Also, the mobile app guarantees that I do not miss board matters even when I am off the office. **What do you dislike about Diligent Boards?** Even though there are countless features in Diligent Boards, the first time users might be confused. One weakness that I found out about this onboarding process is that there is need for new users to undertake through various processes in order to acquire more information and hence a more elaborate onboarding process would be of benefit to any new user. Over time doing certain tasks, such as uploading docs, have become second nature and the ability to link to previous books which have been archived helps lessen the load on Board books. **What do you dislike about Diligent Boards?** For the types of documents I regularly upload the 15GB limit per document means I have to spend extra time compressing or splitting pdf's to fit and this can mean uploading multiple files per document. This can be time consuming when the agenda is large. Diligent is slightly more expensive than some of the other solutions on the market but because of it's ability to link within documents to other board books we continue to use Diligent as our solution. It would be good to have unlimited Committees available to us as part of the plan we are on, rather than having to pay per Commmittee. **What problems is Diligent Boards solving and how is that benefiting you?** It solves having to host documents on our local server which could lead to security issues ### 15. This has been disrupting meeting prep on a number of occasions because when our connection is slow or slightly unstable, the access to critical features such as document review or collaboration becomes near impossible. Most prominent of all is the built in annotation tools that allow me to quickly review and mark up documents. More than that, we integrate with our email and file sharing systems, so everything is tied together. **What do you dislike about Diligent Boards?** In case you are using the mobile version of Diligent Boards, then unfortunately, one drawback is occasional lag that disturbs productivity. There is no way to freely work outside the office. And for new users, it takes some time before they finally get hold of and use all its features which delays the initial implementation period. Overall, that we have confidence that ultimately our most important data is in safe hands. **What do you dislike about Diligent Boards?** A problem of Diligent Boards that I’ve had is the lack of offline access. When there is no internet and I’m unable to see documents sometimes I get myself someplace else. It is very inconvenient given the fact that I’m trying to read and make changes to materials during meetings. Having more offline functionality would also be great to support these users in such a situation. People just have files in paper, now everything is on the computer, so the meetings are far more productive. Voting papers on Circular Resolutions easily made, circulated, monitored and finalised. Easy for Board members to access / vote using mobile phones or laptops. Resource Centre excellent for auxilliary / supplemental information and documents. Self service implementation, administration and onboarding of new members/forums, and if anything doesn't work quite as expected, there is always the superb Customer Support providing very prompt response and the Customer Service staff are extremely knowledgeable and fix / advise on any issue or questions professionally and expertly! **What do you dislike about Diligent Boards?** Least user friendly aspect I have found in the past is calendar. I have not used this in several years as we use other calendar software/apps, so am a little out of date on the use of any new features, such as integration with Outlook calendars? **What problems is Diligent Boards solving and how is that benefiting you?** Secure and efficient - Secure distribution and storage of sensitive information to the "right" people without having to save multiple documents, or printing, or sending several emails. Record keeping and storage - Archiving old books, and managing voting papers, incidential/supplementary information in one space which is easy for members to find and refer to, without having to re-send information by less secure means. I like the easy and secure sharing of the board books with our board members. The platform is quite intuitive and it was easy to start working with it and integrating it into our ways of work. We also received good feedback from our directors. They used the platform also to to export the materials into one pdf and read it off-line ar their convenience. The option to take minutes through Diligent and to have them reviewed by stakeholders also makes my life a lot easier: before there was a lot more typing and administration involved. We also use the secure sharing module to have all relevant materials in one place, and our directors can access them when needed. The option to have directors sign resolutions through Diligent is also a useful tool but have not really used it yet. Compared to the previous tool that we used, Diligent Boards is a big upgrade. We have monthly board meetings so we use Diligent often. **What do you dislike about Diligent Boards?** Some of the aspects of Diligent Boards really require one or two trainings before you really know how to use them. This is the reason I did not use the platform to its full potential. The fact that trainings are broken down in so many different trainings on each topic for me created stress: which training to choose first and does this fit in my already full agenda? It would be much easier to foresee little films that can be watched on the website, and that explain in a concise but precise way how all tools work. This would have been a lot easier as you can watch them when you have 10 minutes off between meetings, instead of booking a training days in advance. I would like the minutes-making module to be a bit more personalizable. For instance, our logo always ended up flat, and I did not like the lettertype. Maybe this is something that can be done, but then I did not find how to do it. So in the end I always exported the minutes into word, and adapted them there. We had some issues with notifications from Diligent being identified as spam by our spam filter, because the notifications turn up as a mail sent by a specific person (rather than a mail from Diligent) and our system identified this as a potential threat (someone trying to impersonate another person). The minutes section could be improved slightly (once the minutes are in review, you cannot add actions or edit certain portions).
