Odoo Purchase allows companies to keep track of quotes, order statuses, quantity levels, and expected delivery dates. Save time by setting up custom reordering rules to automatically send RFQs and POs to your suppliers, based on your stock levels. This intuitive app has procurement tools that help your business run as efficiently as possible, with less stock, and without any unforeseen stock-outs. Define stock levels, “Min-Max” stock quantities with re-ordering rules, sales forecasts, or automatic routes (Replenish on Order). I currently can see not only the current stock requests on a request for quote, but also the forcasted quantity, the quantity on hand, and how many we sold last year. The chatter keeps employees up to date on the latest goings on and eliminates the "water cooler" chat we used to need to stay on top of things. Being able to send an RFQ, PO, or message directly from the Purchase module, directly on the documents chatter, is a big plus. **What do you dislike about Odoo Purchase?** 1. In the document status you have three stages, RFQ>RFQ Sent>Purchase Order. I wish there were a fourth stage "PO Sent". 2. The status "Fully Billed" displays even when there are open items waiting to be received on a PO. 3. Vendors don't always reply to your PO's and this can break up the chatter, but that would be true in any system. That said, I have reported this as a problem and expect it to either be fixed in our current version, 13, or in version 14. The Sales module does not have this problem. **What problems is Odoo Purchase solving and how is that benefiting you?** Together with the inventory module, we are preventing problems from manual ordering such as shortfalls and eliminating double ordering. Likewise, since we can set the route to dropship or ship to us right on the sales orders, thanks to odoo studio, we have a large degree of flexibility in our operations. ### 2. I've found most business software looks like windows 95 with tiny text and bland menus. It may seem like a small thing, but having an intuitive interface with color coded buttons and larger text makes working with the software so much easier. And it doesn't dumb it down at all to get that clean interface. The software is capable of managing all of your purchasing needs with a lot of flexibility to fine tune automations. **What do you dislike about Odoo Purchase?** There is a little bit of a learning curve to get the software just how you want it, but this is pretty typical from my experience. You might need some work arounds or small customizations to the sofware in order to make it work exactly the way you want it. But once you get it implemented it runs very smoothly. **What problems is Odoo Purchase solving and how is that benefiting you?** Our purchasing used to be run off of excel sheets. Any time we ordered something we needed to manually look up who we needed to email or call in order to get our materials. With odoo purchasing we basically just click confirm and the materials are purchased. It is all automated, and takes into consideration how long suppliers usually take and what your optimal ordering batch size is. It has saved us a lot of time in human error. ### 7. The first steps is to create and RFQ in the event I need a quote. If there is a standard price list, I can convert that to an order right away and send it to them. Because it integrates with other apps, I am able to turn order from the Sales app into purchase orders right away using the Drop ship feature in the Inventory app. Super slick! **What do you dislike about Odoo Purchase?** I have not run across and feature within the Purchase app that needs improvement. It just works for me. **What problems is Odoo Purchase solving and how is that benefiting you?** I have been using Purchase since I started using Odoo. As noted above, the apps allow me to generate quotes, confirm orders, submit purchase orders to vendors and then send invoices to customers all from one app. All of them integrate with other apps so I can see my business all in one place. ### 8. The workflow can be adapted to each organization, starting from the execution of purchase planners (according to the replenishment rules established in team/warehouse), which creates a supply request that quickly turns into a budget and then into a purchase order, all with just a few clicks. Once the purchase order is confirmed, it opens in two ways: supplier invoice (where it pulls all the purchase lines and you only need to enter the invoice number and a few other details) and the delivery note to receive the goods into the warehouse. **What do you dislike about Odoo Purchase?** While different values from different suppliers can be set for products and even the currency can be selected for each case, the handling of multiple currencies could be better, especially when generating product lists where it would be convenient to have separate columns for each currency. **What problems is Odoo Purchase solving and how is that benefiting you?** The sector became completely organized. There is a defined and clear process where there was none before, with the possibility of achieving absolute traceability from the purchase request, through budget, purchase order, incoming delivery note, and outgoing delivery note for each product, always linked among all the modules, whether it be purchases, sales, accounting, team, production, etc. ### 9. The biggest thing you need to realize with Odoo is that it is transactional, meaning that when things change they do not always propagate. Let me explain. When you create a PO and you confirm the system creates a receipt based on the purchase. First shortcoming is that you cannot have multiple receipts for a PO, for this you use a Blanket Order which creates multiple POs (not great). You actually can have multiple receipts, it is just that you create backorders for remaining qty. I wandered, sorry. If the PO changes you actually need to cancel the PO, change and then reconfirm. This then cancels the first receipt and creates a new one. Another trait of Odoo is that everything is based on locations. Transactions are created to move items from one location to another. There are virtual locations (vendor, customer, inventory adjustment, scrap) and actual locations (warehouse, or whatever location you want to define) Remembering this and the previous paragraph makes understanding Odoo much easier. Please also note that although this may seem critical and technical, I absolutely love working with the Odoo application. It is the easiest, most user friendly ERP I have used in my 25 year career. **What do you dislike about Odoo Purchase?** It is easy to make mistakes and not always easy to clean up after the mistakes. This is part of what makes Odoo great actually. The ease of use makes users bold too quickly, then they forget to think about what they are doing and make mistakes. This is not a huge issue, we have maybe 1-2 mistakes a month on thousands of transactions. Second, don't use Odoo for support. Use a third party. We use a US based company and are very happy with support, but we started out contracting directly with Odoo and they are overwhelmed and slow. **Recommendations to others considering Odoo Purchase:** Odoo is adequate when you use the entire suite. We use Purchase, Inventory, Accounting, Website,Manufacturing, Quality, CRM. Although not perfect, we were able to customize the software enough that the switch was relatively painless. I recommend Odoo. **What problems is Odoo Purchase solving and how is that benefiting you?** Really have not solved any problems. The previous ERP was adequate, and in one area we actually took a step back. From a big picture, the integration of the modules we have installed does make visibility from receipt to payment much better. One area we have improved is the connection between receipts and vendor bills. Odoo does update POs with received qty and gives visibility to AP for those quantities. Thus, we do have a quicker way to validate received qty then we did before (which was saving packing slips from receipts and providing these to AP). We now only request packing slips for exceptions, and those are few and far between. ### 10. Payment, accounts are effectively managed. Budgeting control, approvals for specific POs and amounts. Event based automated formal email communication. **What do you dislike about Odoo Purchase?** Poor dashboard for 3rd parties, payables and payments data visuals are not supported for mobile device, because poor graphs in mobile device. Bugs with external hardware like QR barcode scanners. **What problems is Odoo Purchase solving and how is that benefiting you?** Handel purchase requisitions of medical and non medical like general and house keeping materials. Assign purchasing to a specific patient and project to get evaluated total cost occurred on a patient/project. RFQ to create automated POs to a lower price vendor. Purchasing control by approvals of concerns HODs and respobsibles. Payables and payments dashboard for for finance planning and accounts. All Purchase, Porecurement strategies are fully covered like replinishments, EOQ and safety stocks. ### 12.
