I love how it is looking at the receipt level for items out of policy. This is something that would be nearly impossible to do manually unless I increased headcount. I also like that when reviewing reports that did not automatically pass, it takes you right to the problem and highlights it so you do not have to dig for it. AppZen has saved us so much time and we have found many expense report errors that have saved us from mispaying employees. Our account rep is wonderful and is always available for questions and guides us through adding more policy audits when wanted. **What do you dislike about AppZen?** The main thing that I see is that you still need to have Concur open on another screen because comments do not come through to AppZen, so it is possible the employee already addressed why they are out of policy. **What problems is AppZen solving and how is that benefiting you?** We use AppZen for our expense report audits, the main benefit is that it is looking at receipts and amounts and how they line up with our policy. With how busy our work lives are this is taking a large burden and making it simple and painless. We can spend more time refamiliarizing our employees with the policy which in turn makes AppZen even more efficient. ### 8. Appzen's tools and AI helps us tremendously with cross-checking and cross-referencing against our policies and compliances, and saves us tremendous amount of time. Just having Appzen go through the first round of validation process helps us save time and streamline our processes and workflow. Additionally, their reporting/metric/analysis tool is beyond immeasurable. We can download reports and benchmarks with a click of a mouse and filter as needed - but having that '1-click' function to download reports for all stakeholders has been beyond helpfu. Lastly, our CSM partner and support team helps us with their insight, as they are the subject matter for their tool, we are able to strategically and modify our workflow and benchmark. Absolutely fantastic and happy with Appzen's ease of imlementation and ease of integration. We use Appzen daily. **What do you dislike about AppZen?** I wish Appzen can improve the AI lead time audit. **What problems is AppZen solving and how is that benefiting you?** We have these monthly and yearly thresholds for perk/expenses. Previously, we had to manually keep track of monthly perks and yearly perks, and even one-time exception perks. Since, appzen has the capability to 'track' these expenses for us with their advanced spend function, we have eliminated an entire manual process. Beyond immeasurable, has saved us so much time and basically eliminated human errors. Appzen can also configure organizations based on their 'home' currency vs. their 'spent' currency - this FX tool has eliminated another manual process of converting diems, to say the least. Previously, pulling data was worse than getting 4 simultaneous root canals, with Appzen - we're able to get real-live data, download reports and just simply, present monthly/quarter reports to our peers without much manipulation/filtering. Reporting tools alone - has been a huge time saver. ### 9. So far has been a great experience tool. The accuracy of that its still being review and some enhancements require in order to meet all the requirements our company has **What do you dislike about AppZen?** As a company, we have successfully integrated Appzen in 62 countries globally, following extensive piloting in 3 reference countries to ensure smooth deployment. However, what is still unclear is the cost-benefit balance in relation to user experience improvements. Additionally, how Appzen specifically addresses the intricate requirements of the pharmaceutical industry remains to be seen. Lastly, it's paramount to consider the role of our dedicated support team in ensuring successful utilization and application of Appzen. There are recurring false positives in same categories. It also flags any wording on receipts that might be for an item that is not an approved expense. We did a customize model that helps us catch any cash expenses (internet & phone) that are submitted twice or submitted with the wrong dates. Viewing dashboard and sorting fields is useful. **What do you dislike about AppZen?** I find it a bit pricey. Not all attributes, fields, comments, etc. in Chrome River can be viewed in an AppZen dashboard. Customer support replies contain tech terms that are a bit confusing for a non-tech user like me. I wish AppZen didn't time out. I am going back and forth between Chrome River and AppZen and would like to keep AppZen open throughout the day. When I am am rejecting a report I would like to be able to go between the "Auditor Reject" window and the line items of the report. I am not able to scroll down the list of line items to reference why I am rejecting a report -- sometimes there is a long list of questions in the Auditor Reject window. I can't remember why I am rejecting without referencing the line item in the report. There is no scroll bar in the report. I have to use my keyboard up/down arrows. **What problems is AppZen solving and how is that benefiting you?** AppZen is confirming reimbursement requests from users are legitimate by referencing credit card usage of those charges with known University credit cards. AppZen is flagging high meal prices, alcohol, and upgraded airline ticket expenses -- all of which help enforce our expense reimbursement policy. ### 17. When something doesn't work as designed, it takes a long time for it to be addressed. We've had cases open three years that are finally being worked. Poor communication between Concur and AppZen, requiring the business to get in the middle. The best part is that the software automates review of the vast majority of expense reports leaving only a small fraction to be reviewed by a human and most of those reviews can be done quickly. The software is easy to use and implementation doesn't take long. **What do you dislike about AppZen?** App Zen does have a complex and sophisitcated AI engine. As such, some of the behind the scenes configuration can be a bit tricky to work through to get a specific desired result. Expenses above thresholds are also detected quite easily. We need to dedicate much less time for reviewing Expense Reports as the review is done by AI, based on the set criteria.Before AppZen implementation, we were checking the whole expense report to see if we "catched" anything but with this tool, we are now auditing what we really have to audit, while the rest is done by the AI. **What do you dislike about AppZen?** The integration with Expense Report submission tools could be better, we are currently unable to see Comments fields, only Business Purpose fields. A topic to be improved. Data & Analytics are complicated to get as far as I know (not my area of expertise). There are KPIs that we don't have overview on anymore since AppZen was implemented. Another topic to be improved. OCR works fine in majority of cases but from time to time we see gltches (eg: it detects as a duplicate tickets that are completely different and contain different data), but it's really something unusual **What problems is AppZen solving and how is that benefiting you?** Amount of time required for reviewing expense report decreased. Personnel dedicated to low added-value tasks has decreased. We rarely have now backlog and we are checking what we really need to check thanks to AppZen. It really helps catching duplicate claims. We have now overview on any usage of corporate card reported as "Personal Expense" to ensure all balances are settled and no unreconciled/overdue balances. ### 32. We have also a number of exceptions due to integration issues which have not been resolved in the last 6 months. **What problems is AppZen solving and how is that benefiting you?** We use our auditor's time efficiently because they look only at the high-risk lines. No additional training is required to start using AppZen, even if it's your first time. The system does rapid circulation of the receipts due to the AI it is based on. A great feature AppZen has is the function of detecting even slight mistakes in regards to the receipts, or, in case there was a duplication of the same receipt in the system, AppZen finds it and notifies you about it. It helps me save time and effort. When I face trouble I immediately contact the support team and they rush to help me. AppZen helps you reduce expenditures, in all industries. **What do you dislike about AppZen?** I wish Appzen had a more advanced inbuilt reporting function. At the end of each month, I need the data for the whole month to prepare a thorough report for my supervisor to present at the meeting. Simply, focusing on budget management, I need to see clearly which expenditures have been approved or rejected. This still is not a big deal as I keep a separate spreadsheet for the budget of a project to keep the track of it. Hopefully, shortly this could be integrated within Appzen. **Recommendations to others considering AppZen:** Definitely go for it. **What problems is AppZen solving and how is that benefiting you?** My colleagues were to travel to Saudi Arabia for an entrepreneurship-related global conference. It happened so that they chose a costly airfare and instead fly on a cheaper one, asking for a refund from the airline for the expensive ticket they didn't fly with. Another example was that our department liked to invite their friends for a free lunch, the department budget would cover all the costs. Or, they decided to give gift cards to the teams, but the teams did not actually get those gift cards, they used the cards for themselves. Appzen through AI is able to review epxense reports in a matter of minutes. Our reports neve sat in queue for more than an hour. Comments can be pre-programmed so they are easy to understand by the traveler. It helped our compliance 100%. **What do you dislike about AppZen?** Our setting - we should have taken AppZen's advice and only manually the top offenders. Instead, our team decided to audit too many small items and we were a bit overwhelmed on days when we had to extract for payment. **Recommendations to others considering AppZen:** It is a great tool to audit expenses before they are paid out to the employee. It can be used to educate by letting employees know that the company is watching for proper receipts, non-reimbursable items and compliance to policy. You will see a drop in card abuse because employees do not like getting flagged and put on a report.
