What do you like best about Practice by Numbers?

We've been happy with Practice by Numbers since day one! We use the Grow package, and it’s been a game-changer for our practice.

The automated text messages, reminders, and billing features have streamlined our workflow. Patients receive payment requests automatically, which keeps things smooth and efficient. The system syncs perfectly with Eaglesoft, making everything from scheduling to billing seamless.

The digital forms are fantastic—especially the review and update option. Our patients love that they can simply update their existing info instead of starting from scratch every year. With our old system, they had to fill out blank forms annually, and it was a frequent complaint.

The online scheduling feature is another favorite—patients can book anytime, which adds real convenience.

We also love the Practice by Numbers VOIP phone system. The voice quality—both from the physical phones and the mobile app—is excellent, and the features make managing calls and communication incredibly easy.

The analytics dashboard is another standout. It gives us clear, actionable insights into our revenue cycle management, accounts receivable, and claims. It’s helped us stay on top of our financials and make smarter decisions.

And whenever we need support, the team is responsive and helpful—they always get back to us right away.

What do you dislike about Practice by Numbers?

We’ve had a great experience with Practice by Numbers overall, but if we had to point out one area for improvement, it would be the availability of call transcription. It would be wonderful if basic features like call transcription were included in the Grow package, rather than requiring an upgrade. We also hope voicemail transcription will be added in the future—it’s a feature that would really enhance communication and follow-up.

What problems is Practice by Numbers solving and how is that benefiting you?

Practice by Numbers has solved several key challenges for our practice, especially around communication and follow-up. The automation features are incredibly helpful—when a patient cancels an appointment, the system automatically sends a follow-up text and email, reminding them to reschedule and keeping their care on track.

We also love the automated responses when the office misses a call or when patients reach out after hours. They immediately receive a message letting them know they can book online or contact us via email. This has helped us retain potential new patients and maintain strong communication with existing ones.

The task management tools are another major benefit. We can easily track and follow up on canceled appointments, pending treatment, and recall reminders. It keeps our team organized and ensures no patient slips through the cracks.

What do you like best about Practice by Numbers?

We’ve been using practice by numbers for more then 2 years now, and I can confidently say it’s transformed the way our dental practice runs. As a busy general dental office, we needed a system that could handle scheduling and patient communication seamlessly — and practice by numbers delivers on every front.

User Interface & Ease of Use:

The interface is incredibly intuitive and clean. My team adapted to it quickly, even those who aren’t very tech-savvy. Navigation is straightforward, and most functions are just a click or two away. I especially appreciate how clean the dashboard is — we can tailor it to our workflow, which boosts efficiency.

Patient Communication & Engagement:

The automated appointment reminders, two-way texting, and online scheduling features have drastically reduced no-shows and improved patient satisfaction. Our patients love the convenience, and it allows our front desk team to focus on other tasks.

Insurance verification :

The insurance verification tool is a game-changer — it cuts down on time spent on phone calls and ensures more accurate estimates. Payments and ledger tracking are also very intuitive.

Support & Training:

Customer service is top-notch. Every time we’ve had a question or needed help with customization, the support team responded quickly and thoroughly. What do you like best about Practice by Numbers?

It’s all there. Patient communication, analytics, phone call tracking, recall management, forms, phone system, etc. we get so much out of it. So many useful features compared to other software systems we’ve used where maybe the analytics or patient messaging was good but everything else was bad. A couple of other things worth mentioning is how great their support is and how quick they are to add features if you request them- obviously not instant, but they are constantly updating their already great software to make things run more smoothly for users. We use it 24/7 during work hours and I even use the app at home which is so convenient. Can’t recommend it enough. Would give 11/10 if I could Review collected by and hosted on G2.com.

What do you dislike about Practice by Numbers?

I really can’t think of many downsides. Kind of annoying that the phone AI stuff is an additional fee and not included in the PBN voice feature. Review collected by and hosted on G2.com.

What do you like best about Practice by Numbers?

It helped our office go paperless and customize all the forms to our specific office and patient needs. I am also very impressed with the online support. Fast and they take their time to walk you through any and all steps of the process needed to fix your issues. I never have felt rushed or confused about what needs to be done. While enjoying the benefits of going paperless, some of the processes do not seem to be seamless. New patient forms are not being sent out after an appointment is made, or the patient is unable to open the forms once they receive them. Review collected by and hosted on G2.com.

What do you like best about Practice by Numbers?

Great customer services and they frequently update the software to meet the clients' need. PbN not only provides extensive data analysis of all aspects of dental offices, including phone calls, which is what they are known for, they also provides services such as review request, automatic reminders, automatic campaigns for different purposes, online payment solutions, etc. It also serve as an intra-office communication channel. What do you like best about Practice by Numbers?

I have used a few different products similar to Practice by Numbers and this has far exceeded what the others have offered. I am able to review numbers with the practice owner and our team. I am able to log in from home on a snow day and communicate with our patients, I am able to create my own customizable emails and hone in on what patients I want to receive them, if not all of our patients... What do you dislike about Practice by Numbers?

We have a sedation portion to our practice which requires additional information and an additional medical history. The one thing that has been difficult is when the medical history is completed, we do not receive any sort of alert. As much as we dislike this, it seems as though they are working to make even this detail easier for our team, which I greatly appreciate. We have a few admin at the front desk and we suggested that they have a way for us to mark which admin is working with each patient over text messages - they integrated this into their software and now when we open the texts, we know which ones are being dealt with and by whom. What do you like best about Practice by Numbers?

The automation that comes with PbN has been exceptionally helpful for our busy pediatrics office. There are SO many things that we were doing manually before that are all done automatically now like sending and chasing new patient forms, confirmation texts at the right time we need them to go out, forms automatically adjusting patient records in our PMS as parents submit new forms, overdue routine care reminders, and so much more! Our Customer Success Manager has been really helpful in getting us set up just right. We are still working through some kinks, but it seems that they are dedicated to making things work for us. What do you dislike about Practice by Numbers?

There are some minor limitations with this system, but I believe most of it is because we use our PMS in a unique way which isn't the standard that PbN integrates fully with. The online scheduling has presented a problem with not being able to truly restrict certain patients from being able to schedule and it creates a new chart, which has caused some issues. They have a Customer Ideas website that you can submit requests and suggestions on, and I see their development team in there regularly commenting on people's posts and updating when things have been added to their queue for development. It's streamling communication for our patients and their parents, the online scheduler has been a highlight for them as well! Parents are much more inclined to complete our forms now and we have received less complaints about functionality and the overall visual aspect of forms.
