**What do you like best about Kanban Boards in Gmail and Google Workspace?**

I like that it keeps task management inside Gmail, where most of our work starts. I’ve been using Kanban Tasks for about 10 months across multiple client teams, and it’s one of the few setups that doesn’t turn into a mess once you’re juggling more than one group.

The big win is turning an email thread into a card and moving it across a simple flow like To Do, Doing, Waiting, Done. The email context stays attached (subject + link back to the original email), so I’m not copying things into a separate tool or losing track of where the request came from.

In practice, I keep one board per client team and switch between them quickly. That makes it easy to stay on top of follow-ups and requests without mixing things up.

I also use the “Get Work Done” view a lot because it pulls together what’s due today/this week, which is useful when you’re switching between multiple teams.
Unexpected benefit: my inbox feels calmer even when it’s busy, because the board holds the “work in progress,” not my memory.

Implementation was straightforward. Install the extension from Chrome Store (https://chromewebstore.google.com/detail/kanban-boards-in-gmail-an/kihkmgnkhalkbaekhpidcepfllnbicji ), create a board, and start dragging/capturing emails as tasks. Since it is a seamlessly integrated Kanban Board in Google Workspace, it sits inside Gmail/Google Workspace, it fits into what we already use, and I end up using it daily (at least on weekdays) for follow-ups and task tracking. They have a very simple ‘how to’ guide (https://tooling.studio/kanban-tasks/how-to ) that explains everything about installing it and using it. 

Support has been responsive too; I’ve emailed help@tooling.studio a couple of times and usually get a reply within a day, and they actually take feature suggestions seriously.

**What do you dislike about Kanban Boards in Gmail and Google Workspace?**

As boards grow, I’d love a bit more help keeping things clean. Items can sit in waiting longer than intended, especially across multiple teams. A simple “stale cards” reminder (like “Waiting for 7+ days”) or optional auto-archive for Done after a set time would help.

Also, onboarding could be faster. Templates for common setups (client delivery, support triage, sales follow-ups) would help new users get value in the first 10 minutes.

**What problems is Kanban Boards in Gmail and Google Workspace solving and how is that benefiting you?**

It solves the “inbox as a to-do list” problem, especially when you’re supporting multiple clients. Without a board, everything starts to look the same: lots of threads, lots of flags, and no clear sense of what’s moving.

With Kanban Tasks, I can see what I’m actively working on for each client team, what’s blocked, and what I’m waiting on. That reduces missed follow-ups and avoids the classic mistake of doing the right work for the wrong client because the context got mixed.
