What do you like best about Calendly?

I love that Calendly has evolved from simply keeping my calendar, to helping me with client management. Strong growth and evolution is a value to me and to the DNA of my business. So, it makes me proud to be working with a company that holds that value.

Out of the AI notetaker, the transcripts, the evolved client contacts features, and even more incredible features being developed right now — I would say my favorite is the AI Notetaker, with highlights and transcripts. It has made my high-touch coaching — with actual notes tailored from each session — more powerful in less time.

With some clients I can just send the notetaker link, with others I can take those notes and transcripts and customize them. I have noticed that it saves me about 4-6 hours per week in getting my notes out.

Since we became a paid subscriber almost 6 years ago, our business has grown alongside Calendly. In that time I have seen our own growth has occurred because of Calendly's solid presence in our digital infrastructure. Thank you. Review collected by and hosted on G2.com.

What do you dislike about Calendly?

One ongoing frustration I run into is the inability to meet a client who needs a fast reschedule, forgot to choose Zoom, or needs to switch from in-person to Zoom because life happened. Right now I can’t schedule a client right then and there if we’re even two minutes past the hour. I have to wait until a future time. I wrote a book about time travel, called How the Stars Tell Time, so it seems appropriate that I would advocate for time travel! But seriously, I would love a back-end feature that allows me to schedule or modify a client session retroactively within perhaps 10 minutes of the start time. I don’t necessarily need clients to have that power themselves.

I’m also frustrated that I have to depend on ongoing clients to “accept” text notifications. As a coach, I often set up a client’s recurring series on my end once we have established a regular day and time. Some clients rely heavily on text reminders to stay aligned with their schedules, yet the people who benefit most from texts are often the least likely to complete additional notification steps. I understand that privacy and consent requirements may limit what Calendly can do here. Still, I would love a compliant way for an administrator to document an existing client’s consent and enable text notifications on their behalf—particularly when we already have a coaching agreement and established relationship. This would make my life much easier and prevent a lot of client miscommunication.

I haven’t checked this recently, but because I have many event types, setting up a Mailchimp integration event by event has historically been time-consuming and overwhelming. I would love a global or default integration setting so that new Calendly events can automatically funnel into the appropriate mailing list, group, or workflow unless I choose otherwise.

The mobile app is another pain point. I see many changes that are improving Calendly’s overall performance, and in general the platform performs reliably for me. However, the mobile app still feels more limited than the desktop experience. Just today I tried to change an existing client session from in-person to Zoom for the same day and time, and the app wouldn’t let me do it. I had to wait until I returned to my home office and make the change from my laptop. I would love the app to offer much closer feature parity with the desktop experience.

Occasionally the AI Notetaker doesn’t join or work as expected, and I don’t always know why. Because the Notetaker has become such an important part of my workflow, reliability here matters a lot. I appreciate having Zoom’s transcription as a redundant backup, but I would love the Calendly Notetaker to work consistently for every scheduled session.

For recurring series, classes, or membership calls, Zoom’s recurring-meeting structure sometimes works better for me than scheduling each session through Calendly. But when I schedule directly in Zoom, I lose the Calendly AI Notetaker and notes workflow. I’d love a way for Calendly’s Notetaker to work with recurring Zoom meetings even when the individual sessions aren’t scheduled through Calendly.

In terms of pricing, I think Calendly provides good value for what we pay. Resolving some of these workflow limitations would make the return on investment even stronger.

Finally, support has consistently been timely, thorough, and helpful. However, when I bring up issues like these—and my history will show that some are longstanding—the response often ends with some version of “Calendly can’t do that.” I would love more of a feedback loop between support and product development: “Calendly can’t currently do that, but we’ll document your use case and share it with our product team.” Even if the answer remains no, knowing that recurring real-world use cases are making their way upstream would make the support experience feel much more collaborative. What do you like best about Calendly?

I love that Calendly can take care of my scheduling and handle payments, making it easy for people to pay for an event while scheduling. It's easy to use, and I can set up automations that I can use repeatedly and update easily. I really, really love the AI notes and transcript feature from my coaching calls, which has been helpful for me to grow as a coach. I can access transcript details for insights clients had without writing things down during the session. I appreciate that. I also love how I can take the transcript and put it into ChatGPT to help me improve as a coach and find patterns from different coaching clients to better support them. What do you like best about Calendly?

Event Types, custom availability, and multiple calendar connections let us share realistic time slots without exposing the rest of our schedules. On Standard, we can create unlimited event types, connect multiple calendars, and automate reminders and follow-ups, which has cut down a surprising amount of back-and-forth email for simple thirty-minute meetings. For team workflows, we rely on Round Robin, team scheduling, and Routing Forms to route people to the right owner without having to manually review every booking. On implementation projects, technical questions can go straight to the appropriate specialist, while scope reviews stay with me. Workflows have also been useful for more than just reminders: we include the document to review or the information the client should have ready, so the meeting starts with more context instead of spending the first ten minutes getting everyone aligned. What do you dislike about Calendly?

The biggest mess usually starts when the team creates too many event types without a shared structure. We ended up with similar names, different durations for essentially the same thing, and old booking links still circulating. That becomes confusing fast for both the team and the client. I’d like stronger admin tools to help spot duplicate event types, near-duplicates, or ones that are barely used. For now, we’ve mostly addressed it with naming rules, clear ownership, and regular cleanup of links that shouldn’t be active anymore. Review collected by and hosted on G2.com.

What do you like best about Calendly?

I mostly use Calendly for our weekly calls, and it just makes scheduling much easier. Everyone can see the available times and choose what works without us having to discuss it in chat every week.

What do you dislike about Calendly?

Sometimes I forget to update my availability when my schedule changes, and then someone books a time that technically looks free but isn't really convenient anymore. Of course that's partly on me, but I wish managing temporary changes to my usual schedule felt a little quicker. Other than that, I haven't had any major issues with it. What do you like best about Calendly?

What I like best about Calendly is how simple it makes scheduling meetings without the usual back-and-forth communication. I can share my availability through one link, and other people can choose a time that works for them. I also like the calendar integration because it helps prevent scheduling conflicts and keeps appointments organized automatically. The interface is clean and easy to understand, and setting up different meeting types is straightforward. Overall, Calendly saves time and makes the entire scheduling process much more convenient and professional. My experience with Calendly’s automated features has been positive. What I dislike about Calendly is that some of the more advanced features are limited to paid plans. What do you like best about Calendly?

What we like the most about Calendly and what we use the most is the fact that you can save all of the transcripts, the videos, and everything that we could possibly need from our meetings online. That allows us to get back to exactly where we need to be, and that's really cool because we have that in the same space where we have our chats (consulting conversations that we may need with clients) and our booking, so we can also get paid through the site. What do you dislike about Calendly?

The thing I don't like about Calendly is that I have to make individual calendars for things like weekly bookings and then the different days for weekend bookings. Everything needs its own calendar, and that just means that I have to click more buttons when I have to change something in my scheduling. If it was all in one place, it would be much better. What do you like best about Calendly?

Calendly is really helpful, especially when I’m setting up lots of different meeting types and then jumping on calls. Above all, I love the note taker because it automatically turns on whenever I’m in a meeting with someone, so I don’t have to remember to start it myself.

- For the UI and UX, it's very easy to follow.

- For integrations, I use my calendar and my Gmail, and it seamlessly connects with it.

- For the performance, it's really great, especially when I use automations. It lessens my workload, especially when giving reminders to people who will join the appointment.

- For the pricing, it's very great on my end.

- For the ROI, yes, I would say I think I get what Calendly is giving.

- For the support, I have tried before. I think they reply on time.

What do you dislike about Calendly?

I hope we could personalize the emails we invite. For example, on one meeting type, there's only one person, but in other instances, they have a teammate that also wants to be in the meeting, so they can just also invite them. What do you like best about Calendly?

I like how Calendly has streamlined our interview scheduling process. It used to take all day with back-and-forth emails or messages, but now candidates can book interviews in minutes with just a calendar link. I also appreciate the interview recording feature, as it lets me share snippets with hiring managers, helping them see a candidate's personality and professionalism. My absolute favorite is the interview notes feature, which means I no longer need to take notes and can focus fully on the candidate. The notes are ready to share with the hiring manager in seconds. Calendly's reminder emails and texts are great because they reduce no-shows and cancellations by handling them automatically. The setup was extremely easy, and I was scheduling within an hour. What do you dislike about Calendly?

There is very little I don't like about Calendly at this point. I would say the notetaker feature tends to put a positive spin on every candidate and can make the interview sound like it went way better than it actually did. I would like if it would provide pointers on what the hiring manager should keep in mind when considering the candidate for the position they are interviewing for. It's missing some of the subjectivity that comes with human note-taking. When I'm interviewing a candidate who has a bad attitude or speaks in a negative or unprofessional manner, I'd like those notes added. What do you like best about Calendly?

I love how Calendly cares about its customers and is always looking to improve their products to bring more value. I find the software super intuitive and easy to use without needing extensive tutorials or training. I appreciate their continuous innovation and the fact that they are fairly priced. The initial setup was super easy and very intuitive, which is a big plus for me. I started using Calendly quickly after I started my business and continue to use it because it adapts to today's needs, adding value continuously. The meeting booking feature is invaluable to me as it integrates smoothly with my Google Calendar, offering great flexibility. I also love the integration with other tools like Zoom, Google Workspace, and Stripe, which makes my workflow very efficient. I think what they're working on and what I'm looking forward to is expanding their CRM portion of the functionality. What do you like best about Calendly?

I really enjoy that Calendly is pretty intuitive to use. There is a note taker used for Calendly which is awesome because it allows me to save the video of the Zoom calls and also provides a nice clear synopsis at the end of the call for my clients. It's super simple and intuitive, and I can set up automations to streamline my operations. It integrates with my Google calendar, so when I book a call, it appears there and handles buffer times, which simplifies my schedule management. I love that people can easily book their calls by dropping a link, and it automatically translates the call time into their time zone, making it easy to operate worldwide without worrying about time zone math. The interplay with my Google calendar gives me a top-of-mind look at my day, and I appreciate the automated follow-ups with texts and emails, which help reduce no-shows and keep things seamless for the client. What do you dislike about Calendly?

I sometimes encounter intermittent issues with Calendly where there are errors that make a link not work, or it becomes difficult to change my availability as easily as I want to. Additionally, when there are updates, it can be a bit harder to find what's been updated. Although there's somewhat of a learning curve, these issues seem to be expected with tech, and I appreciate that the team is working hard to keep things user-friendly.
