**What do you like best about Capsule CRM?**

capsule CRM helps keep my daily work more organized without making things complicated. i work as a Dietician & Nutritionist, manage a homeopathy clinic, and also create health education content, so i regularly handle client follow ups, consultation reminders, appointments, nutrition discussions, and communication related work together. Capsule CRM makes this workflow more easy and structured. I use it frequently for follow up calls, task planning, reminders, and managing consultation related work. Features like contact management, task tracking, notes, reminders, activity history, and calendar view are very useful for my daily workflow. Keeping client details, follow-up discussions, and pending tasks in one place saves time and helps reduce confusion during busy clinic hours.

i also like activity tracking and reminder system because it helps me manage repeat client follow-ups more properly.  Performance is smooth for daily work and pages load properly most of the time. The interface feels clean, lightweight, and easy to navigate without too much complexity. Customer support and help resources were also simple to understand whenever needed. overall, Capsule CRM helps me manage clinic workflow, client communication, follow-up tasks, reminders, and professional work organization in more practical and time saving way.

**What do you dislike about Capsule CRM?**

some integrations and workflow connections depend on third-party tools, which can make setup little longer for specific work needs. Reporting is useful for daily tracking, but for deeper analysis and detailed reporting, I feel there could be more flexibility. Another small thing is that when switching between contacts, tasks, notes, and activity history many times during busy work, few pages sometimes take little extra time to refresh.

capsule crm is helping me keep follow-ups, client communication, tasks, and daily workflow more organized in one place. It makes managing reminders, notes, activity history, and pending tasks much easier during regular work. The task tracking and follow-up system is very useful because it helps keep communication and scheduled work properly managed without confusion. Activity history also helps in quickly checking previous discussions and updates when needed.
overall, it improves work organization, saves time, reduces chances of missing follow-ups, and makes daily workflow more smooth and manageable.

**What do you like best about Capsule CRM?**

What I like best about Capsule CRM is its flexibility and ease of use. The ability to customize pipelines and tasks allows us to align the system with our specific workflows, including creating multiple pipelines for different needs. I also value the complete client history—enhanced by the AI summarizer—which gives anyone taking over a contact instant context and ensures seamless continuity.

**What do you dislike about Capsule CRM?**

I don’t like that we can’t separate milestones or tracks by pipeline. They all show up no matter which pipeline I’m adding an opportunity to, which makes it harder to keep things organized.

**What problems is Capsule CRM solving and how is that benefiting you?**

It helps us stay in regular contact with our customers and keep our workflow organized. We can create reports easily and retrieve information quickly when we need it. I also like the AI features, which give an overview of the contact we’ve had with any client.

**What do you like best about Capsule CRM?**

I find Capsule CRM very intuitive and useful for organizing contacts at our travel company, including suppliers, direct clients, and B2B contacts. I really appreciate how we can organize contacts and create all the possible tags we need, which helps a lot with keeping things clear and easy to search. Sending emails directly from the system is a big plus, and I like having email templates ready to go within the system. The clear display of adding contacts under a company, showing different people working there along with their titles, makes it all neat and organized. Additionally, keeping all conversations up to date is great for team coordination. The initial setup has always been smooth, adapting well to our needs. We also use it to keep a record of our sales in pipeline and the ones that are taking palce and finaihed and have a good organisation of our numbers there.

**What do you dislike about Capsule CRM?**

WhatsApp integration. Maybe better way to download information more clear, a bit more personalized to our business. Would also like a way to keep more records but separate from the rest of information- for example we sre a company that sells luxury vills so we could have separately Villa Owners, Prospect villas and destinations, Direct clients and b2b agencies which is the majority we do so we use it like that. But if we could have it separatly that would be more organised and better. We can adapt it now, but it could be more clear.

I use Capsule CRM to organize contacts and manage tasks, ensuring the team stays updated. Its email integration and tagging features simplify communication and contact searches. Also for sales recording and keeping track and having the possibility of all emails going there directly with the dropbox link is super useful. The additional integrations/ plug ins are also good we have some to sync with our newsletter and panda docs and really easy.

**What do you like best about Capsule CRM?**

I used Capsule CRM in a previous role to manage contacts and track sales opportunities. The UI is very clean and easy to navigate, which made onboarding quick even for non-technical users. It was simple to add contacts, update deals, and keep notes organized. It also integrates well with basic tools like email, which helped keep communication and CRM data aligned.

While the platform is easy to use, some of the more advanced features feel limited. The reporting and automation options are fairly basic, and the available integrations aren’t as extensive as those offered by larger CRM platforms. For more complex workflows, I sometimes had to rely on manual work to get everything done.

I find Capsule CRM relatively easy to use and set up. It's fairly easy to modify the setup and tailor it to specific needs. There isn't a long learning curve, so you can understand how to use it right out of the box. Its ease of use and flexibility make it valuable for my work.

**What do you dislike about Capsule CRM?**

It's not quite as powerful as larger CRMs, that might be out there like Salesforce. And the integrations are not as strong. There aren't as many integrations as there are for some of the larger CRM options that are out there. But there are workarounds and the number of integrations they have are increasing on a regular basis.

I use Capsule CRM to keep track of all my clients, manage hot leads, and organize potential projects. It centralizes contacts for recruiting and manages our email newsletter.

**What do you like best about Capsule CRM?**

One of the most helpful things about Capsule CRM is how easy it is to filter different lists. For example, I export lists of schools, contacts, and projects every day. The custom fields make this even simpler, and they help me generate lists that include exactly the information I need.

**What do you dislike about Capsule CRM?**

Not having a “select all excluding” option for my tasks in List view is frustrating. We use one task category to add bookings to our calendar; however, that means those bookings end up mixed in with our regular tasks. We have a LOT of task categories, so it’s really time-consuming having to select every task except a single one. It would be great to be able to select all tasks but exclude a specific category.

We’ve created several saved lists under “People & Organisations,” which we use as cleaning lists. We’ve also added filters to help us spot missing or incorrect data for both people and organisations. It’s been a huge time-saver for us.

**What do you like best about Capsule CRM?**

I love the fact that we can log leads for our sales team, track the lead and when won (or lost) we can simply update it.  

From a sales administrator point of view this helps me to track leads, check progress rather than another excel document , post it notes or any other manual method.  We use it daily and our managers are using it for reporting purposes.  

It was easy to use and set up as created by our managers.

I cannot comment regarding customer support with the exception of one time passcodes, logging in or resetting passwords is automated

**What do you dislike about Capsule CRM?**

My most disliked feature is when editing something in the pipeline you receive different information depending where you click.  The "edit" button depends on what you clicked previously i.e if you click the proposals company name or product.  The outcome is slightly different

I like how easy to use Capsule CRM is, which makes my business processes easy to manage. The pricing is also a positive aspect for me. Task management within Capsule CRM is another feature I appreciate, as it allows me to keep all outstanding tasks about a client in my task list and create opportunities in the sales process. The initial setup was a breeze and very easy, which made it a smooth transition from our previous product.

Not many third-party integration options available. Integration with Calendly without using Zapier.

I really like how simple and easy Capsule CRM is to use. The clean interface doesn't feel overwhelming, making it easy to find everything, which saves time in day-to-day work. I appreciate how straightforward it is to manage contacts and track deals. The pipeline view is really helpful for quickly seeing which deals need attention and what stage they're in, making tracking progress much simpler and avoiding missed follow-ups.

One thing I noticed is that it takes a little time in the beginning to get used to all the features. Some options aren’t very obvious at first. Also, a bit more guidance or tutorials would make onboarding easier.

I like Capsule CRM for its genuine simplicity and usability, perfectly tailored for our small B2B team. The initial setup was incredibly fast and straightforward—by far the easiest CRM experience for us. It only took a day for our team to use it properly with no need for endless training or confusing workflows. The clean and intuitive interface stands out; I can effortlessly find contacts, update deals, add notes, and check follow-ups without having to hunt through menus. The straightforward layout allows me to access a contact or a company in just two clicks, saving valuable time that I can spend talking to prospects and clients. I also appreciate how I can quickly update deals by simply dragging and dropping opportunities through the pipeline, making it easy to keep our CRM up to date even when we're always on the go.

Automation is solid for simple follow-up tracks, but more advanced workflow rules are clunky or just not available. Things like auto-assigning deals based on source or triggering updates across related records take extra steps or aren’t possible natively.

I like how easy it is to find previous liaisons with the schools and the AI feature explaining it on the school page. I also found the initial setup of Capsule CRM to be very easy, which is a huge plus for me.

Sometimes the layout of the tasks could be laid out better so I know what is immediately more important.

**What do you like best about Capsule CRM?**

We’re genuinely really glad to have found Capsule for our CRM needs after spending a long time searching for the right solution. We tested several systems, but many were either too basic or far too complicated. Capsule struck the perfect balance between being powerful and easy to use.
The clean, intuitive interface was a big deciding factor for us. It’s simple to pick up and a pleasure to use day to day. The global word search in particular is brilliant — it feels like an extension of our own computer and allows us to instantly find contacts, emails, notes and history without any hassle.
It’s been very fast and reliable, with none of the lag or downtime frustrations we’ve experienced with other CRMs. It’s also easy to get new team members up and running, with a short and straightforward learning curve.
Managing our client database and relationships is now far more organised and efficient, and the pipeline and forecasting tools give us great visibility when planning ahead. The reports, goal setting, task management and reminders have made a noticeable difference to how we stay on top of things.
We also really appreciate how flexible the custom fields and tags are, which lets us tailor Capsule to how we actually work. The email and calendar integrations fit neatly into our daily workflow and save a lot of admin time.
On top of all that, Capsule offers excellent value for money, especially when compared with bigger enterprise CRMs. We’ve also had a great experience with customer support — always responsive and helpful. Overall, it feels spot on for a growing business: powerful enough to scale with us, without ever feeling overwhelming.

**What do you dislike about Capsule CRM?**

None so far as it works perfectly for us. But looking ahead perhaps in the future some form of integration ability with accounting softwares

**What problems is Capsule CRM solving and how is that benefiting you?**

Capsule solved our main issues around disorganisation, missed follow-ups and lack of visibility across contacts, emails and opportunities. Everything now lives in one clear place, which has made us more organised, faster and more proactive. The search function saves us time every day, the pipeline gives us proper visibility of what’s coming in, and overall it’s made team collaboration and follow-ups far smoother.

I really appreciate the simple Tasks tab, every other CRM I've tried to setup has their own terminology for tasks and a complicated system that takes days or even weeks to adjust to using.

I'd it's greatest strength is also its weakness, it's simplicity makes applying it to your specific business take some intuitive use of features. But that still takes less time to set up than any other CRM and it works just fine.

It helps my small agency to know exactly what task are due and when, as well as making it easy to prioritize projects. It does so without being overwhelming or complicated.

Along with their contact details, I can create a note for every lesson and easily attach a PDF or JPEG file, which is extremely useful in the tutoring business. All students are neatly organised and can be found quickly whenever needed. Adding new students is simple, and removing those who no longer need the service is just as easy.

Capsule CRM would benefit from a small enhancement that allows users to enter a parent’s email and mobile number for child customers without needing to create custom fields, which many less-experienced users find difficult to set up.

Tracking and optimising the customer journey from initial contact to engaging in business. Also the integrations are fantastic, particularly with Transpond, from which you can set up automations and send targeted email campaigns to contacts and clients.

The only thing I can think of is maybe slightly more customization in terms of the client data layout and the forms that you can set up. And some movement between the people/organisation, opportunity and project aspects of the CRM.

Tracking and optimising the full client journey, from first hearing about us to becoming a client. Before we had several different softwares doing this job and they didn't interact very well but now we have one streamline system which also stores our client data making our workflows much more efficient and straightforward.

**What do you like best about Capsule CRM?**

I joined the company about three months ago and Capsule was completely new to me. Having used a few other CRMs in the past, I can honestly say this one is by far the easiest to get to grips with. It is clean, intuitive, and everything just makes sense. You do not waste time trying to figure out where things are.

Within a day or two I was already comfortable logging calls, updating opportunities and tracking projects without needing any training, which is something we do a lot of. It is clear the system has been designed with real users in mind.

Capsule has made managing customer relationships much simpler and more organised, and it is genuinely easy to use, which is not something I can say about many CRMs.

**What do you dislike about Capsule CRM?**

The only negative is that it can import your email signature as multiple pictures which can hide attachments on emails.

**What problems is Capsule CRM solving and how is that benefiting you?**

Capsule has really helped us keep everything in one place. Before, information was scattered between emails, spreadsheets and notes, which made it easy for things to slip through the cracks. Now we can see the full picture of every customer and project at a glance.

It has also made it much easier to keep track of follow-ups and manage the sales pipeline. I always know what stage each opportunity is at and what needs to happen next. That has definitely improved organisation and saved time day to day.

Capsule is super simple to use and helps me to organise my workload without having to manually chase 100 things over a million different tasks. Capsule is an absolute game changer to removing unessacary paperwork and manual reminders. This automates tasks and has a great solution for driving sales through our internall processes without having to chase staff members throughout the day.

Capsule doesn't link to Shopify sadly to manage customer order flows.

Capsule has improved business processes and automated a large number of projects for me and my team. This system helps us keep on track and helps us to deliver projects swiftly and keeps my whole team organised. Completely honest Capsule is the reason my business has tripled its turnover! **What do you like best about Capsule CRM?**

Have been using Capsule every day for the best part of 12 years now.

It's very user-friendly and easy to set up get to grips with. The opportunity and projects features are fantastic for keeping on top of tasks, and the new pipeline reporting features that are regularly being added are also solid additions to the tool.

The filtering options are great and allow for custom lists of contacts/opportunities/projects with all sorts of criteria which can be really useful for multifaceted businesses like ours.

Also plenty of third-party integrations that are available - it's on my to-do list to check out the other options that could improve workflow.

Should also mention that the customer service team have always been fantastic whenever we've needed a bit of extra help - quick to respond and informative.

**What do you dislike about Capsule CRM?**

It would be nice to be able to choose different plans for different users within an account - not all users need the advanced reporting and perhaps only have access in order to see customer details, so it can really add to the subscription costs in these instances.

**What problems is Capsule CRM solving and how is that benefiting you?**

Capsule has greatly improved its reporting and pipeline features over the years, and the outputs available now are really excellent. The enrichment feature was also a welcome addition to company profiles. I also really like the new dashboard modules that were recently added giving an overview to current opportunities and projects - more of this kind of thing is always welcome in my opinion.

**What do you like best about Capsule CRM?**

What I really like about Capsule is the ability to communicate with support and not waste time with a bot when I need something, and also that they take practical feedback seriously. Several times, a feature or improvement I requested has been developed in a relatively short time. The possibility of many integrations is also a plus.

**What do you dislike about Capsule CRM?**

With some features, it's clear they are not yet completely polished. For example, I have a problem when using an email alias, so we cannot send emails through Capsule because we send everything from a different domain, and we have to use an add-on. I was missing a similar refinement in automation so I could use it more. These are specific requirements for our company, so most companies probably won't be interested, but it's a shame not to be able to fully utilize the potential of the CRM when, from my perspective, so little is missing.

I am constantly dealing with something, fortunately, about 80% of my requests are successfully resolved, and the Capsule developers are aware of the others, so there is hope that they will be completed.

Capsule CRM is very easy to use, making customer management simple and efficient. One of its standout features is the built-in marketing tool, Transpond, which helps streamline email campaigns and customer engagement. The customer service team is also responsive and helpful, ensuring any issues are quickly resolved.

It’s still a work in progress, but the team is constantly improving. The biggest area for development is the mobile app — it’s currently slow, feature-poor, and clunky. Since I’m file-based about 40% of the time, the lack of smooth functionality makes it frustrating to use on the go.
