As a Design Operation & Project Delivery Coordinator at a mid-sized design agency in Kansas City, my favorite thing about Flowlu is how it blends flexible project tracking, customizable data fields, and centralized document management all in one lightweight platform. Our team juggles dozens of active client design projects, freelance vendor relationships, and constant creative asset revisions. Before Flowlu, our project data, approval statuses, and freelance contract terms were spread across separate spreadsheets, cloud folders, and chat threads. It was tough to keep our creative, production, and account teams aligned, and tracking asset versions and project phases was always messy.

Flowlu’s fully customizable fields and bulk CSV import functionality have completely streamlined our day-to-day operations. I regularly onboard new client projects and freelance designers in bulk, and Flowlu lets me upload entire project lists and vendor rosters via CSV in minutes. What do you dislike about Flowlu?

The biggest issue is its file handling and asset versioning support. We constantly upload design source files, brand mockups, and revised deliverables for client review. When our creative team uploads multiple iterations of the same design asset into Flowlu, there’s no built-in way to auto-tag versions or compare previous file revisions side by side. A few weeks back, we were wrapping up a brand identity project and had seven different logo mockup versions uploaded. Our account manager accidentally pulled up an older, unapproved file to share with the client because Flowlu didn’t clearly highlight the latest approved version. We had to add manual naming rules and extra notes on every upload, which creates more work for our busy creative team.

Custom reporting is another weak spot. I rely on reports to put together our monthly cross-department operational reviews. I set up custom fields in Flowlu for project phases, approval status, and freelance contract terms, but the report builder doesn’t let me combine all those fields smoothly. I tried to build a report showing active projects grouped by client approval stage and vendor spend, but the filters kept dropping some of our custom field data. I ended up exporting all the raw data to Excel and building the report manually, which ate up a big chunk of my month-end time.

I appreciate Flowlu's unified design that melds CRM sales pipeline, client project management, and basic financial overviews within a single workspace, which fits our small Los‑Angeles internet startup Westlight Digital Labs really well. It saves us from buying separate platforms for sales tracking and project delivery, which would otherwise drive up costs for our 32‑person team that has no dedicated in‑house IT staff. Once our sales team closes a deal, they can spin‑up a connected project right away, paste in scope notes, log estimated contract value, and hand‑off task assignments to our delivery team without ever switching out of Flowlu. We saw this value firsthand during our spring outreach push targeting regional B2B consulting prospects we sourced from Nimble. Sales reps logged call takeaways, shifted deal stages, and jotted down each client’s unique requests directly on their opportunity records. When deals moved to won, our delivery team could open those same records and read through full negotiation history, budget boundaries and custom requirements immediately. On one specific instance, we were onboarding a local marketing agency client; delivery reviewed the notes inside Flowlu and caught a custom reporting add‑on the sales team had agreed upon, before drafting project timelines. This kept us from delivering work that did not match what the client had expected. What do you dislike about Flowlu?

The role‑based permission controls in Flowlu create real headaches for our cross‑team workflows. Our goal was to let delivery staff read client deal background without being able to alter confidential sales pricing and financial figures. Unfortunately the pre‑built permission sets are very limited, and crafting finely‑tuned custom roles is far from intuitive. We keep getting stuck with two bad options: either grant delivery broad edit permissions, or block them entirely from valuable sales context. There are no field‑level visibility toggles, so we cannot hide only sensitive columns while keeping other customer information visible. This created a real‑world mishap earlier this year. While onboarding a new digital service client, I temporarily gave delivery expanded access so they could resolve an urgent project task. One team member unintentionally edited the negotiated pricing field on that opportunity record. I only spotted the wrong pricing when I did my daily data spot‑check and had to restore accurate values from our CSV backup files. Beyond that, there is no activity audit log tracking permission adjustments. When access glitches pop‑up for sales or delivery users, I cannot look back to see who modified permissions, what changed, or when it happened, which slows down troubleshooting. We are also unable to build hybrid custom‑role templates to mix‑and‑match access rights across different modules. We cannot create something like “full project edit rights plus read‑only CRM access with zero finance access”. I am delighted with the functionality of this system, how they managed to harmoniously include many functions in one system. Also - Flowlu is constantly making updates due to which the system acquires a perfect look. Thank you! I have studied more than 15 of the most popular CRM systems And if in short, Clickup is really overloaded with functionality and too complicated, Asana lacks a lot of things... What do you like best about Flowlu?

A nice CRM with nice sales pipeline. Nice Hierachy of Workspace, Project, Tasks. Easy to use Chat, including on the mobile app. Clean interface. No steep learning curve, get the basic in a matter of hours. Their onboarding tasks list is excellent, if you complete it all you'll be an expert in no time. I tried MANY project/task management solutions before deciding which one to pick as and wanted one that also had CRM. This was my choice. Review collected by and hosted on G2.com.

What do you dislike about Flowlu?

It would be nice to have a bit more colour added to the UI/UX and in a manor that is customizable through the entire colour spectrum. Needs more integrations to storage services like dropbox etc. It does not seem to remember the view choice in some instances, defaulting to Kanban even though I want to use list view. Although you can add custom fields you can't choose where they appear within the app, an example would be that it has multiple social media sites as default like Facebook, linkedIn, Twitter but it does not have for example, YouTube. You can create YouTube as a custom field but it cannot be put in the same place as the other social media sites so it's detached. Adding video chat native would make this app unbeatable. Flowlu should serriously consider it. This are all minor improvements that should be easily achievable and these are not dislikes but rather a wishlist to take the app up another level to what already is a high level. What do you like best about Flowlu?

Flowlu is really hard to describe. Think about an all in one business management tool, that is aimed at small and medium businesses but ports over incredible enterprise level features that you would otherwise find in top level CRMs, top level PM tools and such. It's like they ran around and picked out the best features out of all the market favourites, and stuffed their tool with these. For instance, their CRM has a round robin feature for leads. I worked at an enterprise using Salesforce and they couldn't set that up. Absolutely nuts. It's also very utilitarian, and sometimes rigid in functionality, but paired with a paranoid security team I am ok with that. However as long as they will listen to customers it will keep improving. What do you dislike about Flowlu?

Some features can be a bit rigid, and the team could listen a bit more to the suggestions of their clients. But overall it's small things, not critical to business operations. More like, trying to explain to a drill sergeant to be more creative, that kinda up-slope suggestions XD Workflows can be set up in many different ways and with automations and a rock-solid API, but if you're missing a feature, like for instance I miss proposals, then it becomes problematic.
