It's really easy to send it out to a client, get it signed, and then receive the confirmation in my email quickly without any fiddling around. I think the tool for getting documents signed by my customers is my favorite because adding extra text or signatures is just so simple and easy. I seem to always have trouble finding where the templates of my documents are. For some reason, I just sometimes keep going into trying to create a new one, and I just wanna go straight to the last one that I created. So I find that a bit fiddly. I don't know where to look for it on the menu. If it was really clearly marked, and even if it just offered it to you on the front page, or if there were different boxes on the front page where you could choose and you can see what you're choosing, that would help. What I like most about PandaDoc is how simple it makes the entire document-signing process. It’s intuitive for both our team and our clients, and it lets us create professional proposals and contracts quickly, track document status in real time, and get notifications when recipients view or sign. Being able to use reusable templates, collect legally binding e-signatures, and automate reminders has greatly reduced manual follow-up and helped us finalize agreements faster. Although the templates are very useful, making layout adjustments can sometimes feel less flexible than in a traditional word processor. As employee who onboard, the account creation completes after their acceptance, which slow down our internal activity to invite member to created workspace by respective team. So we spend double efforts. Invite a user to "Welcome" workspace and wait until user accept and account is created with licence activated. Here, in general, the services should be started in time before user joined with necessary enabled, and it should be a formal login to service via an SSO or from an integration application. The Content Library is probably where PandaDoc has made the biggest difference for our marketing team. We keep approved service descriptions, methodology pages, FAQs, case studies, and commercial terms there, so sales can move quickly without pulling copy from whatever old proposal happens to be sitting on someone’s desktop. We learned that lesson the annoying way after discovering an outdated service description had been reused for weeks. It wasn’t a catastrophic mistake, but it created enough inconsistency that every new proposal started turning into yet another round of copy review. Now the team can drop in an approved block, adjust only what actually needs to change, and keep moving. The editor handles text, images, videos, pricing tables, variables, and signatures without needing someone from design or development to step in. For commercial proposals that need to look polished, survive several edits, and still reach the client the same afternoon, it gives us the right amount of structure without making the document painful to maintain. The Starter plan covers basic documents and signatures, but the features we actually needed for a controlled sales process—like the Content Library, CRM integration, custom branding, and approval workflows—are in the Business plan. At $49 per user per month when billed annually, it didn’t make much sense to give everyone a license. We ended up splitting access between the people who actively build and manage proposals and those who only need to review pricing, legal language, or campaign details occasionally. That approach worked for us, but it does add some planning to the implementation and makes the value harder to justify for a smaller company that only sends a few proposals each month. A campaign had already cleared our internal review when the client asked us to split the scope across three markets, change the payment schedule, and send a revised proposal before the end of the day. Sales duplicated the approved template and pulled the opportunity data from the CRM, while marketing swapped out the generic proof section for a case study that actually matched the client’s industry. Finance reviewed the updated discount within the approval flow, rather than approving it through a separate email thread that nobody would be able to track down later. During the final check, we caught a broken variable that was inserting the company name where the contact name should have appeared. We fixed it before the document went out and then corrected the template so the same mistake wouldn’t quietly repeat itself in the next ten proposals. A few hours later, the client removed one market, which would normally have resulted in several PDFs with nearly identical filenames and a small internal debate about which version was final. Instead, we updated the same proposal, routed it back through approval, and sent it from the existing workflow. PandaDoc didn’t remove the pressure or make the client stop changing their mind. Our workflow typically begins with an NDA, then moves to a Partner Information Form, and ends with a Partner Agreement. PandaDoc’s reusable templates, automated reminders, and document tracking have greatly reduced manual follow-ups and improved completion rates. I also really appreciate the dashboard, which makes it easy to see who has viewed a document, how much time they spent on each page, and what still needs action. It’s also simple to replace a signer, search documents by company or email, and organize files by region. Because we often share confidential APIs, SDKs, and integration documentation with OEM partners, PandaDoc delivers a secure, reliable, and highly efficient document management experience that I depend on every day. My experience with PandaDoc has been very positive overall, and any dislikes I have are really just minor areas for improvement rather than true issues. When I’m managing a high volume of partner documents across multiple regions (Europe, North America, the Middle East, India, and Asia), the search and filtering could be a bit more refined. It works well as-is, but faster advanced filters—or smarter suggestions when partner or company names are similar—would make it even more efficient. I also think the reporting and analytics could be more customizable. The current dashboard already provides strong visibility into document views, time spent, and page engagement, but having additional exportable insights or more trend-based reporting would be especially helpful for larger onboarding programs. Lastly, while signer replacement works smoothly, it would be great to have more automation or intelligent recommendations when roles change within partner organizations, so workflows stay streamlined with less manual effort. Overall, these are small enhancements. PandaDoc helps solve key challenges in our partner onboarding and contract management by improving efficiency, visibility, and confidentiality. As a Partner Onboarding Specialist in an OEM organization focused on identity management, access control, and physical security, I manage NDAs, Partner Information Forms, and Partner Agreements across Europe, North America, the Middle East, India, and Asia. Previously, our biggest pain points were manual follow-ups, limited real-time visibility, and delays in getting signatures from external partners. PandaDoc addresses these issues with automated reminders that reduce the need for constant chasing and keep documents moving on schedule. The tracking dashboard is especially useful because it shows document status, time spent on pages, and engagement levels, which helps me prioritize follow-ups more effectively. It also strengthens organization by enabling structured storage and fast searching by partner name, company, or region—something that’s essential for a large, global partner ecosystem. In addition, because we share confidential APIs, SDKs, and integration documentation only after agreements are signed, PandaDoc supports a secure, traceable, and compliant workflow. UI / UX What I like best is how intuitive and easy the platform is to use. The interface is clean, and creating, editing, and sending documents is quick with very little learning curve. Integrations What I like best is it fits well into our workflow and helps automate document creation. Zapier also gives us additional flexibility for custom automations. It is also a native HubSpot integration, although we aren't currently using it as it was added after we operationally set up Performance What I like best is that it's reliable for our day-to-day document workflows. Documents are generated, sent, and signed efficiently, making it easy to scale our processes. Pricing / ROI What I like best is that the Business Starter plan provides solid value for the features included. It allows smaller teams to automate document workflows without a significant upfront investment. Support / Onboarding What I like is having access to an account manager. While our experience hasn't always been perfect, it's helpful to have a direct point of contact when we need assistance. AI / Intelligence Since we don't currently use the AI features, there's nothing specific I'd call out here. If required, I'd simply say: N/A. UI / UX There aren't many issues with the interface. The only improvement I'd suggest is making it easier to understand the impact of template changes, as editing templates can unintentionally affect existing automations, which affected over 100 documents being sent. Integrations The biggest drawback is reliability with Zapier. We've experienced occasional issues where changes to templates or document structure caused automations to fail, requiring manual troubleshooting. Performance Performance is generally good, but when integrations fail, it's not always easy to identify the root cause, which can increase the time spent resolving issues. Pricing / ROI The jump from the Business plan to Enterprise is significant. For organizations that don't need every Enterprise feature, it can be difficult to justify the cost, especially when the upgrade is positioned as the primary solution. Support / Onboarding Our account management experience has felt more sales-oriented than consultative. We were encouraged to upgrade to Enterprise, which would have increased our costs by over $2,000 per year, instead of exploring solutions within our existing plan or better understanding our operational needs. I like how PandaDoc allows me to see the timeline of multiple reviews and signers of a document. I also appreciate the email notifications that inform me when a document is opened and reviewed, and when it has been signed by all parties. These features are especially helpful for ensuring documents are submitted on time, as they tell me who has signed and who hasn’t, so I can follow up accordingly. If I upload a document that is not the right font or the margins are off, I want to be able to delete the document and start over. I would also like a feature that notifies the person who needs the document that they have opened and received it. I would like the audit trail put back on the main page. I use PandaDoc for my web design agency, especially for client agreements and signing contracts with employees. I find it so much more flexible compared to DocuSign, and it's cheaper too. I appreciate that it has more features and is more accessible. One of the things I like most is the ability to change the size of the signature in my documents, allowing me to expand it horizontally or vertically without having to do both at once. This feature is really important to me because it lets the signature box fit perfectly into my documents. The initial setup was also really easy, with everything laid out for me, so I could start right away. I would 100% recommend PandaDoc to anyone, it's much more convenient and amazing.
