To be honest, not much. It took a lot of time to set up and wasn’t very user-friendly. The learning curve is steep, especially for something that ultimately feels like a glorified spreadsheet. I’ll give it this — it’s slightly easier than building a budget from scratch in Excel, but that’s about where the advantages end. Review collected by and hosted on G2.com. What do you dislike about BuildTools? One day after my trial ended and I was charged, a broken “undo” function completely wiped out my budget — an entire week of work gone instantly, with no way to recover it. Support admitted there was no safeguard or recovery feature and then hit me with, “If we refunded everyone who had a problem, we’d go out of business.” That told me everything I needed to know. I canceled immediately, but they still charged me the next month. I ended up paying nearly $800 for a tool that failed when it mattered most — and they offered no solution, no refund, and no accountability. I’ve never encountered a company so dismissive-- they had zero intention of making things right, and I was left to pay the price for their lack of professionalism, accountability, and basic human decency. I signed up to manage construction budgets and streamline project communication. Instead, I lost a full week of work when a broken “undo” function erased my entire budget. There was no recovery option, no accountability from support, and no resolution offered. The only “benefit” was realizing early that this platform isn’t reliable enough for professional builders. Estimates/Proposals Getting the job is the first step and finding a system that simplifies the sales process is important. That’s why having functionality that quickly create quotes and gives you the flexibility to customize based on rooms is a requirement. Send professional looking proposals and manage them at each stage so you never lose track. From sending to approval—everything is tracked in one system. But your system can’t stop at just sending a professional proposal. Once it is approved by your client the estimate information should be automatically pushed into the budget. You need a tool that can manage your jobs from quote to warranty all within one system. Communication At the core of every successful construction project is a robust communication platform. Make sure you can capture every email, document, and photo related to your project with seamless connection to all your current client communication tools. Along with central collection of all project management communications, look for a system that allows you to send and receive messages from your current email client and archive all emails and attachments indefinitely. To keep schedules and timelines on track, make sure the software has the option to send and log instant notifications to everyone in a project. Also, look for a tool to help you stay proactive with client communication. An example of this would be an automatic weekly project report that keeps homeowners or clients up to date on new developments about their project, including schedules, deadlines, recent photos, change orders, and other important management updates. Scheduling The best project management tools have simple yet powerful ways to align schedules and notify crews automatically. Not all scheduling tools are created equal, so be on the lookout for software that’s focused on the specific needs of custom builders and remodelers. You should be able to schedule all phases of construction projects, meetings, and deadlines for selections and push out one consolidated schedule within your system. During your search, consider the level of industry knowledge each vendor has and look for a solution built from a builder’s perspective. Using one centralized hub, you should be able to manage your business with one glance and avoid any surprises, not reinvent how you work. Don’t fall into the trap of being ‘criminally disorganized,’ as the building industry can be very litigious. Eliminate mistakes, protect yourself, and deliver an experience that you, your staff, and your clients will appreciate. With the number of options people have for choosing a builder, having the right processes and tools in place can be a great differentiator. Plus, it can help make your business more profitable without increasing your staff. Make sure the software you choose is from a vendor you trust, one with a developer-foot rooting firmly in the industry from a builder’s point of view, to ensure you’re getting the most value from your solution. Project-based pricing vs Flat-rate pricing Project-based pricing doesn’t reward your hard work. Why should you pay more for the same software functionality based on each new active job? A flat-rate pricing model with unlimited projects lets you scale your business with confidence. Knowing that your software vendor supports the success of your business allows for more predicable growth. You’re not left guessing what the bill will be on a monthly basis. Plus, you don’t have to worry about reaching limits when you have other pressing issues at hand. With cloud-based technology, it doesn’t make sense to pay more for the same software based on the number of projects you’re working on at any given moment. The beauty of flat-rate pricing is the more you use your construction management tool, the more you get out of it. Flat-rate pricing with unlimited projects gives power back to the users.
