You’ve nailed exactly what we want Whale to be for teams. One place where training actually lives and makes sense. Boards, Libraries, and Playbooks are there to give structure to what is usually scattered across tools, folders, and outdated docs. When each department has its own clear space, everything just clicks faster.

Love that you’re using Whale to create not just SOPs, but also videos and quizzes. That combination is powerful. It turns static documentation into real training experiences that people can actually follow, learn from, and retain. That’s where we see teams go from “we have documentation” to “our team actually knows what to do.”

And your point about replacing a less efficient system hits home. A lot of teams come to Whale because their knowledge is spread across multiple tools, hard to maintain, and even harder to use. Bringing everything into one place, with structure and consistency, is where the real efficiency gains show up. Faster onboarding, clearer processes, and way less back and forth internally.

Also appreciate the note on not having any dislikes so far. We won’t get too comfortable though. We’re constantly improving the product, especially around scaling content, keeping things easy to manage, and making training even more engaging.

What do you like best about Whale?

I like how Whale makes all the SOPs formalized with standard formatting and serves as a central point for team members to look for SOPs. It's easy to use and search, thanks to its really quick AI mode. The easy login using SSO via Google is great, letting me use one login for all different applications. The AI search mode is helpful for finding any SOP among hundreds of thousands of documents. Also, the support team is really helpful in implementing any suggestions we might have. “Hundreds of thousands of documents” and still finding what you need in seconds… yeah, that’s exactly the kind of chaos we’re here to clean up 😄

Love that you’re seeing value in the AI search. That’s one of the biggest shifts we’re pushing. SOPs are only useful if people can *actually find and use them*. Alice is built to cut through all the noise and just give you the answer, instantly.

Also great callout on standardization. Having SOPs is one thing, having them structured, consistent, and easy to follow across teams is a completely different level. That’s where you start seeing real impact in onboarding, quality, and day to day execution.

And yes to SSO 🙌

Logging into five different tools just to do your job should not be a thing anymore. The smoother we can make access, the more your team actually uses the content.

Really appreciate you mentioning the support team as well. We take that seriously. If you’re building your internal knowledge hub on Whale, you shouldn’t feel like you’re doing it alone.

From what you’re describing, you’re already using Whale the way it’s meant to be used:

* Centralized knowledge

What do you like best about Whale?

As a Medical Spa that has expanded from five to nine locations over the past two years, with no intention of slowing down, we've found Whale to be incredibly helpful. We have created 490 Standard Operating Procedures via whale, and the majority of our team uses Whale during every single shift. It allows our employees to quickly access the most important information exactly when they need it. They can simply ask Alice, the AI tool, any question, and she responds with answers drawn from our own documents. We've implemented a variety of software solutions, but Whale has easily been the smoothest and most well-supported rollout I've experienced. While many other platforms claim to offer customer support, it often becomes difficult to get real help once the paperwork is signed and payment is made. In contrast, I have a single point of contact at Whale who consistently provides answers faster than I expect. I use Whale for creating company handbooks, regulations, how-to's, and manuals. I love that it provides a streamlined way of documenting everything on a single platform, which makes it easy and quick to make guides, saving us time. Whale's feature of creating a step-by-step plan with screenshots by just following my screen movements is fantastic. This feature probably saves me an hour of time for each guide. You’re basically describing exactly what we want Whale to be: one place to document everything, without it turning into a time-consuming project. Hearing that you’re saving up to an hour per guide with the step-by-step recorder… that’s huge.

Also love that you called out the ease of setup. Getting started should feel effortless, not like another tool you need training for.

On access management, that’s very fair feedback. We know there’s more depth we can unlock there, especially when it comes to structuring visibility without needing workarounds like separate playbooks. This is definitely something we’re continuing to improve.

And the fact that Whale is helping reduce repetitive questions? That’s the dream. More time doing actual work, less time answering the same things over and over.

Making adoption feel easy is a big focus for us. Because even the best tools fail if teams don’t actually use them. So hearing your team got up and running smoothly is a big win.

Also love what you said about bringing consistency. That’s such an underrated problem. When training lives everywhere and everyone documents differently, things break fast. Having everything in one searchable place, with AI helping standardize it, is where teams really start to scale without chaos.

Now on the video editing part… you’re not wrong 👀

But good timing, because this is something we’re actively working on. Video is becoming a bigger and bigger part of how teams document and train, and being able to edit directly inside Whale is definitely on the roadmap (and coming sooner than you think).

The goal is simple:

Record → edit → turn into SOP → share

All in one flow, without jumping between tools

So stay tuned on that one.

What do you like best about Whale?

I like that Whale is very user-friendly and super easy to use. It's not complicated at all, which makes uploading and finding things straightforward. The tagging system is fantastic; when I upload something to a library or playbook, I can tag it with keywords, and later on, I just type a keyword to find everything related to it. I also appreciate how the interface makes onboarding simple, with libraries and playbooks clearly laid out. I can create libraries for specific departments and then playbooks and cards within those libraries without any hassle. It doesn't force me to use features I don't need, which is great. Overall, it's just super easy and fits well with the vocabulary and keywords we already use in our company. Review collected by and hosted on G2.com.

What do you dislike about Whale?

When I upload videos in Whale, it does take a little time, which I guess is understandable, but sometimes it says there's an error even though the video successfully uploads. It's kind of confusing, so I think the interface could use some work. Also, when you start to record, there's no signal like a countdown or a voice saying 'recording started,' which would be helpful. Another thing is, when you select a window to record, you can't switch between windows, which is tough if you're using multiple windows. Review collected by and hosted on G2.com.

I especially appreciate being able to record a process and have it automatically create a SOP from that recording.
