Clio helps me get paid. Clio helps me track my work. I think possibly the greatest asset is that it allows me to properly track my time and makes it easy to get emails in there. It does work with some other tools and has some decent, quite a big library of integrations. You can also build your own integration, so that's very helpful. One compliant I have had over the years is that I would like a feature that allows leads to be created from previous contacts. When previous client's call about new cases and new lead is made, it creates an issue with being able to covert the new case due to duplicative contact information. And it also wouldn't make sense to create a new case from the previous client's contact information because if they don't retain or we don't take the case then it messes with our stats for conversion and closing of cases. In my work, it has to improve in reporting and analytic capabilities, especially access to structured exports, APIs, or audit logs for deeper analysis. Ensuring that it checks its work twice. It relies on memory oftentimes as opposed to re-reading records or document. You have to make sure to review documents it is citing to, especially with medical records, as it may confuse where the document is coming from. However, this is still a minor flaw. It primarily solves the time crunch involved in reviewing records, preparing for depositions, summarizing depositions, and pulling documents to use during depositions. It also helps with clerical tasks, such as extracting names from records, identifying which records we need to subpoena, and determining all of the billing records. However, one thing I appreciate about Smokeball is that when users identify opportunities for improvement, the company actually listens. Several areas where I initially wished for additional functionality have since been improved through updates. The billing dashboard is well-organized and user-friendly. Key information is easily accessible, which supports efficient day-to-day use by legal and finance teams. The tool does a good job of consolidating billing data in one place. This centralization enhances transparency and reduces reliance on fragmented spreadsheets. The time recording functionality is intuitive and aligns well with legal workflows. It supports accurate capture of billable hours, which is critical for both internal reporting and client billing. I don’t like that the statement options are tied to the matter screen. For example, we list INITIAL, INTERIM & FINAL on all our statements, and we have to change that on the matter screen. Once you change it, all reprinted statements are marked with whatever the last Phase was that you entered on the matter screen.

Also, in General Ledger (when you enter a check), it would be really helpful if you could copy and paste. When you have an entry with multiple accounts where the cost will be split up, you add the accounts (or they are autopopulated from the last check) and then you should be able to split the amount evenly across the accounts by highlighting them and copying and pasting. TABS handles everything for us: billing, timekeeper entries, issuing checks for payments, and the firm’s general ledger accounting. We also use Practice Master for case management, along with all of our productivity and hour-recap reports. Review collected by and hosted on G2.com.

The updates sometimes take away the way we make our reports and case list. We don't have much say in what they update sometimes the updates are refreshing and helpful but lately it has made it a little difficult for my office to run reports. Review collected by and hosted on G2.com.

We are able to keep track of the work that's done on each file. All work is saved and tagged on each client's file. We are able to set calendar reminders and dates. We are able to leave notes on what was spoken about with clients and send text messages as follow-ups. We are notified if the text message went through or not. There are some areas which are clunky when it comes to UI/UX. I find that when creating a new Matter, the separate collapsed "boxes" or sections are difficult to navigate or scroll. Similarly, I've found that scrolling through other fields is difficult. Smooth scrolling and navigation are essential to working efficiently so I'd love to see some upgrades in these areas! CloudLex is helping our firm create a single "source of truth" for case management. By using CloudLex and standardizing processes, workflows, and operations we can all work more efficiently, have better insight into the lifecycle of our cases, and ultimately do our jobs better. One of our favorite features is the CloudLex Client Messenger! Our staff are embracing that ability to communicate with clients, without having to use personal cell phones, and have the ability to capture that conversation, documents, etc within the matter. My only dislike (and this is very minor) when I type in "F" for State, instead of automatically defaulting to Florida, where I am located, it defaults to the Federated States of Micronesia and then I must click down. TimeSolv handles all of my invoicing and billing needs. TimeSolv integrates so well with payment providers and others it make the invoicing process so smooth. Practice Panther has a solid infrastructure but could use updates to its website and mobile app esthetics. The mobile application functions more like a browser webpage, which can make it a bit cumbersome to use on a phone or tablet. However, that might just be a user preference. The only downside I see with Actionstep is that upgrades are driven by popular demand. There was a small feature that we wanted to utilize when we first onboarded and since it is not valued by other clients, it did not become a priority for Actionstep. In fairness, a work-around that did not make sense for our business was suggested by Actionstep, but we opted to use a separate piece of software that completed the exact function that we wanted to accomplish. Actionstep is able to easily organize all of our client and case information into one area. One of our biggest concerns was calendaring and finding a way to centralize the ability for others in our organization to view and modify calendars. The integration of Outlook calendars directly into Actionstep was a game changed for our business.

Additionally, since Actionstep consistently upgrades their technology and adapts to the latest trends, such as Ai, they have come out with add-ons like Trace. Trace is a program that tracks work on a workstation level and then suggests time entries based on length of time programs were used as well as information based on the context of what was being worked on. While we are in the infancy stages of utilizing this new add-on, it appears that we should be able to reduce missed time entries and thus increase our overall revenue. Lawmatics reduces the amount of manual work involved in bringing on new clients. Having automated reminders, communications, and tasks helps our team stay consistent and responsive without having to remember every individual follow-up. CasePeer enables my team (from in-office staff to our remote staff) to communicate effectively and stay on the same page regarding cases. I have noticed some recent updates such as AI tools, which I am excited about, and I look forward to seeing new AI tools in the future that will hopefully cut down on manual data entry and redundant tasks.
