**What do you like best about Flowingly?**

Flowingly has been one of the most successful digital tools we've introduced at Maribyrnong City Council. What really stood out was how quickly staff embraced it—we saw adoption rates that exceeded our expectations, with teams across the organisation recognising the value almost immediately.

One of the most beneficial features has been the ability to capture and document Standard Operating Procedures (SOPs). Traditionally, documenting processes can feel like an extra task that people struggle to find time for. Flowingly changes that. Staff are able to capture their knowledge and record processes as part of their normal work, without taking additional time out of their day. The result is a growing library of practical, easy-to-follow procedures that helps preserve organisational knowledge and makes onboarding, succession planning, and cross-team collaboration much easier.

The platform itself is intuitive and user-friendly, which has been critical to its success. People don't need to be process experts to contribute, improve workflows, or document how work gets done. It has created a culture where continuous improvement feels accessible rather than overwhelming.

What has really set Flowingly apart, however, is the quality of their customer service. Blue, Sean and Will have been exceptional throughout our journey. Every question, challenge or idea was met with responsiveness, intelligence and genuine care. Rather than providing generic support, they took the time to understand our business, our people and the unique challenges faced by local government. Their knowledge of both the platform and our organisational needs meant they consistently provided practical solutions and valuable advice. It genuinely felt like they were an extension of our team rather than an external vendor.

Beyond process mapping and automation, Flowingly has helped us create greater visibility and consistency across the organisation. We can identify opportunities for improvement, reduce duplication, and ensure that critical knowledge isn't locked away with a single person or team.

For any organisation looking to improve process management without adding administrative burden, I would highly recommend Flowingly. It has delivered real value for Maribyrnong City Council by making process improvement simple, practical, and something that fits naturally into people's everyday work. **What do you dislike about Flowingly?**

If I had to identify a downside, it would be that once teams start seeing the benefits of Flowingly, demand for new processes and improvements can quickly outpace the resources available to implement them. That's a good problem to have, but it does require organisations to prioritise opportunities effectively.

**What problems is Flowingly solving and how is that benefiting you?**

Flowingly is helping Maribyrnong City Council address a number of common organisational challenges, including inconsistent processes, knowledge being held by individuals rather than the organisation, and a lack of visibility over how work is completed across teams.

One of the biggest benefits has been the ability to capture and document Standard Operating Procedures (SOPs) without creating additional administrative burden for staff. Rather than asking employees to spend extra time writing lengthy procedures, Flowingly enables them to document processes as part of their everyday work. This has helped preserve critical organisational knowledge, improve consistency, and reduce the risk associated with staff turnover.

Flowingly has also made it easier to identify process bottlenecks, remove duplication, and standardise workflows across the organisation. As a result, teams are spending less time reinventing processes and more time delivering value to our community.

**What do you like best about Flowingly?**

The new Flowingly features have been beneficial for our organisation, particularly the AI Process Map generator and the process map file upload. With the new Process Map File Upload functionality, we can take old maps, workshop notes, or high-level discussions and quickly get the start of the map into Flowingly. This saves time on admin work.

The AI Process Map generator also provides a substantial head start on process mapping. It removes the blank-canvas headache and gives you time before a workshop to get your head around a basic version of the process, so you can start thinking through the edge cases earlier.

The Flowingly team have been incredible in their support to getting us up and running.

**What do you dislike about Flowingly?**

The main limitation for our organisation is no two step approval and publish workflow. In previous software we were able to send a draft for approval, once approved it would be sent for publishing. This workflow does not exist currently in Flowingly as it can only be sent for approval and publish at the same time. We have had to create a separate approval process that is not as streamlined. 
  
In a process map, the arrow path is set automatically, which can lead to arrow lines crossing and makes the flow harder to follow. Also, you can’t add an additional recording to an existing SOP, which limits how you can update or expand it later.

**What problems is Flowingly solving and how is that benefiting you?**

Flowingly is our newly adopted process mapping software, it has been a benefit of our organisation as it is a user friendly interface saving on training effort and making uptake easier. We are still in the implementation phase and initial comments from staff have been very positive. Process Documentation has never been easier or more accessible to create.

**What do you like best about Flowingly?**

By nature, I find it challenging to create and follow process maps. In my experience, the typical static products available on the market tend to be used only once; after they are implemented, they are rarely revisited except when training a new person. As a result, these maps quickly become outdated as processes change. With Flowingly, however, the process map is actively used every time the process is carried out, allowing for ongoing, iterative updates. What truly stands out for us is its ability to ensure that everyone works consistently. We always know the current status of any project/process, and since most of our teams consist of just one person, if someone is unexpectedly away, anyone else can easily see their progress and what tasks remain. I also love the community of sharing - were are so busy across the sector sharing processes with each other not only cuts done significant time but also allows us to collectively brainstorm and imporve the way we all work.

**What do you dislike about Flowingly?**

There are very few downsides overall. If I had to mention one, it would be that introducing any new process can present some challenges, mainly related to change management and those individuals who are more resistant to change.

**What problems is Flowingly solving and how is that benefiting you?**

It's hard to know where to start, but one of the biggest advantages has been the resilience provided by one-person functions, especially since we can reassign flows as needed. This has been a huge benefit as it ensures that if someone is out sick, any workflows they were handling can be picked up seamlessly by another colleague. The consistency in how tasks are approached has also made a significant difference, reducing both time and frustration while improving our overall delivery. Multi-activity and multi-person workflows are now well tracked, with clear deadlines for actions and helpful nudges when needed. Training new or supporting staff has become much easier, as the clarity within the process flow leaves little room for steps to be forgotten, making the learning experience smoother for everyone involved.

**What do you like best about Flowingly?**

- The Flowingly team, especially Will Dowden and Sean Wallace, has been incredibly responsive. Whether it’s enabling new features or troubleshooting setups, their support has consistently exceeded expectations

**What do you dislike about Flowingly?**

One challenge we've encountered with Flowingly is its licensing structure. Since not every employee at our Council has a license, it becomes difficult to design workflows—like a 'Travel Request'—that are universally accessible. Some staff may only need to initiate a workflow once every year or two, which makes it hard to justify the cost of providing licenses to everyone. This limitation adds complexity to creating inclusive, organization-wide workflows.

**What problems is Flowingly solving and how is that benefiting you?**

Problem Solved: We previously relied on Objective to manage our workflows. However, when we transitioned to SharePoint earlier this year, we needed a workflow solution that could be quickly and easily implemented to replace our existing Objective workflows.

How Flowingly Helps: Flowingly stood out as the ideal choice. Its intuitive setup allowed us to rebuild and improve our workflows with minimal disruption, ensuring continuity and enhancing process efficiency across the team.

**What do you like best about Flowingly?**

The process mapping is very intuitive and quick to learn. Processes created in Flowingly are very clean looking and easy to share with others. No end-user has ever complaint but rather complimented how transparent processes become when mapped in Flowingly. The ability to create unlimited subprocesses allows mapping of even most complex processes with ease. Thanks to the built in review and approval process Flowingly can not only be used by individual departments, but also company wide to visualize the entire business process network.

**What do you dislike about Flowingly?**

Flowingly doesn't have a built in repository instead allows linking of documents with other document management systems.

**What problems is Flowingly solving and how is that benefiting you?**

Flowingly provides transparency of business processes including; process ownership, processes input / output, step responsibilities within the process, and associated documents. This has greatly helped us in various Continuous Improvement projects, Software Implementations and/or organizational process issues.

**What do you like best about Flowingly?**

What I love most about Flowingly is how versatile it is.
We use it across a wide range of areas—from managing LGOIMA requests and streamlining new employee onboarding to automating water invoicing and much more. We’ve created over 20 flows to ensure our processes are transparent, consistent, and easy for everyone to follow. It’s been a game-changer for improving efficiency and clarity in our work.

**What do you dislike about Flowingly?**

One limitation, however, is the inability to go back within a flow if a mistake has been made or the wrong action selected.
It would be great to have more flexibility to correct errors without needing to restart or involve administrators.

**What problems is Flowingly solving and how is that benefiting you?**

One of the biggest problems Flowingly is solving for us is ensuring transparency and accountability in our LGOIMA process.
LGOIMAs are governed by strict laws and legislation, and Flowingly gives me confidence that we’re meeting our legal timeframes and that each request is progressing through the correct steps. It ensures the right person has the right task at the right time, reducing the risk of things slipping through the cracks. This level of visibility and control has been a huge benefit for compliance and peace of mind.

Flowingly is well-designed, particularly on the automation side of things. The software is easy to deploy, and the Flowingly team is very responsive. Flowingly's strong and growing presence in the local government sector is also a plus for us.

The UI (for the process mapping side of the tool in particular) could be better, and the online support resources (knowledge base) are patchy, but improving.

Flowingly is so easy to use. The "drag and drop" functionality allows us to quickly create process maps and workflows and anyone can use it, you don't need high level IT skills or experience. Flowingly has enabled us to have transparency and visibility over our key processes.

There are no downsides to using Flowingly.

Before using Flowingly we had an issue with visibility over where certain processes were at. Flowingly helped us streamline complex processes. It also gave us a great platform for our online customer facing forms that then trigger an internal workflow, reducing human error and enabling a quick response from staff to customer applications.

**What do you like best about Flowingly?**

Flowingly is a super powerful tool to create value fast!  Let's face it, the reality of being able to accurately capture a set of requirements prior to the users seeing the solution in action is slim.  Flowingly lets you draw the business process as the users are speaking and immediately turn on the digital workflow solution.  They are one, there is no disconnect that results in stale process maps that no longer reflect the technical reality.

We no longer have downtime between capturing requirements and showing our customers the working solution.  We do it all in the same workshop and in fact, in a 4 hour workshop, we can often uncover requirements, build a working workflow solution and go through 3 or 4 review cycles.

**What do you dislike about Flowingly?**

Not a dislike but something to be aware of is the simplicity and flexibility.  Business users can be empowered to build their own workflow to cater for how they work currently.  We find that as the tool is no longer a constraint you now need to put more emphasis on sense checking your requirements and challenging whether you 'should' be building current state in the tool or whether this is an opportunity to improve things.  You simply need to switch your technical build effort into Business Analysis effort.  Nice problem to have though!

Fast tracks our ability to deliver value.  There is no longer a waiting period between extracting requirements and delivering a technical solution.

**What do you like best about Flowingly?**

Anyone can learn how to use Flowingly, it enforces standardisation and allows it's users to go home at the end of the work day not having to have multiple lists written down or in their mind of where a process was up to. Removes human error and provides a single platform with a nice dashboard to use to view where a process is up to, who it is waiting on, the full history of a flow so far and allows the ability to add a new unique task and/ or comments. I enjoy how quickly their team resolves any issues with the platform too. Also how frequently they release new cool features!

**What do you dislike about Flowingly?**

Nothing impactful so far. I suppose a minor thing would be when copy & pasting steps withing a workflow the variables attached to the pasted steps update to be correct but change the existing steps to be incorrect.

Allows me to help businesses work with better. Standardising, removing manual steps/ comms, having a clear audit trail, visibility of their business processes and where they're up to.

Also allows our PSO business to map and automate business processes for and with our clients.

It provides a mechanism for standardising processes and removing ambiguity. By guiding users through the process and keeping track of the process steps, along with reminders and deadlines and a very useful audit trail, which can be presented for respnding to auditors enquiries.

Some more videos would be helpful. The online help is average.

Easy to use, with a drag and drop functionality and additional smarts like "diverge" and "decision" functionality.
The price is very competitive and affordable for small councils.
The implementation went very smoothly and all our maps were successfully migrated from Promapp.
We have had a couple of customer requests which were resolved quickly.

**What do you dislike about Flowingly?**

There is nothing I dislike, however given it is a releatively new product there is always room for improvement when it comes to UI, but the product is great as is.

It is helping us mapp our business processess which helps with staff training and continuous service improvement.

With no coding or development experience, I've been able to build automated flows which speed up our internal processes, saving valuable time to do more valuable work.  The support team are amazing, approachable, knowledgeable and just an awesome crew to work with.

**What do you dislike about Flowingly?**

Its easy to build a bad process, if you don't know how to design business process effectively.  There is nothing stopping you in Flowingly from designing poor processes.  So some knowledge and skill in the area of business process design is very useful

Too much admin time, no consistency across the organisation about how we speak to our customers, no documented business processes

**What do you like best about Flowingly?**

Flowingly has straightforward tools that can simply intelligently automate any workflow. It is intuitive, and users with low-level computer literacy can benefit from it. The staff that use our workflows are quick to learn and pick up Flowingly. There is quick progress from the map to the workflow. The support team is readily available and responsive to our needs.

**What do you dislike about Flowingly?**

We primarily use Flowingly to onboard and offboard staff; this requires the input of many team members. We get to notify staff quickly and delegate roles as necessary. The primary issue I run into with Flowingly is being able to change workflows after you have already started them. Right now, we can comment on most changes that need to be done. Even though there are still some changes that require more than a comment

Once you are up and running flows can go from a map to live very quickly.

We are waiting on an upgrade to allow better Power BI and O365 connectivity.

The lack of conditional logic on forms means we have had to engage an external forms provider and link to Flowingly via complex API.

**What problems is Flowingly solving and how is that benefiting you?**

We are using Flowingly to manage our community requests (e.g. new bin, report a pothole, change of address), it is allowing us to put SLAs on these requests, and to have live reporting on bottlenecks. Instant auto-generated customer communications are alleviating admin load on our business. In some processes, staff have provided feedback that they are saving 60 minutes per flow.

The in-app approvals mean we can move away from signing and scanning pdfs for internal forms and staff can see where their request is in the process without having to call and ask someone.

**What do you like best about Flowingly?**

Flowingly has made our work lives easier.  Flowingly allows for easy tracking of our workload, guarantees nothing gets misplaced or overlooked, is easy to learn how to use and it's proving to be more efficient than the processes we were using before.

**What do you dislike about Flowingly?**

The main thing I dislike is that for Flowingly to work best, you need everyone to have a license.  Being a Council, I'd prefer to use "public forms".  While public forms are available through Flowingly there are significant limitations on public forms that you don't run into with forms between licensed people.  I am currently using one public form. I understand there will be enhancements in future upgrades that will make those forms more versatile.

**What problems is Flowingly solving and how is that benefiting you?**

Flowingly has made going paperless easier.  We tried to do it using just emails and found that emails were often getting lost or accidentally deleted because of the large volume of emails in the mailboxes of the approvers.  There is no chance of that happening with the work living in Flowingly now.  Workflows can't get accidentally deleted from Flowingly and we have set automatic reminders so that even if someone has forgotten to do step, Flowingly will send a reminder.  An unexpected benefit is that because it's so easy to use, the approvers are doing the approvals immediately instead of saving them up to do later.

We have also started storing all relevant documentation to the Flow only in Flowingly.   Before Flowingly, we stored all documents in SharePoint.  However, we found we were running out of space as our Sharepoint libraries are limited to 5,000 records.  We are noting the Flow numbers in our other IT system as a reference and we make sure to put the account number as part of the Flow for future reference.

I have also structured our work Flows to show the procedure for doing the process.  Looking at the Flow Map for any Work Flow allows for a quick overview of the process.  Going into each step provides additional information.  We have inserted instructional videos of no more than 5 minutes into some of the steps to provide additional support.

We investigated many workflow management tools available on the market, however as a small organisation we failed to receive a satisfactory level of product awareness and understanding of our business goals.
The difference between Flowingly and other products offered was the onboarding and individualised customer succession planning, where we discuss our goals and objectives to assist with firm wide adoption. This has been instrumental in the success of reducing our paper processes whilst still maintaining our regulatory compliance.

There are some minor bugs that need to be worked out within the platform.

**What problems is Flowingly solving and how is that benefiting you?**

The financial services sector is inherently paper intensive and varying pressures (i.e. to embrace flexible working initiatives, COVID-19, maintain compliance with regulatory bodies) we required a product that would be the catalyst of change and assist with digitising our paper and approval processes.

Flowingly has allowed our staff to work more flexibly, as well as improved and even further streamlined our processes to ensure consistency across our departments. The other benefit of Flowingly is that it's agnostic in nature and can be used across a variety of departments and use cases.

The forms are very simple to build, requires little to no experience, I am more of a super user with computers so i'm not sure how that would compare with a user with less capabilities. The reporting feature is good and will be a very important part for us going forward.

Making the forms user friendly which will ultimately enhance the users experience. Utilizing the workflow to redirect a form down different paths, this is allowing us to combine multiple paper based forms which are similar into one digital form.

**What do you dislike about Flowingly?**

I'd say the biggest thing would be the lack of customisation / control. 

There's a few minor things like not carrying over the total table currency to an email.
Being able to send a form to yourself to approve. Deleting old users is tedious.

That being said Flowingly is a very young product in the grand scheme of things and will only get better as time goes on.

I'm not a big fan of the form being on the right and the previous steps on the left. The way I would have it, is having a clickable box on the left that can hide/show the previous steps. A big chunk of our user base does not like the current layout. 

I don't like the use of technical jargon in some areas, for example "Select dynamic actor". Simple concept for IT, process maps type workers to understand, for others not so.  I would have this "select dynamic actor" text editable.

The permissions are limited. For example, ideally i would like to create an area for a team to create process maps / forms, and give that team permissions on that one area. the current way the permissions are set up they are quite global or require myself to create a process map or form and give a user group access.

That way staff don't have to create separate accounts and can login with their work email address. Also, establish the administration roles in advance. Has a couple of design flaws such as not being able to bring over the total amount of currency calculations to the next step in a workflow but this is being addressed by the Flowingly team. Another is the positioning of the fields or lack of being able to insert a field anywhere on a form at creation, you have to manually maneuver the field to where you would like to position it on the form.

We are a small to med size government ministry who find using Flowingly workflows to replace our current HR & Finance administrative request forms (travel, payments, special leave etc) so much easier to initiate and source signoff from management. These forms can be approved online from anywhere so no more running around looking for someone to sign off your requests.

Using an electronic form attached to a workflow increases management/delegation approval times.
We have improved the time constraints we used to experienced with paper files needing to be signed off/approved from management before being sent on to corresponding departments (HR & Finance), now managers can approve online from anywhere...no need to wait for management to be back in the office to get sign off/approve documents.

The fact we are now able to get our staff to adhere to a process and procedure and not rely on them remembering the process.
Created a training document that we can train new staff with, and they get prompted when using the flow as to what to do next in processes. 

The product does what it claims to and pretty well, easy GUI, a few areas that still require tweaking

Databases needs further refining and the ability to write data and then extract it at later dates or in later flows would be very beneficial. 
The decision making function is not as functional as I would like to see.

The team at flowingly were very helpful at adding new features and teaching us how to use the system. It is also a nice system to use.
The form building and workflow building aspects are very easy to use, and easy to teach other people.  The forms are also simple enough for all of our users to understand, as we have a lot of staff who are not tech savvy.

**What do you dislike about Flowingly?**

it can at times be confusing for the users in some aspects of the interface, not alot. The main thing i noticed, the landing page is a little cluttered. And when you want to completely cancel a form, the button is quite hard to see( probably not a common action, or something you would want to do on accident). Other than that i have had no real dislikes with the system.

flowingly will set up a sandpit area for you to test the system before buying, try this, it is very useful. You get a fully working system where you can build your own workflows and forms to test if it is the right thing for you. 

Also this question on this form appears to be broken, not matter how many words i write in it,  it doesn't show as complete.

We use flowingly to digitilize our forms and processes. We have almost 100 paper forms that are used around the organisation that are used on a daily basis. before flowingly, only about 5 of them were fully digital. besides reducing paper, this should also speed up the processes around the forms as they become digital, and the users become more fimiliar with the new system

I don't have any idea about the price as I am only a user.  I think it is a good tool which helps me in my current role  in terms of efficiency and effectiveness.  It alerts me on what items I need to action and keeps me informed on when the request is due and the person it flowed into.

Keeps track of my work and reduces the need to follow up people who needs to action the request.

Flowingly has transformed our team project management completely to a more efficient procedure.

**What do you dislike about Flowingly?**

the fact that I have to put my user and password every time that I need to log in. Also, I really wish there were an edit option so I could edit or duplicate the task I create. Currently, we have a few tasks that are not relevant and we are not able to correct them.

it is good that we can have a flow map and it sends a reminder to each person in charge for the next step.

Flowingly is compatible with Single Sign-On (SSO) which may help if you prefer not to manually log in as often. If your organization uses SSO, get in touch with your Customer Success Manager to have it setup.
 
Standard users cannot make changes to a process but it’s simple to make the suggestion to the Flow Model Admin. Click on a Flow published to you in the "Start" tab, select "Flow Model", click "View Flow Model" and click the blue "Feedback" button.

It seems to be a useful tool if applied properly

**What do you dislike about Flowingly?**

We had to buy 20 licenses but we only needed 6
Printing and moving  diagrams around is a bit of a mission
