I am a virtual corporate law and owner of VanillaBiz, which provides freelance and outsourced corporate law clerk services. The previous corporate records management software I was using had become outdated and was not keeping up with the technological advances that my business required. After researching various software platforms, I chose MinuteBox as my new solution for corporate records management. The data migration process from my old software platform to MinuteBox was a fairly seamless process. MinuteBox was there every step of the way for me through the onboarding and implementation process. From the start I have been impressed with the amount of training materials available and the ongoing support that I have received.

MinuteBox is transforming the way I do business and easily allows me to share information and corporate records with the lawyers and end clients that I am working with, without the cumbersome process of downloading and saving PDFs every time there is an update to a record. MinuteBox also supports multiple entity types, such as family trusts and limited partnerships, which is something my old software could not do. Being able to have entity information and records readily available for these additional entity types allows me to provide value added service that was just not possible before. I started using MinuteBox over a year ago when I convinced one of my clients to transition to virtual minute books. We were constantly sifting through hard copy books, manually creating registers and ledgers, and the process was ineffective. After seeing the first demo, I was convinced that the platform would change our workflow entirely – and that is exactly what it did! The training, onboarding and overall support that we received were amazing. The system is so easy to use, and the fact that we can collaborate and share information easily and securely is a huge bonus. MinuteBox has its own templates, or you can quickly and easily create your own, which has been very helpful to us. I love that the system is constantly evolving and new features are being added. Each element of MinuteBox’s solution is highly customizable: from the entity management screen, the entity summary screen, viewing the digitized copy of a minute book, to creating precedents and producing corporate documents. Onboarding is simple – you can’t get any easier then dragging and dropping files!

You may use existing corporate document templates or create your own. Creating custom templates, whether simple or complex, has never been easier. Document assembly is automated, increasing accuracy and efficiency. The ability to provide secure access to all of this information to clients and their approved service providers is invaluable.

As a small business owner, I've always felt like I've paid my law firm an arm and a leg for things like photocopies, postage etc that always end up on my bill each year.

Finally, they have delivered something that I consider truly value-add.

I love how streamlined the whole platform is. I am able to login and see not only my minute book but also all of my key data. I've had my law firm share my business records with my accountants and even my corporate insurance agent.

MinuteBox has been an essential tool in enabling our customer-first efficiency-driven business model. Since day one, we have operated as a distributed, remote-work business. This meant that, from the get go, we have looked for solutions that allow our team to communicate and collaborate together without requiring a centralized office environment. MinuteBox provides a centralized cloud environment that enables our distributed team to work together in providing great service to our clients. We use MinuteBox as one centralized single source of truth for all corporate governance records including client minute books, perpetual or time-limited sharing of minute books with clients lawyers outside of our firm, all ledgers and registers, capitalization tables, board resolutions, by-laws and incorporation documents.
 We like using MinuteBox for the quick creation of new documents, especially because the easy visual editor allows our team to quickly adapt and make changes to precedent documents without requiring specialized tools or assistance. Along with this, we also use MinuteBox to automatically create and fill-in government forms for filing. All documents that we create can also be automatically sent for signature with DocuSign, which we use at our firm.
 Our clerks and administrative teams rely heavily on the calendar and tickler system, which reminds us of important dates both inside the MinuteBox system and by Email. Review collected by and hosted on G2.com.

That we didn’t know about MinuteBox earlier. I wish we knew about this platform when we first started CEO Law, as it would have made it even simpler to create a distributed legal services solution from day one. MinuteBox was clearly designed for modern teams and operations. Knowing about it sooner would have been helpful in developing our procedures to create greater efficiencies from day one. I just completed helping my father migrate his entire law practice of corporate minute book binders from paper to MinuteBox. There were a couple reasons for this, primarily ,my dad has transitioned away from practicing on premise at his law office and required a solution that would allow him to see and view all of his minute books from home or the cottage. The timing of this decision was very good, given the global pandemic, which only reinforced the need to work remotely. Second, we are starting succession planning for his law office as he is now retiring and only working a fraction of the house that he regularly did. It would not have been possible to transition the law practice to a new practitioner with the current state of the physical minute books, which had not been backed up until being moved to the cloud.

So far we have loved the onboarding process. The team has been with us every step of the way, helping us figure out which plan to use, how to transition and to get training under way very quickly. Just being able to access everything remotely from home has been transformational, especially for my father.

The interface was way simpler than I had anticipated, especially for my father who is older and does not regularly use a computer. Despite this, he was quickly able to understand the basics of MinuteBox and easily start accessing his client data. One new benefit that was not originally thought about, but which quickly became one of the favourites is the ability to share the books with clients as well. Since we started using MinuteBox there has been nothing that we do not like. The sign-in and authentication process was a bit new and different from what we were used to for most online platforms, but being able to securely authenticate without using passwords has been a game changer. We had some questions in order to understand how the authentication process worked when we got started and support was really responsive. They sent over the white paper so we understood not just how their authentication works but all aspects of their system's security. Other than that, we have not had any issues yet. We've been using MinuteBox for quite a while now and it has completely revolutionized our global entity management practice. Starting from its ease of use to the quick onboarding we have been extremely impressed. More than anything we are blown away by the level of support we have received from the team, who are extremely responsive and helpful.

We use MinuteBox for advanced entity management across various global jurisdictions. MinuteBox has made it easy for my colleagues and I to collaborate between ourselves but also with external clients.

Our most used features are the organizational charts, which just automatically create themselves and the share capital.
