LeapAP creates a rapid and fully paperless process that automates receiving, coding, approving, and paying invoices.   ### 1. The Future of Strata/Condo Payable Operations That We Expected to Come Many Years Ago

**What do you like best about LeapAP?**

I like how the software is very digital based. Not only are your property managers able to just approve the invoices right there on the site, but also, the invoice can even be paid, right there, using CondoWorks! No more needing to print cheques at your office or wait for your signing officers to sign them. All done digitally and printed remotely. Or, if your bank allows for EFT too, CondoWorks does that too. Plus, the way invoices are organized on the site fits our needs. 

Not just that, to prove CondoWorks' technology has met our needs, you, or even your vendors, could just upload the invoices yourself for their AI parcer to detect all the information such as the date, the invoice number, and the amount owing! This saves a lot of time for everyone. 

The main layout page where you see invoices, vendors, and payments is easy to understand and navigate; albeit simple, this is an excellent way for a software like this to start. The site even gives a Mass Download feature, that allows us to download all the invoices that are present with our search filters, then we have them all in .pdf form for filing. I use this to filter by month for our mond-end invoices paid report. There's also a "Comments" system where any user could comment on an invoice, and @Tag others for them to get an email notification of what they have to do with the invoice/Payment. This is great as this replaces putting sticky notes on paper invoices.

The software is very user-friendly in that it's easy for not only us, CondoWorks' client, to use but also our Vendors too, who just heard of it now from us! They're sent an email which tells them the steps on how to use the software so they could upload the invoices ourselves so we see them from there. It's even possible to sign up a 3rd Party Strata Council/board member to CondoWorks so they can use the software to approve invoices if they require them. The site really is meant for everyone!

The customer service for this system is very helpful and they actually address our needs when we request them. Braedon Hebert and Ethan Siu are excellent CSRs, and no matter what, whatever we need them to help us with, they help us and are always happy to.

Our company, Assertive Notrhwest Property Management, saw this opportunity as being the same as hiring another employee, and with what CondoWorks offered  in comparison, 

In our digital age that defines our current century, software like CondoWorks that replaces our industry-standard old way of accounting: Waiting for invoices to be emailed/mailed to us, approving invoices in person, entering the data into our accounting software manually, printing cheques, keeping paper copies of invoices, is something we need to start using. Without it, it's like we're still in the wood ages. Better late than never. Go try it out!

**What do you dislike about LeapAP?**

So far, because the system is still so new, it is still in need of new features. The system is only capable of two bank accounts—Operating and Reserve funds. Here in British Columbia, stratas require separate Special Levy bank accounts. This however, is not a problem that CondoWorks doesn't support that yet; we make our way around this by setting "Skip Payment" on the invoice on CW and then printing the cheque from our accounting software instead from the right Levy bank account.

Another issue, is that if you are inactive on the site for about 15 minutes, the session expires and you always have to sign back in. This can get annoying and we hope they add an option to extend the time for this. 60 minutes is a more reasonable time as although we are dealing with expensive clients and their monetary assets, it is not a big risk for some unwanted user to do something wrong—at least in our office.

One more issue, is that the "Automatic Invoice Description" feature only adds in the month of the invoice in the numeric format. What we hope for in the future is for the descriptions to be a template which we write the wording template in the Vendor Options, and all the parcer does is match the month in word format. For example: "Monthly Landscape Maintenance May/2021", where in the Options, we would write "Monthly Landscape Maintenance MMMM/YYYY"

Lastly, no matter what, if you sign one of your vendors up for CondoWorks, they will get an email notification about it. Oftentimes in our world of scam mail, unwanted promotions, it's not easy for our vendors to know whether this is legitimate or not, so they go to us to complain. However, our remedy for this, is informing them about the service in advance. This, is acutally still a good thing as we want our vendors to use it because in the future, everyone's gonna know what CondoWorks is and will be using it!

**What problems is LeapAP solving and how is that benefiting you?**

One thing I brought to the team's attention is to have exported Mass Download filters be able to sort the invoices the way we sort them on the site. Currently, no matter what, if you sort by invoice date, amount, GL Code, the Mass Download always exports sorted by creation date from oldest to newest. As we file our invoice reports first by GL Code, we have to re-arrange them each time, which is something we hope could be fixed in the future.

While it is very helpful for the site to distinguish utility vs. non-utility invoices by adding a "Utility" tag (because the latter of which needs to be approved by property managers, and the former don't need to), I also suggested a feature that caters to the fact that our strata clients make contracts with certain vendors to have monthly services at a fixed price—The "Contract" invoice tag. This we hope is where the parcer detects a specific dollar value of the invoice, that we users would specify in the vendor options, where then the parcer immediately gives the invoice the "Contract" tag allows, so that they can be approved with permissions as if they're utility invoices. Of course the difference between the two are that utility invoices have variable amounts, and are what the name says they are, whereas Contract invoices (such as elevator maintenance, landscaping, pest control, fire alarm monitoring) are not utilities, but don't need to be approved by Property Managers or Council board members if they're for monthly contracted services. Once this feature is added, we don't need to wait for councillors to approve inovices they don't even have to, which will keep our payable operations smooth and fast!

**What do you like best about LeapAP?**

1) From any computer, access to and means to organize portfolio-wide data; 2) the consistently entrepreneurial and reciprocal responsiveness of the Condoworks Team; 3) quarterbacking online portal management for the whole range of utilities

**What do you dislike about LeapAP?**

1) It's difficult to get every vendor on board with modern non-paper practices; 2) system dependent variable download speeds *could* make review slower than an equivalent paper stack of documents; 3) presently, there is limited ability to annotate invoices in the system with either manual notes or system history. 4) I have to qualify these by mentioning we do use likely the oldest software with compatibility to Condoworks, Yardi Genesis

**What problems is LeapAP solving and how is that benefiting you?**

We have eliminated staff time related to printing, copying, transferring and scanning paper documents. New paperless techniques become available to us.

**What do you like best about LeapAP?**

CondoWorks is very user-friendly.  When we have new corporations onboarding, they need very minimal training. Several times a year, there are upgrades and new features added to the program, which is very helpful.

When you have a technical issue, and you email support, you have a resolution reply very quickly, in a professional manner (even when it is a silly question :)  ).

Anytime we have new staff, CondoWorks is very accomodating and willing to do another training with the staff.

**What do you dislike about LeapAP?**

There are always quirks with each program; however, we always address them with CondoWorks, and they try their best to integrate the issue into their next update.

**What problems is LeapAP solving and how is that benefiting you?**

We used to have two accounting clerks, and with CondoWorks, we are now down to one. It took away a lot of manual labour and reduced the number of mistakes made by entering invoices manually.  

It also allows full transparency in our record-keeping, as all users can see all invoices in real time.  

All users can make comments, which allows for tracking when questions arise.  We are also able to attach back up necessary for our clients' needs.

**What do you like best about LeapAP?**

As the A/P person, I love not manually entering invoices anymore! Creating and uploading invoices to have them coded and paid by Condo Works is excellent. I can't say enough about the support staff at Condo Works. Their willingness to help our company and the vendors is outstanding. Their response time for answering any questions is excellent and always very detailed in explaining how to do something.

**What do you dislike about LeapAP?**

At this time, there is nothing I dislike.

**What problems is LeapAP solving and how is that benefiting you?**

Currently, we are just waiting on the setup for EFT to vendors which will be an excellent feature for everyone involved.

**What do you like best about LeapAP?**

We love Condoworks because our Property Managers are  busy people, juggling many balls and this software helps us focus more on our customers while ensuring our fiduciary responsibilities are met with accuracy and promptness.

**What do you dislike about LeapAP?**

I do not have anything negative to say at this time.

Give it a try. You will not regret it.
