I like how the software is very digital based. Not only are your property managers able to just approve the invoices right there on the site, but also, the invoice can even be paid, right there, using CondoWorks! No more needing to print cheques at your office or wait for your signing officers to sign them. All done digitally and printed remotely. Or, if your bank allows for EFT too, CondoWorks does that too. Plus, the way invoices are organized on the site fits our needs.
Not just that, to prove CondoWorks' technology has met our needs, you, or even your vendors, could just upload the invoices yourself for their AI parcer to detect all the information such as the date, the invoice number, and the amount owing! This saves a lot of time for everyone.
The main layout page where you see invoices, vendors, and payments is easy to understand and navigate; albeit simple, this is an excellent way for a software like this to start. The site even gives a Mass Download feature, that allows us to download all the invoices that are present with our search filters, then we have them all in .pdf form for filing. I use this to filter by month for our mond-end invoices paid report. There's also a "Comments" system where any user could comment on an invoice, and @Tag others for them to get an email notification of what they have to do with the invoice/Payment. This is great as this replaces putting sticky notes on paper invoices.
The software is very user-friendly in that it's easy for not only us, CondoWorks' client, to use but also our Vendors too, who just heard of it now from us! They're sent an email which tells them the steps on how to use the software so they could upload the invoices ourselves so we see them from there. It's even possible to sign up a 3rd Party Strata Council/board member to CondoWorks so they can use the software to approve invoices if they require them. The site really is meant for everyone!
The customer service for this system is very helpful and they actually address our needs when we request them. Braedon Hebert and Ethan Siu are excellent CSRs, and no matter what, whatever we need them to help us with, they help us and are always happy to.

In our digital age that defines our current century, software like CondoWorks that replaces our industry-standard old way of accounting: Waiting for invoices to be emailed/mailed to us, approving invoices in person, entering the data into our accounting software manually, printing cheques, keeping paper copies of invoices, is something we need to start using. Without it, it's like we're still in the wood ages. Better late than never. Go try it out! Review collected by and hosted on G2.com.
So far, because the system is still so new, it is still in need of new features. The system is only capable of two bank accounts—Operating and Reserve funds. Here in British Columbia, stratas require separate Special Levy bank accounts. This however, is not a problem that CondoWorks doesn't support that yet; we make our way around this by setting "Skip Payment" on the invoice on CW and then printing the cheque from our accounting software instead from the right Levy bank account.
Another issue, is that if you are inactive on the site for about 15 minutes, the session expires and you always have to sign back in. This can get annoying and we hope they add an option to extend the time for this. 60 minutes is a more reasonable time as although we are dealing with expensive clients and their monetary assets, it is not a big risk for some unwanted user to do something wrong—at least in our office.
One more issue, is that the "Automatic Invoice Description" feature only adds in the month of the invoice in the numeric format. What we hope for in the future is for the descriptions to be a template which we write the wording template in the Vendor Options, and all the parcer does is match the month in word format. For example: "Monthly Landscape Maintenance May/2021", where in the Options, we would write "Monthly Landscape Maintenance MMMM/YYYY"
Lastly, no matter what, if you sign one of your vendors up for CondoWorks, they will get an email notification about it. Oftentimes in our world of scam mail, unwanted promotions, it's not easy for our vendors to know whether this is legitimate or not, so they go to us to complain. However, our remedy for this, is informing them about the service in advance. This, is acutally still a good thing as we want our vendors to use it because in the future, everyone's gonna know what CondoWorks is and will be using it! Review collected by and hosted on G2.com.
