What I like best about Totara Learn is its sheer flexibility and how much you can achieve using just the native tools. As a small L&D team managing a complex environment, Totara lets us provide great interactive and engaging content on a tight budget.
We’ve been able to move away from expensive authoring licenses by building interactive learning pathways using native Dashboards, H5P, and embedded media. While we don't have complex API integrations set up—our HR system data is managed smoothly via routine file uploads—the platform handles embedded content like Google Apps and Genially seamlessly on our dashboards to create connected hubs for staff.
The automation behind the scenes is a game changer for us. Features like Dynamic Audiences and automated reporting mean we can manage niche compliance workflows completely hands-off. It even handles offboarding automatically, so when staff leave, they drop out of the system without us having to clean up ghost records manually.
From a UX perspective, using custom dashboards as landing hubs has allowed us to transform what could be a standard LMS into a modern, easy to navigate staff space. Paired with great support and guidance, it’s proved to be an incredibly adaptable, reliable platform that grows with you, whether you're supporting frameworks, onboarding partner content, or building engaging news hubs for staff. While Totara is a brilliant at automation, it can feel slightly behind the curve in a few areas. It’s definitely lagging a bit when it comes to native AI tools that could help streamline everyday admin tasks or search features. The visual reporting could also do with some modernisation, simple things like customising dashboard graphs or setting chart colours to match brand guidelines feel surprisingly clunky. Overall, the native UI can feel a bit dated at times, meaning you have to get creative with dashboards and workarounds to give staff that modern, slick user experience. It's a hugely powerful system, but giving admins finer visual control and built-in AI tools would make a massive difference.
The system can feel a bit laggy at times, which was more noticeable after a migration to a different server. We have done extensive testing on this and there has been found to be no real reason.
