
Orcatec shines when it comes to dispatch and scheduling. The interface is clean, intuitive, and easy to use, allowing our team to manage appointments and job assignments with minimal hassle. Service technicians and installers, in particular, find the software almost perfect for their daily tasks. It streamlines communication between office staff and field teams, ensuring smooth coordination.
Additionally, the customer support is responsive and quick to address minor issues or implement small improvements. While broader concerns remain unresolved, the team is efficient at handling smaller requests, which helps keep the software running smoothly for day-to-day operations.
If you’re running a small service company and are comfortable keeping all your reports in spreadsheets, Orcatec is nearly a perfect option for you. As someone who uses Orcathec daily in our HVAC business, I have to say the experience is less than ideal:
- Slow Performance: Regardless of your internet speed, expect delays after nearly every action. You’ll need to be patient, as even simple tasks can take longer than they should.
- Severely Lacking in Reporting: It’s nearly impossible to generate meaningful reports, especially for marketing and sales purposes. Suppose you want to track key metrics like the number of proposals sent, signed, paid, or left unanswered. In that case, you’ll find yourself exporting multiple reports and manually piecing them together over days. The software doesn’t support this natively, making data management incredibly time-consuming.
- Limited Reporting Periods and Filters: Building reports over longer periods, such as a full year, or applying different filters is extremely frustrating. When I need data on appointments set for our sales team over the last year, I have to generate six to eight separate reports and then combine them in a spreadsheet—only to face multiple errors like "network error" or "something went wrong."
- Inadequate for Marketing & Sales Insights: There needs to be built-in reports for crucial marketing and sales KPIs. If you want to see your sales team’s closing ratio or assess ROI from different channels, be prepared to spend hours exporting and merging data from different tables.
While Orcathec may be a newer company and still developing their software, it feels far from ready for businesses that need quick, efficient access to comprehensive data. Unless you’re very skilled with Excel or similar tools, you might find yourself spending more time trying to make this software work than actually using it to improve business performance.
