It alters a regular Google Drive setting into a document management system that is compliant, but this is without enforcing a new interface to users. It serves as an invisible compliance layer. The differentiating factor here is the metadata engine. We can impose tagging and retention rules on files that are native on Drive, which wouldn't be done with the default tools of Google. It enables us to process documents as data points and not files. **What do you dislike about AODocs?** There is a slowdown in performance when you are navigating through folders containing thousands of files. The interface wrapping can occasionally have trouble displaying large lists of files as fast as the native Drive UI, and thus can experience a bit of friction on hectic audit days. **What problems is AODocs solving and how is that benefiting you?** We have migrated our technical specifications (legacy) using it. We established a workflow such that a document cannot be published until the metadata has been verified and a peer review is done. It prevented the production of specs that were not officially verified. ### 2. I like the option to use scripts to automate values, titles, etc. It is great to be able to extract automatically the database in a Google sheet with periodicity and then link it to a Data Studio dashboard to get analytics and visualizations. **What do you dislike about AODocs?** It does not have check boxes. The predefined values fields are ok, but when selecting a 2nd level, the selection and visualization is not user friendly. I would like to have more flexibility to design the section where the user has to enter the property values. Titles in bold, increase font, color selection, I would like to have more learning content with real examples and videos. **What problems is AODocs solving and how is that benefiting you?** Automation of document management. It is flexible when it comes to adding metadata and defining worfklows. The new API is easy to use and reasonably documented, which will make AODocs easier to work with. **What do you dislike about AODocs?** It isn't easy to get files out of AODocs. Exporting more than 30 files becomes very time consuming. This makes AODocs not suitable for those developing large technical files. The basic package (already expensive) doesn't allow the insertion of fields (e.g. document title, etc.) directly into documents which is also a critical part of managing large technical files. Templates are not shared across libraries which makes this hard to scale to multiple projects. It is not possible to link documents across libraries which makes it hard to manage a multi-project QMS. AODocs has bulk updater which doesn't work well with large datasets. Loading a document in a library can still take up to 20 seconds. Technical and commercial support is not responsive. Developing custom scripts requires a lot of guesswork as the documentation set is poor. They generally just want to sell you piecemeal extensions. For a small company, these are often equivalent to hiring someone to do the job manually making it very hard to justify. Overall, I think we've spent longer trying to work around AODocs limitations than if we'd just developed something simple suited to medical device QMS from commonly available tools. **What problems is AODocs solving and how is that benefiting you?** AODocs acts a version control system and our approval system for ISO13485 compliance. Although it allows us to tick that box, it is not necessarily providing the value that we might expect in terms of reducing the overall time spent controlling a more manual system. Document assembly is extremely challenging. ### 8. Programmers make changes to the effect location of features and no notice is sent out. Usually, not an issue but a heads-up would be nice that something has changed. Because this program is easy to use more people are using it. Our document control is better and takes less tie to updates and maintenance. The Feature Requests forum is a nice idea, but many good upvoted suggestions don't seem to make it onto the roadmap. This is the area where customers convey what they want / need - would be good to give this a bit more priority. **Recommendations to others considering AODocs:** Give it a go. Even better: it doesn't allow users to add other users so whatever security policy the admin has in mind is always enforced. **What do you dislike about AODocs?** The UI is very cumbersome to use. For example, to move a file to a sub-folder you just created might take anywhere from 5 to 10 clicks. Often times, users mess up because of the unintuitive UI and cannot fix it because they don't have the permission, leaving the admin to do tons of clean up work. **What problems is AODocs solving and how is that benefiting you?** The main problem we're solving is implementing a security policy at the folder level so that each team or organization can access its docs but no one else. Being able to trust a computer/software to do this is much more reliable than requiring humans to implement the policy. ### 21. However the solution proposed is not enough. Our Database which has links to AODOCs documents can not work properly due to recent new AODOcs release. the Links have changed and we can not change thouthands of links in our tools due to that issue the reliability of our tools as well as the validity are questionnable. we are not sure that links address can be impacted by another AODOCS release. I don't see it as mature as SharePoint. Implementation is quick and you may have an stable app within a few steps. ### 31. The same thing is true for creating new workflow states. The create new workflow is not locked at the top of the screen so when you scroll down, the name (title) of the workflow and "Visualize" disappear as if it is part of the workflow scrolling. **Recommendations to others considering AODocs:** If you are looking to streamline your processes, AODocs is the application to use. **What problems is AODocs solving and how is that benefiting you?** With the ability to create your own document classes and workflows, AODocs can be your one-stop-shop location for many different processes. ### 32. It is simple to use and easy to figure out if you don't know how to use it. I have mostly taught myself everything just by fiddling around in the AODOCS and figuring it out. It has lots of different nice features. **What do you dislike about AODocs?** I dislike how many different drawbacks or things you can't do with AODOCS. For instance, You can't use a DMS in google drive. We were also promised a lot of features before we bought it that turned out not to be true. The implementation and setup are tedious and confusing. It makes it difficult to import everything over to google drive and AODOCS because you have to be the owner of the document in order to move it, perhaps they can change that. **Recommendations to others considering AODocs:** If you are looking for greater control over your documents or looking to establish a DMS AODOCS serves that purpose. Be sure to research thoroughly what is actually does and doesn't do before you get and realize it doesn't exactly work the way you need it to. The process is automated, which is nice. AODOCS is also a central location that we can store all our documents which has created better document control. Another benefit of AODOCS is that when an employee quits we don't lose all of his shared google documents because the documents are not owned by him but by the storage account. Most of the problems that I have with AODOCS is that most people don't like new things and have shied away from implementing it and using it to its full capabilities. ### 38. In our case, it is campus-wide and allows everyone on campus to easily maintain access to their documents and projects from anywhere; while allowing for appropriate user permissions. The best part for me is its synchronicity to my "Finder" on my Mac so I can access my Google Drive files like you access any other file from the computer. **What do you dislike about AODocs?** It does not allow you to have a working document without "pulling it down" from the cloud and "saving and uploading" the newer version. So if you don't save it properly, or if someone else is accessing the document at the same time, they will not see your changes, or even be made aware that there may be another version currently being checked out in another location. **Recommendations to others considering AODocs:** Great if your organization can still come up with business standards as to how to properly maintain "master-files" and notifying others when checking out files (much like checking out different branches in software design) **What problems is AODocs solving and how is that benefiting you?** There is now a streamlined way to access company-wide files, from anywhere, at any time. It easily increases security of documents stored in Google Drive and ensures that even if users delete documents, they're still available to the organization. **What do you dislike about AODocs?** Some of frustrations we have with AODocs surround the challenges with having different document permissions within a library. Ideally, a folder could have one set of permissions, however certain other docs within could be further restricted. The way it seems to work is that you can loosen restrictions the deeper down you go, but you cannot tighten the permissions.
