  ### 1. Automated Listings, Applications & Leasing—RentCafe Streamlines Our Daily Workflow

**What do you like best about Yardi RENTCafe?**

I like that RentCafe allows users to list their available units across RentCafe.com and their syndication partners (Apartments.com, RentalBeast, StreetEasy, etc) and that this particular workflow is automatic. If you take the time to get it set up correctly, it will dynamically update the pricing. RentCafe allows property managers to host online applications which is by far the preferred way for renters to apply. RentCafe hosts the lease signing process and allows digital signatures. I love the CRM IQ, it's where you manage and track your leads from inquiry to lease. Chat IQ is the beginning of a cool product - its the automated chat/text/email feature for communicating with your prospects. Again, Chat IQ takes some setting up but when it's done right, it can cut out a lot of repetitive work that can sometimes feel like a waste of time (when a prospect drops off). RentCafe also has built in ID verification and applicant screening to help leasing professionals process applications. RentCafe is also how we communicate with our residents and manage their rent payments and ledgers. Residents use the same app to submit maintenance requests, renew or access their lease, complete their move-in checklists, packages, community board and there's even a rent rewards program your company can use. The analytics and performance metrics offered are very robust. We have used RentCafe to communicate with the entire community via SMS and those instances have all gone off without a hitch. It should be fairly obvious that we used the software every day. We had a dedicated account manager that would oversee any requests we sent to customer support. I wasn't here when we set up the software but it integrates very well with Yardi and Funnel Leasing.

**What do you dislike about Yardi RENTCafe?**

The custom property websites are great but they are a bit prescriptive and if you've got a lot of properties they can start to look like the sites are not unique and in our experience the community website should really show prospects the vibe and should be specific. Additionally, the SEO & lead conversion tools aren't as useful for us but it's very likely that our set up is just not optimized to pull a lot of value there. Aside from the dashboard being easy to navigate, there is a huge learning curve with the software for new users. There was a significant need for training for the team to perform basic leasing tasks confidently. With the syndication partners, you don't always know where your listings are going or why something isn't showing up on a partner site. Troubleshooting those issues is often frustrating. Finally, the interface feels dated and cluttered. Simple things can take way more clicks than they should. It works best within the Yardi ecosystem and doesn't have a lot of use outside of it.

- Problem: How to communicate with the entire community Solution: RentCafe allows us to send mass SMS communication
- Problem: Where to host the leasing process from inquiry to lease signing. Solution: RentCafe allows us to market units, develop leads in the CRM, invite prospects to apply, verify their application materials, and send a lease for signature in one platform. 
- Problem: Poor resident experience. Solution: Self-service through the portal/app gives them what they want: pay rent, request service, see documents.
- Problem: Managing our listings. Solution: RentCafe centralizes listings, syncs availability, and distributes it across your own site and partner networks
- Problem: Slow lead follow-up. Solution: Built-in CRM + automation means leads get logged, tracked, and nurtured — and you can see who’s hot vs. cold.
- Problem: Maintenance Tickets Solution: Portal + ticketing gives residents one place to request and track work orders.

I love Yardi Rent Cafe because the ease of integration is easy and I can go in update email addresses and block residents from paying if needed for evictions.

Downside is that if someone lived at another apartment community that had rentcafe, it messes up the username and passwords for when we set up the new account at our communities

It's an alternative to what's out there.

Very hard to navigate. Their support is so overwelmed with issues that nothing gets fixed in a timely manner. Support for Yardi Payment Systems is non existent. Does not support support 3rd party vendors. Thye are trying to consolidate everything under one roof and they just don't have a product good enough to do that.

Expect to encounter issues and to not get them fixed for months. While you continue to encounter more and more issues!

Competeing with Sparefoot. This is the only good thing.

The YardiRENTCafe is the modern side of Yardi, making handling prospects and residents very simple. I can handle all aspects of our property from one location and very simply.

**What do you dislike about Yardi RENTCafe?**

Some rent settings can be tricky; manual entry is needed to update rents when rents are not the same as Yardi.  Therefore when putting someone on notice, you must then follow up with YardiRENTCafe.

They host our website and make handling leasing digitally very easy.  They made the switch to online from in-person a simple transition, and when I encounter a problem, they are beneficial and very resourceful.

**What do you like best about Yardi RENTCafe?**

I like how RentCafe is easy to use to send out mass emails to residents at our apartment rental property. RentCafe also integrates well with Yardi Voyager to pull tenant data and create a rental payment portal that is easy for everyone. It has a lot of features that our specific residential management company doesn't use, like the ability to send residents surveys or have them submit reviews of what they like about the apartment property. RentCafe creates a payment portal that almost no tenant has an issue accessing. Charges show up with descriptions from data inputted on Yardi Voyager easily.

**What do you dislike about Yardi RENTCafe?**

Some things on Yardi, like Email Management, can be confusing since it pulls up every apartment property that my company manages. I wish some of the features were broken down by specific property instead of certain features being under "company management" where I have to cycle through other apartment properties my company owns. We recently started using RentCafe for applications. When you print the application, it's hideous but has the information you need.

It's an easy payment system for residents!

RentCafe does not really have any glaring issues. The benefit of a simple payment portal for residents is huge. The application system is very intuitive as well and easy to manage. I don't like that residents need to make an account to submit an application personally, but many other apartment properties have the same set-up and it's not a huge issue.

I love the quick insight reports and charts at the homepage and the easy access of important tools to manage a property (e.g. the pipeline with all the contact info and activity notes with potential renters).

There's so many tools in Yardi that some can get lost in the menu. There may be a learning curve on how to set up certain reports to generate the results you need.

Keeping track of all customer interactions--documenting details of every activity with the client in-person, over the phone, by e-mail, anywhere--has helped our property stay accountable on any issues our tenants may have, and has helped our team stay informed on any tenant related incidences with minimum misinformation.

I love the user friendliness of Yardi Rentcafe. There have been recent updates that make it so much simpler to walk residents and applicants through.

While the frequent updates are great, there are very rarely notifications that it has been updated. It will stop working mid task, and you have to clear your cache and cookies for the newest update to work.

Clear your cache and cookies daily for ease of use.

Residents are able to pay rent, place service requests, sign leases and post bulletins to the community. Amenity reservations, lease generation and move in process are streamlined easily for the office.

**What do you like best about Yardi RENTCafe?**

There really is not much to like as a tenant.  It's difficult to use, relies on the property manager to enter information (in my case, lease was redone in the system 3 times due to errors).   Payment algorithm does not allow for cut/paste so potential errors with bank drafts.

**What do you dislike about Yardi RENTCafe?**

Just not a system that is tenant friendly.   Was designed largely for small apartment complexes with limited staff.  But because there are so many bugs in the system, it leads to even more work.  Definitely not worth it!  Their help desk is a joke.  You can open a case, but they will not follow-up on it.  Once a tenant in an area looks at one apartment, his/her information is shared with other apartments that use the Rent Cafe system - that is both wrong and illegal.  Just don't waste your time on this system.

System is meant to streamline leasing management but does not do that -- adds hours and hours of work.

It can run very slow, it will kick you out after 30mins of inactivity and when rent week comes around expect serious delays in trying to navigate the site or to post rent.

I like that someone can apply in RentCafe, pay fees, sign a lease, and continue to pay rent in that same account. 

**What do you dislike about Yardi RENTCafe?**

The support for RentCafe can be inconsistent and extremely delayed. Being able to use RentCafe with our other systems is crucial to day-to-day operation and sometimes support can be distant. 

**Recommendations to others considering Yardi RENTCafe:**

Great for a one stop shop applying, paying fees, credit screening, resident portals.

**What problems is Yardi RENTCafe solving and how is that benefiting you?**

Streamlining resident services. RentCafe allowed our company to get rid of multiple 3rd parties to complete one task that can be done in RentCafe. Easier for applicants to apply.

I love that residents have one easy place to go for applications, renewals, lease signing, payments & maintenance requests.

Occasionally residents have issues with the application portal or the payment system, although they seem to be resolved quickly.

Give it a try! Rent Cafe is the best product & understands the users needs on such a critical level.

We are using RentCafe to go paperless. No door to door flyers, no printed 30 page lease and addendum files, plus quick communication if there’s an emergency.

I like the ability to pay my rent and any others bills/fees through the resident portal without having to go into my local apartment office.

So far, I do not see any downsides to the application. Usually if there is an issue with billing history it is due to a personal error made by the leasing office.

The software is pretty simple to use so if you as a user run into any issues, I am sure that your local property management company wouldn't have a problem fixing it.

Although I am not solving any business problems with Yardi RENTCafe, I have realized that I have more time to do other things throughout my day because I don't have to take the time out to stop in the office and pay rent, or go to the bank to get out cash. Everything is online.

I worked in student housing before I started in Multi-Family, Yardi was a great tool to get accumulated with throughout training, and I especially love the lead tracking. I've used other systems after leaving the company that I used Yardi for. But this by far was the easiest with tracking your leads.

**What do you dislike about Yardi RENTCafe?**

The only dislike I had was being able to upload files that were not preset for resident and prospect messaging, as a a consultant you often want to get creative with your outreach, and having the means to do so without needing to go to a higher up would have been a great benefit.

Please find a way for consultants to be able to use this tool via ipad (entrata has a great mobile workforce)

I would say being able to successfully manage and track your leads, Yardi is amazing with it and I love how consistent it is with your last point of contact and reminders, ot makes it tough to really slack off, also when it comes to renewals being able to have everything in one place was great!

**What do you like best about Yardi RENTCafe?**

I used Yardi when I was new to the Property Management Field a few Years ago. I was just dipping my toes in the industry and at first I found it intimidating. Remembering Residents by first name was hard enough, but learning their renting history and their needs to any upcoming requirements was even harder for me. I was nervous, but when my manager introduced me to Yardi everything became a whole lot easier.  From their payment schedules to their Maintenance Requests , to even notes that me and the staff had to record, my job became a lot more rewarding because I got to know the residence better and it helped me upkeep with any tasks that they needed done. I really enjoyed logging into Yardi on a daily basis for their needs and my own.

**What do you dislike about Yardi RENTCafe?**

I did not really dislike much about the program itself, more so the speed of the loading screen when having to do more then one task at a time. I am not sure if it was the program itself or my internet, we never really got around to determining which one it was. I did still speak to my manager occasionally, after quitting, and they were  still implementing Yardi into their day to day tasks and she still complains of how slow it could be some times. That was our only concern.

What problems did I resolve? As I mentioned before, it became a lot easier to get to know all 120 Residence as well as the staff that was on board a lot easier. It was easier to answer questions that they may have had since Yardi contains tons of information on their History and payment schedules. We clocked in through Yardi, which was never an issue for me, we paid rent through Yardi, which was super simple to my surprise. To summarize, Yardi made us work at a faster pace, and educated us on our Residence more so then any other programs I've worked with since.

Yardi RENTcafe has been quite an easy transition from Yardi 7. It has all the reports, prospect queue’s, and tools on the dashboard for easy access. There are some kinks that were working through but it may vary depending on your management company guidelines. 

**What do you dislike about Yardi RENTCafe?**

The prospect queue’s can be repetitive but our company has worked with Yardi helpdesk to correct these issues.

We are working with the helpdesk team to improve the queue management, integration between RENTCafe and outsources such as SafeRent and eLeasing Desk so that information can be accurate and updated in real time. It beneficial for our company because we are able to log in one place to find information for resident and prospect immediately.

The dashboard is a really good all in one system. It provides good access to the necessary areas from a property management standpoint.

Easy to navigate on all levels of access and users.

Limited customization and variation on website templates are challenging when you are wanting to stick out from other properties.

Integrations and API access is extremely expensive for 3rd party companies so it limits who we can work with from a 3rd party side.

Needs more tracking points throughout the website and understanding where residents are getting held up during their apartment research would be critical.

Ensure that it works for all your systems and be strategic about how you roll out to work out any bugs in waves.

I hold a great disdain for the changes made to the email management software. It is my number one use for rentcafe and the system is horrible to use, nothing saves, and it is navigationally a wreck. What saddens me more is that though there are so many problem with the system it is no longer in beta mode.

Check it out however note due to constant upgrades there are some issues in the system

I am VERY impressed with the support they provide, however, it’s such a simple and intuitive program that it is rare to run into issues. So easy to navigate and makes property management a piece of cake.

There really isn’t much to dislike. Perhaps if you need a more robust software because of an incredibly large portfolio of properties this may not be complex enough

I’ve Been with Applied Management for 3 years ago and the portal they use is RentCafe. It’s easy to use and effective. They’ve recently updated their uswe interface and it’s clean and modern looking.

It doesn’t let me schedule half payments twice a month which is how I’d prefer to pay my rent.

Great support and a very knowledgeable and helpful rep.  No integration issues when using with Yardi Voyager.  Most settings are client facing and easy to maneuver.  Issues are handled with in a timely manner.

There isn't much to dislike.  I pretty much love everything compared to our previous CRM.

If there is something RentCafe can't do, ask to put in a TR request. They are always working to add value to the product.

Integration issues with CRM and Voyager are resolved.  Websites built by RentCafe are good quality and professional.  Site Manager includes a lot of cool functionality that is included without extra cost.
