## Substly Reviews
  ### 1. Substly Brings Clarity and Cost Savings to SaaS Management

**Rating:** 5.0/5.0 stars

**Reviewed by:** Verified User in Facilities Services | Mid-Market (51-1000 emp.)

**Reviewed Date:** May 04, 2026

**What do you like best about Substly?**

Substly is a powerful catalyst for organizational efficiency, bridging the gap between IT, finance, and operations. By providing a single source of truth for SaaS data, it enables seamless cross-departmental collaboration and eliminates the friction of internal back-and-forth.

The platform significantly enhances transparency, allowing teams to make data-driven decisions based on real-time usage insights. It simplifies the complexities of license tracking, ensuring both compliance and optimal utilization across the board.

One of its most impactful features is the ability to pinpoint unused subscriptions, directly translating into tangible cost savings and improved bottom-line performance. With Substly, you gain comprehensive visibility into your entire software ecosystem and spend, transforming SaaS management from a chaotic administrative burden into a streamlined, strategic advantage. It is an essential solution for any forward-thinking organization looking to master its digital environment.

**What do you dislike about Substly?**

While Substly offers great visibility, there are specific areas where the product could evolve to better serve complex organizational needs. Currently, the customization options for user permissions and role assignments feel somewhat limited. There is a clear need for more granular access control to ensure that specific user roles can be tailored more precisely to internal security and operational requirements.

Furthermore, while the tracking is helpful, the platform would benefit from more advanced, real-time software usage analytics to provide even deeper insights into daily engagement. Another area for growth is the budgeting suite; the inclusion of advanced features, such as automated budget thresholds and proactive alerts, would be a significant addition for financial oversight. Addressing these points would elevate Substly from a strong management tool to an indispensable strategic platform.

**What problems is Substly solving and how is that benefiting you?**

Substly addresses the critical challenge of "shadow IT" and fragmented software management by centralizing control over the entire SaaS ecosystem. By tracking software access and usage, it directly bolsters security and compliance, ensuring that only authorized personnel have access to specific tools.

The platform's primary benefit lies in financial optimization; it provides a crystal-clear overview of SaaS spending and budget thresholds, allowing for the immediate identification of redundant or unused subscriptions. This visibility eliminates unnecessary purchases and significantly reduces overall software costs.

Furthermore, Substly serves as a bridge for internal alignment. It streamlines communication between departments—such as IT, Finance, and HR—reducing the friction of miscommunication. This collaborative environment enables more informed, data-driven decision-making regarding software investments. Ultimately, Substly transforms SaaS management from a reactive administrative task into a proactive, strategic advantage.

Sometimes it takes a bit of effort to input custom software that isn’t recognized automatically.

  ### 5. Great Tool for Simplifying SaaS Management and Saving Costs

**Rating:** 5.0/5.0 stars

**Reviewed by:** Erik F. | Co-founder, Small-Business (50 or fewer emp.)

**Reviewed Date:** November 11, 2024

**What do you like best about Substly?**

The ability to clearly visualize all our SaaS subscriptions in a single, user-friendly platform is invaluable. I can easily see where our money is going, identify redundant licenses, and make more informed decisions about our tech budget. Substly's renewal reminders and straightforward reports make it easy to optimize SaaS spending without any hassle.

**What do you dislike about Substly?**

I appreciate the simplicity, but sometimes I wish Substly offered more detailed reporting options, particularly for exporting data to share across teams. Additionally, more integration options with our other tools would help us streamline subscription tracking even further.

**What problems is Substly solving and how is that benefiting you?**

Substly has brought much-needed visibility and control to our software subscriptions. Before, we relied on spreadsheets that quickly became outdated, but now, with Substly, we know exactly who is using each tool, which reduces waste. It’s also reduced our overall SaaS costs by highlighting underused subscriptions we could cancel, giving us more budget flexibility.

**What do you dislike about Substly?**

Some features like deeper analytics might be missed by larger companies, but it works perfectly for us

**What problems is Substly solving and how is that benefiting you?**

It’s helping us stay organized and avoid SaaS sprawl

  ### 8. Gives us full control over how we manage our SaaS subscriptions!

**Rating:** 5.0/5.0 stars

**Reviewed by:** Getoar K. | CEO, Small-Business (50 or fewer emp.)

**Reviewed Date:** June 17, 2024

**What do you like best about Substly?**

We really appreciate the aspect of getting a total overview to monitor our services in terms of cost easily, but also managing who has access to services, helps us ensure that we offboard employees properly. The platform is also intuitive and easy to get started with!

As we are a startup, decreasing cost and optimizing spend is essential. I recommend Substly to everyone who want to seize control over their SaaS spend!

**What do you dislike about Substly?**

As of now, Substly fulfill our needs as we are relatively small. Once we grow in numbers of employees, new needs will probably appear, but the feature set seems to be aligned to our expectations!

**What problems is Substly solving and how is that benefiting you?**

Optimizing spend based on access and also making sure that we have proper on- and offboarding for employees.

  ### 9. Helps our team work together on saas decisions

**Rating:** 4.5/5.0 stars

**Reviewed by:** Daniel F. | Senior software engineer, Small-Business (50 or fewer emp.)

**Reviewed Date:** January 21, 2025

**What do you like best about Substly?**

It’s great that the platform is designed for collaboration. Different departments can log in and see the data relevant to them, which makes cross-team SaaS discussions so much easier.

**What do you dislike about Substly?**

I would like the ability to customize access permissions more specifically for certain user roles

**What problems is Substly solving and how is that benefiting you?**

Substly fosters transparency between teams, so we can make more informed, collective decisions about our SaaS tools

  ### 10. Streamlines SaaS management and reduces costs

**Rating:** 5.0/5.0 stars

**Reviewed by:** Faheem S. | Founder, Small-Business (50 or fewer emp.)

**Reviewed Date:** November 18, 2024

**What do you like best about Substly?**

It’s incredibly transparent; we can easily view the status of all our software subscriptions and quickly see which teams are using which tools

**What do you dislike about Substly?**

The only drawback is that the reporting could offer a bit more depth for our budgeting purposes, but then again I can export the data and build reports myself so it's not a big thing.

**What problems is Substly solving and how is that benefiting you?**

Substly has made it easier to hold teams accountable for their software usage and cut down on redundant subscriptions, giving us clear visibility into SaaS costs

  ### 11. Great Tool for Managing SaaS Subscriptions

**Rating:** 4.5/5.0 stars

**Reviewed by:** Andreas S. | Creative Director, Small-Business (50 or fewer emp.)

**Reviewed Date:** November 15, 2024

**What do you like best about Substly?**

The platform is incredibly user-friendly. It’s intuitive enough that our team quickly picked it up without training, and it’s saved us a ton of time by automating SaaS management.

**What do you dislike about Substly?**

One limitation is the lack of a mobile app. It would be helpful to manage subscriptions on the go, especially for a smaller team like ours where we’re often multitasking.

**What problems is Substly solving and how is that benefiting you?**

Substly has cut down on manual tracking, which saves our team hours every month. It’s also helped us identify underused software so we can streamline costs.

  ### 12. Helps improve our SaaS Visibility and accountability

**Rating:** 5.0/5.0 stars

**Reviewed by:** Henrik L. | CTO, Small-Business (50 or fewer emp.)

**Reviewed Date:** January 21, 2025

**What do you like best about Substly?**

I appreciate the tracking features, which help us ensure that all software licenses are used correctly.

**What do you dislike about Substly?**

The only improvement I’d suggest is more robust tracking of real-time software usage.

**What problems is Substly solving and how is that benefiting you?**

Substly has greatly improved our security by providing clear tracking of who has access to each software, which reduces compliance risks.

  ### 13. A jaw dropping reality check of the tech stack we pay for and use. And don't use anymore

**Rating:** 5.0/5.0 stars

**Reviewed by:** Verified User in Computer Software | Small-Business (50 or fewer emp.)

**Reviewed Date:** August 27, 2024

**What do you like best about Substly?**

The ease of integration. A quick install of the Discovery Engine extension on colleagues' browsers and a short form to fill out, and you have complete security, financial and administrative control of the services that your employees use and don't use. The price compared to both financial "rescue" and peace of mind from the security aspect, is a total bargain.

**What do you dislike about Substly?**

Apart from the admittedly painful reality check, it takes some time to get all employees on board with the browser extension. It doesn't take 100% onboarding to start showing critical results, just something to keep in mind.

**What problems is Substly solving and how is that benefiting you?**

Although we have processes in place to let our employees acquire tools, there are still security measures that certain employees don't take into account when signing up for certain services. Also if employees use their budget as they please, they are bound to forget certain services and stop using them completely. Canceling licenses thanks to usage monitoring has dramatically decreased our SaaS-spend.

  ### 14. Efficient and Easy-to-Use SaaS Management Platform

**Rating:** 4.5/5.0 stars

**Reviewed by:** Dennis A. | CTO, Small-Business (50 or fewer emp.)

**Reviewed Date:** November 18, 2024

**What do you like best about Substly?**

Substly’s ability to track renewals and notify us in advance is fantastic. It keeps our IT team organized and prevents last-minute renewal scrambles.

**What do you dislike about Substly?**

I wish the interface offered more customization options, especially for displaying data in ways that cater to specific departments.

**What problems is Substly solving and how is that benefiting you?**

It’s reduced chaos in our IT operations by giving us control over software renewals and user access, which has also improved our cost efficiency.

  ### 15. Simple and effective SaaS tracking solution

**Rating:** 5.0/5.0 stars

**Reviewed by:** Markus V. | Head of Sales & Co-founder, Small-Business (50 or fewer emp.)

**Reviewed Date:** December 04, 2024

**What do you like best about Substly?**

The setup was easy, and everything from tracking to renewal management is straightforward, allowing us to focus on higher-priority tasks.

**What do you dislike about Substly?**

Sometimes I feel it could offer more in-depth analytics

**What problems is Substly solving and how is that benefiting you?**

Substly has simplified SaaS management, helping us keep our software licenses in check without overwhelming complexity.

  ### 16. Simple way to get control and cut costs

**Rating:** 5.0/5.0 stars

**Reviewed by:** Verified User in Computer Software | Small-Business (50 or fewer emp.)

**Reviewed Date:** May 20, 2024

**What do you like best about Substly?**

It was easy to get started and quickly gave me an overview of our costs and who had access to what.

**What do you dislike about Substly?**

It's not a silver bullet: you have to put a little time into working out your current status. But I mean hours not days, and once you do it's well worth it.

**What problems is Substly solving and how is that benefiting you?**

Substly gives me visibility of all our licenses, costs, and which users have access to what. The quickest win was being able to cancel unused services. Longer term the biggest advantage is the sense of control: I know what's going on now. Reduced risk for employees that leave is a big deal too, ensuring we can cancel their access instead of leave accounts hanging around long after they're gone.

  ### 17. Substly was our only choice due to its affordability and comprehensive functionality.

**Rating:** 5.0/5.0 stars

**Reviewed by:** Elna F. | Anställd, Small-Business (50 or fewer emp.)

**Reviewed Date:** May 31, 2024

**What do you like best about Substly?**

What I like best about Substly is how easy it is to set up and use. Plus, Olle from customer success is always very helpful and quick to respond.

**What do you dislike about Substly?**

There is some missing functionality that would be nice to have. However, the Substly team has been very transparent about when these features will be implemented.

**What problems is Substly solving and how is that benefiting you?**

Substly is solving our SaaS spend management problems, which was our initial focus. Additionally, its Shadow IT functionality has provided insights we couldn't obtain otherwise. We discovered numerous services our employees had logged into, allowing us to eliminate unused services and establish a policy for what employees can sign up for. This has been highly beneficial for us.

  ### 18. Helpful for Tracking and Controlling Software Costs

**Rating:** 4.5/5.0 stars

**Reviewed by:** Verified User in Health, Wellness and Fitness | Small-Business (50 or fewer emp.)

**Reviewed Date:** November 15, 2024

**What do you like best about Substly?**

I love that it provides clear cost visibility across all SaaS tools. We can now see exactly what each department is spending and make adjustments based on real usage data.

**What do you dislike about Substly?**

I’d like more integration options with finance platforms so that SaaS expenses can be automatically updated.

**What problems is Substly solving and how is that benefiting you?**

Substly helped us reduce SaaS spending by highlighting licenses that were barely being used. This has allowed us to allocate funds to higher-impact areas.

  ### 19. Easy way to get an overview of all our SaaS tools

**Rating:** 5.0/5.0 stars

**Reviewed by:** Jonatan R. | Board Member, Small-Business (50 or fewer emp.)

**Reviewed Date:** May 30, 2024

**What do you like best about Substly?**

Fast to get started and gave me the overview I needed. I especially like the shadow IT detection, as it's hard for me to follow-up on all usage, even though we are a small company. We use Google Workspace and that made the integration and implemetation easy. The product is pretty self-explanatory, but I had some questions and the customer support was great! I use this service on a monthly basis.

**What do you dislike about Substly?**

I would have liked to be able to track desktop usage as well, but it's not a deal-breaker as most of tools are SaaS.

**What problems is Substly solving and how is that benefiting you?**

Automatic cost overview of what we're using and helps out to not over-spend.

  ### 20. A cost-effective tool for managing our subscriptions

**Rating:** 4.5/5.0 stars

**Reviewed by:** Verified User in Marketing and Advertising | Small-Business (50 or fewer emp.)

**Reviewed Date:** December 08, 2024

**What do you like best about Substly?**

The platform is very affordable compared to other SaaS management tools, and it provides all the essential features we need for tracking and optimizing our subscriptions.

**What do you dislike about Substly?**

It could improve its reporting capabilities to provide more in-depth cost analysis.

**What problems is Substly solving and how is that benefiting you?**

It’s helping us reduce unnecessary spending on unused or duplicate software licenses, which has been a huge budget relief.

  ### 21. User friendly and important for our data security

**Rating:** 5.0/5.0 stars

**Reviewed by:** Mårten A. | CEO, Small-Business (50 or fewer emp.)

**Reviewed Date:** May 31, 2024

**What do you like best about Substly?**

For us, it's been very important to get control over our subscriptions in sense of compliance and data security

**What do you dislike about Substly?**

Earlier it was not totally automated but that has changed now.

**What problems is Substly solving and how is that benefiting you?**

It helps us manage and have control over our subscriptions as well as make sure that we don't have apps that is a security risk.

  ### 22. My Experience With Substly - It Is a Great Saas Management Solution

**Reviewed by:** Magnus O. | Mid-Market (51-1000 emp.)

**Reviewed Date:** September 25, 2023

**What do you like best about Substly?**

This is one of those tools you don’t know you need until you start using it. It forced me to become more structured in my approach. At first it was a bit tough but once I got the hang of how it worked I started seeing other benefits I didn’t realise from the start, like how it made offboarding much easier.

**What do you dislike about Substly?**

For my needs, it is spot on. All the features I need are included in the package.

**What problems is Substly solving and how is that benefiting you?**

**Reviewed Date:** June 12, 2024

**What do you like best about Substly?**

Great and easy-to-use design + smooth workflow + very good overview!

**What do you dislike about Substly?**

The performance could be improved, since this is not a system I use that often it''s not crucial for me, so not a big issue.

**What problems is Substly solving and how is that benefiting you?**

Gives us a clear overview of our licens spends
Easy on/offboarding processes
Compliance

  ### 26. Keeping track of all subscriptions just got (much) easier

**Rating:** 5.0/5.0 stars

**Reviewed by:** Tobias L. | Business Development Specialist, Small-Business (50 or fewer emp.)

**Reviewed Date:** August 11, 2023

**What do you like best about Substly?**

We have a ton of Saas tools. Before using Substly they were scattered around. Now everything is in one place which has made it much easier for us, especially when we are off-boarding someone. It´s easy to use and we got an increased cost control and it also saves a lot of time.

**What do you dislike about Substly?**

What I understand this solution has a connectivity to diffrent accounting platforms, not currently ours. That would be awesome.

**What problems is Substly solving and how is that benefiting you?**

We got an increased cost contol, we save bothe money and time in managing subscriptions. We get better accuracy when it comes to budgeting. Substly has made the offboarding of employees and consultants much easier for us.

  ### 27. Great SaaS even for small businesses and start ups!

**Reviewed by:** Adrianne B. | Hospital Corpsman, Mid-Market (51-1000 emp.)

**Reviewed Date:** August 10, 2023

**What do you like best about Substly?**

This system is very user friendly. Employees don't have to wait on Department heads for information which gives a sense of empowerment. Companies, as a whole, can keep track of its subscription expenses and control its budgets better.

**What do you dislike about Substly?**

While there isn't much to dislike about this company, smaller companies may have no use for some of the features which may question the need for the services. The features, however, may be useful as the company grows.

**What problems is Substly solving and how is that benefiting you?**

Puts all of my subscriptions in one place! This allows users to see exactly what is going on within their comapny's expenses. Using this platform saves time and money, overall.

  ### 28. Best way to spend money, to save money!

**Rating:** 5.0/5.0 stars

**Reviewed by:** Richard U. | Mid-Market (51-1000 emp.)

**Reviewed Date:** April 11, 2023

**What do you like best about Substly?**

The short learning curve, the intuitivity of the UI and being able to share the same information with other stakeholders in our company.

**What do you dislike about Substly?**

Lack of usage information from our AD in Substly. According to the team it is on the product roadmap and I look forward to trying it out once implemented.

**What problems is Substly solving and how is that benefiting you?**

Using Substly has given us a better understanding of how we use our SaaS-apps and improved our ability to manage software licenses, resulting in better decision-making and cost savings. Substly's overview feature has been particularly helpful in this regard. Additionally, the offboarding feature has streamlined the process of removing software access for departing employees.

  ### 29. Quickest way to get your CFO in love with a licensing system

**Rating:** 5.0/5.0 stars

**Reviewed by:** Krister L. | CEO & Founder, Mid-Market (51-1000 emp.)

**Reviewed Date:** March 16, 2023

**What do you like best about Substly?**

The fresh and easy interface. The always updated graphs. How quick we got started.

**What do you dislike about Substly?**

Lack of SCIM, but it's on the roadmap and we look forward to it as integration to our directory will complete the journey.

**What problems is Substly solving and how is that benefiting you?**

Compliance Management
Easy to manage users' licenses and see if you need a license or are oversubscribed. It's critical for us to be legally compliant, and Substly helps us do that with the updated user list and off-boarding functionality.

Onboarding
When onboarding a user, the person is added automatically from our directory. The user is then populated with the correct licenses and added to the groups they belong to. This makes it easy to later see how a specific group's spending is affected.

Renewal Management
Listings provide a great overview of contracts nearing the end. We also opted for a mail 30 days in advance to be prepared. Contracts with a long cancellation period are of particular interest with this functionality

Spend Control
With Substly, we get great charts of current spending and a forecast of future spending as well. The interface is so nice that I just log in to substly.com and show it to the CEO and CFO directly. I can show how different groups, teams and roles spending have changed in the past and what cost Substly forecasts. The forecast seems eerie and precise, drawing knowledge from past growth/decline.

Spend Management
We can manage the costs much better than in the past. Since all licenses not allocated to a user is clearly visible, it's easy to cancel them and save money. There is even a view for all unallocated licenses if you want to cut down immediately and not have any spare.

License Management
This is where it shines above the rest. Most other systems use agents to extract what it thinks are software. In the end, you end up with Chess and .exe files all over the screen that does not matter at all. It clutters down the system. With Substly you need to manually enter what licenses you have. This gives you the control you want. We imported our old Excel directly into Substly to get a smooth start. After the import, we just brushed up on some things and made use of the flexible groups.
If you want something that gets you up in no time, is pleasing to the eye, and makes the CFO want to use it, this is the SaaS app for you.

Transaction History
You can add receipts and follow the transaction history really easily. You can also connect it to selected accounting software to extract costs directly.

Overall experience with Substly
We went from a super advanced Excel document with about ten tabs. Pivot tables, imports from finance to supply users. Endlessly scrolling and making filters for tens of thousands of lines. From that to Substly just showing what we want.

Why did we make the switch?
Whatever system we previously used was a hassle in some way. We have looked for a system for ten years. Tried to write our own a couple of times. But as soon as we saw Substly, we knew it was the right thing for us.

We considered several other solutions, such as Snow License Manager, Xensam Xupervisor, Torii and Blissfully.

In the end, we chose Substly for: Cost, ease of use, and perfect functionality. Not agent-based. Very easy to get started.

  ### 30. A subscription management system as I'd make it.

**What do you like best about Substly?**

I had fantasised about a tool that would make it easy to manage a multitude of software licenses and other subscription services. And when I saw Substly, they had literally taken my wish list and made a product of it. The easiest buy I've ever done.

**What do you dislike about Substly?**

It's not really Substly's fault but every service has their quirks, and it's just sad that such a tool have a hard time integrating into other services systems. That said, Substly have a lot of super useful automations in this domain.

**What problems is Substly solving and how is that benefiting you?**

We looked for years for a tool that would take all of our software licenses and subscriptions and give us control and ease of mind. Everything we looked at likely would have added more work rather than empower us. Substly just soleved it. Easy, affordable and super powerful.
