Payroll Administration Asure’s Payroll Administrative Services allows you to outsource your Payroll department. We’ll administer your payroll system, maintain employee data, payroll processing, and report downloading. Here’s how it works: Maintaining employee data means we hire employees into the payroll system and make periodic adjustments based on the client’s request (i.e. update addresses, tax withholdings, direct deposits, salary adjustments, etc.). When processing payroll, we ensure managers approve timecards and PTO, then we commit timecards and make any one-time changes (add bonuses, retroactive adjustments, etc.). Before submitting, we send payroll preview reports to the client for review and approval. Once approved, we submit payroll and then download post payroll reports and send to our key contact(s) so they can have record of the data as well as complete any financial responsibilities they may have on their end. Asure also stores all payroll data, which the client will have direct access to, in order to be in compliance with the Department of Labor. In addition, Asure provides best practice advice to the client regarding payroll matters.Benefits Administration Asure’s Benefit Administrative Services allows you to outsource your Benefits department. This will include communicating benefit information to newly eligible employees, collecting their enrollment information, enrolling or removing employees in the benefit carrier sites, and communicating with the payroll team to ensure applicable deductions occur. Here’s how it works: Once Asure is made aware of newly eligible employees, we will send benefit information and enrollment instructions to those that are eligible so they can begin to review the benefit offerings. Typically, there are two ways to enroll; online through an Employee Self Service (ESS) site or through paper forms. If there is an auto-feed from the ESS site, then once the employee enrolls, their information is automatically fed into the carrier system (we will monitor that transmittal). If there is not a carrier feed, we’ll pull the enrollment data from the payroll system or collect the paper enrollment forms, and then go to each carrier site and enroll them manually. From there, we communicate any applicable payroll deductions to the payroll department to ensure the employees are being deducted for their share of the premiums. Additionally, Asure will help coordinate the open enrollment process with the broker through gathering data, scheduling meetings and monitoring employee enrollment. Other tasks Asure will handle are benefit reconciliations (assuming we have access to payroll reports), facilitate distribution of required plan notices, and become a liaison for employees with any benefit questions or issues. In addition, Asure provides best practice advice to the client regarding benefit matters.
