What do you like best about Quickbase?

Quickbase has been helpful for managing our existing logs and organizing information across different service areas. Our DSS department uses it to track client data, which we previously managed in an Excel spreadsheet. It addressed the problem of multiple staff members trying to edit the same file at once, which used to cause issues. Overall, it’s been smooth to use, and we haven’t had any complaints with what we currently have in place. I also appreciate the flexibility to create test applications so I can explore potential uses for other departments. Pricing is fair and worth the functionality. What do you dislike about Quickbase?

Before Quickbase, we relied heavily on Excel for tracking client information, and it wasn’t working well. Staff ran into issues with multiple people editing the same file, which led to errors and inefficiencies. Quickbase eliminated those problems by providing a centralized platform where everyone can access and update information without conflicts. It’s also helped us explore ways to streamline processes, like maintenance tracking and capturing signatures, though those are still in the early stages. Overall, Quickbase has made managing data easier and more reliable for the department that uses it. We would like to see more features related to signature capturing that is integrated into QuickBase and not a third party attachment. What do you like best about Quickbase?

I like that Quickbase is a low-code tool, but allows for as much customization and automation as you want, unlike other low-code database platforms. For example, you can create a report with any columns you want and send this report via email on a schedule. What do you dislike about Quickbase?

Quickbase is very limited with what branding features they let you customize in your app. For example, you cannot change the font size, font color, font type, and background color of records. Quickbase allows our business to keep all our records in one database. "Simplifying Timesheet Management with Quickbase"

What do you like best about Quickbase?

I like most about Quickbase is that you can customize it around the way your team actually works. In my project, I use it to manage weekly timesheet PDF files. I also created a formula URL button that links directly to a custom solution. When a reviewer needs to remove sensitive information from a PDF, they can click the button, open the file in a browser-based redaction tool, black out the sections they need to remove, and save the updated PDF. "Quickbase Centralized Our Data with Custom Dashboards and Helpful Automation"

What do you like best about Quickbase?

Quickbase has been a solid tool for us because it allows us to centralize all of our data and make it accessible to the people who need it. Before Quickbase, we were dealing with a mess of Excel spreadsheets, rogue documents, and systems that didn’t talk to each other. Now, everything is in one place, and it’s tailored to what each person needs to see. For example, our supervisors can log in and immediately see the information they need about their team without having to call me or wait for a report. It’s reduced the number of calls and texts I get asking for data by 60-70%. I also like that Quickbase lets me customize dashboards and reports for different roles, so everyone from shift managers to plant managers can get the data they need without digging through irrelevant information. The automation features, like sending alerts for upcoming certifications or deadlines, have been a big help too. It’s not perfect, but it’s made my job a lot easier. What problems is Quickbase solving and how is that benefiting you?

Before Quickbase, we were tracking everything in Excel, and it was a nightmare. If those spreadsheets weren’t updated daily, the information would get outdated fast, and we’d end up with gaps in training data. Multiple people trying to update the same document would cause confusion, and managers couldn’t get a clear picture of where their teams stood. We also had training records scattered across HR, safety, and quality departments, with no single source of truth. When it came time for recertifications, we didn’t know who was certified, when they were last certified, or who needed training. It was a mess.

With Quickbase, we’ve centralized all of that. Now, we can track certifications, training progress, and even corrective actions in one system. Automated alerts let us know when certifications are coming due, and supervisors get weekly reports on incomplete trainings. This has saved us 12-16 hours a week that we used to spend compiling data manually. It’s also helped us with compliance — our VPP auditors said they’d never seen a system like this and wished they could emulate it for the masses. On top of that, having everything in one place has improved communication and accountability. Managers can see their team’s progress and training gaps at a glance, which helps them address issues faster and more effectively. "Quickbase Pipelines Error Handling Keeps Our Data Workflows Moving"

What do you like best about Quickbase?

The error handling feature in Quickbase pipelines has been a big help for us. It’s made things more efficient, especially when dealing with data issues. For example, we had a situation where some fields in our data didn’t exist on certain records. Without error handling, the pipeline would have just stopped running, and we wouldn’t have been able to do anything with the errors. But with the error handling, I was able to set up nested steps to manage those missing fields and keep the process moving. It’s also helpful that Quickbase allows us to log errors and create records for them, so we can track which vendors are missing specific data points and follow up as needed. It’s not perfect: adding those steps increased the processing time. But the benefit is that we’re getting more detailed and visible data now. "How We Built a Custom E-Signature Workflow on Top of Quickbase"

What do you like best about Quickbase?

Quickbase works as the backbone for a custom e-signature solution we built for YSL. Since it doesn't support signing natively, we built a .NET Web API triggered through Pipelines. Quickbase sends a JSON payload with the PDF, signer info, placeholder mappings, and sign positions from our File, Users, and File Field tables. Our API generates signing links, and once signed, uploads the document to SharePoint using config from that same request. Quickbase isn't signing anything itself, but it structures the data cleanly and fires reliable pipelines, making it the real control center for a workflow it wasn't built for.

Performance has held up well even with this custom layer on top. Pipelines fire reliably on record updates, and passing structured JSON hasn't caused delays, since the heavy lifting happens in our own API. We just had to keep our File and Users tables clean so sign position and placeholder data pull correctly every time. Once that was sorted, things ran smoothly even as usage scaled. What do you dislike about Quickbase?

The main limitation is no native e-signature or document processing, so we had to build an entire external API instead of handling it inside the platform. Passing nested data like placeholders and coordinates through Pipeline JSON took some trial and error, since documentation on this isn't very deep. Before Quickbase, we had a lot of manual processes and workarounds that weren’t consistent or scalable. For example, tracking bids and proposals used to be a bit of a mess. Sales would skip steps or submit incomplete information, which caused delays for operations. With Quickbase, we’ve set up workflows that make sure all the necessary information is filled out before something moves forward. One of our customers met an official from another university where their Student Affairs department was providing great services to their student community by deploying a product called Salesforce. They are having great success with it so our customer asked us to give them feedback on it.

We immediately began comparing Quickbase and Salesforce. Since both platforms are customizable low-code/no-code platforms for higher education operations, we argued that Quickbase can match nearly all Salesforce use cases we researched, including data management, FERPA-sensitive access controls, case tracking, student engagement tools, automated notifications, reporting dashboards, and document workflows.

Our core conclusion was that Quickbase could provide comparable functionality to Salesforce while offering a faster, lower-cost, and more flexible implementation path for a university student affairs environment.

What do you like best about Quickbase?

What I like most about Quickbase is its user-friendly interface and how it helps me organize and manage safety-related information efficiently. Having everything in one place makes it much easier to access, update, and track records, which in turn supports a more structured workflow and improves overall efficiency. What do you dislike about Quickbase?

One area that could be improved is the learning curve for some of the more advanced features. As a new user, you may need a bit of time and guidance to feel fully comfortable with the system. A simpler navigation structure, along with clearer in-app guidance, would make the overall experience even better. Review collected by and hosted on G2.com.

What problems is Quickbase solving and how is that benefiting you?

Quickbase helps address the challenge of managing and tracking safety-related information across multiple processes. It offers a centralized platform where this information can be recorded, accessed, and monitored in a more efficient way. As a result, it cuts down on manual work, improves overall organization, and makes it easier to follow up on safety-related tasks, documentation, and records.
