I appreciate that Documize offers a flexible document structure with granular user permissions, which suit our small furniture manufacturing team perfectly. As a Digital Marketing Specialist, I manage hundreds of marketing files, and Documize keeps everything well-organized without complicated enterprise-level settings. The version control feature saves me a huge amount of time because it automatically saves every revision, and I can mark one version as final to prevent unwanted changes. Its customizable access permissions are excellent, allowing me to grant read-only access to our sales team so they can download product catalogs independently while keeping sensitive documents secure. I also value its built-in structured document templates, which standardize campaign briefs and audience targeting plans, keeping records consistent for performance reviews. The powerful full-text search is another big plus, speeding up new campaign planning by letting me quickly find past campaign copy with keywords. Lastly, Documize is lightweight and easy to deploy without IT support, which is crucial for our company of 11-50 employees without a dedicated tech team.

**What do you dislike about Documize?**

First, the native file preview is limited for large image files. We regularly upload high-resolution product photos of wooden furniture, fabric close-ups and design renderings. Often I cannot view these large pictures directly inside Documize; I am forced to download every image just to check if it is the correct version. This slows down my workflow when sorting assets for Google ads and social media promotions. It also does not support bulk image resizing or basic photo editing, so I have to jump to another tool to optimize pictures before uploading them for our Dynamics 365 Marketing campaigns. Second, there are no native integrations with marketing automation platforms like Dynamics 365 Marketing. I cannot directly link stored brochures, email text and campaign briefs to our automated lead journeys. Every time I need to insert a product catalog into an email nurture sequence, I must manually download the file and reupload it into Dynamics 365. There is no two-way sync, so if I update a document inside Documize, the copy used in our marketing workflows will remain outdated until I replace it manually.

**What do you like best about Documize?**

For me, it's the combination of wiki-style organisation, version control, and role-based access. These three work together to solve our biggest documentation headaches. I can structure documentation exactly how our teams work: IT Infrastructure → Networking → Firewall Rules. Anyone can navigate without training. The search actually works – it finds text inside documents, not just titles. Version control flags stale content automatically. Any page not reviewed in 6 months shows up in a report. That's huge for GDPR compliance. I don't have to manually audit hundreds of pages. Role-based access keeps sensitive IT docs away from sales. IT infrastructure guides are only visible to IT staff. Client onboarding checklists are shared with account managers but not support. I set permissions at space, category, or even individual page level. We switched from Confluence and Google Drive. Confluence was bloated and slow. Google Drive was a permission nightmare. Documize gives us a clean, fast wiki. Adoption has been much higher.

**What do you dislike about Documize?**

The editor is clunky. Basic formatting works fine. But tables, code blocks, embedded images – that's where it gets fiddly. I've had tables lose formatting when switching between edit and view modes. Code blocks don't always syntax-highlight correctly. For a technical team documenting IT infrastructure, that's annoying. No native integration with Raynet CRM. We use Raynet as our core CRM. Documize holds our CRM workflow documentation, but they don't connect. When a client record changes in Raynet, our documentation doesn't update automatically. I have to manually review and edit pages. A native integration would save my team hours each month. Migrating from Confluence was a pain. No direct import tool. I had to manually copy 200+ pages. Formatting broke constantly – tables, code blocks, images all needed cleanup. That took weeks.

Documize solves two core problems. First, 'where is that document?' Before, documentation lived everywhere – Google Drive, network drives, email attachments. Now everything is centralised. One search bar, one source of truth. Second, 'is this even up to date?' Old documentation is worse than none. People followed outdated guides and broke things. Documize's version control and expiry reminders mean we know what's current. No more guessing. The benefit: I spend less time answering 'where's the workflow guide?' and more time on actual IT and CRM strategy.

It helps you to place those documents in private and to be able to customize who can read them, to edit them. I just love being able to see the corrections or any details that my co-workers add, it's an incredibly useful communication tool, fast and simple.

**What do you dislike about Documize?**

The bad thing is that on a number of occasions when I decided to upload or convert a PDF file and send it by email, some graphics were transferred. It's not easy to export files. Another problem it had is that, since it has so many features and resources, it's not easy to find them at first. You get lost, it may take a day to get used to all the resources.

**Recommendations to others considering Documize:**

I recommend it to improve the organization not only at work, it also serves the educational field. It has a free version which allows you to test many options.

**What problems is Documize solving and how is that benefiting you?**

We use it as a collaboration method only in the sales department at work. We 're constantly adjusting the speech and dealings with customers, and we're all working on the same paper, and it's very easy to edit and be aware of all the material. The privacy option of certain files as well as the development of groups allowed us to organize ourselves in a more efficient way. Thanks to the fact that the files are stored in the software, we can find them easily with key words.
