I am a single provider practice and was looking for an economical and beneficial way to protect my clients information that was also user friendly as some of the technology is challenging to understand. Initially I was going to have to use two different platforms to accomplish this until I found out about Paubox. They made it very easy to onboard, great tech support, answered ALL of my questions in a very timely manner, and allowed me to easily create new safe forms for my clients right on their platform. The only struggle I had initially was with the forms-- It was not easy to read forms after a client completed them. However, I reached out and they immediately responded with a fix and said they new this problem existed and were actively working on making it easier for their clients. PauBox walks you through step by step with configuring all the complicated settings in your domain to seamlessly integrate PauBox into your email. I use Google Workspace (formerly GSuite) and the pre-written PauBox tutorials as well as the personalized email-based customer support allowed me to accurately change all the necessary settings to flawlessly integrate end-to-end send and receive encryption into my professional Gmail platform. The instructions to integrate the PauBox settings into your domain look complicated, but PauBox's step-by-step directions are totally accurate and they provide prompt customer service support via email if you get stuck or have questions. Being able to send HIPAA compliant emails without requiring separate portal, allows secure communication without additional barriers for patients. Pricing feels somewhat high for a single provider practice but appreciate peace of mind of having secured email. I completed an onboarding session and found it helpful but need to take more time to explore all of the features. I have not used the AI or integrations yet but would like to learn more. I recall the UI to be a bit confusing initially as far as connecting my email account but have not revisited the portal. Paubox fits easily into my existing workflow because it works in the background with my regular email rather than requiring a separate platform. I use it alongside my EHR, patient communication, and other practice-management tools, and it does not add extra steps to my day-to-day workflow. My use of Paubox is primarily for HIPAA-compliant email, so I haven’t used enough of the additional features to identify many downsides. I did have some initial difficulty linking my email accounts during setup, although support was responsive and helped resolve the issue. It’s reassuring to know my emails are encrypted by people whose whole job is staying up to date on security regulations and software procedures. The fact that I can do email marketing and feel confident it’s HIPAA-compliant is great. I also appreciate being able to access webinars that count toward CEUs. The interface for the marketing emails is a little bit clunky compared to other non-HIPAA compliant email programs like Flodesk and MailChimp. Paubox makes it seamless for me to communicate with my patients via email in a way that complies with the HIPAA Security Rule. Patients in my practice expect to be able to reach me through some kind of electronic messaging platform, and that’s simply the reality of practicing medicine these days. Personally, I much prefer being able to email someone directly rather than having to go through a portal system. Honestly, nothing comes to mind. I have some technical background, so getting set up was fairly straightforward for me. Every now and then, an email that isn’t spam or a phishing attempt gets routed to the inbound quarantine, and I have to go in and release it from there. What I like most about Paubox is how seamlessly it integrates with Google Workspace and automatically encrypts emails without disrupting my usual workflow. I don’t have to learn a new email platform or ask recipients to sign in to a separate portal just to receive secure messages. The setup instructions were generally clear, especially for connecting Paubox with Google Workspace. The main challenge came up when something didn’t work as expected. At that point, the troubleshooting guidance could have been more detailed, because it was hard to tell whether the problem was in Google Workspace, my domain or DNS settings, or within Paubox itself.

I appreciated that the Paubox team offered to schedule an onboarding appointment, and it was a thoughtful offer. However, as a solo nurse practitioner building and managing my practice without an internal IT team, I’m also juggling credentialing, compliance, technology, and other startup responsibilities. Scheduling an additional appointment isn’t always easy. More comprehensive, Google Workspace-specific troubleshooting instructions—along with examples of common errors and self-service diagnostic tools—would make onboarding more efficient for independent providers who need to complete setup on their own. I’ve already recommended Paubox to several colleagues because it’s easy to set up, the customer support is excellent, and the encryption integrates seamlessly with my existing email. I feel so much more comfortable emailing secure information with Paubox encryption working behind the scenes. It's so fast and reliable that I don't even think about it.
