IntakeQ is a web-based online intake form management software that enables healthcare professionals and clinicians to electronically share HIPAA compliant forms with their patients, and receive them back completed &amp; signed electronically before their next appointment. IntakeQ eliminates paperwork and tedious administrative tasks through our digital platform. The product automates the form intake process thereby improving record keeping and customer/patient onboarding. IntakeQ is well suited for the needs of any size practice from individual practitioners to clinics and big hospitals.

  ### 1. Intuitive and Flexible, but Lack of Support and Billing Clarity Caused Major Disruption

**What do you like best about IntakeQ?**

IntakeQ is a flexible platform that allows us to build customized workflows for patient intake and documentation. The ability to create multiple “locations” and tailor forms has been useful for organizing different aspects of our practice, including medical-legal workflows. The interface is generally intuitive, and the platform integrates several functions (scheduling, forms, communication) into one system, which can streamline operations when configured appropriately.

**What do you dislike about IntakeQ?**

We signed up for the Engage feature after it was actively promoted, including through a seminar, with the expectation that it would streamline patient communication. However, the onboarding experience lacked meaningful support, which led to a disorganized and confusing setup from the start.

As a result, the system was configured in a way that did not align with how a single clinic operates—for example, being assigned an excessive number of communication lines that made no practical sense. This was not clearly explained upfront and did not reflect real-world use.

When we reached out for assistance, there was little guidance to correct the setup, and the response to the billing concerns was ultimately dismissive. While the cost itself was not the primary issue, the lack of support, limited willingness to resolve the situation, and rigid handling of the matter were disappointing.

This situation caused significant operational disruption. We had already transitioned our communication workflows to the platform and then had to reverse course, which required additional time, staff effort, and created unnecessary complexity in patient communications.

Overall, while the concept of the feature is useful, the combination of unclear onboarding, poor support, and inflexible handling of issues significantly impacted our experience.

**What problems is IntakeQ solving and how is that benefiting you?**

IntakeQ helps streamline patient intake, documentation, and scheduling by consolidating forms, workflows, and communication tools into a single platform. It allows us to digitize intake processes, reduce manual paperwork, and organize different aspects of the practice more efficiently.

When functioning as intended, it can improve operational efficiency, reduce administrative burden, and create a more structured workflow for both staff and patients.

However, the benefits are highly dependent on proper setup and clear understanding of the system. Without adequate onboarding and support, the complexity of configuration—especially with add-on features—can offset these efficiencies and create additional operational challenges.

**What do you like best about IntakeQ?**

I absolutely LOVE scheduling patients through IntakeQ. 
It makes it easy for me to keep track of our numerous clinics and providers' changing schedules with their "Block Time" feature to remind myself when they have time off or other responsibilities. I use it every day with ease!

**What do you dislike about IntakeQ?**

I have had a couple issues with printing documents and demographic information disappearing, BUT customer support has always been amazing at helping me address any concerns in a timely manner.

**What problems is IntakeQ solving and how is that benefiting you?**

IntakeQ is solving our issue with keeping up with patient appointments and medication all in one platform.

**What do you like best about IntakeQ?**

IntakeQ is very detailed. There is a space for everything a clinician might need -- from creating intake forms and assessments to creating appointments. There is even a way to see invoices.

**What do you dislike about IntakeQ?**

Adding all of the different tools can be a bit confusing. There are often multiple pathways to get to the same destination. There is a slight learning curve for new employees.

**What problems is IntakeQ solving and how is that benefiting you?**

IntakeQ is a very helpful platform for telemedicine. It covers bookings, intake information, documentation, and patient communication. It also includes tool for payment and invoice information which is very helpful when managing a larger caseload.

**What do you like best about IntakeQ?**

IntakeQ provides a simple solution to client forms and notes in a field full of complex and over-featured practice management software. It's easy to create intake forms that clients can complete online, and the option to attach disclosures and other legal documents for digital signature is a great feature that simplifies the intake process even more. Once the client is in the system, IntakeQ makes it very easy to update each client's timeline with notes and other documents. Form and notes templates are simple to create. Most of all, IntakeQ pricing is reasonable and within reach for the small to medium-sized practice, which is this app's main customer base.

**What do you dislike about IntakeQ?**

I wouldn't say I "dislike" anything about IntakeQ; however, I would like to see further integrations with third-party apps, such as Wix Bookings, would make it easier to synchronize appointment times across the services my practice uses.

**What problems is IntakeQ solving and how is that benefiting you?**

Client intake is a tedious process for a small practice. Most of the solutions available are designed for doctor's offices and medical settings with far more features (and a higher price tag). IntakeQ does a great job of meeting the needs of a small practice, and particularly those, like mine, in the alternative health field. They have features for collecting and billing insurance, if your practice needs that; but the software provides plenty of freedom to operate in a professional, medical-like way, whether you are a therapist, coach, or other complimentary/alternative practitioner.

The main problem IntakeQ solves is client information management - as the name implies, online intake is the focus, and this software does a great job. A simple link sent by email or text allows the client to complete and sign their forms online. Once the form is completed, session and treatment notes are organized in a timeline for each client. If you want to provide your client access to a portal for documents and interactions, that option is also available at an additional cost (still reasonable!)

**What do you like best about IntakeQ?**

This is the best platform I've evaluated or used for paperwork from a user and a client experience
All of the features you'd want are included - telehealth, scheduling, access control for groups, credit card and insurance billing
Detailed control over processes, workflows, automation
Data export of reports into CSV and PDF
Full 2-way Google calendar sync
Support is fantastic
Integration with Postmark for using custom email addresses (we used this with Spruce Health and Google Workspace)

**What do you dislike about IntakeQ?**

The platform has moved away from Stripe and Square integrations for new accounts which I think is a downside
Setting it up takes time because it's designed to be highly customizable

**What problems is IntakeQ solving and how is that benefiting you?**

All included mental health platform with integrated billing, telehealth, and paperwork
Ability to scale out to multiple users with administrative supports at an affordable price point
Custom email addresses for appointment reminders  (we used this with Spruce Health and Google Workspace)

**What do you like best about IntakeQ?**

Great product at an affordable price. Ideal for healthcare industry. Very easy to use, with straight forward forms and booking procedures. The use of customizable templates and forms makes the task easier. Calender setup, e-signatures, and sending and editing documents work well.

**What do you dislike about IntakeQ?**

The recurring payment system is unorganized. It works very slowly when tried to operate on mobile. The calendar display may be enhanced. Most of the time, the email is sent to the spam folder.

Improving the performance of application and customer service benefits many users. It saves a lot of time in booking appointments and sending forms quickly and easily. Paperwork has been removed to a great extent.

**What do you like best about IntakeQ?**

IntakeQ is a software that is designed for the healthcare industry but can be customized for any profession. It aims to make the lives of practitioners and clients easier by providing a simple booking process, the ability to share forms, e-signatures, billing, and customizable questionnaires/intake forms. The software is user-friendly, with the ability to customize care plans, weight charts, and billing. The messaging system is efficient and it allows for easy editing of documents and sending them to clients. Additionally, it has a wide range of features including billing, intake, notes, and it also includes a Business Associate Agreement (BAA). While the virtual visit feature has yet to be tested, it appears promising.

**What do you dislike about IntakeQ?**

IntakeQ, designed for the healthcare industry, has some drawbacks that users should be aware of. One such drawback is the learning curve, which is a common issue with many healthcare software programs. The software's navigation can be challenging, and while the provided videos and tutorials are helpful, it could be more user-friendly. Additionally, some users have reported that the software is not very mobile-friendly, which can be a problem for some clients. Another downside is that clients need to be specifically invited to the portal rather than automatically accepted when they book. Furthermore, some users have reported dissatisfaction with the limits on the number of intake forms that can be sent for certain plans.

**What problems is IntakeQ solving and how is that benefiting you?**

As a business owner, I have struggled with obtaining intake paperwork from client families, but IntakeQ has completely solved that issue. It allows for setting appointments in under a minute, rather than the previous 10 minutes. I have found it easy to build custom intake forms and questionnaires. So far, we have not encountered any significant problems, but a benefit is the quick and simple access to our clients. As a lactation consulting business, the convenience of billing through the software has been very helpful. The intake forms are thorough and I believe it helps in arriving at a diagnosis and treatment plan that is more tailored to the client's needs. Additionally, the software is user-friendly, with the ability to create intuitive forms, simple display of daily tasks, and easy integration with other programs.

**What do you like best about IntakeQ?**

What I like the most is that it is straightforward to use; it allows you to share forms, electronic signatures, invoicing and customizable questionnaires in a simple way that you do not need any previous knowledge to use.

For the client, it isn't straightforward since it asks them to register first and sometimes it is not compatible with some phones, and many times they do not understand how to carry out the procedure

It helps decrease the time to set up appointments with clients and create the forms. At the same time, it solves the problem of paperwork and lieutenant, all protected in a single tool

Tried many available options.  IntakeQ seems the most advanced yet simple, will be a great fit to most small health care practices.  Must be patiens and take time setting up to fit your needs.

There is a learning curve, but this will be true with most of the programs in healthcare.

**What do you like best about IntakeQ?**

I love how easy it is to customize care plans, the weight charts, and the ease of billing. Have not tried out the virtual visit features yet so I can't speak to that, but it looks promising. The messaging system works smoothly.

**What do you dislike about IntakeQ?**

It can be a bit of a learning curve to learn the software. The videos and tutorials are really helpful in learning to navigate Intake Q. It could be a bit more intuitive, honestly, that's my only complaint.

**Recommendations to others considering IntakeQ:**

Definitely worth the time to give it a try. May take longer to set up, but once you have it customized to your needs it works well.

**What problems is IntakeQ solving and how is that benefiting you?**

Managing a lactation consulting business. The ease of billing has been really convenient. The intake forms are very thorough and I find this aids in coming to a diagnosis and treatment plan faster that is better suited to the client's needs.

I like how easy it is to make changes to our documents and how easy it is to send out to clients. We use IntakeQ to send out new client paperwork prior to their first appointment

I have heard from clients that it isn't very smartphone-friendly.

Designed for the health care industry, but customizable for any profession, intake q simplifies life for the practitioner and client. Simple booking process, ability to share forms, e signatures, billing, and customizable questionnaires/intake forms are all product highlights.

Clients need to be invited to the portal rather than immediately accepted when they book.

I'm setting all appointments in under a minute rather than 10 minutes. I have easily built custom intake forms and questionnaires.

IntakeQ is very user friendly and has a wide range of capabilities including bulling, intake, noted, etc. BAA is also important.

I dislike the limits on number of intake shou can send for certain plans.
