**What do you like best about Webexpenses?**

I like how Webexpenses makes it easier to approve expenses and submit my own. It's easy to view and add receipts on the go. All I have to do is hover over a receipt to view it, which makes it easier to switch through receipts. As a submitter, I can use my phone to submit receipts straight away, so there's no need to hold onto them. The initial setup of Webexpenses was pretty easy as well.

**What do you dislike about Webexpenses?**

Sometimes when I put receipts into the system, it picks up the wrong amount, so I have to manually change it. As an approver, we also get a lot of people who submit incorrect amounts.

Webexpenses makes approving and submitting expenses easier. I can view and add receipts on the go with my phone, eliminating the need to keep paper receipts. It's easy to switch through receipts by hovering over them, aiding both submitters and approvers.

I find Webexpenses really handy for keeping track of my expenses, as it lets me know where I am with my expenditure each month and ensures that payment is fast. I like the easy-to-use interface, and it makes uploading receipts a breeze. It's fantastic that I can take photos as I go, and the browser is straightforward to use. Setting up was very easy, allowing me to configure my company car and mobile phone without any hassle.

I find the AI on pictures problematic because the prefilled information is not always correct. I was frustrated when my GBP appeared as AUSD, which was incorrect since I have only ever used GBP. I think it would be better if the system asked for sign-off before uploading and correlated with previous submissions to avoid such errors.

Webexpenses allows me to easily track expenses made by my team. The reporting function is great because it lets me export data and review our spending across the required time period. Receipts and invoices don’t get lost, which makes the process much smoother with our finance department. It also helps us track payments made, so we have evidence available if it’s required by a supplier. Previously, receipts and invoices were sometimes being lost in our inboxes, but with Webexpenses and a clear process in place, we don’t lose track of payments made.

**What do you like best about Webexpenses?**

I appreciate how user-friendly Webexpenses is. I was able to get familiar with it fast, and I am comfortable using it. I also like the high-quality customer service. They resolved my login issues quickly, which was really helpful. Setting up Webexpenses was fast and smooth, and I had no trouble using it in the first days. In terms of security, I'm really like that they reset  my password many times annualy so it really help my account's privacy.  Overall, I don't have any problems with it, and it works well for my needs.

I think it is very ideal if it can be linked with all banks and well-known shops to automatically we can claim our expenses from the banks account or after shopping

**What do you like best about Webexpenses?**

I quite like how Webexpenses tries to map the receipts to the card expenses and does a fair amount of prefill work. It just reduces the amount of toil that I need to do in order to attach a receipt to a credit card line item.

**What do you dislike about Webexpenses?**

I find it should have an MCP server as this process should no longer be manual. It has a very slow UI. The automated features are incomplete, which means a significant number of manual steps are required. Some of these steps are insanely time-consuming. The UX is unintuitive and it just takes far too long to submit a monthly claim for my company credit card. It takes hours, which is far too long and puts me into a net detractor position.

I use Webexpenses for auditing personal and team expenses. It reduces my toil by mapping receipts to card expenses and prefilling data, though manual steps and unintuitive UX make monthly claims time-consuming.

**What do you like best about Webexpenses?**

I like the automatic reading of receipts. I also like the mileage tracking, especially being able to simply click “return trip.” I appreciate the ability to post into our accounting system as well, although I’m not sure how much of that is driven by our internal IT. Hover over receipts pulling receipts up without navigating to a new page. This helps with review.

**What do you dislike about Webexpenses?**

Sometimes the app can feel a bit clunky. When entering postcodes on the mileage map on my phone, it would be really useful to be able to drag the start/end point to get it closer into the right position. Sometimes it also misreads receipts, for example showing £120 because it has picked up the receipt number, when the receipt total was only £5. It’s also not smart enough to apply VAT correctly depending on whether a receipt is from the UK or abroad. Foreign receipts should always be VAT 0, as we can’t claim the VAT.

It has removed paper based expenses which has solved the following:

- Storage of forms and receipts

Helps with audits as it is fast and easy to pull historic data.

**What do you like best about Webexpenses?**

It's easy to use, easy to add receipts, theres no software bloat with confusing buttons and menus. It also performs pretty well, downloads and uploads are all pretty quick, sometmies the UI can be glitchy or feel old though like it feels like its from the 2000s. Price wise its okay too. Integrations are good as well. Onboarding for me was simple, i got an emaiI, i created a password and then logged in. I haven't needed support thus far so am unable to comment on that. Lastly, in terms of AI intelligence - again, i haven't used these features so am unable to comment.

**What do you dislike about Webexpenses?**

I think the UI feels pretty old and doesnt seem very polished. Also, the receipt management is slightly confusing like dragging them across even though ive uploaded them.

**What problems is Webexpenses solving and how is that benefiting you?**

I can expense things I buy myself and want the company to reimburse me for. It gives me one central place to submit those expenses and keep everything in one spot.

**What do you like best about Webexpenses?**

The mobile app is at a level that meets most of the requirements as a user. Is definitely superior to the desktop version even if it is missing some of its full functionality. I do hope for better OCR capabilities in the future and from a couple of discussions with our account manager these improvement are in the pipeline as they're looking to integrate AI capabilities into receipt and invoice review.

**What do you dislike about Webexpenses?**

Our integration with Microsoft Business Central isn't currently at a level that work for us. We are working with WBX to concatenate fields and possible transfer invoice/receipt copies over to BC but whether or not this does eventuate is up in the air and will determine my final assessment. It as an internal system performs well even if there are a few personal refinements I'd make like more customizable reports with a wider array of filters. The were bugs to start but Oly has been a great help in solving many of these technical issues but there's two that he's unable to fix due to the platforms general GST validation requirements so isn't a possibility to have fixed which is disappointing as it does affect the user and approvers experience quite a bit.

**What problems is Webexpenses solving and how is that benefiting you?**

WebExpenses automates our corporate credit card and travel expense reconciliation, feeding coded transactions into Business Central so we're not manually matching statements to receipts. It's cut down the manual effort in our month-end credit card journal process across AU and NZ, and the GL coding/description data it captures speeds up classification of transactions in our reconciliation workbook.

I like the fact that the Webexpenses mobile app is easy to use and just lets you upload the image straight into unallocated invoices. I can then go on to the browser version and complete the process. It saves me time, saves me from duplicating work, and I don't have to look for those invoices or receipts from the past. This way, it saves me from losing out on money. The setup was also very straightforward.

**What do you dislike about Webexpenses?**

I find the user interface a bit dated now. I've used Expensify and other apps in the past, and I think Webexpenses could do with a refresh. The mobile app also could be further enhanced to be more useful.

You can’t upload receipts on behalf of other users. It would be really helpful if you could upload receipts for other team members’ credit cards, and then they could attach them to the right expense and approve as needed. We do have a proxy setting, but acting as a proxy gives you full access to all credit card expenses for that team member, which isn’t ideal.

What I like best about Webexpenses is how intuitive and user-friendly the platform is, especially when it comes to submitting and managing expense claims. One of the main drawbacks of Webexpenses is that, while the platform is generally user-friendly, some of the more advanced features can feel unintuitive or difficult to navigate at first. Tasks like editing submitted claims, managing complex expense categories, or customizing reports can require extra steps that aren’t always obvious, leading to a bit of a learning curve for new users.

Another issue is the occasional lag or slow performance, particularly when uploading multiple receipts or working with large claims. This can be frustrating, especially for users who rely on the system frequently or are trying to submit expenses quickly while on the go.

The mobile app, although convenient, can also be somewhat limited compared to the desktop version. Certain functions are not as easily accessible or require switching to the web platform, which reduces the overall efficiency of using the app alone.

Additionally, error messages and system feedback aren’t always very clear. When something goes wrong - such as a failed upload or a rejected claim - the explanations can be vague, making it harder for users to quickly understand and resolve the issue.

One of the biggest problems it solves is time-consuming manual expense processing. Traditionally, expenses involve keeping paper receipts, filling out spreadsheets, and chasing approvals. This is slow and repetitive. Webexpenses digitises and automates this process - letting you upload receipts, auto-fill details, and submit claims quickly. **What do you like best about Webexpenses?**

I like that for mileage expense reports, that a map is included to set start and end points. It makes the maths very easy.
I also like that I can set default expense groups, so that I don't have to fill out every box each time I place a claim.

**What do you dislike about Webexpenses?**

When I don't want to claim for the entirety of my mileage, perhaps because some of the trip was for my commute or personal use, i will manually reduce the miles in the claim. This flags as an issue for my manager to have to review each month, and this takes time out of our day. I wish there was a way for me to split the claim so that even if I set the start and end point of a trip, that I can decide how much of that drive I am claiming for.

Web expenses links directly with CirpHR for us. It has streamlined our expense claims procedure a lot. Previously we used another service which wasn't reliable.

**What do you like best about Webexpenses?**

I’m not always in the office, so being able to quickly upload receipts on my phone as I go is a big help and stops things piling up later.

The mileage tracking is also a standout for me. Since I’m driving to different locations most days, being able to log journeys using maps instead of working it out manually saves a lot of time and feels much more accurate.

I also like how everything is kept in one place. Between the receipt uploads and the card integration pulling in transactions automatically, it takes away a lot of the effort of having to remember everything or double-check what I’ve spent.

Overall, it just makes the whole process a lot more straightforward and less time-consuming, which is exactly what you need when you’re busy and on the move most of the day.

**What do you dislike about Webexpenses?**

There’s nothing major I dislike, but there are a few small things that could be improved. Because I’m often travelling between sites, I rely on the mobile app quite a bit, and occasionally it can be a bit slow or take a couple of attempts to upload a receipt, especially if signal isn’t great.

The mileage tracking is really useful overall, but sometimes it’s not always perfect and I still double-check routes just to make sure everything looks right. It’s not a big issue, but something I’ve noticed.

Also, when you first start using it, it’s not the most obvious system to navigate. However if you are unsure, the customer support is great. Once you get used to it, it’s fine, but there’s a bit of a learning curve at the beginning.

**What problems is Webexpenses solving and how is that benefiting you?**

For me, the main problem Webexpenses solves is keeping on top of expenses when I’m constantly travelling between different sites. Before using it, I’d end up with loads of receipts in my van or pockets and would have to go through everything at the end of the week, which was time-consuming and easy to forget things.

Now I can log expenses as I go, which makes a big difference. Uploading receipts straight away means I don’t lose them, and the card integration helps as well because transactions show up automatically, so there’s less chance of missing anything.

The mileage tracking is also a big help for me. Since I’m driving most days, being able to quickly log journeys using maps instead of trying to work it out later saves time and feels more accurate.

It also benefits me in terms of visibility. I can check where my claims are up to without having to chase anyone, which makes things a lot easier and less frustrating.

Overall, it’s made the whole process a lot more organised and less of a chore, especially with how often I’m on the move.

I use Webexpenses for submitting expense reports for travel, equipment, etc., at my corporate job. It allows me to keep track of and archive company-related expenses relatively easily. Once familiar with it, the interface is pretty intuitive and easy to use. Picking from drop-down menus and entering info is straightforward and logical. I was able to log in and start using it right away.

The 'mapping function' for calculating driving distance for mileage reimbursement is not great. I entered my work address, but the map is incorrect; the location it picks is not the correct one. It also forces me to select the shortest-distance route, which leads to using toll roads that I would rather avoid due to the cost. When I try to drag the route to change it, the map seems to malfunction, suggesting inefficient routes. This is frustrating.

The standout feature for me is the mobile app’s OCR (Optical Character Recognition). Being able to snap a photo of a receipt right after a meal or a taxi ride means I don’t have to hang on to a wallet full of paper receipts.

While the interface is generally clean and easy to use, it can start to feel a bit repetitive when you’re submitting multiple similar claims, such as daily parking or recurring travel. An “auto-save” feature would be a great addition, since right now you sometimes have to remember to click Save manually before switching to a new tab, and it’s easy to lose your progress if you forget.

Before Webexpenses, our team relied on manual Excel sheets and physically handing off receipts, which often resulted in misplaced paperwork and slow reimbursements. I can also see exactly where my claim is at any time, whether it’s pending with my manager or already with Finance, which adds a lot of transparency.

I use Webexpenses for claiming business mileage in my private car. I don't have to keep track of my mileage anymore because it allows me to enter the postcodes of places I've visited for work. It calculates the miles traveled and automatically calculates the allowance. It's very easy to use; I can just enter the postcodes that I have traveled to for work and see that on a map for verification. If I have made a mistake, I can quite clearly see on the map that I did not travel that far. Also, I can see the history of expenses claimed to check if it's roughly the same each week. The initial setup was very, very easy.

**What do you dislike about Webexpenses?**

I would love an ability to create a template that I can use each week because I have to enter the same start and end miles every time, which is kind of repetitive. Also, having a list of places I have visited previously and the ability to just click on those for new claims would definitely make things more efficient.

I use Webexpenses for business and personal expense claims. I can keep track during the month to ensure I stay up to date, and I find the suggested route mainly accurate when submitting a mileage claim. I like that Webexpenses is easy to use and the ability to archive previous submissions to keep the active desktop clean, which suits my preference for an uncluttered environment. After an 18-month break, I was able to pick up from where I left off with historical claims information still accessible. The initial setup was easy as it was pre-installed by IT, and my account was created by the expenses team.  I find having the corporate credit card linked into the app a benefit so all business expenses are with one programme.

Compared with the previous systems I’ve used (manual processes and potential competitors), I find Webexpenses easy to use and intuitive. It keeps the whole process straightforward, and I really like being able to see everything laid out in front of me before I submit. We had a few teething problems with the integration and that webexpenses were not the most forthcoming with our issues and being available when needed. I would say its on the whole reliable and does make day to say tasks easier. I think that webexpenses is affordable and does the job that is required for the money spent.

There isn't much i dislike about webexpenses, the only thing i can think of is that the team are not readily available in implication and had to wait for meetings constantly which meant the launch date had been pushed back. It makes it easy to file for my petrol expenses as I drive as a large part of my job. It is easy to use and I didn't have to do any training in order to use it.

There is a bug at the moment where the 'add receipt' and 'save' buttons are void and after spending 5-10 minutes entering all the addresses for a claim, these buttons do not work and you have to refresh the page, hence losing your claim. This wastes time and is very frustrating.

As a user I appreciate how the UI gives me clear statuses for each expense. I also appreciate the integrations that allow it to help finance pay me in a expedited manner - I have placed many expenses that have moved to payment very quickly.

I dislike how the UI feels a bit dated, and all the padding and layout feels a bit uneven and off. I also struggle with the multiple panes inside a claim. There's the sidebar component, and the preview component. The preview component at points opens into two horizontal panes too. Loading each of these requires a loader.

From inside a receipt on a claim it also isn't easy to open and view the receipt full screen.

The claim header acts as a folder so you only need to create one per week/monthly and then add your claim items to it. This can be completed via the receipt. When you view a receipt, the claim form is attached and if the receipt was scanned when it was uploaded to your My Receipts, the date and the amount should auto populate. You can then just add the spend category and a description. Once saved, you can then choose to add the new item to an existing claim header or create a new claim.

When you have additional fields such as the Cost Centre, if this is always going to be the same, you can set it to default. Check out the article below to find out how.

When a claim is rejected, the notes can be seen by hovering the mouse over the yellow note under the claim, in the claims list. Alternatively, open the claim and you can then view the notes in the header.

Easy! I can fill it in anywhere. This means I can take a photo of the reciept right then and there and upload it straight away. This means that in a normal busy working day even if I lose the physical receipt, I can still claim for all my expenses. Brilliant!

Sometimes there are problems with connectivity, but i think it is where I am working- internet connection can be difficult.  however, i can photo the receipt on my phone then retrieve it from my gallery for use later which is useful.

Using Webexpenses means I don't need to worry about losing my reciepts.
There is no lengthy time required at the end of each month to put together a claim- writing out a spreadsheet and stapling receipts to it.
Also the turn around time from our accounts team is very quick so I am never out of pocket. 
It also means I can claim even on a daily basis- no more waiting for a lump sum at the end of the month, which might leave me short.

**What do you like best about Webexpenses?**

Once you get to grip with what to do its very easy to use and add new expenses to the system.

The interface is user friendly and does walk you through the process off adding expenses, its quick and simple to do milage which is the main area i use, you can add multiple vehicles onto your account from private to business so its really flexible to make sure you input your expense correctly.

**What do you dislike about Webexpenses?**

You get a long winded email on updates, you have to read and search for the key bit of information it is trying to tell you, something more simple and graphic would be nicer.

**What problems is Webexpenses solving and how is that benefiting you?**

I used to have to do my expenses manually for the company which went through a series of emails and approvals which could take weeks. Using web expenses can now add a new expense which goes through to my approver on the software they approve it goes through to accounts and they confirm the day it will be paid.

So much nicer and quicker to deal with this process

**What do you like best about Webexpenses?**

It's simple and easy to use. It make the workload easier and able to input all claim in 1 project. It integrate with the company app. So far didn't speak to customer support as the faq is reliable.

The delete button is very small it could be good if it's more visible.

it is benefiting me as it can upload multiple receipt for 1 project don't need to do it 1 by 1.

**What do you like best about Webexpenses?**

The layout, ease of use and implementation of features that allow a streamlined platform for managing expenses.

The integration of photos/attachments help to quickly navigate claims and make any changes necessary.

I haven't had any issues or lack of peformance when using it - and the use of AI I haven't really noticed, perhaps that's a good thing as it seems to be normal?

**What do you dislike about Webexpenses?**

One thing I would say that could help would be allowing us to edit a claim at our employees request - but other than that, there isn't anything that hasn't worked for me in my role.

Webexpenses is solving the problem we had where a lot more time would be spent analyzing data/receipts/claims. This streamlines our process helping us be more productive.

**What do you like best about Webexpenses?**

I found the initial setup of Webexpenses fairly easy and appreciate that human resources helped me set it up.

**What do you dislike about Webexpenses?**

Webexpenses sometimes messes up and does not reimburse me the full travel amount. It doesn't calculate the correct amount when I travel from one destination to another. For instance, when I travel from Maryville to Knoxville or from Carowinds Circle, it gives me the wrong amount. It's supposed to be $12 or $13, but it only gives me $4.73, which is not a lot of money. It's hard to explain, but the distance calculation isn't right.

**What problems is Webexpenses solving and how is that benefiting you?**

Webexpenses sometimes messes up and doesn't reimburse me the full travel amount. It does not calculate the correct mileage reimbursement for my travel from Maryville to Knoxville, giving me less than expected.

I love how simple it is to upload receipts to the system. It makes life so much easier knowing you can photo/save a PDF and easily attach to transactions

**What do you dislike about Webexpenses?**

I wouldn't say there's much wrong with WebExpenses, it's a very easy system to use

We have over 120 credit card holders in the company and having it all in one easy system that everyone can use has saved so much time

When I need to take the VAT off multiple lines I can't, it is annoying multiple lines cannot be ticked and edited at the same time and also everytime I update a line the page refreshes and I need to scroll down again

Sometimes, our expense policy isn't that flexible but that's not a reflection on the platform itself. There's nothing I would change about the system.

I use Webexpenses to do my monthly expenses at work, and it's very easy to use. I don't have to spend hours and hours loading my expenses like in other systems. I just edit the type of expense, add my notes, and then upload the receipt from my laptop. The initial setup was also very easy, taking just a few minutes.

Easy to add expenses and attach receipts. Clear UI and easy to use. So much better than an Excel sheet!

**What do you dislike about Webexpenses?**

The place search when adding mileage claims needs to recognise places better- integration with Google would help here I think. Currently it can be hard to land on the exact building you travelled to. It would also be very helpful to be able to have route choices shown and select the one you actually took without saying "user adjusted mileage" and having a warning symbol. There are multiple routes to a destination depending on traffic so need to be able to select the right one.

Everyone's claims in one place, easy to manage uploads and files compared to Excel.

**What do you like best about Webexpenses?**

The mobile app is fairly simple to capture images and assign to expenses once you figure out the interface, which is not completely intuitive - it overcomes a lot of the headaches with the web based version.

**What do you dislike about Webexpenses?**

The user experience is not what it could be.  On laptop/web view, when you enter an expense, and want to add receipts, it essentially closes the line item and then drops you in another section of the software where the receipts are.  If you've already uploaded a pile of receipts, sometimes it finds them, but often it doesn't - and there is no easy way to just pick from that list without having to exit the expense line item you're working on.  So this workflow really doesn't work at all.  It seems you can only make this kind of work by uploading receipts - and then from that receipt, enter information and add it to the report.  But this too requires on every receipt, going back over to the line-by-line report - only to then have to go back to the receipt pile to make the next entry.  It's just badly designed and should not be split up like this.  Dates are also poorly handled - the system cannot figure out how to manage European vs. US dates very well, leading to constant updating of auto-imported content.  Recently I also had every expense default to AUD instead of USD - which could be a very costly error given the difference in exchange rate.  I couldn't find any way to fix this.  On the mobile, once you understand the unlabeled interface and just go from the "+" it's generally efficient if you just photo or upload receipts direct from your phone one at a time and then fill in all of the information around them.

It replaced paper excel sheets that were far more difficult - but it's got a long way to go to be something that is truly a good tool.

It would be ideal if the AI could interpret photos of pictures or receipts and automatically populate the relevant fields.
