Unlike the punctuality of their tech support and sales staff, if you are considering becoming a cloud-hosted customer, be prepared for extended wait times for service from the cloud team. Also, while Hyland's modules cover capabilities and integrations with many different platforms, native support for Google apps is very minimal. This can be circumvented if you have a knowledgeable development staff to develop custom integrations, but first-class out-of-the-box support for Google Docs instead of a dependence on Microsoft Office would be better. There are a number of different applications that need to be used when being an administrator for this product. It is also best to keep as many end users on the same application (Unity, Thick client, Web client) as possible to reduce confusion and help make upgrades easier. The server infrastructure and upgrade process. We have over 20+ servers to make our system run efficiently. Since we are an Enterprise customer, we have all modules that they offer so every module has to be upgraded individually at upgrade time and it makes it really difficult to test and move to the next version. The infrastructure setup alone requires a fully staffed team that is extremly knowledgeable around server infrastructures. Otherwise, I suggest being in the Cloud which is A LOT more expensive. Easy of use and the ability to adapt to multiple industries with one product all tied together. The community gives everyone a voice and the ability to voice their opinions and drive new features/functionality. Hyland's yearly conference brings everyone together to learn about new features and products about the platform coming to market, training, testing and networking with others to see how you might have a new use case to bring back to your office. It is the wide platform where we manage our contents and different processes. This has minimized all the threats and insecurity we faced in terms of data security across our entire enterprise. My biggest gripe with OnBase is the user interface, which carries too many features and icons irrelevant to my job that clutter up the viewport, thereby shrinking the available space for documents I actually need to see. Our institution uses OnBase for a wide variety of business processes. The delivered features allow for an incredible amount of expansion... Workflow, Workview, document retention, etc. There are dozens of integration that expand its use even further. This is truly an enterprise document management system. To my opinion, the best feature of OnBase is the ability to manage capture of documents, document creation and the electronic signature from start to finish throughout the product life cycle. In addition, I like the way the structured and unstructured workflow has been optimized. I must suffer a lot, as a worker, in the search for documents from a folder pool, but I may search for each document in the search bar with this special application. onBase can easily store all of our files, images, conversation chat and videos. Saving all our documents to the cloud storage is a huge benefit for its users. Important documents and files can easily be shared and stored with also accessed our files at anywhere. OnBase is a great resource! It is a quick and easy way to access hundreds of files. It is very quick, taking little time to navigate through the OnBase data base and deliver results. The quality of the visuals are great, which is especially helpful when you are looking up documents from the 1940's! The thing that is least helpful about OnBase is that you have to type in every number or letter exactly correct or your file won't show up. I wish it had a feature like Google does that says "Did you mean..?" This is an inconvenience more than an error, which I think speaks to how well this software runs. Perfect software helps to manage workflow engine that allows clicking and pointing configurable workflow that need no custom scripting. Organizing documents become easier by using this software. The interface of the software is well developed just like using the desktop. I don’t find any major con in this software only sometime it show slow progress and also there is excess of options on the page that needs a training to operate this software otherwise its perfect for managing documents in any kind of organization where there is a need of managing documents instead of manual recording or using other useless software. OnBase makes my job incredibly easy! Gone are the days where I can't find the file I need quickly, or have to search through several folders, or even take a long time to scan multiple documents into a student's file. OnBase's batch scanning and file organization makes everyone's job at our college better. While a student is front of me, I can search their ID and immediately see every document they've ever submitted. Also, while scanning in multiple documents for multiple students, with the "Pre-Index" option, I am able to quickly index over 50 documents in 5 minutes or less. Amazing! I do like that you are able to have a person's interactions with your office altogether in one place. It in convenient to be able to see when and how many times they came in or called and who talked to them. It is also nice to be able to open up their record and review the documents all at once. I don't like that it takes a long time to load. I also do not like that there is so much on the page for options. More user friendly with Colleague. I like that you are able to email into OnBase rather than having to print, scan, then upload as with previous systems that we have had.
