Automatic & Flexible Mileage Tracking
Driversnote can record trips automatically in the background using smartphone GPS or Bluetooth (iBeacon). Drivers do not need to manually start or stop tracking for each drive but trips can also be added or edited manually when needed.
Each mileage log includes:
- Date and time
- Start and end locations
- Distance travelled
- Trip purpose
- Optional notes
This structure helps reduce manual logging errors and improve consistency in mileage documentation.
Driversnote also supports optional odometer readings. Drivers can manually enter their vehicle’s total mileage to add an additional layer of documentation. Odometer readings may be useful in company vehicle or mixed-use scenarios, or where more detailed logbook documentation is required. Odometer entries are optional and not required for standard business mileage reimbursement workflows.
Clear Categorization & Organized Logs
Trips can be categorized (e.g., business or personal), helping separate reimbursable mileage from non-reimbursable driving.
All mileage data is organized into structured logs designed to meet common tax documentation requirements. Reports can support payroll processing, reimbursements, and audit documentation.
Reporting & Export Options
Driversnote provides a web-based dashboard where submitted reports can be reviewed and managed.
Admins and managers can:
- View submitted reports
- Filter by employee, date range, or status
- Approve or reject reports
- Download reports in Excel or PDF format
Exported reports can be shared with payroll, accounting, or expense systems.
Custom reimbursement rates and flexible reporting periods (e.g., weekly, biweekly, monthly, quarterly) can be configured to align with internal payroll processes.
