What I like best about AODocs is its seamless integration with Google Workspace, which makes document management structured yet flexible. It provides strong version control, workflow automation, and access management while still being user-friendly. One drawback of AODocs is that the initial setup and customization can feel complex, particularly for new users who don’t have technical support. The interface is functional, but at times it feels less intuitive than more modern document management platforms. This tool imposes the required order on the haphazardness of cloud storage. It alters a regular Google Drive setting into a document management system that is compliant, but this is without enforcing a new interface to users. It serves as an invisible compliance layer. The differentiating factor here is the metadata engine. We can impose tagging and retention rules on files that are native on Drive, which wouldn't be done with the default tools of Google. There is a slowdown in performance when you are navigating through folders containing thousands of files. The interface wrapping can occasionally have trouble displaying large lists of files as fast as the native Drive UI, and thus can experience a bit of friction on hectic audit days. Honestly, nothing negative to add. Havng worked on Microsoft SharePoint for more than a decade, I find AODocs and the Google plateform far more enjoyable to interact with. Review collected by and hosted on G2.com.

A lot of flexibility to design the workflow, assignment of roles, actions and permissions. I like the option to use scripts to automate values, titles, etc. It is great to be able to extract automatically the database in a Google sheet with periodicity and then link it to a Data Studio dashboard to get analytics and visualizations. It does not have check boxes. The predefined values fields are ok, but when selecting a 2nd level, the selection and visualization is not user friendly. I would like to have more flexibility to design the section where the user has to enter the property values. AODocs integrates with google drive as well as being useful for microsoft office documents. It is flexible when it comes to adding metadata and defining worfklows.

It isn't easy to get files out of AODocs. Exporting more than 30 files becomes very time consuming. This makes AODocs not suitable for those developing large technical files.

The basic package (already expensive) doesn't allow the insertion of fields (e.g. document title, etc.) directly into documents which is also a critical part of managing large technical files.

Templates are not shared across libraries which makes this hard to scale to multiple projects.

It is not possible to link documents across libraries which makes it hard to manage a multi-project QMS.

AODocs has bulk updater which doesn't work well with large datasets.

Loading a document in a library can still take up to 20 seconds.

Technical and commercial support is not responsive. Developing custom scripts requires a lot of guesswork as the documentation set is poor. They generally just want to sell you piecemeal extensions. For a small company, these are often equivalent to hiring someone to do the job manually making it very hard to justify.

Overall, I think we've spent longer trying to work around AODocs limitations than if we'd just developed something simple suited to medical device QMS from commonly available tools. Review collected by and hosted on G2.com.

Easy to use. Documents are secure, controlled, and still available to view by all staff. Google-based so all history is maintained. So the programmers listen to our suggestions and have adapted the program to our needs. Review collected by and hosted on G2.com.

No notice of developmental updates. Programmers make changes to the effect location of features and no notice is sent out. Usually, not an issue but a heads-up would be nice that something has changed. This is still happening - no updates are given when changes are made to the system.
