It centralizes expense workflows, mission and trip administration, and vehicle-fleet tracking to reduce manual reconciliation and improve policy control across organizations. In everyday operations employees capture receipts by photo or enter expenses in real time via mobile; travel managers create and validate mission orders and bookings; finance teams route approvals, detect duplicate or incorrect receipts, calculate mileage allowances automatically, and export validated data to accounting systems. The fleet module consolidates vehicle data, tracks TCO, maintenance and fines, and provides centralized dashboards for operational oversight. Used by Spie Batignolles and Legrand, Cegid Notilus offers a number of key capabilities: • Centralize and manage employee expenses and approvals across teams • Digitize receipts with mobile photo capture, OCR and duplicate detection • Automate mileage allowance calculations and policy checks • Generate compliant expense claims from receipt images using AI • Provide legally valid archiving (10-year evidence retention) • Consolidate travel orders, bookings and supplier invoicing workflows • Centralize fleet data with dashboards for status, maintenance and TCO The platform is modular and designed to scale: it aims to reduce manual processing time, improve compliance and auditability, and deliver clearer operational visibility for finance, HR and travel operations. ## Cegid Notilus Reviews ### 1. Poor ergonomy **Rating:** 1.5/5.0 stars **Reviewed by:** David L. | Project Manager, Mid-Market (51-1000 emp.) **Reviewed Date:** January 17, 2019 **What do you like best about Cegid Notilus?** The desktop website do the job but is completely old fashioned The responsive web app looks good and is easy but you need to use a special link to add a shortcut on your mobile homescreen. Worklfows are ok **What do you dislike about Cegid Notilus?** Using desktop web app is not easy. The look and feel is 1990s, not easy to fill the fiels especially when it has restricted choices. There is no combobox/dropdownlists. The app doesn't accept pdf files to justify our expenses. The Mobile webapp shortcut sometimes break up **Recommendations to others considering Cegid Notilus:** Should consider an other product. There is no native Mobile App and the UX is a disaster. User adoption was difficult especially because the UX is bad and you can't use the app without being trained. So we have to make many training sessions. This is not a self supporting tools. If you want to manage expenses with smartphone it should be verry difficult. I suggest you to use a real mobile first solution. **What problems is Cegid Notilus solving and how is that benefiting you?** Expense management was previously managed by Excel files and with a paper workflow. We realized a quick benefit. Expenses filled in the app follow a workflow. Once the workflow validated my management, it goes automatically in our accounting software. The Accountancy service save a lot of time. We have less loss of receipts and less paper printed to validate expenses sheets. We also reviewed our expenses policy and the tool manage automatically this policy, including mileage`; ### 2. Except that point, I do not find any real functionality where Notilus make it great. You can maybe add the fact that it is pretty compliant with old architecture and materials (including old web browsers, like old Internet Explorer ). **What do you dislike about Cegid Notilus?** Notilus is not a 2018 tool. Nothing in ergonomy, display, accessibility is ok now. It has not correctly evolved. Notilus is not user friendly, and it is not either administrator friendly. Eventually, response times are not good at all. Core of the software must be deeply improved. For the moment (August 2018) and in my opinion, it does not go in the right direction. **Recommendations to others considering Cegid Notilus:** Keep informed about last versions (their improvements and new functionalities, but also what has been removed); I do not think it is always a good think to use this last version, maily because I do not agree with current direction Notilus goes to. Keeping old version can be sometimes sufficient (if you can keep it). **What problems is Cegid Notilus solving and how is that benefiting you?** One tool has replaced three softwares - we have realized benefits in our Information Technology architecture, in our support teams for these tools.
