**What do you like best about Whale?**

Boards, Libraries and Playbooks help to keep company training in one place for each department, and it lets you generate videos, SOPs, and quizzes for each topic, among other materials.

**What do you dislike about Whale?**

So far, there’s nothing I dislike about Whale. I can’t think of any issues or areas that need improvement at the moment, but I’ll definitely share feedback in the future as part of the improvement process.

**What problems is Whale solving and how is that benefiting you?**

The product we were using for documents, training, and tracking wasn’t very efficient. Since implementing Whale, everything is now in one place, and it feels much more efficient and well managed.

You’ve nailed exactly what we want Whale to be for teams. One place where training actually lives and makes sense. Boards, Libraries, and Playbooks are there to give structure to what is usually scattered across tools, folders, and outdated docs. When each department has its own clear space, everything just clicks faster.

Love that you’re using Whale to create not just SOPs, but also videos and quizzes. That combination is powerful. It turns static documentation into real training experiences that people can actually follow, learn from, and retain. That’s where we see teams go from “we have documentation” to “our team actually knows what to do.”

And your point about replacing a less efficient system hits home. A lot of teams come to Whale because their knowledge is spread across multiple tools, hard to maintain, and even harder to use. Also appreciate the note on not having any dislikes so far. We won’t get too comfortable though. We’re constantly improving the product, especially around scaling content, keeping things easy to manage, and making training even more engaging.

**What do you like best about Whale?**

I like how Whale makes all the SOPs formalized with standard formatting and serves as a central point for team members to look for SOPs. It's easy to use and search, thanks to its really quick AI mode. The easy login using SSO via Google is great, letting me use one login for all different applications. The AI search mode is helpful for finding any SOP among hundreds of thousands of documents. Also, the support team is really helpful in implementing any suggestions we might have.

I use Whale to formalize SOPs with standard formatting, making them centralized for team access. Its AI mode is quick and easy to search through numerous documents. Google SSO makes login simple, reducing the need for manual SOP creation.

Love that you’re seeing value in the AI search. That’s one of the biggest shifts we’re pushing. SOPs are only useful if people can *actually find and use them*. Alice is built to cut through all the noise and just give you the answer, instantly.

Also great callout on standardization. Having SOPs is one thing, having them structured, consistent, and easy to follow across teams is a completely different level. That’s where you start seeing real impact in onboarding, quality, and day to day execution.

Logging into five different tools just to do your job should not be a thing anymore. The smoother we can make access, the more your team actually uses the content.

The fast response time, the system ease, and the onboarding service. 
Plus, we like the feeling we always have one person that is right around the corner to help us. 
Also, the pricing is not too high, which is always a great plus! :)

I don't have any points of dislike - yet. ;) 
The Whale plugin could use some overall stability, but we haven't used it that much yet, for my judgment to be fair.

I find Whale easy to use, and I'm excited about its huge potential moving forward. The initial setup seemed quite simple, making it user-friendly from the start. It's effective for searching documented processes and watching monthly meetings, which streamlines information access for employees. Instead of needing to ask several people or managers, having a single resource for documented processes is a significant convenience. After switching from SharePoint, where the interface was challenging to navigate, Whale has been a refreshing change.

As a Medical Spa that has expanded from five to nine locations over the past two years, with no intention of slowing down, we've found Whale to be incredibly helpful. We have created 490 Standard Operating Procedures via whale, and the majority of our team uses Whale during every single shift. It allows our employees to quickly access the most important information exactly when they need it. They can simply ask Alice, the AI tool, any question, and she responds with answers drawn from our own documents. We've implemented a variety of software solutions, but Whale has easily been the smoothest and most well-supported rollout I've experienced. While many other platforms claim to offer customer support, it often becomes difficult to get real help once the paperwork is signed and payment is made. In contrast, I have a single point of contact at Whale who consistently provides answers faster than I expect. The platform is extremely user-friendly and has truly been a game changer for our company.

I cannot think of any downsides at this time.

I use Whale for creating company handbooks, regulations, how-to's, and manuals. I love that it provides a streamlined way of documenting everything on a single platform, which makes it easy and quick to make guides, saving us time. Whale's feature of creating a step-by-step plan with screenshots by just following my screen movements is fantastic. This feature probably saves me an hour of time for each guide. I also found the initial setup of Whale to be super easy.

Access management could go to a deeper level, for example the lowest level can't be hidden from certain users, so we need to create a new playbook for those hidden manuals.

Whale solves the problem of answering repetitive questions and provides a streamlined platform for documentation. It makes creating guides quick and easy, saving me an hour per guide.

Whale supports training my merchandising teams with its AI function and video feature that breaks down training step by step. I love the ease at which we can create training flows and appreciate the quizzes that ensure merchandisers understand the assignment. I am very happy with the support we receive from Stino if we have questions. The initial setup of Whale was very easy, and we were given the support we needed.

I would like to see a function where multiple pictures could be added into a training flow side by side and you could edit the pictures.

So far, the only downside I’ve noticed is that I can’t edit videos within the application.

Also love what you said about bringing consistency. That’s such an underrated problem. When training lives everywhere and everyone documents differently, things break fast. Having everything in one searchable place, with AI helping standardize it, is where teams really start to scale without chaos.

Now on the video editing part… you’re not wrong 👀

But good timing, because this is something we’re actively working on. Video is becoming a bigger and bigger part of how teams document and train, and being able to edit directly inside Whale is definitely on the roadmap (and coming sooner than you think).

**What do you like best about Whale?**

I like that Whale is very user-friendly and super easy to use. It's not complicated at all, which makes uploading and finding things straightforward. The tagging system is fantastic; when I upload something to a library or playbook, I can tag it with keywords, and later on, I just type a keyword to find everything related to it. I also appreciate how the interface makes onboarding simple, with libraries and playbooks clearly laid out. I can create libraries for specific departments and then playbooks and cards within those libraries without any hassle. It doesn't force me to use features I don't need, which is great. Overall, it's just super easy and fits well with the vocabulary and keywords we already use in our company.

**What do you dislike about Whale?**

When I upload videos in Whale, it does take a little time, which I guess is understandable, but sometimes it says there's an error even though the video successfully uploads. It's kind of confusing, so I think the interface could use some work. Also, when you start to record, there's no signal like a countdown or a voice saying 'recording started,' which would be helpful. Another thing is, when you select a window to record, you can't switch between windows, which is tough if you're using multiple windows.

Whale helps me organize processes centrally and user-friendly, with AI to understand important steps. It lets me upload step-by-step processes, record, and utilize a tagging system for easy searching. It's super easy and doesn't require using unneeded features.

When I upload pre-existing documents, they don’t come through formatted correctly. Having to reformat everything is a real pain, so I usually end up recreating the document instead of uploading it.

What I like most about Whale is how easy it is to use. I saw this firsthand when I started a new job with no prior familiarity with the platform. The Whale cards and playbooks made it straightforward to understand our processes, and I was able to start creating SOPs quickly.

There isn’t anything major I dislike, but I do think the platform could improve its search and navigation so it’s quicker to find specific content, especially as more documentation gets added.

When I received training, I was assigned all the relevant cards with the information I needed, including clear SOPs. Whale is very easy to use in my everyday workflow. I love having the extension right there in my browser, because it’s always accessible whenever I need it. The AI built into Whale is also helpful for finding whatever resources I’m looking for.

I don’t like that the AI agent’s memory isn’t saved, because every time I open it, it feels like a completely new conversation.

Clear, 'fun' layout and formatting.
Minimalistic style - not busy visually.
Easy to refer to other SOPs and people within a SOP.

Lots of features like checklists, org charts, multiple departments, security groups.
Has its own screen and step recording tool very handy for recording new processes.
Didn't take long to set up and get running - I have several people adding their own SOPs now.
Customer support is excellent even when we are in a different timezone (NZ vs Belgian)
Our team uses Whale every day, some more than others. 
It was a critical tool used for training our temporary staff when our main Admin staff went on maturity leave.
I understand Whale can be integrated with other software, but I have not had a chance or reason to do so.

The same checklist can not be shared with other users for visibility when being "run". However this is in the development pipeline.

We used to have all our SOPs in Microsoft Word documents which were saved on our server. 
The problem with that was that it was really hard to find the document you need to use without opening each document and checking.
The search function in Whale is really good in that it can search as you type and 'reads' inside the SOPs rather than the titles. Alice the AI assistant looks to be a really good tool, however I as an administrator have not used this feature a lot.
Another problem solve is accessibility to the entire team. Anyone can use Whale either on their browser or in the mobile app. Previously, to access our documents, you had to log into the server (if not in one of our branches) and then trawl thru the documents. Add to this mix, the different formatting options used by various staff members.

'Ive been using Whale extensively, and it's truly transformed the way I work. The documentation I’ve added to Whale is now clearly structured and easy to maintain, and Alice—their smart assistant—is incredibly helpful when it comes to locating information quickly.
Navigating the platform is simple and intuitive. As a trainer, my job has become significantly easier. I can build a full training flow and assign it to a new joiner with just one click.
The analytics tool is another major plus—it allows me to monitor task completion across the team, which is invaluable for tracking progress during onboarding and beyond.
Lastly, the support from our Customer Success Manager has been outstanding. They genuinely listen, pass on feedback to the developers, and—most impressively—feature requests actually get implemented.

**What do you like best about Whale?**

One of the major challenges we've faced as a company is the rollout and management of our Standard Operating Procedures. Writing them is hard enough, but managing their versions, assigning them, and monitoring completion requires a full-time role. We were faced with the choice of hiring an additional Human Resources person and tasking them, strictly, with maintaining our SOP library and ensuring our employees were trained  up on the current versions of our SOPs.

This would have been foolish, as it would have required an additional salary, manual tracking, and removes the department managers from having direct visibility of their staff's training levels.

Whale offered an incredible suite of features that exactly mitigates this. It allows us to write our SOPs, assign them to people (at an individual or group level), track their progress through a dashboard, and allow for automation revision tracking, at the cost of well below an additional person's salary. It really provided us with exactly what we were looking for. 

The integration team has been great with taking our existing SOPs (PDF documents as well as documents hosted across other platforms) and merging them into cohesive libraries within Whale. Any questions we've had have been answered, almost immediately, and they continue to support us whenever we need it. I can't speak highly enough of them!

**What do you dislike about Whale?**

Like any platform, there is a learning curve. Some things aren't as intuitive as others. For example, the Checklists are found under "Training", rather than their own heading. This is a minor gripe, rather than anything really negative. I'm quite pleased with the system, overall.

**What problems is Whale solving and how is that benefiting you?**

We were having a major problem managing which trainings are required for which roles. With "Training Paths" we're able to set up a training for each role. This way, when we hire someone, we're able to assign them the corresponding path and the training takes care of itself!

The program is very user-friendly. We have recently just signed with them and our managers have started adding our content. We had another online training manual and moved over to Whale. Whale was able to take our prior content and upload everything into editable documents for us. So amazing. We were worried we would have a struggle with having to get our prior content moved over, but it was easy and stress free. We have not yet implemented the program for our employees, but I think they will agree that it's very easy to use, and nice to look at!

The support team is amazing, and onboarding the solutions was very easy. The integration with all of our other productivity solutions is a breeze.

The AI solution does not seem to be fully baked. User access controls are limited to the highest tiers. Making it challenging to restrict user access in a smaller company environment.
