The way that documents are integrated and can be associated with accreditation assessments is awesome. I'm only doing the work once, and proving the accreditation standards with real work in real time. By requiring signatures for all polcies, I know that thjey have been acknowledged, and changes are sent for review quickly, without printing copies for everyone, or relying on email for notification. Training is easy to set up, even faster to duplicate, and can be assigned quickly to users. **What do you dislike about PowerDMS by NEOGOV?** The only downside is that PowerDMS has more features than most people will grasp immediatley. It is a very organic experience, and users will exapnd trheir abilites to realy get the most from the product over time. **What problems is PowerDMS by NEOGOV solving and how is that benefiting you?** The main problems solved with PowerDMS are accountability, communication, and accessability of information. We have digitized tens of thousands of documents, reduced the need to ask others for documents that should be available to all (or those within a work group), and, by using certificates, have eliminated the need to remember when recurring tasks have to be performed. PowerDMS simply tells you when theses tasks are due. Once acomplished, your timer is reset, and you can carry on until the next notification period. ### 2. If we feel like something is needed to be added or changed they listen and do the research on it. They have many different kinds of customers to please and they do a darn good job. Customer service is stellar. They get back to you if they can't fix something immediately and actually follow up to make sure things are working as needed. **What do you dislike about PowerDMS by NEOGOV?** I wish certain parts of the "courses" options could be changed to invisible or visible. and this is me being super picky about something I dislike. **What problems is PowerDMS by NEOGOV solving and how is that benefiting you?** We are able to put all the important documents and training in one place. We are also able to prove that our users have read and covered what is required of them. We are able to prove required state training is completed. Having a single source of data for tracking purposes is quite beneficial! **What do you dislike about PowerDMS by NEOGOV?** To be quite honest, the sole "negative" in my perspective is that the program occasionally times down when I am really performing a task, such as examining a paper. When you scroll down the page, it doesn't appear to register that you're doing so. We have not had any complications, and it has been helpful for ALL staff in general; they can access the documents concerning their functions and view their content within the same software. The ease of use makes this a highly powerful tool that is only limited by your creativity in how to use it. **What do you dislike about PowerDMS by NEOGOV?** Reporting is somewhat limited, in my opinion. I really haven't found anything that I couldn't find a work around for, or anything that simply modifying how "things have always been done" to fit a better model of best practices didn't solve. Some of the safety features that are built in to maintain audit trails and preserve integrity can be frustrating, despite the fact that they make sense. The one thing that I have disliked is that I cannot remove a user's signature from a policy if we require them to review and re-sign it for any reason. I either had to create a new version of the document (thus requiring EVERYONE to re-sign) or I had to archive and recreate the user. Also not practical. This is something I wish there were a more practical solution to solve. **What problems is PowerDMS by NEOGOV solving and how is that benefiting you?** We have been able to completely modify how we disseminate information with a huge increase in efficiency and effectiveness. As an administrator, the ability to track certificates, training, and a wide variety of other documents has given us a single-spot repository that can be accessed from anywhere. No longer do we have to chase paper documents in filing cabinets or ask various offices to chase things down. Every day we are trying to find new ways to use PowerDMS to track things we are already doing. ### 11. It is an easy software to learn and has been very well received by our organizations. **What do you dislike about PowerDMS by NEOGOV?** On rare occasions, PowerDMS language for specific types of activities can be confusing however; it is not a steep learning curve. **What problems is PowerDMS by NEOGOV solving and how is that benefiting you?** The Buckeye Police Department uses PowerDMS to manage both the CALEA Law Enforcement and Public Safety Communications Accreditation programs. The software has allowed us to maintain accreditation related documents, videos and sound bytes in one central area that provides rapid retrieval. Additionally, we store all policies, standard operating porcedures, training courses and records, inventories, forms and critical maps within the system. As PowerDMS is a cloud based system, this allows our officers to quickly retrieve critical document in the field. It seems that on a weekly basis we learn more ways to maximize PowerDMS for the benefit of the organization. The use of this system in the policy development, review and approval process alone has saved the organization money, in the form of no paper, and time. We are now able to take a policy from draft stage to publication in as few as a hours for a critical, life-safety policy to two-weeks for other routine policies. In the past, this process took up to one month and often times longer, to achieve. ### 13. We can easily update accreditation assessments when policies and forms are revised. The software alerts users when documents have been revised and need to be updated in the accreditation assessment. Recently, out agency also began using the training module. This is also extremely beneficial due to the ability to compile training records and certificates for many of the accreditation standards’ required proofs. **What do you dislike about PowerDMS by NEOGOV?** I really don't have any negatives. The company is extremely open to customer feedback and is continually adding features that customers have recommended. One of our team members has participated in a couple of usability sessions with the development team. They are awesome. The reporting functions of the training module could use the addition of some user designed fields. I am constantly learning new things. By being able to customize so many areas, this means there is more to learn and understand. Ability to run reports. Don't be afraid to contact support. The data is available on the website but cannot be easily downloaded into a spreadsheet which makes documenting the time tedious. **What problems is PowerDMS by NEOGOV solving and how is that benefiting you?** We have saved A TON of paper with PowerDMS, nearly 550 trees so far and that is great to see. PowerDMS allows the agency to specifically assign items to groups or individuals based upon their duties within the agency; PowerDMS also provides the agency with a unique and easy process to update written directives - making our internal process much more efficient. ### 38. The standards and accreditation portion has been a lifesaver for AAAHC surveys. **What do you dislike about PowerDMS by NEOGOV?** I find the course/training area to be a little bit hard to use. As an organization, we chose to skip using that function for now. **Recommendations to others considering PowerDMS by NEOGOV:** I would 100% recommend PowerDMS to anyone needing policy management and organization. Also, if you are an accredited agency, this is extremely helpful! It shows up the next day, but is a little frustrating. **What problems is PowerDMS by NEOGOV solving and how is that benefiting you?** I am now able to get through document approval workflows really quickly and without having to email reminders to people all the time. Not only does the company offer guided and video walkthroughs of the basics, it has advanced feature tutorials and user led specific guides that are insightful and helpful. In the past we would send a document/policy out for our administration to review and would sometimes never hear back from a specific people or get a response such as I never received it. Now with PowerDMS once you add a workflow to a specific document for review you can assign it, audit where it is, who has looked at or commented on it, and even set deadlines or push it through if it is not moving along. **What do you dislike about PowerDMS by NEOGOV?** I don't have any dislikes I just wish our agency would utilize PowerDMS to its full potential. **Recommendations to others considering PowerDMS by NEOGOV:** Don't think about too much. Buy in and see all that PowerDMS can do for your agency and needs. **What problems is PowerDMS by NEOGOV solving and how is that benefiting you?** Being able to track who has looked at and signed off on a policy within our agency, Being able to have the ability to create courses online and quizzes that occur annually and can be set up so that once it's completed you don't have to worry about it again until the next year when it will pop back up in a users box to be completed again the next year.
