While Productiv offers strong capabilities for IT and finance teams, one of my main frustrations has been the limited focus on broader functional use. It’s not marketed—or seemingly designed—with other departments like HR, procurement, or operations in mind, which makes it harder to drive company-wide adoption. A more inclusive approach could unlock even greater value across the organization.

Productiv has been instrumental in improving our cash expenditure and outflow forecasting. By developing features within a single, centralized system, they enabled us to easily identify and analyze payment terms, amounts, and frequency across our SaaS portfolio. This level of visibility has significantly enhanced our ability to forecast with accuracy, manage cash flow proactively, and make more informed financial decisions.

This has been a long-standing challenge for our small company, particularly as we faced growing pains while scaling. Over the past year, Productiv has been an exceptional solution for managing Nav’s SaaS portfolio. It has provided real-time visibility into application usage, enabled the elimination of redundant or underutilized tools, and supported more informed renewal and budgeting decisions. Its impact has spanned IT, finance, and legal—most notably through enhanced license optimization, centralized contract management, more effective vendor negotiations, and improved compliance oversight. Seamless integration with our existing systems, intuitive workflows, and actionable insights have empowered us to take a proactive, data-driven approach to software acquisition, spend, and usage.

The implementation experience was by far the smoothest we’ve had with any vendor. The Productiv team has been exceptional—highly responsive, proactive in their support, and consistently helpful in guiding us through best practices. Their account management and customer support stand out as the best we've encountered.

The platform itself is clean, intuitive, and thoughtfully designed. It aligns seamlessly with our access and approval processes and allows teams to derive value quickly, without extensive onboarding or training. Notably, many of our feature requests—initially considered “nice to have”—were added to Productiv’s roadmap and successfully delivered within the year. 

While expanded self-serve reporting capabilities would be a welcome enhancement, we’ve never experienced delays when requesting custom reports. The responsiveness and follow-through from the Productiv team have consistently exceeded expectations.

What I like best about Productiv is the no-code workflow automation. This feature streamlines our processes, significantly reducing manual effort and minimizing errors. With just a few clicks, I can automate routine tasks, freeing up valuable time for more strategic activities. We've enhanced contract renewal notifications along more proactive timelines, and the automatic creation of a collaborative Slack channel between the app owner and sourcing manager has been game changing.

Productiv could improve by enhancing the way it handles contracts shared across different business units.

**What problems is Productiv solving and how is that benefiting you?**

Productiv is solving a visibility issue by compiling usage data from Okta, spend data from NetSuite, and contract data into one comprehensive platform. This helps us get a clear view of the current state of each application and informs our long-term strategy planning for our tech stack. Additionally, Productiv's renewal notifications and workflows enable us to proactively manage contract renewals, preventing them from sneaking up on us.

It is one central source of truth.  Direct app connections and retrieving information from multiple sources ensure that we have all the needed information at our fingertips.  I also appreciate that the teams listen to our questions, requests and input.  The support from our customer success manager is on a level I have never experienced with any other vendor.  It is truly a partnership

I don't think there is anything I dislike - perhaps some requests/recommendations I have, but this is actively discussed and worked on by Productiv team and resolved very quickly

Collecting data from multiple sources (SSO, contracts, direct app integrations, spend data, etc.) to become a source of truth for all SaaS contracts to ensure we know what tools we have/use, flag any inconsistencies, ensure our licences are optimized, benchmarking to negotiate better deals and renewal information to ensure that renewals/terminations happen in a timely manner. Productiv is a single source of truth/database for software platforms. This is critical for any business to maintain visibility over spend, usage, renewals, etc. Without a central "source of truth", platforms get lost in the shuffle of IT (management), finance (spend), and the end-users.

**What do you like best about Productiv?**

What I like most about Productiv is the flexibility in the way the information is displayed. The information, before the implementation of Productiv, was there. but it was not fully integrated as it is now. I definitely consider, in my role as FinOps Manager, my main work tool.

**What do you dislike about Productiv?**

I don't feel that it is something that I "dislike" but as a possibility for improvement, it would be very good if there was a way to estimate future expenses. For example, plan a company's annual budget for all SaaS in the portfolio. The information is there, however I must resort to an external form to be able to transpose it.

**What problems is Productiv solving and how is that benefiting you?**

several. But to summarize, we have all the information from our portfolio together in one place, not only "trusting" the budget holder's forecast, but validating the information with current contracts, with real expenses, with assigned licenses, etc.

**What do you like best about Productiv?**

Productiv is very user friendly and easy to use. We were able to connect it to all of our systems very quickly, and it immediately gave us actionable data. We run all of our renewals out of Productiv using the contracts feature, and it ensures we don't miss any renewals, or stumble into an auto-renewal. Our CSM is also great to work with, and ensures that we get connected to the right people to solve any problem.

**What do you dislike about Productiv?**

The only bad thing I have to say about Productiv is that their customer support can be slow to respond since I think they off-shore them and they are not available during US business hours. When I have an issue that requires an urgent response, I tend to go straight to our CSM rather than utilizing support.

Productiv gives us full visibility into all of our SaaS spending, and how well utilized our investments in SaaS are. It helps us better track all of our SaaS contracts, and gives company-wide visibility for savings opportunities.

There are tons of connectors available to help your team get impactful insights into your SaaS stack, and the data is presented beautifully. If you need to make data-driven decisions and want to easily present your findings to leadership, this is the tool for you!

This isn't a dislike, but I'd hope Productiv gains more feature parody when integrating with Google Workspace as your IDP vs the way more expensive Okta.

We implemented Productiv 6 months ago, and in this time it has become the source of truth for all things SaaS! Functional owners, spend, contracts and contract renewal dates, are all being tracked in Productiv. Additionally, AppCenter provides a central location for all app requests and ELM helps us to run reports and take action on quarterly user access audits. We also rely on our CSM and the Producctiv team for benchmarking data prior to entering renewal discussions with vendors.

As a procurement leader in the tech industry, Productiv gives my team a full view on the SaaS contract meta data that's essential to proper management and preparation for negotiation of contracts. Productiv's support and Customer Success team is exceptional because they are responsive to feedback on product improvement.

**What do you dislike about Productiv?**

Productiv can be overwhelming given the amount of data in the tool. The learning curve is a bit high when we onboard our new team members and after using it for two years, I still do not feel confident in how to use the tool for more in depth analysis (much due to my limited time to practice).

**What problems is Productiv solving and how is that benefiting you?**

Productiv is a central location to review the applciations in use at our company and which of these applications are duplicative in our tech stack. We most often use Productiv to manage our SaaS contract metadata to help our team organize our renewal strategies. Productiv has been a key component to our report on shadow IT to alert our leadership what percentage of applications are non compliant to our processes. We also use AppCenter to manage our app requests accross the company. This is most effective to present the approved tech stack for our employees based on the teams that they support.

Productiv's App Procurement Hub has made bringing all of our stakeholders together for SaaS renewals and SaaS intake effortless. It has provided structure to our internal processes while enabling a data-driven approach to our SaaS management. 

AppCenter provides a window into our full tech stack for our employees and eliminates not only a significant burden of access fulfillment, but also redundancy in our tech stack as it surfaces existing applications that often fit the needs of users.

Best of all, renewals never sneak up on us anymore. We're always way ahead of the game and that provides an incredible amount of leverage in negotiations.

**What do you dislike about Productiv?**

Nothing I would consider a dislike. They are constantly adding new features and that often requires me to look for ways to incorporate them. However, our CSM John L., and the rest of the Productiv team always go above and beyond to explain and help us incorporate the features in ways that make the most sense for our organization.

**What do you like best about Productiv?**

Productiv definitely streamlines the procurement process. It allows us to have a one-stop shop for renewals or requesting new apps instead of trying to keep track of things in multiple places. Being able to integrate with Slack so that everyone involved in the process can see updates is also really helpful.

**What do you dislike about Productiv?**

Productiv can be a litle overwhelming for people in our company that only need to use it once or twice. Some things are not as intuitive as they should be for users that are not using the product every day. We also do not get as many "insights" into what we should be paying because there isn't enough data in Productiv yet.

**What problems is Productiv solving and how is that benefiting you?**

Productiv is allowing us to have our entire procurement process in one place instead of scattered around based on who is involved. For me personally, that alone saves time and effort.

Given that the field of SaaS management is relatively young, it may take time for some organizations to fully integrate and maximize their day-to-day utilization of Productiv. Our experience has been super positive.

Our account rep, Zach, is amazing!  The tool itself is feature rich and has a lot of promising use cases throughout multiple teams and departments throughout our organization!

**What do you dislike about Productiv?**

Data points for engagement connectors could use some attention.  Usage reports pulled from each respective SaaS tool's Admin Dashboard, tend to vary slightly from the de-provisioning reports generated by Productiv.  One field that is typically left blank equaling the user has simply not logged in for criteria of the report, example, 90days usage report.  It would be helpful for our internal audits to actually have the last log in date, instead of it being left blank.

At the present, it is serving as an additional benchmarking tool for our SaaS renewals.

A user friendly platform that provides accurrate data for us to make informed decisions around SaaS budgets, to negotiate contracts well in advance and support alignment to our strategy as an organisation.

**What do you dislike about Productiv?**

Maybe a little more refined reporting functionality, which seems to be something that Productiv is putting extra effort into enhancing. They are always very receptive to our feedback and acting on it.

Centralisation of all SaaS applications realising efficiencies when renewing SaaS, reconciling entitlement vs usage for informed negotiations with vendors, consolidation of like for like applications and understanding spend and trends across all SaaS, while achieving cost savings, reducing security and non-compliant risks.  Allowing software asset managers and stakeholders to carry out higher level tasks.

It has helped me capture spend, renewal dates, business owner contacts, etc. I feel confident in the information Productiv captures through the different connectors. i.e. NetSuite/expense connectors. Our account manager is in constant contact with us making sure we have everything we need. Support is quick to respond.

Productiv allows for real-time user traceability and spend management down to the user level. This is an invaluable tool for renewals to really dig into usage by department, job type, trends month over month etc. We utilize this tool for most of our renewals to gauge interest in the tool over all the current users, as well as where we can initiate cost savings.

There are very few things to not like about Productiv's comprehensive outlook. The only thing I would say would be to hone in on current or new connectors, to ensure we are getting accurate readings across all tools.

From a procurement perspective, Productiv allows us to analyze our users, how many seats are needed, and the potential delta of cost savings involved with the tool. App Catalog is still in its nascent stages. Lots of potentials there, but still early in its development stage. Reporting out of the tool is still tricky and usually requires custom reports from Productiv. Moreso, a want than a dislike, I'd prefer more autonomy to make changes and mappings in the tool rather than going through Productiv professional services. However, they are usually very quick to respond to requests.

The vendor has no incentive to provide this oftentimes. Productiv integrates natively with so many of the SaaS apps we use and provides a comprehensive and accurate single pane-of-glass view into our environment. Being able to correlate apps with contracts at a glance is extremely useful, and the notifications for upcoming contract terms help us stay proactive and plan effectively. 

The customer service is excellent, too. Our AE is responsive, knowledgeable, and helps drive meaningful conversations internally, and facilitates communications with Productiv. All-around great product and great team in place.

The App Catalog product could be more robust. Updating descriptions of apps is cumbersome and inflexible, and I'd like tighter integration into third-party ITSM and IdP products.

There are many components of Productiv that are helpful when it comes to SaaS, but the feature that is proving to be the best is the Shadow IT discovery. This feature allows us to not only identify the software that is being used by an individual or team but also highlights the amount of compliance data associated with the application. Another pivotal piece of Productiv has surfaced our overall SaaS spend for the last 12 months across all applications (discovered/ non discovered). This feature has given us visibility into very elusive information and allows us to make more strategic decisions regarding software.

There are not any dislikes that I have for the product. I am looking forward to the feature roadmap that will make the software a better solution. The amount of work that the team does with the company's size is remarkable. The one feedback item that I have is that Customer support needs some work on response time and getting to solutions.

Productiv has proven to be a powerful tool in our search for a SAAS management platform.  Prior to Productiv, we were primarily working off of a spreadsheet to track managed applications, application owners, access and security information, and company contacts.  Through Productiv, we've been able to replace all of this spreadsheet and more while at the same time, getting a more complete picture of all the applications in our environment as well as important statistics on applications renewals.

We are very happy with the available features of Productiv as well as the ease of setting it up and utilizing it from the get-go. Productiv still misses discovering some Saas, which means at times manually checking spreadsheets and spend statements to find unknown software. Also, any possible automation requires third-party systems (like Okta).

We got 95% rid of spreadsheets for employee lifecycle, both from the SaaS Operations and HR sides. We are actively using Productiv for onboarding and off-boarding, as well as negotiating contracts (we love the notifications for auto-renew deadlines). We also started to explore the tags for better organization of our subprocessors, birthright systems and systems in the process of decommissioning, as well as actively using the "Contacts" section to keep a tab of software owners!

I'm a fan of how Productiv shows me who's in different systems, what type of access they have, and overall how many users per dept are active. Producitv allows us to get an idea of what apps are used, and set a more uniform list of apps approved by the company.

I wish more connectors were available, as they are the most significant key with setting provisioning workflows, etc. While Productiv has a limited range for this, I know there will be more options in the future. Once this is in place, I'm excited to be able to set up monthly workflows that automatically deprovision and downgrade accounts as needed.

Visibility of license usage grouped by team, availability of application spend and calendar view of contract renewals are vital features to call out. With the easy-to-use integrations, we hit the ground running in days. The data empowered IT to have meaningful conversations with business team application owners. It also enabled us to move from multiple spreadsheets to a single source of truth for SaaS applications in use. The ability to define application contacts enabled collective ownership between IT, Security, Procurement, Finance, Legal and Functional owners. Discovered app feature helps to identify all applications in use, even if they are by a select few, leading to app consolidation and better collaboration.

So far, we have only had one hiccup, the ability to have custom attributes for each application, which is also being addressed in the upcoming release.

Not all of our SaaS has user licensing entitlements, but the tool allows us to track our contractual and renewal type information.

One benefit realized is a cost of avoidance of nearly ~$1M in over usage. The data showed how we were overprovisioned and needed to remove users to be back in compliance with our entitlement.

We can see when a SaaS application we are paying is not being utilized compared to the number of licenses we purchased.  When we renew an application or platform, we are armed with the vital data points for the negotiation

The most helpul aspects of Productiv is our representative Lauren that is always there to walk us through questions and empower us to find insights easier. The website is very user friendly and allows us to find pertinent details to make business decisions that ultimately affect our bottom line.

**What do you dislike about Productiv?**

I love everything about the product. I have no concerns or suggestions on how to make it better.

As of right now we are focusing on deprovision licenses for the software we are spending a lot of money on. This is helping with our savings push for renewals of contracts.

**What do you like best about Productiv?**

I love the ease of use and the intuitive interface of the application. Everything is east to see and understand. Managing is a breeze, and all pertinent info is at your finger tips.

**What do you dislike about Productiv?**

I wish there was a way to use Productiv in my personal life to manage my spend.

**Recommendations to others considering Productiv:**

I highly recommend this product as it has simplified my already overworked business day. One portal to easily all the app spend and management.

**What problems is Productiv solving and how is that benefiting you?**

For example, we have been having a hard time maintaining a particular applications license count as we were constantly going over our allotted licenses. Once we connected that application to Productiv, we were able to easily manage and address those concerns form within Productiv. We set up an automated license claw back every month for any users that did not access the application within 90 days. Not only did we never go over our license count, but it also put us in a great position for negation when the true up came. We managed to save 30K on our annual renewal and mind you, this was only one example for the 100 apps that our managed in our Productiv environment.
