**What do you like best about Inventive.AI?**

We came into this as a build-vs-buy decision seriously considering building on top of Microsoft Copilot Studio because our whole stack is Microsoft. Inventive's the specialized power drill vs. a general-purpose tool: fine-tuned models for RFP work, real knowledge management, and it processes 200-300+ question questionnaires in minutes. SharePoint + Salesforce integration means it drops into our existing stack cleanly. Also to add on support, they have the best support they were keeping us updated. Also, their UI/UX were really good & very easy to use

**What do you dislike about Inventive.AI?**

Nothing that's blocked us so far. Inventive AI has been great!

**What problems is Inventive.AI solving and how is that benefiting you?**

Our dryer-unit RFPs used to take a month of manual drafting across technical specs, custom builds, and go/no-go analysis. Inventive gets us to an 80% automated draft, which was the target we set for build-vs-buy math. Go/No-Go plus Full Response Analysis handle the pre-bid and final-review checks our team used to do by hand.

**What do you like best about Inventive.AI?**

The Chrome extension is the thing that made me sit up. Manually typing security questionnaires, RFPs answers into customer web portals used to be the worst part of my week. Inventive pulls the questions out of the portal, drafts the answers from our knowledge hub, and pushes them back into the form. The Pre-export Check is the other feature I keep coming back to it catches compliance gaps, contradictions, and tone drift before anything goes out. And the AI just refuses to make things up when our knowledge base doesn't have the answer, which for a security company selling to security teams is table stakes

**What do you dislike about Inventive.AI?**

Our Asset Studio vision needs Grain integration for call recordings. Inventive supports Gong today. They're looking into it.

**What problems is Inventive.AI solving and how is that benefiting you?**

Portal-based security questionnaires, RFPs and Excel formatting preservation were killing our team's week. Response speed is around a minute per 100 questions now, and the AI's conflict flagging keeps our answers consistent even as product details change fast.

Honestly what won me over was how little we had to feed it 4-5 past RFPs and the AI was drafting answers that felt like ours. The Information Missing flag is what earned my trust: when our knowledge hub didn't have an answer, the platform said so instead of guessing. And the conflict detection caught a contradiction in our own docs one said SAP works out of the box, another said it needed customization. UI/UX is really good & support is great

The AI-first approach eliminated two things I never want to go back to: maintaining a Q&A pair library, and copy-pasting answers from past responses into new ones. The platform reads directly from our existing content sources, so we're not curating thousands of question-answer pairs that go stale the moment we stop updating them. There's no Q&A hygiene work in my calendar anymore because there's no Q&A library to hygienize. Copy-paste is the other habit that's gone. When a new RFP lands, the AI drafts from our actual source content with citations rather than sending me back into old proposals to hunt for reusable paragraphs. My team stopped keeping their own personal snippet libraries because the platform surfaces the right source every time.

**What do you dislike about Inventive.AI?**

Executive-facing dashboard could go deeper I want throughput, win rate by pursuit type, and time-per-response trend in a single view for QBRs.

We used to spend real weekly hours maintaining our Q&A pair library across our old tool flagging duplicates, updating outdated answers, deprecating retired content. That work is gone. **What do you like best about Inventive.AI?**

Response quality is the thing that made us commit. Before Inventive we ran our own workflow on top of self-trained GPT and Claude prompts engineering built the retrieval pipeline, my team maintained the prompt library, and it worked but never quite got to the accuracy bar we needed for security questionnaires. Inventive's drafts came back grounded in our content with citations, and the answers held up under our SME review pass in a way our internal workflow never did.

The 60% faster figure is the other piece. When we compared our overall workflow against generic AI setups including the tuned GPT and Claude pipelines we'd built ourselves.

Inventive's end-to-end response cycle was measurably faster. The gap isn't just drafting speed. It's that governance, retrieval, and drafting are already integrated, so we're not managing the seams between them.

The autonomous AI agent model is what actually fits how we work. Two agents in particular carry the weight for us. The Response Agent handles the drafting cycle, parses the RFP, pulls grounded answers from our knowledge sources, assembles the draft without me babysitting each step. The AI Content Governance Agent runs in parallel, scoring documents for relevance, surfacing conflicts across our sources, and flagging any answer where the underlying content doesn't actually support the claim.

**What do you dislike about Inventive.AI?**

When I jump between multiple active pursuits in the same day, the platform doesn't always preserve my filter and view preferences per project, so I re-apply the same view settings more often than I'd like

**What problems is Inventive.AI solving and how is that benefiting you?**

Our RFP cycle at Megamax dropped from about 8 working days to just under 3. We took on 40+ pursuits last quarter versus roughly 22 the quarter before with the same BD team. The Content Governance Agent has also caught around 11 real inconsistencies in our knowledge base since we deployed, saving us from shipping conflicting claims to buyers who would have caught them.

I was brought into the RFP problem from the engineering side to build an AI native tool..  The CRO asked me to build a tool for it, I mentioned buying is a better decision than building. I ran pocs & Inventive was the answer. The platform lets our senior sellers stay focused on strategic work while the platform handles the response mechanics from ingestion through to a submittable draft. Our RFP throughput doubled inside a quarter without anyone being asked to work more hours.

The executive-facing dashboard could go deeper — I want a single view of throughput, win rate by pursuit type, and time-per-response trend that I can pull into a quarterly business review without exporting to a spreadsheet.

Our sellers stopped being asked to write RFP responses on nights and weekends, which was showing up in attrition risk. Response volume moved from 34 pursuits a quarter to 71 with the same headcount. The platform's Q&A agent gives me an instant answer to a customer's technical or compliance question during a call  grounded in our actual docs, with a citation I can share directly. I've stopped saying "let me get back to you" and started answering in real time. That has changed the tone of our renewal conversations.

**What do you dislike about Inventive.AI?**

The mobile experience is thin, which matters because I'm often between customer meetings and want to do a quick draft review from my phone. There's also no way to snooze notifications when I'm heads-down on a critical renewal, so I get pinged on everything or turn them off entirely.

**What problems is Inventive.AI solving and how is that benefiting you?**

Our renewal-cycle security questionnaire turnaround dropped from 3 weeks to about 4 days. Customers noticed. The autonomous agents handle the parts of the RFP cycle that used to consume my team's most senior people. The platform doesn't just generate text — the agents make decisions across the workflow. Go/No-Go decides whether a pursuit is worth committing to. The parsing agent figures out the structure of whatever format the buyer sent. The drafting agents pull grounded answers from our knowledge sources without us pre-classifying which document is relevant to which question. Conflict Detection runs in the background and surfaces issues without me asking it to.

The hands-off nature is the thing. We used to spend a lot of effort coordinating between steps. Now the agents coordinate themselves and we coordinate the deal, which is what we should have been doing all along.

The platform doesn't expose enough visibility into what each agent decided and why — I'd like a per-answer audit trail showing which sources were considered, which were ranked highest, and which were filtered out.

We moved from roughly 18 senior writer hours per major RFP to about 4. Quarterly response volume scaled from 24 to 51 with the same team, and our win rate on the pursuits we do go after has trended up because we're investing real attention into the strategic parts rather than the structural work.

The end-to-end agent flow is what made this platform actually useful to me. As a developer pulled into RFP work, I like the agents being autonomous from parsing through to a usable draft. Inventive AI does that. The parsing agent reads the RFP regardless of format and tags the structure. The retrieval agent pulls grounded content from our knowledge sources. The drafting agent assembles answers with citations. I'm not stitching these stages together with my own scripts or doing manual handoffs between steps.

**What do you dislike about Inventive.AI?**

Image support is missing, and it sometimes adds too many citations.

**What problems is Inventive.AI solving and how is that benefiting you?**

Across our enterprise pursuits, my time on RFP work dropped from about 4 hours per major technical section to roughly 30 minutes. We responded to 47 enterprise RFPs last quarter versus 28 the quarter before with the same headcount. The drafts come back grounded in our content with citations on every answer, and my team is editing for tone rather than rewriting from scratch. Workflow lives in one place: ingestion, drafting, review, export  so we're not stitching across multiple tools to ship a response. We compared this to Loopio, Responsive during evaluation. What stood out was the agentic capability gap. Inventive's agents are more accurate and the responses feel trustworthy enough to actually ship with light review. With other tools we tested, the agents sometimes generated answers that looked fine on the surface but weren't right — that doesn't happen here in the same way.

**What do you dislike about Inventive.AI?**

Notifications get noisy when assigned across multiple active projects. Email digest isn't customizable enough to fix it on my own either everything pings me or nothing does, with not much in between.

Overall, my experience with Inventive.AI has been positive, especially in terms of saving time and improving response quality. However, I feel there is still room for improvement in areas like reporting and analytics, as I would like more detailed insights into content performance. Additionally, more granular user permissions and workflow customization would make the platform even more effective for larger teams. These are not major concerns, but enhancements in these areas would further improve the user experience.

We respond to staffing services RFPs where the shape is very different from a typical software RFP.
If I summarize it would be three words only: Fast, Accurate & Easy to Use. Buyers want fill rate metrics, time-to-hire averages, retention data by role family, and named past-placement case studies not feature lists. Inventive handles that content shape correctly because it draws from our actual placement data and case study library rather than generating generic staffing prose, and the citation trail means when a procurement office asks where our 92% fill rate figure comes from, we can show them the source report in seconds. The platform adapted to our world rather than forcing us to flatten our content into its assumptions.

**What do you dislike about Inventive.AI?**

Comment threads aren't as good as Google Docs for back-and-forth review, so when my recruiting director and I are iterating on a case study selection together, we end up doing the actual conversation in Slack and using Inventive comments mostly as bookmarks. Search inside the knowledge hub also returns too many results when I'm looking for a specific past-placement case study by role family  better ranking would save me a minute or two each search.

**What problems is Inventive.AI solving and how is that benefiting you?**

Our RFP response time dropped from roughly 8 working days to 2, which let us bid on 28 opportunities last quarter versus 16 the quarter before with the same proposals headcount. The unexpected benefit was that we won a multi-year $4.2M MSP contract partly because the response shipped 5 days ahead of the buyer's deadline and was the first complete submission they received.

context: we're 20 people team. no proposals team, no SE org, no marketing person. when an enterprise prospect sends us a 150-question security questionnaire i'm the one filling it out because there's nobody else. i was losing entire weekends to this stuff before we tried inventive ai

the UI is the part that surprised me. i was expecting one of those bloated enterprise tools where you need a 30-min training video to find the export button. it's actually clean. i logged in, imported an rfp, and was generating drafts within like 15 minutes. the assignment + status tracking is genuinely good even though we only have a few people — i route the technical sections to my cofounder, the commercial stuff i handle.

drafts come back grounded in our content with citations on every answer. for a 100-question questionnaire it spits out a v1 draft in under 5 minutes. that's the part that bought me my weekends back.

oh and the "information unavailable" tag — the AI flags questions where it doesn't have an answer instead of making something up. for a small company this matters more, because if we send a wrong answer to a $200k prospect we don't get a second chance.

honestly priced for bigger companies. their pricing is usage-based and they were flexible with us on the rate, but the headline number was still a stretch for a startup at our stage.  But when we saw the roi, we don’t care now.

i was spending probably 1-2 days every other week on rfp/questionnaire work.. inventive cut that to maybe 2-3 hours of editing per response. payback was basically instant.

the unexpected benefit: we used inventive's q&a agent during a live customer call last month when a prospect asked a technical compliance question. instead of saying "i'll get back to you," i pulled up the answer with citation in real time. felt very different than the usual "let me ask my team" stall.

Okta SAML and SCIM provisioning worked the first time without exceptions. Integration setup for SharePoint and Salesforce was a single working session with my IT counterpart — no professional services engagement required. Permissions and roles are straightforward enough that I can scope access for a new reviewer in under two minutes, and the platform's audit and usage views give me what I need without exporting to a spreadsheet.

**What do you dislike about Inventive.AI?**

Pricing tier jumps are bigger than I'd like — moving from one capacity tier to the next is a meaningful step rather than a smooth scale, which makes it harder to forecast cost as we grow usage. The platform also has a noticeable cold start on the first request of the morning, which is a small thing but adds about 30 seconds to the first ingestion of the day. Neither blocks anything.

The browser extension is the thing I keep telling other RFP people about. A lot of the portals we work in won't let you export the questionnaire you're stuck typing answers directly into their UI. That used to mean copy-pasting from a Google Doc one question at a time. Inventive's extension lets the AI respond inside the portal directly, pulling from our knowledge hub. Hours saved per RFP.

The way it handles weird Excel formats is the other thing. We get RFPs with multi-column structures, custom indicators ("S" for standard feature, "C" for custom, that kind of thing), multiple tabs. Inventive maps it correctly and exports back into the original file with the formatting intact. Most tools we tried mangled the export.

Response quality holds up too. Bespoke answers grounded in our knowledge hub, inline citations, and confidence scores on every answer so we know which ones need SME review.

Honestly the drafts come back good enough that i'm editing not rewriting. that was not the case with the other AI RFP tool we trialed before this (responsive, the AI was rough). citations on every answer is also a big deal for me because I don't trust AI drafts without being able to check the source. also the support response time has been kinda absurd, like we have a slack channel with them and stuff gets answered same day usually.

The auto-tagging on excel RFPs works ~80% of the time which sounds bad but is way better than tagging 200 rows by hand.

Analytics page is pretty thin. I want to see stuff like how much we're editing AI answers, which sections are taking the most time, that kinda thing. Also the word export is fine but our brand template doesn't always come through cleanly, so I do a formatting pass at the end.

Took a sec to figure out the sharepoint setup, there's some tenant id thing in microsoft that wasn't obvious. Once that was sorted it's been fine.

Inventive was the only tool that didn't feel like it was held together with duct tape. The architecture is AI-native you can tell from the API surface, the way citations are structured, how it handles ingestion. Setup was clean once we sorted the SharePoint tenant ID. Hallucination protection is real the "Information Unavailable" tag actually fires when the knowledge hub doesn't have an answer, instead of the AI making something up like the other tools we tested.

Inventive's labeling system fixed that for us. We tag each product's docs with a label, and the AI only pulls from the right pile when we tell it to. AI / Intelligence:  The responses aren't generic AI filler, Inventive.AI pulls it from our actual knowledge sources and gives every answer inline citations, so I can verify where a claim came from before it goes out. The conflict manager is a very powerful feature it catches contradictions across old RFPs and docs, which used to be a manual QA headache. We also use it for DDQs, Due Diligence Questionnaires it is generates the first draft answer with about 90% accuracy. 

Performance: Inventive.ai cut our RFP turnaround from 14 days to 4 hours and answers actually hold up on nuanced, unusual questions instead of reading as boilerplate. We've also seen higher win rate since switching.

Integrations: Connecting to SharePoint / Google Drive / Notion / Confluence and Salesforce meant we didn't have to migrate content into a separate silo. It pulls live from where our team already works, so the knowledge base stays current without anyone babysitting it.

We struggled with slow turnaround on high-volume or complex RFPs, especially questions that didn't fit neatly into existing templates, but now we can generate accurate, source-cited draft answers pulled directly from live documents in SharePoint / Google Drive / Notion, without needing to keep a separate content library up to date.

I really appreciate Inventive.AI's AI-first approach, rather than a library-first one. For an overly busy team without time to manually maintain a library of RFP responses, this is a huge advantage.
It's also very intuitive to create and manage projects, assign questions to colleagues, and leave comments, which makes collaboration on RFPs much smoother.
What really stands out is the accuracy of the AI. It only pulls from the sources you specify, and when it can't find an answer to a question, it flags that clearly instead of guessing. Those gaps are then easy to fill by adding the missing info to the knowledge base, so the system keeps getting smarter over time.
Lastly, our team has started using the AI Agents within Inventive even outside the context of RFPs. Our team trusts the accuracy of the responses, and it saves time when answering client questions.

The thing that made me such a believer in Inventive.AI is that it did not just make proposal writing faster — it made our entire proposal process smarter. It changed proposal development from a back-end cleanup effort into a front-loaded strategic process. For our team, that has been the biggest shift and the clearest value.

Before using Inventive.AI, our process worked, but it followed a pretty common proposal pattern: draft the response, gather input from contributors, and then use the final stretch before submission to tighten the voice, sharpen the strategy, integrate examples, add case studies, and make everything feel cohesive. The problem was that some of the most important work — strategy, positioning, proof points, and storytelling — was happening too late, when everyone was already deep in deadline mode.

Now, we are able to start with the strategy. The only challenge has been the normal adjustment that comes with moving away from a legacy proposal platform. Our previous system had certain features and workflows we had gotten used to, especially for managing a complex content library across many lines of business.

We knew before signing that there would be a few legacy features we might miss, and we were very upfront with the Inventive.AI team about that. Once we started implementation and began using the platform in live proposal work, we also identified a few areas where additional flexibility or refinement would make the experience even stronger for a company with our level of complexity.

That said, this has been one of the most positive parts of the experience. The Inventive.AI team has been incredibly receptive to feedback. I'll lead with the numbers because I track them. I run a spreadsheet on every RFP we respond to kickoff date, submission date, hours logged, win/loss outcome. Before Inventive, our average RFP took us about 6 working days from kickoff to submission. Six months in, that average is down to roughly 1.5 days. Roughly 75% faster, give or take depending on how complex the RFP is.

Win rate moved too. Rolling 6-month win rate before Inventive was around 22%. Last 6 months it's been around 36%. I'm being careful about how much of that to attribute to the platform vs. our team just getting better probably 60% of the lift is the tool (more thorough responses, fewer compliance misses, less rushing), the other 40% is general practice maturity. Either way it's not a small move.

On the experience side: the UI is the cleanest in this category by a long way. I logged in on day one and was running drafts within 20 minutes.

We're an engineering and construction firm. RFPs in our world aren't 20 questions about a SaaS subscription; they're 150-200 page documents with site plans, scope-of-work specs, embedded drawings, and pricing schedules. We see about 100 RFPs a year and we can only realistically bid on 50-60 of them. The biggest cost in our process isn't writing the bids, it's writing bids we shouldn't have written in the first place.

The Bid/No-Bid analysis is what sold us. We feed Inventive the RFP and it tells us where we're capable, where we're stretching, and where we have no business bidding. That single feature has saved us probably 300+ hours of estimator and engineer time this year on bids we now know to walk away from. Inventive is the first one whose drafts hold up on the hard questions. Two reasons, I think. One, the grounding is real — the "Information Unavailable" tag actually fires when the knowledge base doesn't have an answer instead of guessing. The architecture also feels properly AI-native — multiple models in a pipeline, not a single GPT-4 call with a vector search bolted on. You can tell from how it handles edge cases.

**What do you like best about Inventive.AI?**

My sales and product team does a few hundred RFPs every year, and our previous RFP platform forced us to use a question and answer library, which we were in desperate need to change. We evaluated several top AI tools in the market and found Inventive to be significantly better than anything else in the market. Things that we really liked were their response quality was significantly better in the side by sides we did. Also, their agentic system helped us understand the RFP and user requirements, compliance requirements and also do pre-export checks - all extremely helpful when the team is short on time. Overall, their workflow was pretty seamless for our use case as well. Highly recommend it.

**What do you dislike about Inventive.AI?**

When we get a questionnaire with drop-downs for product feature lists, etc., we still have to do some manual work. The team told us a fix is coming at the end of June so we'll see. Not a dealbreaker but would be nice to save some tedious effort.

**What problems is Inventive.AI solving and how is that benefiting you?**

Before this we had one person who basically did nothing but maintain the Q&A library in Responsive. That was unsustainable. With Inventive, knowledge management is automated and the AI capabilities are next level.

**What do you like best about Inventive.AI?**

I like how simple and easy the UI and process are for anyone in my org to pick up. The experience is quick and accurate and syncs directly with our Salesforce instance to integrate everything together.

We have democratized the RFP process to the sales team for some of our faster-moving deals, and it has been a seamless transition. Our reps are able to create an accurate response to almost any RFP format and feel confident that they are providing impactful answers.

The AI models that back the platform are effective and have quickly learned our organization and its products to where we can trust its accuracy at all levels.

Pricing is right on par with many industry tools and they have an easy-to-understand structure.

Onboarding was a light lift, enabling us to implement the tool within weeks. Ongoing support has been all you could ask for in terms of service, error-handling, and product development. The Inventive team is very responsive, insightful, and willing to help.

**What do you dislike about Inventive.AI?**

There have been some loading and tagging errors with many of the projects we have worked on. However, the team is very responsive and willing to jump in and fix what needs to be addressed. The reporting suite is a bit immature at the moment as well, but it is developing and becoming more insightful.

**What problems is Inventive.AI solving and how is that benefiting you?**

Inventive is helping us grow and scale as an organization while keeping costs down in today's economy. We are able to keep our RFP team lean while maintaining and even increasing our volume/workload.

**What do you like best about Inventive.AI?**

The best thing I like about Inventive AI is that we don't have to manage Q&A pairs, which saves a lot of time. We integrated it with SharePoint, and all our information is fetched when responding to RFPs. Responses are accurate, and the UI/UX is simple and easy to use.

**What do you dislike about Inventive.AI?**

Generating diagram images on mobile is difficult, so we have to copy images from Canva and paste them. Still, it's good to at least be able to see the image.

**What problems is Inventive.AI solving and how is that benefiting you?**

Better RFP response process; it also saves significant time without requiring additional headcount. Our rfp response quality is also improved & better

**What do you like best about Inventive.AI?**

Replaced NotebookLM plus a lot of manual copy-paste into Excel. The Context Graph learns from our edits so responses stay current without me doing knowledge base maintenance. Inline citations back to source docs make it easy for our security reviewers to verify claims.

**What do you dislike about Inventive.AI?**

Slack integration is limited to a Q&A chatbot; workflow features are on the roadmap.

**What problems is Inventive.AI solving and how is that benefiting you?**

5–10 RFPs a quarter and growing across EMEA, APAC, and the US. NotebookLM plus manual copy-paste wasn't scaling. Inventive handles Excel Q&A natively, and validation work stopped burning our security team's time.
