Outmind

Outmind is an enterprise search engine and AI assistant for document-intensive organisations, such as engineering and design firms, law firms and infrastructure operators. It indexes company knowledge where it lives, without migration: Windows file servers and NAS, SharePoint, OneDrive, Outlook, Teams, Google Drive, Gmail, Dropbox, Box, Slack, Notion, iManage and document management systems. Scanned PDFs (built-in OCR), ZIP archives and PST mailboxes are also indexed full-text. Access rights are replicated from each source: users only see the documents, titles and passages they are already allowed to open. Search: keyword, Boolean and semantic search across all connected sources, with deduplication, multilingual understanding and filters by source, type, date and author. AI assistant: answers written from the search results, with the exact source passage cited for each statement. Custom assistants: built-in RAG and an interface to create assistants for recurring tasks such as bid responses, site meeting minutes or deliverable checks. Extraction: requirements, checkpoints, punch-list items and milestones pulled from documents into lists or tables, exported to .xlsx. Existing AI tools: AI assistants and LLMs already deployed in the company can use the Outmind index. Outmind is a French company. Each customer gets a dedicated instance hosted in Europe. The index is encrypted at rest and in transit with a dedicated key per customer; Outmind does not store customer documents, and customer data is never used to train AI models. Outmind is ISO 27001:2022 certified and holds a SOC 2 Type II report. SSO, two-factor authentication, audit logs and an administrator dashboard are included. Custom plans add SAML/OIDC, private cloud or on-premises deployment and the choice of LLM. Pricing is based on the volume of indexed data and usage, not on the number of users. Each deployment includes assistants pre-configured for the customer's business, short onboarding sessions team by team, and usage reports for administrators. Customers report on average 15 days saved per employee per year and 80% fewer internal requests for information (search and document use only). And it works at scale: for example, at Setec, more than 50 million documents are indexed, with about 1,000 permission-aware connectors in production.
