I would recommend considering Smokeball for most small-to-medium sized law firms.

You need to manage a docket, calendar, case files, etc. This system coordinates your calendar with all the documents (medical, investigatory, other evidence) along with your email in order for everything to be contained in one place. I dislike the latency issues when receiving incoming emails. I receive emails quicker in my outlook than ZOLA. Also, when sending a large attachment I have to use outlook and then save my email through ZOLA but I know that this is in the works to fix. I recommend that ZOLA pushes forward with the task templates so when a file is opened certain tasks are automatically assigned to the staff. Also, I would recommend that anytime a document is saved into ZOLA it also prompts a billing entry and for copies. I also think that the activity log needs to be more detailed. For example, if a document is deleted or moved it should state in the logs what staff member did it so any management of any firm can address the issue with the staff. Also, when a calendar event is deleted it should be more specific as to the name of what it was added as and not just that a calendar event was deleted. Review collected by and hosted on G2.com.

We currently have some tickets regarding some issues with certain files. Some files I am able to view the folders through the task window but not the email window and vice versa. The benefits have been that when our office has ideas it usually ends up being pushed in the next update. For example, when we first signed up with ZOLA there were no subfolders created and as soon as we brought it to light the folders were created afterwards to how our office saves documents. Currently, MyCase doesn't allow for merger of duplicate profiles for leads, so I wish that would change. Also, MyCase's app could be more intuitive and similar to the desktop version. There is a learning curve. It takes doing a few cases to get it down. But once you get a clear understanding you can pump out a Bankruptcy filing in a matter of hours.

In comparison to two other case management systems I have used in the past, this system requires a lot of clicks. However, at the same time Im not sure I would say I dislike this as the system is incredibly intricate which for me explains all the clicking required to utilize its vast features to the fullest extent of your law practice. A nice smooth flow of the movement of your cases within a case management time system that moves your files much faster than without a case management system. The system can be tweaked to completely guide your assistants, whether they have personal injury experience or not, how to case manage your files. Have a few different people in the office trained to be able to run any special queries or reports just because doing a search the first few times can be difficult to handle for any users who haven't done so before. Our firm is able to maintain notes and documents on clients so we can always access their files, even if we don't have immediate access to the hardcopy files. The timer function is atrocious and non-functional. It measures only in tenths of an hour rather than tracking actual minutes/seconds and then converting to tenths of an hour after completing the timed task. Worse, pausing the timer forces rounding to the nearest tenth of an hour, inaccurately adding 0-6 minutes or subtracting 0-6 minutes from the timer. So if you pause and restart frequently, while the adding and subtracting time could average out over the long term, the timer could be grossly inaccurate for any particular matter. A single client with a single matter could be grossly underbilled or grossly overbilled using the AppColl timer. If you are looking to use a timer to record your billable work, and you want to be confident the timer records time accurately, I recommend avoiding AppColl. We moved to AppColl because it is cloud-based. We are highly disappointed after realizing how the timer functions. It does not function as advertised. AppColl appears to have no desire to improve the timer either. Review collected by and hosted on G2.com.

Panther does not integrate as easily, reliably, or as well as it should with Outlook, OneDrive, and Box. It also does not offer any good options for attorneys with multiple offices or calendars. The billing system has some positive points, but also has a lot of issues and errors (which, after 9 months of them telling me I was doing something wrong, one of their tech people suddenly fixed without explanation). Tech support is great sometimes and other times not less than wonderful. Pre-COVID tech support response time was quite good and now it often takes a long while to get someone to respond. Perhaps because our firm did not implement Needles to its full potential, it functioned more like a powerful rolodex. The version of Needles we had did not allow for the searching of notes which would have been extremely helpful. Review collected by and hosted on G2.com.

Needles is a pricy program but if your firm is big enough it can definitely be worth it. I would get trained VERY well on Needles because I believe that is the best way to really take advantage of what the software has to offer. The downside is that support is also expensive, and it must all essentially be paid for. There isn't a chat function like in other softwares where you can speak with customer service reps in real time. In my experiences with Needles you had an assigned representative and they were the ones that could assist you and then only with an appointment of some sort. They have been experiencing large volumes of outages, storage issues and network issues. They are currently not compatible with the Windows 10 upgrade as it causes users to disconnect from the remote/hosted environment. However, it may not necessarily be a TrialWorks issue. I am not found of being unable to download other programs while in the hosted environment and have been told to just download what I need outside of the remote server. This is not helpful as all my needed documents and the whole operation of case documents is within TrialWorks itself. Another issue I have found is that saving documents on your desktop while using the remote server is unsafe as any network outage can cause and will cause all files and folders on your desktop to be deleted. Trialworks allows me to work remotely and access my much needed documents from home so long as I have the remote server downloaded on the devise I am using. It allows for semi simple document management and helps store documents in one place. Review collected by and hosted on G2.com.
