For our mid-sized architecture team in Cologne, Tixio’s biggest strength is how lightweight and intuitive it is for non-sales staff like us. We’re all architects and project coordinators, not CRM specialists, and every other tool we tried felt overly complex, full of sales features we never use. Tixio’s visual pipeline board is super simple to operate, so I can log new leads from local property developers, private homeowners, and construction contractors in just a few clicks. I can tag project types like residential buildings or commercial renovations and drag opportunities through our enquiry, planning, and tender stages without waiting for IT help. Before we used Tixio, all our client info was spread across personal Excel files and Outlook email threads. Last quarter, we received eight simultaneous project enquiries from regional developers, and I would’ve been completely disorganized trying to track everything manually. With Tixio, my whole team can check the pipeline at a glance and know exactly which clients need follow-ups that week. I also love the quick note feature on each lead card. After I hop off a phone call with a local developer discussing their building permit timeline or budget limits, I can jot down details instantly. When a colleague covered my shift during a sick day, they could read my notes and continue the client conversation perfectly without repeated questions. Even with its flaws like unstable bulk edits and poor Outlook sync, Tixio still makes our daily lead tracking way cleaner and saves us tons of repetitive organizational work every month. Tixio has several critical flaws that create real operational risks for our German architecture workflows, and I’ve run into multiple stressful onsite work issues firsthand. The worst problem is its unreliable bulk edit function that caused us major trouble a few weeks ago. My teammate bulk-updated the project status for five local residential developer leads, and two of the records lost all our manually recorded phone call notes. We’d written down key client requirements about building floor plans and tender deadlines, and all that data disappeared instantly. We had to spend nearly half a workday digging through old Outlook email threads to rebuild the project information, which delayed our client follow-up progress. Another serious issue is the faulty Outlook calendar sync. Earlier this year, a tender submission date for a local multi-family housing project silently shifted three days forward with zero system alerts. We only caught the error during our internal weekly check-in, otherwise we would’ve missed the official city tender deadline entirely. On top of that, Tixio has no dedicated GDPR fields required for German business compliance. I have to stuff all client data consent dates and records into generic text boxes. When our compliance officer runs quarterly audits, I have to manually open every single lead to verify information, which is extremely inefficient. Before adopting Tixio, our Cologne architecture team had absolutely no unified system for managing project leads and tender opportunities. All client information was scattered across personal Excel spreadsheets, staff email inboxes, and handwritten office notes, which constantly caused miscommunication and missed follow-ups. I had a typical bad experience last winter: a local developer enquired about a commercial renovation project, a colleague recorded the details on their personal sheet and never shared it, and we almost lost the potential project entirely due to no follow-up. Tixio completely fixed this messy workflow by giving us one shared central platform for all developer, contractor, and private client leads. Now every team member logs project statuses, client needs, and tender progress in one public pipeline. We no longer waste time chasing colleagues for client updates or digging through messy file archives. It greatly standardizes our lead management and makes our project handovers much smoother when team members go on leave or rotate duties. That said, it’s not a fully reliable tool for our German compliance and project work. I still back up all data to Excel and Quatrix cloud storage every week to offset risks from missing notes, faulty calendar sync, and missing GDPR fields, but Tixio has definitely eliminated our biggest old problem of scattered, untrackable client project data. I really like how much functionality is now available in one platform with Tixio. The new built-in chat feels similar to Slack, allowing us to keep more of our daily work within Tixio. I find the Claude integration extremely beneficial as I can prompt a new project and have Claude help structure and set it up for me, which saves me a lot of time.
