**What do you like best about R2 Docuo?**

The highlights of R2 Docuo have been:

Regarding the consulting sessions: The use of agile methodologies like scrum by sprints has helped make the development process very simple and accurate in terms of what has been done. The consultants are very professional and provide the necessary value to make the most of each of those sprints. They were very communicative at all times and dedicated the necessary time to ensure everything was clear.

Regarding the software: Thanks to the fact that most functionalities are predefined and no programming language knowledge is required, building any tool is very simple. Obviously, if a high-level development is sought, the complexity increases, but the consultants help at all times. During some sprint, a functionality that did not exist in R2 Docuo was requested, and within days, it was up and running.

Regarding usability: The interface is modern and simple, something that is appreciated for any work, as not much time is needed to learn to use it efficiently. The possibility for each profile to have control over exactly what they need to do in each part of the process has been very positive.

**What do you dislike about R2 Docuo?**

As points for improvement, I would highlight two:

1. Improve communication between the company and the consulting team. I believe that using email or calls is fine for specific cases, but it would be better if a ticket system were implemented in the tool (not through the web), where the client can notify the consulting team of small errors or minor extra functionalities. Through ticket communication, it would be possible to keep a thorough record of all matters that are pending to start, started, in testing, or completed over time.

2. Increase the development of the databases, so that it is possible to generate general reports of several categories at once in a single line.

**What problems is R2 Docuo solving and how is that benefiting you?**

It was necessary to resolve the management of the documentation generated during the construction of the FTTH (fiber optic) network and the metadata associated with it. We have developed a tool that, in addition to solving this issue, has added the value of work management through the implemented generated processes.

The professionalism of your team while also being approachable. Both Irene and Julia have always been attentive to what we needed, anticipating and proposing improvements for our needs.

**What do you dislike about R2 Docuo?**

I have no complaints, we have been working on several projects with them and we have no complaints at all, really. We have always had the same person in charge of the projects, so they know us and there's little need to explain things to them.

**What problems is R2 Docuo solving and how is that benefiting you?**

We needed to digitize some processes and R2Docuo has facilitated it for us satisfactorily. We have managed to eliminate a lot of paperwork in the company and especially a lot of paperwork for our clients.

The consultant helps to find the best alternative. R2 allows you to know the status of the implemented process at all times.

It does not have a spell checker. It is not very intuitive to use. It requires practice to handle the program with ease.

It allows me to automate the process, save time, unify the criteria of all project participants, and have the required documentation organized and tracked.

**What do you like best about R2 Docuo?**

This system is very easy to handle and does not require any complicated adjustments or cumbersome implementations in the company to access the database and have complete information on business performance. This system is versatile and powerful because it has everything in its proper place in order to provide possible solutions for your business in a changing world full of challenges, which has allowed us to organize and manage various types of business models and projects in a unique and very intuitive way.

The technical support team is very professional and attentive, as when problems arise with the software, they are there to solve both the mistakes made and the errors with the system. Using this system allows us to manage various actions, such as the database, vacation management, discrepancies that arise with the client, among other things.

**What do you dislike about R2 Docuo?**

Occasionally, there are sudden system shutdowns with certain errors upon restarting. This was reported by the technical support team and they are working on this situation. Otherwise, I can say that R2docuo is excellent.

**Recommendations to others considering R2 Docuo:**

This system adapts to any type and size of business in a quick and easy way, thus avoiding resistance to change when implementing the software. This is undoubtedly a great help and very timely.

Being able to use R2 Docuo has allowed us to work better with clients and to give better treatment to all the data related to each client, thereby streamlining the workflow between the sales department and the warehouse to ensure they remain connected.

The solution is really easy to use and it requires almost no adjustment period for the employees to learn. The file access control is really powerful.

Only thing that could be improved is some minor aspects like drag and drop from R2 to the computer.

If you are a small to mid company don´t hesitate to give R2 a trial. The ease in implementation and the workflow capabilities are more than enough for a company willing to centralize documentation and start digging on the document management.

We have solved all the neccesities regarding business documentation (from the quotation to the offer) and also the needs for internal information like reports, presentations and archiving.

the section of the processes since it is very useful for the project that is being carried out and in the same way it is very practical and easy to use.  
It is a mutual benefit since better quality service is provided to our clients and their information is found easily and in a very secure way.

The fact that folders created in the processes cannot be sent or via link, as it will have to be done document by document, and it is a bit time-consuming in terms of process automation.

**Recommendations to others considering R2 Docuo:**

It is highly recommended due to the ease with which it is used as they provide many very explicit tutorials and the support is amazing. The uploading of documents is very agile and very fast, the sending of links is instantaneous as they can also be customized to give a better corporate image to the emails and are very secure. A password and an expiration date can be added to give greater security and only the designated people can open them. The logins are controlled by the administrators, the graphical form of the application and the web platform are very user-friendly and provide greater formality and corporate image.

**What problems is R2 Docuo solving and how is that benefiting you?**

Automation of processes, greater communication with users, ease of work, the client is satisfied with the ease and agility when finding their information in one place.

**What do you like best about R2 Docuo?**

The ease of implementation and configuration of the System. With no more than 2 hours of training, the users were able to use the system. A Documentary Project that usually can last between 1 and 3 months, with R2Docuo took no more than 2 weeks. The users quickly appreciated the benefits of the system, and the purchase order approval process decreased from 3 days to a couple of hours.

**What do you dislike about R2 Docuo?**

Perhaps the inclusion of an online document viewer would be a great addition to the product, avoiding the download when one wishes to consult the document, without the need for modification.

**Recommendations to others considering R2 Docuo:**

At the time of generating a project with R2Docuo, clearly define the metadata of the documents, the associated workflows, the folder structure you wish to implement, and the templates in Word or Excel.

**What problems is R2 Docuo solving and how is that benefiting you?**

The approval cycle of a purchase order used to take a long time and it was not controlled who had it pending. With R2Docuo, the process decreased to a couple of hours and at all times it was known who had the pending approval task.

Security with the documents increased and the sending of multiple copies by email was avoided. Currently, we can classify the different purchase orders based on our suppliers, vendors, types of purchase orders, values, etc...

We were able to control the rejections of purchase orders, classifying them by types of rejections. The purchase order form is automatically filled with the data from the Meta Data, allowing the formats to be standardized so that all vendors generate the same order template.

The online document viewing through an HTML viewer has always been a focal point in our roadmap. Although it is honestly not planned to be incorporated in the short term, we are considering alternative solutions such as a possible integration with the native HTML viewing of Microsoft Office 365. Its operation is very intuitive, it has very well-prepared explanatory material that helps you at all times in the startup of the application. The procedure for starting workflows is practical, and the option to have an email sent to you in any process is very interesting. The possibility of granting permissions to different user profiles or user groups is very well designed and is very convenient to apply.

The topic of searches using metadata could be improved to expand search options, and it would also be interesting to have more view options available. Another issue is having the possibility of using the mobile version for devices that use the Android system.

**Recommendations to others considering R2 Docuo:**

Effective solution at a very reasonable price for small businesses starting a digitalization process.

**What problems is R2 Docuo solving and how is that benefiting you?**

Offer a document management service to our clients from the office. On the other hand, the tool allows organizing all the documentation both generated and received. The implementation of the tool is also allowing us to review all our work procedures in combination with our clients, so we are verifying that we are reducing work times, achieving greater simplicity and efficiency in all the procedures that we already have linked to R2 Docu. Likewise, the ability to manage tasks has allowed us to maintain greater control of times and workloads among the people in the office.

**What do you like best about R2 Docuo?**

I believe it is a documentation tool that allows you to organize the information you want in a logical way, without the need for large IT developments that involve high time and cost, and that allows people without extensive technical knowledge to be creators and configurators of a system, according to their needs. I would definitely highlight its simplicity, although it has many features that we still don't know 100%. They allow for professional and secure document management. Very important is the support from their customer service, always available and willing to help. They really consider the customer!

**What do you dislike about R2 Docuo?**

From my experience so far, I cannot point out major flaws in the system, perhaps an online viewer or speeding up the way to perform massive downloads or modifications of massive fields according to a specific parameter.

**What problems is R2 Docuo solving and how is that benefiting you?**

In our unit, we are now in a testing phase of the tool, but clearly every day we are seeing its potential and the great opportunity it will be to have a repository of all our communications to clients with a file where all the important characteristics of each document are defined. For a company as large as ours, it is important to have a space where we can quickly and easily locate communications sent to our clients from the different operational units and be able to use standardized templates that make our communicative tone homogeneous and allow for massive changes at specific times. All of this will result in significant time savings.

The best part is the security it offers, both in data storage and in the ability to digitally sign information using the digital certificate. And not less important is the possibility of generating process flows over the stored information.

I like everything it is capable of doing, but if I were to miss something, it would be the app for Android.

R2 Docuo gives you knowledge of what your customers need by telling you what products or services your customers were interested in, asked for or already bought. You also know what problems they had before, and whether they were happy with the solutions you offered them.

Software does not work on Mac, so I need to have Windows and Parallels Desktop around.

We know that Mac users don't have a desktop application available. Althought that point is in our roadmap to have one in the future, it will not be in the short term, nevertheless I note up your feedback on it. 

However we are working hard in the R2 Docuo web portal for it to have almost as much features as the desktop app in the near future always ensuring 100% compatibility with Safari in Apple environments. This together with our iOS App are our main forward lines now for the Apple users.

**What do you like best about R2 Docuo?**

Without a doubt, I would highlight its simplicity; it is a tool that, despite being very simple, has many different functionalities, all of which are useful in the daily operations of an SME. Getting the most out of them only depends on the level of involvement of the system administrator.

If we add to this simplicity and ease of use an economical, flexible licensing policy with pay-per-use, we find ourselves with a product to consider if what we want is to manage documents professionally and securely. I would also like to highlight the great utility of the collaborator user, a cost-free user that allows third parties to access the spaces or documents they are authorized to.

On the other hand, I must say that whenever we have proposed an improvement or suggestion, they have taken it into account and addressed it, some of which ended up being incorporated into the tool, so we are dealing with a manufacturer that listens to its customers.

**What do you dislike about R2 Docuo?**

Sometimes simplicity and the search for a very agile tool make you forgo functionalities that the competition excels in. For example, as of today, R2Docuo does not have an OCR engine that allows content-based search. It is true that searching by content is not usually 100% effective, but when you need it and don't have it, you remember it.

**Recommendations to others considering R2 Docuo:**

I would recommend conducting a needs assessment to get the most out of the solution, with a proper configuration.

**What problems is R2 Docuo solving and how is that benefiting you?**

In our company, we had used different tools, always more comprehensive and complex than R2Docuo, which in the end had functionalities far beyond what we needed.

We manage all the digital document management of our company, the generation of opportunities, offers, project plans, and our relationship with clients from this system.

Highlight two areas: The first is the control that the workflow engine gives us in managing request forms, the second is the time savings in generating offers and project plans, documents that follow a template and that R2Docuo automatically fills in from the system data, controlling the versions at all times, which is critical in our business processes.

The benefits for our company have been evident, a reduction in economic and time costs, and an advancement in our digital transformation and that of our clients to whom we provide access to R2Docuo.

From the very beginning, we were amazed by R2 Docuo's usability. Even though its aspect may seem old fashioned compared to other solutions in the market nowadays, it has everything on its right place. When I first joined the company, they were already using Docuo, and catching up was remarkably easy. 

**What do you dislike about R2 Docuo?**

The use of colors and the general aspect of the workflow process diagram could use a redesign to make it easier to read and more appealing. That could be a simple way of taking a big step forward without too much effort.

It's worth at least a try, since it's costs are reasonable and can help you transforming or managing your organization

**What problems is R2 Docuo solving and how is that benefiting you?**

We use R2 Docuo as an integral solution for cloud document  & workflow management. It is a tool that allows everyone inside and outside the company to be informed about the projects that are going on, their priority and to easily find all the documents related to them. This project and workflow approach to document storage is what makes Docuo such an invaluable tool

There are some things that R2 Docuo should improve:
- The possibility of installing the software on a client's own server.
- The speed of the connection.
- OCR reading of scanned documents.
- Integration with ERP systems.

If you are interested in introducing yourself in document management, and you are afraid to change the procedures of your company, this can be a solution for you.
We find that companies are afraid to change their way of working, and to make the leap to work without papers and work digitally. If they are offered a very large budget, that slows them down. R2 Docuo is a good tool to start with document management and support cheaper costs. I hope that R2 Docuo continues to develop the product so that it is not just a startup tool or designed for small businesses.

It has allowed us to give a document management solution to some of our small clients, who can not get a more powerful document manager.
The most powerful tool that R2 Docuo has and which I believe should invest more resources in developing is the workflow manager.

The flexibility it allows. The ability to create different forms and manage them linked to the processes occurring in the company makes Docuo a versatile tool that enables the digitization of tedious processes and provides all the information at the click of a button.

It must improve the filtering options for information and the ability to export this information to Excel templates that allow automatic calculations. With this, it would transition from being a document and process manager to a tool that allows for more effective management of dashboards.

With Docuo, we have resolved the standardization of processes and have digitized tedious processes in which several people had to communicate and send documentation via email, but without traceability of the actions that were carried out.

Unable to share a set of documents without registering the recipient as a collaborator. Via email, documents can only be shared one by one.

The task of transferring documentation to Docuo is quite simple, both at the beginning if you have to transfer from another documentation filing system, and on a daily basis when uploading files. Among other things, I personally value the ability to register collaborators who can have access to specific folders, thus avoiding the massive sending of emails to share documentation. Faster and safer.

I recently joined a company that uses R2 Docuo and the process of learning about it was eased by R2 Docuo, since it helps understanding the basic structure of the workflow of the company. It is also a powerful to visualize all the current projects we are working on.

Ocassionally we have experienced  some random errors that closed the programme. New versions could also spell trouble.

Docuo may not be the right solution if you are looking for a very specific software, but it a very complete tool with a very reasonable price, that can help handling the workload of small and mid size companies.

We have been work with R2 for several years and I can confirm it is a very versatile tool for the correct document management, with a powerful flow control manager that allows to model almost any process in which is necessary control of times, approvals from several points, etc. We started with only one purpose and we have been able to adapt several internal processes in the company not previously previewed, and R2 Docuo facilitates their management. It is a simple and seamless tool, very intuitive, requires little infrastructure and is operative from the installation which is a quick start and maximum profit. In addition it doesn’t require special training for staff who must work with it. We are very satisfied with R2

Itis a very easy and simple tool, which allows us to organize and manage different projects and business models in a very intuitive way. The manager of the tool may programme the software easily without being necessary the assistance of a technician. It may be applicable to all ranges of the company which might be necessary. Particularly, in our company, we are using it progressively more to manage different actions such as ratios, discrepancies, data base, holidays management and other kind of actions carried out.l

What I like the least about the programme is that, generally, it takes a lot of time to be operational. It is also being updated frequently, which means a continuous restart of the computer, wasting a lot of time on it. Sometimes it does not work very smoothly and that could be a mirror drawback.

It is a very useful tool applicable to all the departments of the company. Likewise, it is easy to learn how it works and all the staff of the company has access to the documents uploaded to the data base. Besides, there is a technical support at our disposal in order to solve any doubt or problem, if applicable.

We carry out the management of the quality control as well as of the business model.
The tool concentrates and organizes in just one data base too much information necessary to our daily work.it is a very useful tool applicable to all the departments of the company. The PHP interface manual is really good and well documented.

In our opinion bulk functionalities for collaborators will be welcome but, nevertheless, the product covers properly what is to a DMS ask.

**What do you like best about R2 Docuo?**

I think the best feature is the possibility to easily design and implement your information management flow. We have been using R2Docuo for long time now (more than three years) and taylor designed the flows for our commercial activity, billing, travel expenses, etc. 

Since we are a consulting firm operating at our customer places, the possibility to interface via web and through the client soft gives us the flexibility to update information at any time.

Recently, we are using the platform to share documentation with our customers, and the flexibility to define access to categories and directories is proving to be very helpful.

**What do you dislike about R2 Docuo?**

I have for long time desired a more flexible use of lists to validate metadata fields. The procedure to maintain the lists is not very user friendly. It forces you to maintain a flat list with information (project codes or customer names for instance) that in may cases is contained other data categories. (I believe this is solved in the latest version but have not tried it yet).

Just start using the soft and grow your use as you discover new capabilities.

**What problems is R2 Docuo solving and how is that benefiting you?**

Commercial / Sales:
Before using docuo, tracking the versions and status of our project proposals was problem. Sharing the project information (plan, dedication, etc.) was a problem and ended in many cases in someone using the wrong version with the customer. Since we started using Docuo, we have no more problems with versions, have a precise vision of our sales pipeline and capability to share documents among the team.

Travel expenses:
We are using docuo to report our expenses, attach the receipts, share with our administration and have no errors in billing the customers.

Customer documentation:
WE have recently started to share the project documentation with customers and have no problem to manage access and make the correct docs. available to the correct customers.

The best thing for me is the option to generate automatic emails, and the fact that I have an absolute control of the process for a document or file only by pressing one button.
It is also worth mentioning the possibility to upload documents to the cloud and advance them with only one click. 


**What do you dislike about R2 Docuo?**

I dislike that you can only work with R2 Docuo when you are connected to the internet. This is a disadvantage for people that have restricted access to internet at their work when they want to continue a process.
Another thing I do not like, is in cases where a process has different versions, when changing or updating, the old version does not remain visible for all users. The old version goes to an obsolete folder and to get the document visible for all users, you need to download it and then upload it again to a folder. 
The obsolete folder is only visible for “advanced users”, which means that the “collaboration users” cannot see the older versions of the documents. 


**Recommendations to others considering R2 Docuo:**

I would absolutely recommend all businesses to use R2 Docuo.
R2 Docuo is easy to learn, easy to work with, and have economical prices compared to other Document management Software.
I recommend it because it has so many possibilities and tools, and I believe can be used for all companies, whether their departments are working with advanced processes for documents, or not. R2 Docuo can be used simply as a cloud program and an easy way to send and share documents or to manage more advanced processes where different suppliers can be involved.


**What problems is R2 Docuo solving and how is that benefiting you?**

First benefit is saving time. We get to save a lot of time in relation to repeated activity in a process for a document, with R2 docuo all activities are gathered in one process.
The second benefit is that everyone can easily recognize and work with the latest version of a document without being confused by an older version.
The third benefit is that the documentation is kept in a cloud program where the whole company has the ability to access.
The fourth benefit is that you can design and create your own documents for a process where the documents gets exported into an excel file, and can later be worked on/filled in by people in the next steps of the process. 
I have experienced that the company is happy with the job I am doing in R2 docuo, and would like to take R2 docuo in use for other projects.  They would also like to expand the use of R2 Docuo in the Quality control Department in our company, and have future plans of introducing it in all departments of the company.
