**What do you like best about Prospect CRM?**

I really like how Prospect CRM is designed for the real-world B2B sales workflows we have, especially for our team working with German Mittelstand and mid-market clients. It’s intuitive and stable, keeping our entire pipeline organized without unnecessary complexity. I find it easy to track leads, log customer interactions, and set follow-up reminders, all in line with the structured and reliable sales approach that German B2B buyers expect. It saves us hours of administrative work each week and keeps us consistent, responsive, and professional with every customer.

**What do you dislike about Prospect CRM?**

One point is that some of the customization options for sales pipelines and deal stages are not as flexible as we would like. We often need to adapt our process for different German industries, but adjusting fields, workflows, and approval steps can feel a bit rigid and sometimes requires extra workarounds. Second, the integration with other tools we use daily—like our email client, marketing automation software, and even Microsoft 365—could be tighter and more native. Right now, some data syncs manually or with small delays, which adds tiny but consistent administrative work for our team. Smoother, real-time integration would help us avoid double-entry and keep all customer information fully aligned.

**What do you like best about Prospect CRM?**

I appreciate how simple, focused, and easy to adopt Prospect CRM is for our sales team. It covers everything we need for B2B pipeline management without being overloaded with unnecessary features. The pipeline view is visual, intuitive, and lets us drag and drop deals through stages at a glance. Our team can easily identify which deals are stuck and where to focus effort, all without any training required. The initial setup was straightforward and simple, much easier than many larger, more complex CRMs we've tried.

**What do you dislike about Prospect CRM?**

The reporting and dashboard customization is not flexible enough. We can only generate standard, pre-built reports, and we can't create fully customized dashboards for sales forecasting, conversion rates, or team performance. To get the insights we need, we often have to export data to Excel and build our own reports. The biggest issue with the current reporting and dashboards is that they're too basic and inflexible for professional B2B sales forecasting and team management. Right now, we can only use pre-built reports with very limited filtering. We can't create custom sales forecasts based on deal stage, probability, rep, or region. We also can't build reports for conversion rates by lead source, sales cycle length by deal type, or revenue by industry—all things we need for our monthly business reviews.

I like how much they promised us in the sales calls.

My experience with Prospect CRM has been profoundly disappointing. The sales team promised the world, but the reality has been very poor. After 4 months of paying in full, I am still battling to get answers, and there is ZERO tangible value. The difference between the sales experience and the actual service is vastly different. It promised to be capable in both B2B and B2C customer data, but its B2C capabilities are almost non-existent. It doesn't integrate with Shopify, so I cannot easily capture online shoppers' data. Settings and configurations have been problematic, as it hasn't been syncing accurately with Cin7. They needed a developer to fix this. A senior person, Daniela Balanescu, has been almost smug in her inefficiency. The initial setup was terrible.

I expected Prospect CRM to be robust in managing both B2B and B2C customer data, but the B2C functionality is lacking, and it lacks integration with Shopify, making online data capture difficult.

**What do you like best about Prospect CRM?**

I particularly like the inventory-aware quoting feature of Prospect CRM. It connects in real-time with our inventory management system to provide accurate quotes only for products in stock, avoiding the embarrassment of quoting for out-of-stock items. This significantly enhances our professionalism in the eyes of our customers. Its seamless integration capabilities across multiple systems are also impressive, perfectly adapting to tools we commonly use, such as Unleashed inventory software and the Xero financial platform, with almost zero data transmission delay, greatly reducing human errors and cross-department communication costs. Additionally, I appreciate its intuitive visual dashboard and precise data analysis features, which allow us to quickly identify high-value customers and develop effective sales strategies. The interface design of Prospect CRM is simple and clear, making it very user-friendly for older team members, and its excellent customer support ensures quick adaptation to new features. Finally, its fast order entry process greatly shortens the order processing cycle, ensuring efficiency in collaboration, which meets the expectations of customers in the German-speaking region.

**What do you dislike about Prospect CRM?**

Marketing functions are weak and difficult to adapt to the diverse marketing scenarios in the German-speaking region: Currently, its core advantage lies in the linkage between sales and inventory, but it lacks marketing-related functions. For example, after participating in large industry exhibitions like the Hannover Messe in Germany, we need to import potential customer leads collected at the exhibition in bulk and automatically trigger personalized German welcome emails, product manual pushes, and other nurturing actions. However, Prospect CRM does not have built-in automated marketing processes of this kind. Additionally, it cannot directly connect with Google Germany or local industry vertical advertising platforms, making it impossible to automatically capture marketing leads and campaign data from these channels. This results in the marketing team having to manually organize data, which is not only time-consuming but also prone to delays in lead follow-up, making it difficult to meet our marketing needs for precisely reaching customers in the German-speaking region.

Prospect CRM addresses the challenges of dispersed customer data and value identification, optimizes the efficiency of sales funnel follow-up, and breaks down the barriers between inventory and sales collaboration. **What do you like best about Prospect CRM?**

I loved the promise of a CRM that focused on retention rather than acquisition, and intergrated with Cin7 Core. In fact, I still love that promise. But we ran into a major snag setting up our demo account – rather than just importing our wholesale customers, Prospect began importing all of our customers, which includes every single DTC and Amazon customer.

It became apparent after about an hour that this was happening and I reached out to customer service using their handy little widget, to ask if they could pause the integration and help me reslove this so we're only looking at wholesale customers. It said to expect a response within 15 minutes. That was three days ago.

I've checked in dilligently each day since then and my messages remain unseen. Meanwhile, the import process, which says it should take a few hours, has been hung up at "50% Complete" the whole time, as it's now imported data for over 80,000 "accounts". You can't actually use the product while it's in the midst of the data import.

On the tech side, I'm shocked there wasn't some way to avoid this issue in the first place. Surely we're not the only omni-channel user of Cin7 Core and no one wants massive amounts of retail customer data muddying up their B2B CRM.

But what's more disappointing is the complete absence of a response from their sales team. I am trying so hard to become a customer of theirs and there's simply no one on the other end to notice. There's a certain amount of irony in this, of course.

One would think that, as the makers of software dedicated to the management of customer relationships, that they would really want to excel in that department. I can't really see any way we could carry on and use them after this. As we who are in the sales business know, you tend to see the very best face of a business when you're being pitched. 

If this is them putting their best foot forward, I'd hate to see what they're like when you run into a glitch during, say month 3 of that 1 year contract they insist on.

**What do you dislike about Prospect CRM?**

The complete and utter inability to engage with someone who works  there. From my impression, it's quite possible that they do not have a team at all. At best, they are poorly organized but, from what I can decipher, it's equally possible that the business has been more or less abandoned.

Sadly, it didn't benefit us at all.

It was easy to sign up and upload data. However, once your data is in the software there are not enough reporting features.

There isn't enough reporting features to ensure you get the data you need to understand what's going on with your sales. Prospect also have arbitrary rules that they don't tell you about when trying to cancel and make it impossible to cancel services.

Prospect didn't solve any of our sales problems, it made it challenging to try and get any useful KPIs.

Their tech support team is great, and their integration with our QuickBooks accounting software has been performing flawlessly. I love the intuitive customization "on the fly" options and their design facilitates one-on-one sales contacts and followup. I am confident it will be a great tool as we continue to build our business.

Documentation could use some building out. Backend database tools aren't always fully functional or intuitive.

It looks like you are using our integration, which is obviously one of our cornerstone USP's but it also sounds, from your comments, like you are using our older, on-premise platform. Many of the issues with installed windows applications are a thing of the past with the new browser based web applications. There is a relatively straight forward migration path for on-premise customers. Even if you've looked in the past, we'd love if you could get in touch and we can show you the latest version of this new product. With a new release every two weeks (yes, really!) our new product is already streets ahead of our older on-premise solutions.

CRM aspects are very strong. Customer report writing and bulk updating of data is an excellent tool. Product details section holds more information than most CRMs, possibly due to the CMS side of it though.

**What do you dislike about Prospect CRM?**

The CMS feels like it is stuck in the past and desperately needs updating or at least opened up to more (native) integrations with purpose-built CMS and e-commerce systems.

As a CRM it allows us to manage our customer database and report and action upon it rather well. It's integration with MailChimp is a time saver for getting campaigns out but could do with more work to open up more of what MailChimp offers.

Our company Becker First Responder Co. found Prospectsoft Ltd as we we were in the search for a new inventory system.  We liked the ability to integrate this CRM with our inventory system, email system and accounting system (QuickBooks Online).  We have been tremendously impressed by the implementation team as we set the entire system up.  As we rolled out the new inventory system, adding Prospectsoft into it was a simple process and all the information came in and didn't require any additional setup.  We love the ability to customize the platform to make it work for our unique terminology and process.

The entire team has been tremendously helpful and would highly recommend.

**What do you dislike about Prospect CRM?**

Being a UK based company the support hours are a little limited for our USA based hours.  Their live chat support provides quick responses to us via email if they aren't available.

Order Management, Sales Team Ranking, Inventory integration/tracking, Forcasting, Quickbooks integration to view accounts payable, customizable to our specific business.

I have used many CRMs in previous companies and have to say this is one of the most efficient. This links to our Sage system really well so I can see all customer info within Prospect and don't have to go back and forward between systems which is really useful and saves so much time.

Yet to find anything. I guess the only issue is if the internet goes down, Prospect goes down but that doesn't happen very often at all.

Prospect has without doubt created a seamless platform for our drinks business where we have greatly benefitted from this fantastic CRM software. It is integrated to Sage and is now central to our daily ordering, stock and invoice system and we wonder how we managed with out it before! I used Prospect in a previous company but it has now evolved into a user friendly system with a fantastic back up support team, always on hand to help and answer queries. From the onset full support is given and the team really know your business. Highly recommend Prospect as a value added tool to any business!

Prospect team has actually taken some critical items we needed, reviewed them, and implemented them in recent updates. The amount of additional resources that we have on Prospect versus our previous CRM software are countless.

We have now been using Prospect CRM for many years. I have always found the technical support very friendly helpful and quick to respond. We have a very niche market in the UK and Prospect CRM has managed to organise our sales and made it very easy to generate quotes which can easily be converted in orders and linked to our accounts package Xero. I would recommend trying to see if it suits your business.

The interface is very user friendly.

A variety of built-in dashboards allow you to easily track, monitor and action opportunities/quotes giving us great oversight at any time of current sales and lead generation.

It integrates with software for producing quotations and marketing communications which are then visible within the CRM providing visibility for all staff members allowing us to provide the best service.

The team are super helpful and responsive to any queries we have and do all they can to find an appropriate solution.

The Support from the Team at Prospect is second to none. We now have multiple sales pipelines that mean we are getting better conversation rates. The Templates for quotes, sales orders are great. They are constantly improving the system. They have an ideas portal that enables you to add an idea for an improvement and or vote on ideas for the future development.

Documents layouts are hard to master, but the support teams are there to help and are always a pleasure to talk to. The Stripe portal needs some improvement to make the reconciliation easier.
