and collaboration, which makes it much more efficient. Overall, it makes it easier to stay organized and keep everyone on the same page throughout the process. **What do you dislike about Smartsheet?** If I had to call out a downside of Smartsheet, it’s that some of the more advanced features take time to learn. Getting started is straightforward, but automations, formulas, and more complex workflows can feel a bit clunky until you’ve had enough time to get comfortable with them. It can also become overwhelming when you’re managing a large number of sheets, especially if everything isn’t set up in a consistent way. One issue we’ve run into is permissions: admins can lock columns, but there isn’t always a good option for giving certain people limited access when they still need to make updates. I also wish there were more built-in guidance or training within the platform, so users can learn the advanced features without having to figure everything out on their own. And depending on how heavily you’re using it, the pricing can feel a little high if you’re not taking full advantage of everything it offers. **What problems is Smartsheet solving and how is that benefiting you?** Smartsheet has really helped clean up communication between departments. Before, things would get lost in emails or spread across different tools, which made it hard to keep everyone on the same page. Having everything in one place has made a big difference.
