**What do you like best about WaitWell?**

Since my last review they have added more features such as consolidated messaging center as well as AI integration into their reporting portal.  Both of these are high value adds that make for a more engaging experience with the software.  They have also added a more robust access and roles page that is easier to use and navigate that allows for more specific access types.

**What do you dislike about WaitWell?**

They still need to tighten up their configuration pages, they can get overwhelming when you are trying to change multiple settings all at once.  However, their customer service really helps in this regard.

**What problems is WaitWell solving and how is that benefiting you?**

We have been using Waitwell for almost 2 years now.  We were forced to begin using a queuing/scheduling software when COVID occurred.  We researched for about 6 months before deciding on Waitwell for the primary reasons of functionality, cost and support.  We use it for scheduling our criminal record checks, our walkin police reporting and scheduling for our virtual police reporting.  We have been incredibly satisfied with the product overall.

**What do you like best about WaitWell?**

I like that it makes it easy to manage both walk-in traffic and scheduled appointments, which has really helped us provide a smoother experience for students. The flexibility to use it for different types of appointments, like counselling sessions and midterm meetings with students and supervisors, has been especially valuable. I also like how easy it is to set availability, and students seem to have adapted well to the new system.

**What do you dislike about WaitWell?**

One downside is that it doesn’t currently sync with my Microsoft calendar, which would make managing availability and avoiding conflicts much easier, but I know they are currently working on fixing that. There was also a bit of a learning curve at the beginning, and we ran into a few setup issues early on, although those have since been resolved.

**What problems is WaitWell solving and how is that benefiting you?**

WaitWell is helping us centralize and streamline how we manage appointments. Before, coordinating walk-ins, scheduled appointments, and midterm meetings could be a bit fragmented and time-consuming. Now, everything is in one place, which makes it easier to manage our availability, keep track of bookings, and stay organized.

The reporting features, custom dashboard, and ability to quickly adapt to our native requirements was impressive.
Ability to make custom messages, and add property maps for guidance was helpful for our students.

I would say if WaitWell could have check-in automatically to meetings upon location detection of students that would be helpful. just a good to have.

It has helped in reducing the queues lines by our students. 
It has helped in defining the avialabilities and timings of our agents that will serve the students.
It acts like a one source of truth, that contains information of all appointments, notes and interaction that happened.
It helps with solving student issues faster.

While it might be technically possible to create functionality to check in students automatically when they are at the location where their appointment is booked, this would require users to share their location with WaitWell. Most people have location detection turned off by default for all applications, so it would likely require a lot of troubleshooting and would be an unreliable way of checking students in. We hope the current workflow you have for prompting students to check in before their appointments is working well. **What do you like best about WaitWell?**

I love the desktop push notification feature for new visits added to a line. As a supervisor of an advising office, it allows me to focus on other work while having a general sense of that day's volume depending on often I see push notifications. I also find the daily Dashboard useful and review the weekly email location summaries to have a sense of last week's traffic. I appreciate the color coding for different visit reason types, it helps staff pull visitors out of line for higher priority visit reasons. The backend set up is also much easier to use than our former line management system, QLess. It's very user friendly and easy to make day-of or advanced notice temporary closures. The customer service is great, they build new features that we request very quickly, handled the staff and admin trainings, and are quick to respond to questions or add info to the knowledge base. Very pleased!

**What do you dislike about WaitWell?**

I wish there were multiple lines in the location view to sort out certain visit types handled by different offices using the same location. The color coding for visit reason types helps, but I miss this feature that QLess used to have before they also moved away from it.

On your feature request around sorting visit types by office at a shared location, we want to make sure we fully understand what you're looking for before pointing you in a direction. It's possible that some of what you need may already be available. WaitWell does allow queues to be sorted and displayed by service type and queue type, and service type filtering in particular is a newer addition you may not have had a chance to explore yet. We'd encourage you to reach out to your account manager to walk through your specific workflow. There's a good chance there's a configuration that gets you closer to what you need.

**What do you like best about WaitWell?**

I like that there is a high degree of customizability enabled, so that we are able to add, remove, or modify specific features depending on how relevant they are for our purposes. It has been pretty smooth transferring people to different queues, or being able to either put them back in the queue or remove them in situations of no-shows.

**What do you dislike about WaitWell?**

It isn't necessarily the most intuitive to use at times, so it can take me a while to remember to click through all the necessary steps to complete certain functions (e.g. remembering to change the subject/topic of the student's visit first and then transfer them to another queue).

**What problems is WaitWell solving and how is that benefiting you?**

It is helping us to manage our virtual lines for students and other visitors, both in person and for phone callback advising, which allows us to serve our students for drop-in advising daily and to collaborate with our partner offices when they are also offering callback or in person advising.

**What do you like best about WaitWell?**

I really like the user-friendly interface of WaitWell. It makes it much easier for customers to sign in compared to our old software. I appreciate the quality of life updates that WaitWell provides. It's got more of them than any other queue software we've used. It simplifies managing all the lines significantly by allowing priorities to be set on each service, which speeds up our office processes. The initial setup was super easy and very user-friendly, making the transition smooth for us.

**What do you dislike about WaitWell?**

I think a reminder for summoning customers at the end of the wait before they are placed on hold would be really helpful. Our clerks get distracted or forget, and we end up with a lot of people being placed on hold because they didn't remember to call them. This isn't really a huge WaitWell issue, just something our clerks need to improve on. Another suggestion I have is adding a separate panel when clicking on ticket details to show which clerk summoned the customer. This could help us resolve issues better.

**What problems is WaitWell solving and how is that benefiting you?**

WaitWell manages multiple customer lines in one unified line, preventing clerks from cherry picking and simplifying the sign-in process. Its user-friendly interface and priority settings streamline managing lines, speeding up processes in our office.

WaitWell makes it easy for students and clients to book appointments on their own, which cuts down on back-and-forth emails.

The interface is straightforward and user-friendly for both staff and clients. It also helps us organize appointments efficiently by keeping everything in one place.

Calendar integration works reasonably well, which makes scheduling simpler to manage day to day.

Overall, it has streamlined our appointment-booking process and improved accessibility for students.

Some features that would improve the overall experience are still limited. For example, there aren’t daily automatic reminders that summarize upcoming appointments, which would make it easier to plan the day. Calendar invites also don’t include much detail, and they aren’t always straightforward to save directly to Outlook when preparing for a meeting.

Additionally, accessing previous tickets or events often requires manager-level permissions. This can make it more difficult for staff to quickly review past interactions when supporting students or clients. Lastly, the platform has limited options for setting up automated pre-request messages or creating templates for different services, which would help cut down on repetitive, manual communication.

For our office, this tool has streamlined appointment management, improved accessibility for students seeking support, and helped us organize our schedules more effectively. I like that WaitWell is easy to use, straightforward, and efficient. The interface is intuitive, which makes it simple to manage appointments and queues. It also saves a significant amount of time and makes it easy to track overall activity and statistics.

**What do you dislike about WaitWell?**

One limitation I’ve noticed is that, as a consultant, I don’t have access to certain features. For example, I would find it very helpful to see my own appointment statistics, such as how many appointments I conducted during the month. Having access to this information would help me better understand trends in student demand without needing to request the data from my manager each time.

Additionally, if client joins the queue (without appointment) and once a consultant marks a client as “done,” the client disappears from the queue, and without manager-level access it is no longer possible to view the ticket or the client’s information.

**What problems is WaitWell solving and how is that benefiting you?**

WaitWell makes it much easier for students to book appointments and manage their visits. The automated reminders help reduce the number of no-shows, which improves scheduling efficiency. Reporting has also become much easier, as the system allows us to track appointments and service usage more accurately. In addition, walk-in students can now be included in our records and statistics, which was not possible before.

On the access limitations you mentioned, this is worth a conversation with your admin. WaitWell's role-based access controls are highly customizable, and admins can configure permission profiles to grant staff access to their own appointment statistics and activity data. It's possible that the current permissions reflect your organization's own security or business policies, but if more visibility would be useful for your role, your admin can reach out to our support team and we can walk through the options together.

On the second point, the ability to review completed ticket information after a walk-in visit is also something that can be explored through your permission settings. We want to make sure you have what you need to serve your students well.

**What do you like best about WaitWell?**

One of the biggest advantages is how easy it is to organize appointments and manage student traffic. Students can check in quickly, see their place in the queue, and receive updates without having to physically wait in line or repeatedly check with staff. For a career centre where drop-ins and quick advising sessions are common, this creates a much smoother experience for both students and advisors.

From a management perspective, the dashboard makes it easy to monitor queues in real time and ensure our team’s time is being used efficiently. It also helps us identify peak advising periods and adjust staffing accordingly. This kind of visibility is particularly useful during high-demand times like recruiting seasons.

**What do you dislike about WaitWell?**

We have not been able to get the Outlook calendar sync to work, however, this may be due to system settings we are still figuring out.

**What problems is WaitWell solving and how is that benefiting you?**

WaitWell helps solve several operational challenges in managing student advising services. One of the biggest benefits is increased visibility into our queues. As a manager, I can quickly see how many students are waiting, which advisor is available, and how long wait times are during peak periods.

Another major advantage is the communication through text notifications. Students receive updates about their place in the queue and when it’s their turn, which allows them to wait elsewhere rather than physically standing in line. This improves the overall student experience and reduces congestion in our office space.

Finally, the reporting insights are very valuable from a management perspective. The data helps us understand advising patterns, peak traffic times, and overall service usage. This information supports better planning, drop-in advising periods, and staffing decisions throughout the academic term.

Overall, WaitWell has helped us create a more transparent, organized, and student-friendly advising process while giving our team better operational insight.

WaitWell has completely transformed how we manage student appointments and drop-in services in Student Services. The SMS functionality is a game changer—students receive confirmations, reminders, and can check in or manage their own appointments from their phones. This has significantly reduced missed appointments and front-desk traffic. The platform has also helped us meet and exceed our 48-hour service access target, allowing students to access advising much more quickly while freeing up staff to focus on more complex student needs rather than manual scheduling. I also want to highlight our account manager, Scott Pfeiffer, who has been exceptional throughout the process. Scott has been responsive, supportive, and proactive in helping us think through how to configure the system to best support our workflows.

Overall, WaitWell has helped us improve both operational efficiency and the student experience, and I would highly recommend it to any organization managing high-volume service environments

Like any new system, there was a learning curve during implementation as our team adjusted to a new way of managing appointments and drop-ins. Configuring services, queues, and workflows required some initial setup time to align with our student services model. However, once the system was configured and staff became familiar with the platform, it significantly streamlined our processes and improved the student experience.

WaitWell has helped us solve the challenge of managing high volumes of student appointments and drop-in advising in an efficient and student-friendly way. Before implementing the platform, coordinating appointments, confirming attendance, and managing front desk traffic required a lot of manual work and created bottlenecks for both staff and students.

With WaitWell, students can easily book, confirm, and check in to appointments themselves through SMS and online tools. This has significantly reduced missed appointments and unnecessary traffic at our front reception desk. As a result, our team can focus more on supporting students with complex needs rather than administrative coordination. **What do you like best about WaitWell?**

I like how organized and smooth WaitWell makes serving our clients. Clients appreciate not having to stand in line waiting, which improves our service efficiency. The HOLD feature is great because it allows clients to come back and know their name will be called again. I also find it useful that we can put notes for clients to assist the next clerk helping them. It's handy that clerks can see what service a client wants, so they don't waste time calling clients who need someone specific. WaitWell helps us prioritize, especially for documents that have already been paid for and are just waiting to be picked up. I also found the setup extremely easy and the system itself easy to use.

I use WaitWell to manage a virtual lineup, allowing clients to plan their visit without standing in line. It keeps my office from overcrowding, lets clients hold their place if needed, and provides a smooth communication channel for both clients and staff.

**What do you like best about WaitWell?**

WaitWell is very user friendly for all those that utilize the system. Whether it be a guest checking in at the kiosk, guest joining the line remotely via the web, or the staff serving the guest navigating the Admin view WaitWell allows for efficient and organized service. Having a staff app has allowed for  managers who are working the floor, to have the ability watch and monitor our location or other locations easily. Should a manager or administrator be out of the office and need to close down a que, or location the staff app allows us to easily do so from our cell phone wherever we are. Having a software that is constantly improving and growing such as WaitWell, provides a peace of mind to administrators and Senior leadership; as we are constantly evolving to meet our guests needs as the university grows, having a software that is specifically built out and customized to meet our needs is awesome!

**What do you dislike about WaitWell?**

Being a newer software at times we have encountered minor software glitches such as audio cues not being functional. I will say WaitWell staff both Customer Relationship Managers, and the Software Development Team are very responsive and usually fix any issues within 1-2 business days!

**What problems is WaitWell solving and how is that benefiting you?**

While we only replaced a que management systems at the university, we were looking to obtain a LMS system that allowed for flexibility. A software like WaitWell, is built out to the consumers needs, it has the ability to be ever changing to adjust to our needs and does not require additional subscriptions to be purchased. We were looking to improve traffic flow for both students and staff at our One-Stop centers. WaitWell has allowed for digital accessibility, including remote join capabilities, and  the ability to view your spot in line remotely. Features like these are crucial to the center during peak surge times, specifically semester start-ups.

**What do you like best about WaitWell?**

I like the flexibility of WaitWell and the configuration of it. They have a thing called sandbox where you can kind of play around in it before you go live, and it's just really nice to be able to play around with the settings and the different locations to make sure it's absolutely configured how you want it to be. It's also super simple to use. They help you get everything set up at WaitWell during the onboarding and are there to make sure you are comfortable, but then you have full access to make modifications to that configuration after you go live, which is really nice.

I've had a little bit of an issue with getting notifications on our desktop when someone new enters the queue. It does have a really nice feature that it'll email you if there's people waiting. But I've had a little bit of an issue with getting that one setting, the notification setting. That may be more of a me issue than a Waitwell issue though.

I have used it as an admin and as an agent. As an agent, the training to use it was very simple. Also, it is intuitive to use, which even for someone who is not a tech expert, results into an easy engagement. 

Now, as an admin, the level of customization is truly outstanding, and it translated into what we wanted our students to see.

We haven't been able to integrate outlook calendar to waitwell (might be a problem on our end), but being able to download or upload calendar settings from one to another, would be an additional nice option.

We brought WaitWell in when covid hit and it has been with us ever since.  3 times a year we go through super busy periods that allow us to manage the coming and goings of customers, having a hold option is wonderful, and having appointments show up and allowing them to check in has been good!  We have certainly found it useful and will continue using this for years to come. It's nice that WaitWell continues to update and bring out new features and ideas for us to implement.

**What do you dislike about WaitWell?**

Updating the settings can be a bit of a challenge if you are not sure where something belongs. I have not been able to find any tutorials that walk you through certain things - it would be nice to have those versus having to email someone and wait for their response.

**What problems is WaitWell solving and how is that benefiting you?**

WaitWell allows students to check in before they get here and it allows them to put themselves on hold if we are not able to see them before they have to leave for class or other reasons. It allows us to manage the queue as efficiently as we are able to with the amount of students we see during those 3 super busy times of the year. We like the appointment booking and being able to attach waivers to allow us to check out the appointment before we meet with the students.

Sometimes when I'm doing other work, I can't always monitor the queue so if a student doesn't come to the office I won't know they were ever there until it's too late. A simple notification that could pop up even when I'm using other applications would go a long way.

I find the ability to send SMS messages to students with WaitWell incredibly valuable as it greatly enhances our capability to troubleshoot technical and logistical issues, and efficiently locate students when their number is called. The integration with Outlook calendars, particularly the support for recurring appointments, is a significant improvement over our previous queuing software, making scheduling reliable.  The transition from Qflow to WaitWell was relatively smooth, with issues being resolved promptly thanks to the responsive support team. The local availability in Alberta, modular building capabilities, and improved communication with students, coupled with excellent customer service, were also major factors after conducting an extensive options analysis, which led us to conclude that WaitWell was the best fit for our needs.

**What do you dislike about WaitWell?**

I dislike the limited report customization in WaitWell, which restricts my ability to tailor reports according to the different evaluation criteria required by various service points. Additionally, integration with other essential software like PeopleSoft is an option, but not one that our organization thought necessary at this time duplicates some processes. We currently only have it synced with Outlook calendars.

I find WaitWell enhances ease of use and equitability for students, allowing simultaneous management of appointments and drop-ins. It improves student communication through SMS and syncs with Outlook, enhancing our workflow over previous software.

Waitwell instantly solved our jammed waiting room issue by allowing patients to wait for their same day services at home, at work, or while shopping and accurately advised them when to come to clinic, minimizing their wait time while maximizing our throughput. 

It was easy to set up with the Waitwell project manager and did not require a lot of time from our team. 

Since going live with Waitwell we have received more than 800 positive Google reviews. Our patients absolutely love the convenience. In this day and age of the angry 1 star review, it's really hard to get patients to share their positive experiences and yet our reviews are gushing about the Waitwell experience and that positive vibe spills over to wonderful and kind comments about our staff. 

The Waitwell install process was seamless and integrates easily with our other systems. Our reception team is able to get quick and reliable assistance in the uncommon times when we need customer support. 

I can't say enough good things about our Waitwell experience, it has been the best B2C decision I've made. I can't imaging going back to 40 grumpy people in the waiting room. The positive vibe that Waitwell has created for our patients spills over to the whole team.

No complaints! Our WaitWell experience has been completely positive.

We offer same day x-ray services to about 80 patients per day. Before WaitWell they queued up in the waiting room 20-40 at a time and commonly waited for hours. The WaitWell system is very easy to use and allows our team to be able to service our customers quickly and efficiently.  The customer support is outstanding; any questions or assistance is resolved in quickly and efficient timeline.  Our customer service rep, Max Sturley, is the best.  He response immediately, discussing best solutions for our business, and assist and guides us on how to use the system at the maximum benefit to our team and customers.  Best part, it only took a few days to setup with a training class and training resources to access in the system are detailed but concise and very easy to follow.

Using the system for a year and have not had any major issues or complaints.  Any obstacles we had, have been resolved immediately by reaching out to our customer service rep. At this time, we have no issues with WaitWell.

Currently, we can only track when a specific area closes a ticket. It would be beneficial if all service areas that assisted a student could receive credit in the report. Additionally, it would help if we had the ability to remove someone from the wrong line and transfer them to the correct one.

WaitWell makes it easier for students to wait efficiently by letting them sign in, remain wherever they are, and track their place in line. It also enables us to manage an online queue, so we can assist students virtually through Teams.

The customer support with Dave Campbell is a great asset making the ease of use seamless. **What do you like best about WaitWell?**

What I find helpful about WaitWell is the ability to let our customers choose their own modality seamlessly, whether it is online or in person, drop-in or an appointment. It is fairly easy to manage and when I have come accross roadblocks in functionality, the WaitWell team has been good to install new features. We use it every day for our in person and drop in advising.

We got it up and running in a couple of weeks with only a few bumps in understanding.

**What do you dislike about WaitWell?**

There could be some more accessible information on how to compete integrations. I am not very experienced with this sort of thing so it can be tricky to be the middle person for WaitWell and IT.

Standardized training videos would help else this early training for the team.

**What problems is WaitWell solving and how is that benefiting you?**

WaitWell dynamically services customer needs for appointments and drop-ins, allowing both to happen at the same time. Previous to Waitwell, we had two cumbersome applications and this has to allowed us to instead use a single application. That means easier for our staff and our customers.

I love the fact that our students can manage their own bookings, which eliminates the need for a lot of back and forth emails. Students seem to be learning it quickly too, which is great!

**What do you dislike about WaitWell?**

My only wish is that we could have custom settings for each Additional Service so that if one in particular was selected, it would be mandatory to add an attachment to complete the booking form. 

This is very specific to our business unit, though, as we have WaitWell set up in a very specific way, where Additional Services are the specific types of appointments. Only one type (Resume and Cover Letter Reviews) requires attachments. Many students book their meetings before attaching anything, prompting us to chase them down to get what we need beforehand.

**What problems is WaitWell solving and how is that benefiting you?**

It vastly reduces the amount of communication needed to students when trying to plan a good time to meet. It benefits us because we can set our availability, and the students do the rest.

When people create an appointment or if I create one for them, the option to choose anytime other than on the hour, is not available. It is only after the appointment is created that I can go back and edit the exact time.

Before Waitwell, visitors to this location had to stand in a really long lineup and had no idea how long the wait would be. Now that they use Waitwell, there is no lineup. People can move around, wait in their car, etc. It's much less chaotic and way better.

Nothing. It's great. I wish more registries would use it.

Waitwell is getting rid of long lineups. Also i like that it asks people what service they are there for, which means that visitors get matched with an employee who has the right skills to do the job.

Sometimes when people put their name in via text it takes a long time to show up in the que. So someone may come in first and check in via text and then someone after them will come in and check in via the kiosk and the kiosk client will appear first.

Our office layout isn't ideal for a line up. This allows people to check in and sit where ever they please. Also during busytimes the wait can be up to 45 minutes. This allows them to check in and run next door to do another errand quick. Allowing everyone to maximize their own time.

I wish there was a way to remove the number in line for people in line. They get very angry when their number isn't going up and they constantly ask us what number in line they are and we do not have access to those numbers.

We use waitwell for a food pantry and we have about 40 people come into our pantry at the beginning of pantry. We can not keep all of these people in our building so waitwell allows them to wait in their cars or at home.

WaitWell is a few steps up than the previous application. It is easy to use and navigate throughout the application, and dispite few questions submitted to support, I was able to figure out the most of it. The implementation process was a brezz, and it was done in a month from configuration, training, to go live date. Customer service and support is the best. I can get answers in few minutes no matter what the question or the issue is. I use it in my organization everyday to support its needs. The text message feature and the preconfigured communications tha tgoes with it is awesome. The application have a lot of features that satisfied our needs.

**What do you dislike about WaitWell?**

The applications needs some improvment in some ways. When configuring a holiday, it requireds to go through each queue to sert it up and believe it is hectic when you have a lot of queues. Another issue is when you have an event that takes few hours of the day, you have to disable and enable one queue at a time. I would like to see an option where you can veiw all queues in one window and select which queue to disable and for how long.

One thing I like the most is that I can perform almost everything on the application without the need to get back to support, which it saves a lot of time.

Regarding your concerns, you can bulk import holidays using the Import feature. Hours and holidays are typically set at the location level, so all queues follow the same settings-no need to configure each one individually. Exceptions can be set at the queue level if needed, and even those can be imported.

We also have a window that handles this, and you can easily view all queues on the queue page, turning them off as needed until the next day.

**What do you like best about WaitWell?**

WaitWell is an extremly responsive and helpful software company that is crucial for implementing complex line management installations. They worked well with the nuances of of government client and provided top of the line, nearly around the clock, support. Not only were they flexible with the timeline, they provided all the help that we needed to customize and go live with the software. Beyond the support - the software is everything we needed as well! Smart enough to give valuable automations and calculations, but simple enough to get up and running with a breeze. Reccommend for a number of customers.

**What do you dislike about WaitWell?**

Nothing really to dislike, the only reccomendation is to enhance the queue to be able to manipulate the priority manually. We love the 'priotize' option, but we want to be able to move customers to specific places in line at certain times.

It is helping manage appointments and walk in lines.
