**What do you like best about Cheqroom?**

Cheqroom is reliable and solid. It’s easy enough to understand that even staff who aren’t tech-savvy can grasp how it works. Many of our users are tradesmen and builders of all ages who aren’t particularly familiar with tech, and they all navigate the system successfully. Cheqroom has become an integral part of how we work, because it lets us keep track of all our plant and equipment across multiple job sites. The help function is surprisingly good, and the AI continues to impress. The system never lags and, in my experience, it hasn’t been “down” once in the last four years.

**What do you dislike about Cheqroom?**

The only thing I feel Cheqroom is missing is an affordable way to track items without having to rely so heavily on users doing their part. If users don’t check items in and out, the whole system breaks down. Reports are a bit difficult to understand and navigate too: I would like to see more raw data exported for better integration across software.

**What problems is Cheqroom solving and how is that benefiting you?**

We needed a way to track tools and plant across multiple jobs, with dozens of users. Cheqroom’s reservation system is excellent as well, making it easier to plan equipment calibration (like lasers) and helping users schedule their work around resource availability.

**What do you like best about Cheqroom?**

Cheqroom has the features we need to operate our Equipment Room smoothly. We are able to quickly find equipment and kits with customizable search functions and track notes on specific areas such as repairs and updates. We get email updates when any changes are made which helps in keeping track of activity among our team and takes the mystery out of changes we see.

**What do you dislike about Cheqroom?**

Overall it has much of what we need in an inventory management system. The biggest issue we ran into (minor compared to all the pros it brings) is not having a way to auto invoice late fines to our patrons. This would help us in streamlining our return process. However that is a feature that is missing we would like rather than something that is actively in our way.

**What problems is Cheqroom solving and how is that benefiting you?**

There are multiple problems that Cheqroom resolved for us compared to where we were before. To name a few:
- We can now see our bulk items quantity in real-time
- We have access to images for all items we have
- We get email notices integrated into our processes that help keep us updated on all activity we should be aware of
- The small changes the program brings streamlines our operations significantly

Overall, we are benefiting from the changes as they automate a lot of what we previously had to do manually, as well as add features we didn't know would help our operations even more.

**What do you like best about Cheqroom?**

The versatility of the site lets us customize it to best fit the needs of our students and department. It has an intuitive design and was easy to implement after using a paper system for tracking equipment. Additionally, Cheqroom's support staff is quick with fixing glitches and listening to any concerns we may have about the site. Furthermore, being able to add pictures to items helps students chose the right equipment for them when they are unsure what the actual name of something is. It's been a big improvement from what we're used to.

**What do you dislike about Cheqroom?**

One of the downsides of Cheqroom is that when you're is editing an item/kit description, it doesn't always save and you have to redo what you were just working on. The search function is spelling/spacing sensitive and won't show items that we have if a person doesn't know exactly how it's written in the system (ex. C-stand vs cstand vs c stand). A potential solution for that would be to set up a system to link associated words with an item/kit/category so c stands will show up even if you write it as c-stand. The reservation and checkout forms are difficult to edit and don't offer enough options. It would be incredibly helpful if the physical forms would list item descriptions under only ONE item in the kit, otherwise the physical sheets end up as long as CVS receipts.

**What problems is Cheqroom solving and how is that benefiting you?**

Cheqroom makes it easier for students to request equipment and see what is available or unavailable to them ahead of time. Before, I used to have to physically check if we had an item, now I can just check the system from anywhere. It's a much more thorough system than our previous paper version.

Nice visual interface, quality data and reports, dashboard with good information, good functionality with reservations and check outs, integration with Slack and Email, updates that have come over the past few years have been helpful with good new features like user groups, quick and easy to use, can be used on computer and phone, can handle the volume of checkouts that we have every day

**What do you dislike about Cheqroom?**

Overly complicated sometimes - for instance the search bar on the main page will search for "checkouts" as well as items which can get confusing, sometimes too many layers of organization that get in the way of each other - use roles vs user groups vs locations all conflict sometimes

**What problems is Cheqroom solving and how is that benefiting you?**

We have 1,000+ tech items for checkout to students at a school.  Cheqroom lets us keep track of all of those and lets the students make reservations on their own.

  ### 5. User-Friendly and Powerful, But Price Hike and Missing Features Disappoint

**What do you like best about Cheqroom?**

It is very easy to use, it is easy for students to use. The customer support is always very good. The integrations with PDFs and creating sticker labels works well. The payment structure based on items instead of users I prefer over other systems that make you pay for more users. The website is well designed and makes it easy to see what needs to be checked in or out and is easy to update equipment.

**What do you dislike about Cheqroom?**

The massive price increase from what it used to be. I believe it used to be 1500-2000 USD for our basic plan that included all the features we could need. Our previous professor unsubscribed because he wanted to try a different software that didn't work and scammed us. Then when he left, I had to go through the process to get Cheqroom back since we desperately needed it. When we resubscribed it was up to I believe 3500 with fewer features than we used to have. We currently have features missing like the PDF generation that we used to use on a daily basis that are now part of the higher end tier. This is really the only thing I don't like. The original price was completely fair and I did not have a problem with it, but this new price with fewer features seems a bit steep. There is no software that can replace Cheqroom though so we will continue to pay it. 

Another thing that I don't love but is not a huge issue is the bulk user add. Previously there was a page where everyone in a class could type in their email in a list and it would send everyone invites to setup their account. But that feature has been removed and added with the Excel version, which is fine but less convenient. 

Sometimes students have confusion with the differences between the Cheqroom app compared to the Cheqroom website as well. There are quite a few features from the management side that you cannot do on the app.

**What problems is Cheqroom solving and how is that benefiting you?**

It tracks the drones and equipment for the drones at our university. We previously only had a paper form or an Excel spreadsheet to track who had the drones and who was using them. This led to two drones lost because of it and were not able to be recovered. With Cheqroom we have not had any drones lost due to this issue. It is also great for recording issues we are having with specific drones and keeping a detailed history of the item and all the maintenance that has been done. A lot of students also love the ability to reserve the equipment far in advance to ensure they will get to use it for their project.

This system ensures that both our staff and students are always informed about what equipment is available. It encourages accountability and provides valuable insight into which gear is being used most frequently. We've never had anything like this before, and now that we do, we can't imagine going back.

**What do you dislike about Cheqroom?**

Getting started, particularly when working with students, can be a bit of a process. I have encountered a few noticeable bugs and minor frustrations that keep me from giving it a perfect score. Additionally, there are several aspects of the reservation and checkout process that could be improved and streamlined.

**What problems is Cheqroom solving and how is that benefiting you?**

This tool has made a significant difference in our daily tracking of gear and equipment. It allows us to know exactly where everything is and who is responsible for each item. We can quickly identify items that are broken, require maintenance, or have gone missing. The calendar view is especially useful for us, as we frequently use it to monitor upcoming events and spot any scheduling overlaps. Since we work in sports and manage numerous events at various locations, having the ability to easily check which gear is available or checked out has been a major improvement for our department.

**What do you like best about Cheqroom?**

The most helpful tool that Cheqroom has to offer for us, would be the use of kits and the bulk items feature. Before hand, we used to operate solely out of Google Calendar for our Gear management and it was terrible. Cheqroom is wonderful for us because we deal with teenagers using and handling our gear. It is super easy to implement to each new kid coming around our building, and we use it every single day now. The staff here love it because of how easy it is for them to reserve their own gear, and see what is and what isn't available.

**What do you dislike about Cheqroom?**

I would say the only downside I have for Cheqroom is sometimes it will show an item as unavailable and hide it, even though it isn't actually reserved or checked out to anybody which requires me to search deeper for the item instead of it popping up as it should.

**What problems is Cheqroom solving and how is that benefiting you?**

The problems we had before was it was extremely difficult for us to track gear. We used to solely operate out of Google Calendar and it was extremely difficult and time consuming to handle all of our gear requests. Cheqroom has streamlined everything to make it super easy for us to track requests, history of checkouts, and item usage which is monumental for us as we decide what gear needs to be retired, or upgraded/renewed throughout the year.

**What do you like best about Cheqroom?**

Cheqroom is very user-friendly — if I ever miss showing a student how to use the system or create an order, they’re usually able to figure it out on their own. The interface is simple, intuitive, and overall easy to navigate.

Customer service is by far one of the most helpful I’ve worked with — responses are quick, friendly, and genuinely useful. Adding students, adding workers, and setting restrictions (even though they’re general) are all very straightforward.

The recent updates, especially the addition of user groups, have been extremely helpful. It’s one of the best improvements so far, and it gives me hope that more great changes are on the way.

While some updates (like the new checkout process redesign) started off a bit buggy, it was reassuring to see those issues addressed quickly. The fact that bugs get resolved in a timely manner really builds confidence and keeps me a happy customer who looks forward to continuing with Cheqroom.

**What do you dislike about Cheqroom?**

Location-based restrictions: It would be extremely useful to have the option to set booking restrictions for each location individually. At the moment, any adjustment made affects all locations at once, which reduces flexibility and complicates management.

Time-based closure controls: Currently, there is no way to close off reservations for specific times of day—only for entire days. It would be much more convenient to have the ability to block out certain time periods, such as just the mornings or evenings, without having to disable the whole day or repeat the closure for every week.

Per-day restriction customization: The option to tailor booking limits and restrictions for particular days, and to do so per location, would provide much better control over cage flow.

Permission-based restriction overrides: While it’s helpful that staff can open restrictions when needed, adding an optional manager passcode for overrides or approvals would help prevent unauthorized changes.

System reliability and bugs: I have encountered some bugs where the system either ignores or inconsistently enforces booking restrictions. This sometimes results in overloaded orders or unexpectedly strict limits, especially with afternoon reservations.

Update timing and downtime: Occasionally, when software updates are released, the system goes offline during our busiest hours. Since we’re in a different time zone from many users, these updates often occur right in the middle of our workday, which can disrupt our operations. I realize it’s challenging to coordinate updates around everyone’s schedules—especially with varying workweeks—but this has been a recurring problem for us.

**What problems is Cheqroom solving and how is that benefiting you?**

None currently, but I would like the bug of the system ignoring or inconsistently applying booking restrictions—sometimes overloading orders or tightening limits unintentionally- to be looked at. This tends to happen most often with afternoon reservations.

Cheqroom transformed our previously chaotic, old-fashioned "librarian style" booking system into something much more manageable and organized. The Cheqroom team is skilled at what they do, and on several occasions, they have listened to our feedback and implemented solutions that directly addressed our concerns. The Api integration has allowed us to seamlessly onboard new students (Users) at the rate of their enrollment without manually labor.

**What do you dislike about Cheqroom?**

The mobile app could use some improvements, but it remains an essential tool in our daily operations. In particular, the signature box for signing is quite poor and needs significant attention.

**What problems is Cheqroom solving and how is that benefiting you?**

This platform enables us to offer a "Free" equipment rental service to our students. It provides a valuable opportunity for them to experiment and develop their creative skills without the financial burden of purchasing or renting equipment themselves.

**What do you like best about Cheqroom?**

I appreciate how accessible and generally intuitive Cheqroom is, especially for new users. Since we use Cheqroom to check out items to college students, we experience frequent turnover in who is borrowing from us. Setting up new users is straightforward, which is a big help. I also really like the feature that automatically finds an image for new items based on the details you enter. The images are usually very accurate, making it much easier to add new equipment.

**What do you dislike about Cheqroom?**

What I like least about Cheqroom is that it only allows you to archive certain checkouts instead of deleting them. I believe it would be much better if both archiving and deleting were possible. Another issue I have is with how the system handles users who haven't confirmed their accounts. When an account is created for an email address and the user doesn't confirm, I think that email should be either archived or deleted. However, sometimes when I try to create an account for someone whose email was entered a long time ago, the system tells me the email already exists, but I can't find it when I search. This makes managing users more difficult than it should be.

**What problems is Cheqroom solving and how is that benefiting you?**

When it comes to tracking our equipment, Cheqroom has been very helpful by making everything clear and easily accessible for multiple administrative users. It allows one user to seamlessly continue the check-in and check-out process where another left off. Previously, we managed our checkout services with handwritten logs, but switching to an online system has made everything much more organized and efficient.

At one point, I did experience some bugs with Cheqroom that affected the process of deleting and creating new checkouts. However, it seems these issues have been resolved, as I haven't encountered them recently.

We hear you on keeping a clean history! While you can delete draft reservations or checkouts, once a booking is created we preserve it to maintain an accurate history of where equipment has been. **What do you like best about Cheqroom?**

My organization utilizes Cheqroom across three individual Brands.  We each have our own individualized workspace and I find it quite easy to modify and build categories, kits and item lists as well as add and manage users and their permissions.  Cheqroom has helped us keep track of over 400 brand assets and has given us a bit more relief and reassurance that items are where we specify when, and with the status that we assign.  I hope to continue using Cheqroom for a long time.

**What do you dislike about Cheqroom?**

I don't think there are any downsides about Cheqroom other than that there are times I wish the ability to customize and refine items and kits was more granular.  For example, when we go to check out an item that typically exists as part of a kit, when we see the overall Reservation or Check-Out, the full kit shows until you expose the drop-down to reveal the exact piece that's going out.  We also wish there was a deeper layer of "components" as some items have removeable components that may get checked out outside of their chassis or home "item." However, we work with what we have and we appreciate it!

**What problems is Cheqroom solving and how is that benefiting you?**

The problems Cheqroom solves are human error and memory.  We have nearly 500 items managed in Cheqroom so if members of our team use the software as intended, we have an exquisite library and archive of what items are where and what their status is at any one time.

**What do you like best about Cheqroom?**

I have found CHEQROOM incredibly efficient for keeping track of our film production equipment, which includes items such as cameras and cords. The application provides clarity on what equipment the company owns versus what is in use, streamlining our inventory management. I particularly appreciate the functionality of creating kits from multiple items and the ability to flag them under different subcategories, which suits our diverse equipment needs. The interface for setting up what has been pre-established was very straightforward, which facilitated my workflow significantly. Overall, I find CHEQROOM to be a beneficial tool that is necessary for our itemization process.

**What do you dislike about Cheqroom?**

I would like to see an enhanced feature that allows me to view comprehensive details, such as the flag status, associated kit, and the current location of the item, possibly by hovering over the item or viewing an image. This would help streamline our workflow by providing more complete information at a glance and reducing the time needed to track down these details manually.

**What do you like best about Cheqroom?**

I love how CHEQROOM effectively solves the problem of ensuring that our crews always have the proper gear when they go out for shoots, which improves our overall operational efficiency. We can book gear in advance and determine whether we need to rent or purchase additional equipment, which is crucial for our small shop that operates with up to three to four crews at a time. The feature allowing us to see what gear is available on certain dates is incredibly helpful. Additionally, being able to flag equipment needing maintenance or repair enhances our gear management. Keeping track of how much we use our gear helps us make informed decisions regarding renting or purchasing additional equipment to meet our needs, which is invaluable. I find the setup process for CHEQROOM to be very difficult and time-consuming, especially with having to input and tag over 300 different pieces of equipment, which is a major roadblock. Additionally, the help section on the website could be improved as I found it lacking in detailed explanations for certain things I was looking for. Furthermore, I've experienced issues with customer support, as some of my emails were ignored, and I did not receive answers to my queries during business hours either via email or the chatbot feature.

I like that end users (in our case, students) are given the ability to view and reserve equipment on their own. Using the software as an inventory system alongside a checkout system has been helpful for tracking equipment upkeep across different academic departments. The interface itself is easily taught to new student workers and is fairly intuitive to navigate with basic training.

**What do you dislike about Cheqroom?**

The necessity of entering a command multiple times per transaction (for example, going to an open reservation, clicking "go to check out" which converts it to a checkout in Draft state, then clicking "check out" to finalize the checkout leaves room for checkouts not being finalized, as they remain as drafts, or reservations being "undone" if converted incorrectly. This is mitigated with more thorough training, but with such abstract avenues and so many different ways to complete the same tasks it is sometimes difficult to help employees lock in to good habits.

The user groups and user role assignments often conflict with one another, forcing us to either allow customers to view equipment they don't have access to or limit viewership and risk customers not being able to view equipment they do have access to. To that end, only being able to assign equipment groups (and subsequently user groups) by category and not location is extremely frustrating.

**What problems is Cheqroom solving and how is that benefiting you?**

We use Cheqroom to catalog our checkout technology inventory and rent equipment to end users (in our case, students). Being a high traffic environment, it is incredibly helpful to have our inventory, user lists, and reservation/checkout tracking in one location.

I have been using Cheqroom for nearly a decade to support student creativity. Cheqroom helps us provide easy access to equipment check-out and reservation, which is invaluable. Compared to other vendors, Cheqroom was the best option out of the box.  They have amazing customer support! Setting up the system was a breeze.  With easy categorization, fill-in fields for equipment, the ability to add items, even in multiples, and training and setup tips to assist users it couldn't have been easier.  It's fantastic that there’s no need for a paper trail anymore; students can easily see what equipment is available, and work-study students can pull equipment tagged with barcodes associated with reservations. The management side is just as effortless, as I can see what we have, when it was purchased, and make plans for replacements, or check out the usage of items. The dashboard overview gives a quick look at upcoming check-outs, open checkouts, and anything overdue, making tasks simple and easy to manage. Additionally, the flagging feature helps in quickly addressing equipment repairs, ensuring nothing lags in our schedules. Overall, it's a one-stop shop for our equipment management needs, handling multiple locations, user management, and all inventory aspects effectively. I am extremely satisfied with its capabilities and would recommend it without hesitation.

I find the tiers of access frustrating because you discover a cool feature only to realize you have to pay more to use it. Academic features like user groups are limited to certain pricing levels, which means that I cannot easily customize access for different user groups such as photography or film users without upgrading to a higher tier. Cheqroom is easy to use and set up. There are plenty of custom field options so you can capture all of your equipment data or further be able to filter specific sets of data for items or kits. Very clean UI, as well.

It is built first for AV equipment, whereas I am using it for IT asset tracking. So I have had to be creative with how I name things, using "Kits" as "offices" and issuing Cutsody. Custom Fields came in handy but it took more work to get everything setup.

The platform is easy to use, very user friendly. It has options to track and report on items, as well as scan the items with your phone to check out anything that is in the inventory. It supports different site locations and locations per item. Our students, that never used it before, are very pleased with getting equipment checked out via scans without problem and with visible timing from and until that could go via time or date. 
Cheqroom has the ability to archive users with their history of use, which is essential for our historical reporting. Our management is comfortable with reports on personal checkouts that can be visible to admins and we definitely recommend it for daily inventory or equipment (like fleet cars/planter, iPads/tablets or labtech/microscopes) that need to be counted for by the minute and accounted for by the person who used it. Cheqroom also is very affordable for the service they provide compared to some similar companies. They also provide their quotes with full description of the services available and are quite helpful with estimating what best works specifically for your company meeds. Our communication with the reps of this company and their tech support has been very smooth. We like the app and definitely recommend it to the community.

Bayer CropScience Inc has been using Cheqroom since 2017, and we never had any major issues with it, except technical difficulties which were looked at and resolved by their tech support. 
Cheqroom has answered on all our demands in full, and I do not have any least helful information to share about it.

We had a long term battle on handling equipment and getting its current status, who uses it and if it needs repairs and needs to be locked out from use. Cheqroom has supplied us with the ability to track our daily use and equipment status, as well as user location per time frame.

  The staff understand what you need, and try everything they can to tailor the product to you and your needs. I am now on first-name terms with a lot of the staff, and even sent Christmas cards. HOW NICE IS THAT??

Their office is in another country so I cant visit them to say thanks very easily. 
  Seriously though, there is nothing to dislike. They have thought of everything.

CHEQROOM is not only one of the most visually appealing, cloud-based asset tracking service, but one of the most customizable ones in my experience. I've worked with some of the most expensive asset tracking software for video production gear such as WebCheckOut, but Cheqroom was the perfect fit for my in-house production team. More importantly, the customer support is what got me to stay. At first, I was worried as a US client that the time change would be a big hurtle - but they proved me wrong. I greatly appreciate their flexibility and accessibility, specifically Mathilde Vanden Berghe. They have the resources to equip any company, whether big or small.

**What do you dislike about Cheqroom?**

CHEQROOM is highly customizable and easy to use, however, there are certain features not available. For starters, it's important to note that every businesses' needs vary and CHEQROOM is trying to reconcile that. For me personally, I would like CHEQROOM to implement more automated features specifically when it comes to the value of equipment gear. For example, if I take the time to fill in the equipment item's purchase cost, or rental cost - and then make a reservation - I would like there to be a line in the reservation that summarizes the net worth of the reservation., but also provides an itemized breakdown. EI: Sony FX7 $350 , Fujinon Lens $150, total: $500

I liked that Aaron and Naiara addressed all the issues I had. They were communicative and very good about being thorough and going each step carefully. It’s been a VERY long time since I have received customer service to this high of a standard. The fact that I didn’t have to ask for a video or a helpful step by step guide speaks volumes to that CHEQROOM really cares about their customers and ensuring the best possible solution! Five stars across the board!!!

Easy to use the system, there are good functions, good that we can give more features and customize it (like flags, place to collect reviews).

Its not so easy to use the phone application with Apple device.

The tractability is very important for our company, we need to know where are the demo units - who has them, since how long-, good that we can check every details of the check-outs, and also to see the overdue separately, its make easier our job.

is a very useful tool to manage tools in a very practical way, because thanks to the functions you have you can manage these tools in a very useful way.

The mobile software of this tool is quite coarse and tedious to handle, because it is very slow compared to the desktop.

**What do you like best about Cheqroom?**

It's an easy cloud-based system where I can create as many users as needed to manage our rental equipment across two warehouses.  It's very easy to use and does everything we need.

**What do you dislike about Cheqroom?**

Although it does just about everything we "really" need, there are a lot of little "would be nice" things that it doesn't have.  They have been improving a lot so they are working on it.  

**What problems is Cheqroom solving and how is that benefiting you?**

Being able to accurately manage over 300 pieces of equipment, enter reservations weeks or months in advance and always know for sure what we have in stock, what is checked out, what has a reservation, and what equipment is in custody (long-term hold)
