It is an easy to implement service management system that offers extensive coverage and configuration.
Moreover, Vivantio is a friendly platform that automates complex processes or repetitive tasks in our company, which boosts our productivity.
The customer service we get whenever we contact the support team of this service management platform is top notch.

**What do you dislike about Vivantio?**

Setting up Vivantio‘s dashboard may take time for beginners and they may require external help.
When it comes to handling large deployments, Vivantio is at times slow.

Since we started using Vivantio, our productivity has improved because it has automated our repetitive tasks massively.
We also use Vivantio to manage service operations across different departments.

Vivantio is impressive and highly configurable, allowing us to tailor make every aspect of our systems 
The app requires limited or no training, as it has a UI that is designed in a simple manner

It will allow you to store, track data and extract eventually only by asking the other end user to create a tickets for their requests. It is very helpful and easy to use.

**What do you dislike about Vivantio?**

The limitations in extracting file sometimes doesn't get the whole data needed. There are certain number of months that you can retrieve data.

It resolves IT concerns, Workforce and HR related concerns. It benefits us as it is categorize per issues.

**What do you like best about Vivantio?**

I like how easy it is to use, I immediately jumped straight into it with very limited training and it was so simple to use. I like how customizable it is you can have different dashboards and create multiple different reports as well as adding in engineer reports directly to the system. I enjoy the eas of updating tickets. I use the system daily and helps keep me on top of tickets so customers stay up today and is customer support focused. I easily integrated into the system from using different types of software it is by far the easiest i have ever used.  It is easy to implement your own changes.

**What do you dislike about Vivantio?**

It looks a little outdated in comparision to the likes of Jira / Service Now platforms, can be a little clunky

**What problems is Vivantio solving and how is that benefiting you?**

Ease of getting back to customer easily and creating reminders

**What do you like best about Vivantio?**

The employee's at Vivantio are friendly and extremely knowledgeable. They're always happy to help with queries regarding setup on the helpdesk. They help create a personalised experience for any business that purchase their service.

**What do you dislike about Vivantio?**

The backend of Vivantio can sometimes be a little complex and hard to navigate. There is a learning curve to understanding where to find settings and sometimes customising area's of the helpdesk can take a while.

**Recommendations to others considering Vivantio:**

Vivantio is an amazing product that has huge potential for automating areas for any IT team. However, you need to allocate the time and resources to configure Vivantio. This is a little complex and time consuming but the Vivantio support team provide great support and guidance.

**What problems is Vivantio solving and how is that benefiting you?**

Better communication with the business. Vivantio allows us to provide a centralised location for how to guides, master incidents and ticket progress which all helps in communicating better to the wider business.

**What do you like best about Vivantio?**

The part I like best is that the application is cloud based so I can focus on using the app vs fixing the app. The other item that is critical is its integration with email allowing customers to enter helpdesk tickets by send an email. This is vivantio's most critical feature in my environment.

**What do you dislike about Vivantio?**

I am not super happy with Flex. I try to use it but end up reverting to the classic format especially when things get busy.

**What problems is Vivantio solving and how is that benefiting you?**

When I started in my present position there was no helpdesk system. As I am an IT staff of one it was difficult managing helpdesk tickets as well as fixing issues. Vivantio took this load of my shoulders by proving a central location for users to automatically submit tickets , store them and provide me a summary and updates so I can begin working on thrm.

**What do you like best about Vivantio?**

What I like best about Vivantio, it has the ability to do almost anything I need it to do.  Alot of other ITSM's we researched were limited in terms of what was able to be configured.  As long as you have the time, you can set Vivantio up to do almost anything.  Their customer support is great.

**What do you dislike about Vivantio?**

What I dislike about Vivantio, nothing really.  I only wish I had the time to configure the tool properly to do all I need it to do.  That's not really a shortcoming of the product, it's more a "me" issue.

**What problems is Vivantio solving and how is that benefiting you?**

It is providing us a centralized platform to contain all of our data, one that ties into Incident/Change Management.

**What do you like best about Vivantio?**

I inherited our Vivantio deployment when I took up my current role nearly 3 years ago - initial experiences were mixed, but their support team and our account manager have always been responsive and useful. In that time we've rebuilt a lot of what was setup originally to have it suit our needs more effectively - portions of which have been done with Vivantio's project/services team who have consistently impressed.

**What do you dislike about Vivantio?**

The administrative UX takes some getting used to, and there's areas that could benefit from a fresh perspective and reasonable devtime/test budget to overhaul.

**What problems is Vivantio solving and how is that benefiting you?**

The product acts as our single point of helpdesk\support for both internal and external requirements - along with being a record of our ISMS/QMS for auditing purposes.

We've been using Vivantio for 4 years now, it's easy to setup and we are still learning new functionality daily. The support team are brilliant and are really quick to get back to you.

**What do you dislike about Vivantio?**

I can't think of anything, it's a great product!

**What problems is Vivantio solving and how is that benefiting you?**

We needed a reliable and trusted help desk system to manage our internal staff's needs. We also needed a tool to log assets and produce reports as and when needed.

**What do you like best about Vivantio?**

The Vivantio system itself is very easy to use once you've familiarised yourself with the layout.  It is also very configurable in-house, which allows us to adapt it quickly to a fast-changing environment.

For me though, the USP for Vivantio is their customer support - it's first class.  If you need to configure the system in a certain way, or refine a rule, or modify how an area behaves, or well, anything really, Vivantio customer support is really, really responsive.   I've worked in IT for 35 years, and I cannot think of another vendor that gets support so right, so often, and with such reliability.

**What do you dislike about Vivantio?**

From our organisation's perspective, there doesn't seem to be an obvious downside to using Vivantio.

**What problems is Vivantio solving and how is that benefiting you?**

We have an IT department of approximately 80 staff, looking after 10,000+ endpoints across 400+ sites.  We're a busy, geograhically disparate department processing well over a thousand tickets a week.  Vivantio centralises our service management, allowing the department to function as a cohesive whole.

Proactive Updates: The company has been diligent in rolling out regular updates that have significantly improved the product's performance and user experience.
Bug/Limitation Fixes: Initial bugs and limitation issues have been effectively addressed, enhancing the product's overall usability.
Customer Support: The customer support team is responsive, knowledgeable, and committed to promptly resolving issues.

Initial Issues: When we first started using Vivantio, we encountered several bugs and limitations that hindered our experience.
Feature Stability: Some initially advertised features didn't function correctly when using other features, and these limitations were not expressed beforehand.
Learning Curve: The initial learning curve was difficult due to the bugs and limitation issues, making it difficult to fully utilize the product right away.

A simple to use interface for our staff members/technicians that allows us to accurately track and monitor the various ITSM modules in a single place.

We also utilize the API to tie into a lot of internal resources/workflows.

What I like is that the system can be catered to our needs. From how we enter data to how we pull reports.

It I could change one thing would be to be able to add a ticket from the portal where I check my tickets. Thsi would reduce the time going from one page to another.

Vivantio is used for logging and managing customer interactions with regard to technical issues, engineer site visits, SLA times, etc and it does this adequately.

**What do you dislike about Vivantio?**

Recalling saved emails, documents etc requires download, an attachment preview facility would be useful in finding the required items

**What problems is Vivantio solving and how is that benefiting you?**

All our logged incidents/tickets are easily accessible, history provides an overview of the case, reminders to action can be set, SLA times can be seen, this all add to departmental efficiency in handling customer issues.

**What do you like best about Vivantio?**

The tool has lots of functionality for us to use under the one license fee. We don't use all the functionalty yet but we are moving towards useing more of it.

**What do you dislike about Vivantio?**

Only negative is that support was based in the UK and so the time zone can be challenging with scheduling meetings. Support team are great!

**What problems is Vivantio solving and how is that benefiting you?**

Vivantio is our main helpdesk platform that we use to track all interactions with our business. We also use Vivantio for our Help Desk knowledge base and portal.

The new interface is helpful. We can do multitasking as well as it's organized so we can track/complete our tiqets in a timely manner.

Sometimes it takes mins to load for a tiqet.

**What do you like best about Vivantio?**

We use Vivvantio daily, and its implementation was straightforward. Once our IT  team were  notified and understood the brief, the integration process was seamless,

The system is easy to use, making it simple to assign tasks to team members, which helps manage workloads and improve response times. 

The Knowledge Management featue simplifies the creation, organisation, and access of knowledge articles, improving first reaction times and efficiency.

The dashboard and reporting features provide a clear view to monitor key metrics, track performance, and generate useful reports. Support for any issues has been excellent and dealt with and resolved very quickly.

We have not yet fully implemented the self-service function for everyone, but we expect a considerable reduction in the amount of incoming requests by providing users with tools to handle common queries themselves.

**What do you dislike about Vivantio?**

The inability to view the history of responses  via email without logging into the system is a minor drawback. We take turns covering the helpdesk, therefore not having to log in to search for the ticket and having full email access to responses would be very helpful.

**What problems is Vivantio solving and how is that benefiting you?**

The system can generate detailed reports that provide relevant statistics. These reports are customizable, allowing us to tailor them to specific needs and requirements.

Users can send support requests via email, and the system will automatically import the details into the appropriate fields. This streamlines the process and ensures that all necessary information is captured accurately.

The system is locally configurable, which enables us changes as needed. This flexibility ensures that the system can adapt to evolving requirements.

The system supports simultaneous access and data input by multiple users. This is essential for collaborative working because multiple team members are required to work on the system at the same time.

 Calls can be assigned to specific individuals who will provide support. This feature helps in managing workloads and ensuring that each call is handled by the appropriate person.

Tracking/Status Facility: The system includes a tracking and status feature that displays the current status of each call, such as Pending, In Progress, With Caller, Completed, etc. This helps in monitoring the progress of support requests.

We can search for specific calls within the system. This makes it easy to locate and review past support requests.

 The system  automatically sends emails to users to confirm receipt of their call, issue a reference number, and notify them when the call has been completed or closed. This keeps users informed throughout the process.

Operational Hours: The system can be configured for  specific time frames for operational hours, ensuring that support is available when needed.

Very easy to navigate and extremely customisable, it is constantly being changed by managment to fit our business needs.
Reporting features are excellent.
New team members are able to pck up how to use Vivantio very quickly.
Very rarely stops working and when it does, it's back up and running again in no time at all.

**What do you dislike about Vivantio?**

Classic is missing some good features of Flex (ticket watching).
Can sometimes be very slow to update pages.
Refresh/update time of ticket numbers is several mintues behind (can show 0 pending tickets but when you click in, there are several).
Admin side can be a little overwhelming and not always clear.

**What problems is Vivantio solving and how is that benefiting you?**

Ticket management - compared to our pervious system, this is worlds apart.
So easy to log, update, assign and close tickets.
Ability to view colleagues tickets and add required updates.
Tickets are accessable via the Self Service Portal.

**What do you like best about Vivantio?**

They are a good balance when it comes to the cost-to-benefit ratio. We use it across many business and IT teams on a daily basis. Aside from situations caused by employees, the system is genuinely very stable and quite the workhorse. Is it the best? No, but it's darn good at what it does.

**What do you dislike about Vivantio?**

Email to ticket integration could use some work. It goes from top to bottom, which is fine, but if it dies it starts from the top again. There isn't a method in the UI to change the order either, but I think there is something for that in a future version if I'm not mistaken. Assuming that is implemented, or general handling of that integration is improved, that would go a long way for us.

Being able to trace tickets through their life cycle and keep colleagues accountable to actioning their assigned outstanding tickets/tasks.

Being able to add our own Ticket types is a big positive for us.

The search function - I'd like to just search for anything Vivantio can find that relates to my keyword, not to have to choose a ticket or task first (leading to duplicate searches if I don't find anything in the first ticket type). Could the quick search at the top be utilised for more than just specific ticket/task numbers?

**What problems is Vivantio solving and how is that benefiting you?**

Multiple help desk and service desk personnel are using Vivantio which gives us a unified overview of customer issues and experiences. Tickets can be linked, Tasks can be assigned and previous customer issues can be found relatively easily making it a little easier for our teams to provide excellent customer service.

Vivantio is easy to navigate and very helpful especially when there are issues inside the workplace. There's no need for physical interaction. I also love the fact that we can put attachments as a proof of an issue or request.

Honestly, it is already 9/10 for me. But since there's no perfect system, I would just say that sometimes, vivantio keps on logging out but it's bearable and very secured since we're using authenticator.

Since I am a scheduler, I usually cater request from Operations regarding their schedules such as trades and vacation leave request, also the downtime issues. This tool is very helpful because I do not need to physically see the person who created the ticket. Attaching a screenshot or file is enough to cater the request.

The system is built to adapt to any business need Most ticketing systems have a certain work flow that forces the company adminstrators to change their business processes to adopt that flow. However, Vivantio is very customizable to fit any business scenario; No matter who the end user is, Internal or External. On top of the customizability, you can create automation workflows to reduce the amount of work for your technicians.

**What do you dislike about Vivantio?**

There is a very high learning curve. With the software being highly customizable, you have to educate yourself on exactly how the it works. Other softwares force you to adopt their workflow to enable the software to be used out of the box. However, a high level of planning and testing must be done to use Vivantio. The support channel was inconsistent at first but they have recently revamped it and they are very useful in answer any query. Would love to see more updated documentation.

**What problems is Vivantio solving and how is that benefiting you?**

Vivantio helps keep track of our customer tickets, Incidents and Service Requests. We also use it to automate activities that normally would take technicians several hours. We also use it internally for our staff to submit IT tickets.

My favourite thing about Vivantio is making it personable to our company. Being able to use the custom forms and trigger rules is a huge benefit. Their customer service team is also super helpful when an issue occurs.

Would love to see when FLEX is going to be fully usable for a our company. Currently have outstanding bugs / issues before we can make the switch! However, classic is working fine for now.

I like that it's organized, separated per team and per site, it's easier to navigate which ticket is assigned specifically to me because of these features, and it's secure because of the authenticator.

so far none, because everything is okay. it's user-friendly. maybe I just want it to have stayed logged in a longer time, because if I use other website or application then get back to Vivantio I'm already logged out.

*Is an exelent tool for raising, tracking and monitoring tasked raised by any department.

*FIles can easily be attached and dowloaded, hassle free accepting and closing raised tiQet.

*I think ticket menu's can be customised for each department for much easier navigation and accurate raising of ticket. 

*An integration with other application to set up calendar and alarm/notification.

*Number 1 is customer service which other department raised thier concerns/issues, and we are able to address them efficiently and on a timely manner. 

*We can also monitor our performance and areas where we can improved.

**What do you like best about Vivantio?**

It's easy to use, intuitive, flexible and extendable. Migation was generally pain free and the new system was quickly adopted by our users.

**What do you dislike about Vivantio?**

Would like to see improvements to the API to increase our ability to extend our needs with the software. This would also include some improvements with cross-module functionalaity when using custom forms.

**What problems is Vivantio solving and how is that benefiting you?**

It allowed us to consolidate our helpdesk environment. We would like to use more of the features and hope to see the support for custom forms to allow us enable more modules related to those custom forms.

The most helpful part of Vivantio is how the Job orders from different work groups are being organized to have a better monitoring. It fairly competes with ither softwares.

**What do you dislike about Vivantio?**

The downsides of using vivantio is the lack of notification features. It would be great if there is a notifications  feature that will let the user know that there are requets even when they are offline.

**What do you like best about Vivantio?**

Vivantio is very easy to use and highly customisable to meet the needs of the business. The portals are very effective for the business to log tickets and after using other systems, this isn't always the case. We have multiple instances of the system being used in different business areas.

**What do you dislike about Vivantio?**

There's nothing to dislike about Vivantio. Everything that i would have written in the past i.e integration with Power BI and Microsoft Teams have either been worked on or are released already

**What problems is Vivantio solving and how is that benefiting you?**

Within the ICT department it has certainly made things easier for the business in terms of logging issues as well as seeing what is happening with their tickets on the portal (email notifications too). It's also made SLA and KPI's more managable and achievable with the user of reports and dashboards.

In other areas of the business it's eliminated the mundane task of having to keep up with emails regarding issues and like ICT they have an instance of Vivantio with a customer facing portal where tickets can be raised. This has made things much easier for these departments.

Vivantio is a very easy to use system with emails coming through almost instantly from end users when they have an issue. This makes it a quick process to be able to help end users

**What do you dislike about Vivantio?**

If there is an issues with the email system, you might not be notified when a user has an issue. This can then cause all the pending tickets that are stuck in users outboxes to come through all at once.

It is helping the team to identify the common issues that end users are facing and this is means we are able to put fixes into place to perminately resolve these issues so they don't happen again.

With Vivantio, I was able to boost my productivity. It was much easier for me to determine the tasks I need to complete and has completed. This has lighten my workload alot.

With my personal experience, having a chat bot is helpful; however, I think that improving customer experience  by having a designated representative to cater to the user will be much helpful. Also, the site is always offline and loads slowly so this is also something to improve on.

Vivantio is solving our company's ticketing process. It organizes and redirects tickets coming from the users/agents to specific departments. This usually increase efficiency and productivity.

Have been using for about a year. Has tons of options for customizing to fit an organizatin's work flow, whether big tiny entity or good middle sized.  Ability to collect/require a lot (or little) user input/data.  Nice customizable email layouts.  API access if you want to tinker.

Can get lost in the configuration options.  Many options, some not explained too well without digging through documentation.

Management of support tickets for internal staff as well as external customers.
