## About Attendee Tracking
Crowd Connected is an attendee tracking solution aimed at conferences or conventions. Designed to be easy to deploy, it tracks session attendance without any need for active scanning or contact with attendees. - No need for badge scanning staff or expensive equipment. - Organizers can access the attendance data in real time, ready to share with stakeholders as required. - Attendees enjoy a better event experience with no friction or waiting in line. Hardware components The solution consists of a cloud-based console and hardware deployment consisting of battery powered beacons, a plug-in gateway requiring just ethernet and power points, plus wearable BLE tags. Each software license typically includes as many beacons as required for the deployment. It is costed out on a per tag basis. One gateway is typically required per floor being tracked. The gateway will be plugged in near or at the conference registration desk. Onsite considerations The solution is compatible with any registration system as it doesn&#39;t require any software integration. Instead, the tags are paired with badge data via a physical double scan - via the Crowd Connected smartphone app - at the point of registration. This typically takes 3-4 seconds per attendee and can be carried out by the badge issuing staff member. Once the attendee has registered and entered the event with their badge and tag, they are able to freely wander in and out of every session room, with no staff member required to scan their badge. Meanwhile the organizer will have almost real-time access to session attendance data for every conference session, either during or after the event.

Compliance is one of the first things I evaluate when assessing operational risk. What I love about Attendee Tracking is how it completely eliminates uncertainty around mandatory staff training completion. Staff are legally required to complete sessions covering HIPAA and patient data privacy, safeguarding, infection control and mental health awareness. Attendee Tracking automatically tracks who attended, how long they stayed and instantly flags anyone who missed a required session, replacing unreliable manual registers and self reporting entirely.

**What do you dislike about Attendee Tracking?**

The only minor challenge was during initial setup, where our small team needed extra time getting comfortable with beacon placement across different room configurations.

**What problems is Attendee Tracking solving and how is that benefiting you?**

It really helps in regulatory compliance accountability. In Healthcare, staff must complete specific mandatory training and organizations must prove that completion with accurate records at any time. A failed compliance audit here does not just mean a fine, it can damage reputation and put patient safety at risk. Attendee Tracking handles this automatically, capturing every attendance detail in real time and generating clean, exportable reports after every training cycle that are ready to present to regulators or auditors instantly. **What do you like best about Attendee Tracking?**

What I like best about Attendee Tracking is the real time visibility it gives me across all our branch locations simultaneously. I can see exactly which session are running, who is in the room and how long they have been there, without being physically present. The dwell time tracking has been surprisingly powerful, helping us identify where recruits were disengaging during sessions and allowing us to restructure our training program based on actual data. On top of that, the automated CSV reports give us clean, audit ready attendance records for every new hire, completely replacing our old manual sign in sheets.

**What do you dislike about Attendee Tracking?**

The data was never lost but it did cause some uncertainty for our HR coordinator monitoring the dashboard live.

**What problems is Attendee Tracking solving and how is that benefiting you?**

The core problem it solved for us was accountability and visibility in our internal training programs. As a software company that hires across multiple branches, we run structured onboarding programs covering everything from compliance and security  protocols to product knowledge and role specific technical training. Before Attendee Tracking, we had no reliable way to confirm that every new hire had actually completed every required session. Attendee Tracking gave us a dully automated, hands free attendance system where tags are assigned to recruits at check in and the system handles everything from there. The dwell time data also helped us identify weaknesses in our training content, directly improving how we design our sessions. I appreciate how Attendee Tracking gives our team at HeartSciences visibility into attendee engagement during large events. We’ve used Crowd Connected’s solution across several live events with different formats and spatial challenges. What stands out is how well the system adapts. It’s not a rigid “one-size-fits-all” tool, but a modular platform that can be shaped to fit the venue layout, audience flow, and client objectives.
From initial setup to post-event insights, the platform supports a full lifecycle of value. The data it provides helps us and our clients understand actual attendee behaviour - not assumptions. That has made our delivery more precise and our clients’ debriefs more meaningful.
We’ve also appreciated how the Crowd Connected team continues to evolve the platform. New features are rolled out regularly, and their support team is fast, helpful, and understands the pressure of live environments. The physical setup phase requires good coordination and should be factored into the overall timeline. Preparing and distributing tags, testing on site, and ensuring proper placement all take time. Once you’ve gone through the process a couple of times, it becomes a routine part of delivery, but it’s something first-time users might underestimate.

Running multi-track conferences, we previously relied on traditional badge scanning at each session room to capture attendee data onsite, which created bottlenecks at conference room entrances, required significant staffing and resulted in a negative experience for our attendees. Crowd Connected's solution has revolutionised our approach and emiliminated all of these pain points with a streamlined approach which can either be supported by the fantastic Crowd Connected team onsite, or can be fully implemented by our team with easy to follow guides for DIY set up and implementation. This has transformed the way we can use data and provide clear and comprehensive reports not only to our sponsors but to our internal stakeholders as well, leading to more data driven decisions being made by our business. We now use Crowd Connected's technology at every multi track event which we run.

As with all technology there can be some challenges with equipment, particularly when opting for a DIY solution, however for the most part we are able to solve the problems with customer support available to us in all timezones.

I've delivered a number of implementations with Crowd Connected of their attendee tracking solution, in different locations and sizes of venue. Their hardware and software is very straighforward to install and it keeps getting better with every event. Whilst they offer excellent self-help guides, the support they offer is responsive and able to deal with any changes or wrinkles that arise in any large scale implementation. Overall a great team to work with.

**What do you dislike about Attendee Tracking?**

There is nothing I dislike about the Attendee Tracking product, however there are a few things to watch out for. Planning time to prepare badges and lanyards as well as the resources and location to do this. Making sure that registration staff are fully briefed and coached in the first couple of hours of distributing and syncing the badges, and to make adequate preparation for collecting badges at the end.

The tech itself delivers accurate results that allow high-value individuals such as paid conferees can be tracked by room and time. Standard scanning is flawed in that it only scans when a person entered a room, which may have been during the previous session so as not to miss the start of the one they are really interested in. Then if they leave after 10 mins that is clear in the data, indicating a drop-off in interest.

As a long-standing partner of Crowd Connected, we support both their clients and our own with attendee tracking across a wide variety of live events. We’re frequent users of the platform, often deploying it multiple times across busy event seasons, and it continues to perform reliably.

It’s easy to set up from a technical perspective, and once live, it delivers genuinely useful insights. Clients love the gathered data collected during the event. The dashboard is easy to use and helps inform both operational decisions during the event and smarter planning afterwards.

We also really value the partnership with Crowd Connected — their team is knowledgeable, responsive, and easy to work with. Whether it’s a straightforward setup or a more bespoke deployment, they’re a reliable part of the delivery process.

**What do you dislike about Attendee Tracking?**

The attendee tracking system requires a bit of lead time to get everything in place before an event. One of the more manual parts is clipping the tracking tags to lanyards, which has to be done ahead of time — and for larger events, that can be a fairly resource-intensive task. It’s not difficult, but it does require coordination and staffing during the setup phase.

In general, preparation is key. The system works well when everything is planned and installed in good time, but tight timelines or late venue access can make that more challenging. We’ve built this into our planning process, and Crowd Connected is always helpful in supporting smooth setup, but it’s worth being aware of when working with compressed schedules.

Crowd Connected gives us — and our clients — a clear picture of how people are actually using an event space. Instead of relying on guesswork or anecdotal feedback, we get solid data on attendee flow, dwell time, and which areas are over- or under-performing.

**What do you like best about Attendee Tracking?**

The hardware is easy to use and deploy with minimum training required. Likewise, the online portal where said hardware is set up is also mostly intuitive.
The best thing however is the data that we're able to capture. Simple event attendance is historically accurate due to attendees requiring to register and/or pick up a badge, however this is a once-per-event touchpoint. Using Crowd Connected's Delegate Tracking solution we are now able to get attendance data throughout the event for each attendee, including the session's they've been to and how long they attended, whether the event is for a single day or a week long.
Finally, I would make mention of the support team who are at hand and very responsive as soon as a ticket is raised.

**What do you dislike about Attendee Tracking?**

The only downside is more of an impossible dream, and that is to achieve 100% accuracy. It comes very close, but due to there still being a few (attendees) who will refuse to be involved in passive, hassle-free attendance monitoring, the data won't reach 100% accuracy. That said, it's usually only a small percentage of attendees and not enough to affect any takeaways. It's also worth noting this is still higher accuracy than any other attendance-monitoring solutions I've experienced.

Using the delegate tracking solution, we are now getting highly accurate reports of not just the attendance to individual sessions, but how long people spend there.
This is more accurate and less intrusive than badge-scanning, people-counting and the often-compared "RFID bridge" solutions. It is also a saving on resources as far fewer people are required to perform manual scanning/counting.

The primary benefit of Crowd Connected is its ability to passively track attendee movement, which is a significant improvement over active scanning methods. This removes the need for staff to manually scan badges at every session door, which improves operational efficiency and reduces friction for delegates.

The setup process is straightforward, and the system has proven to be reliable during our events. The reporting capabilities, both the real-time dashboard and the post-event analytics, provide a clear and useful overview of attendee behaviour, which is helpful for making adjustments on the fly and for post-event analysis.

The customer support is easily accessible, helpful, and responsive.

**What do you dislike about Attendee Tracking?**

Honestly, there is very little to dislike. The platform provides a huge amount of data, which is fantastic. If I had to suggest an improvement, it would be to add even more customizable reporting templates to make it even quicker to pull very specific data sets for different stakeholders.

Crowd Connected effectively addresses the long-standing problem of tracking accurate attendance within sessions and understanding footfall across the event floor without disrupting the attendee experience.

This benefits us in two main ways. First, it provides us with verifiable data that we can share with sponsors to demonstrate the traffic and engagement their sponsored areas received, helping us clearly show their return on investment. Second, the data on attendee flow and dwell times allows us to identify high-traffic "pinch points" and under-utilised areas, which is valuable intelligence for optimising the layout of future events.

There are very few downsides, at least from my experience. However as it is reliant on other systems, it could be at risk if those go down.

Attendee Tracking helped to solve the issue of easily managing onsite numbers/tracking where attendees are onsite & seeing which sessions were popular or not for future use.

**What do you like best about Attendee Tracking?**

We can keep our own way of printing badges without the need of completely new printers/badges etc as is with the case with other tracking options. It's much more cost effective and flexible than many other options we review. The tracking is live so we can see numbers in rooms instantly, and we also have data on dwell time which is useful. Easy to assign tags and use the back end.

**What do you dislike about Attendee Tracking?**

We can't see delegate details in the back end  (have to download reports then Excel sum to make info appear) so would be better if we can see names etc instantly. Can't currently track zones in the exhibition area which would be helpful.

**What problems is Attendee Tracking solving and how is that benefiting you?**

We capture 100% of the delegates attending talks - we used to scan badges into rooms which has margin for error and also took time and manpower, so this has saved us in staff costs as well.

**What do you like best about Attendee Tracking?**

Attendee tracking at our events makes it not only a more efficient process of sharing data with our sponsors and other stakeholders for the programming - but also makes the planning efforts significantly more productive in knowing exactly how to gauge interest in topic levels, etc. to know how to source for venues in the future based on the current numbers.
The 'hands off' approach of not needing scanners at the doors, makes it so that the ease of use on the planning end is significantly helpful - but makes the customer experience that much more enjoyable.

**What do you dislike about Attendee Tracking?**

Truthfully, we have very few qualms about the delivery of the attendee tracking.  Crowd Connected has made significant improvements in the way the clips are secured to lanyards, as well as the deployment process and ease of integration of setting up the network onsite.
The one thing I could commend on would be the return of the trackers at the end of the conference being a continued point of frustration - just in the rate loss of those QR codes - but of course that is a bit of an inevitability to an extent.

Session counts for attendee tracking in terms of how we need to be setting up the rooms from a planning perspective, but also the lead retrieval aspect of gauging interests in not only sponsor talks, but our general agenda across the board - which assists in topic research and development for our programming.

Finally we can track exactly who attends each session across our big multitrack educational conferences. No more staffing of dedicated scanners per room and the attendee experience has improved greatly.  The CC team provides top notch service. It's very easy to implement and scale.

I wish they could ingest more data on each session and pass it through on the exports, but I understand why they can't.

Crowd Connected makes attendee tracking seamless and their onsite support staff are always helpful.

**What do you dislike about Attendee Tracking?**

We have to do a vlookup to match the data to attendee names

**What problems is Attendee Tracking solving and how is that benefiting you?**

We run events and need accurate data to report back to sponsors. It helps minimize our need for staffing to track attendance and we trust the reporting will be comprehensive and accurate to provide to our partners.

The data collected is much more reliable than other methods of session tracking which gives peace of mind to our sponsors.

**What do you dislike about Attendee Tracking?**

Adding the tags to the lanyards is time consuming.

**What problems is Attendee Tracking solving and how is that benefiting you?**

It helps with the flow of traffic around the venue as delegates don't need to wait to be scanned in and out of rooms. It also makes the data more reliable as it does not rely on a human scanning them into the room.
